Asset Book in Payables Module

Hello
We use Asset Clearing ang CIP Clearing Account everytime we record a purchase of an asset in PAYABLES MODULE...and also we fill in the ASSET BOOK field so that after run processes, it would go to its assigned asset book in our ASSET MODULE.
Can I set a security wherein the OFIN would not allow to save the entry for Asset Clearing and CIP Clearing unless the asset book field is filled out?

Even if you dont fill the asset book field, it will not impact you adversely.
Also when you provide the Asset clearing/CIP Clearing account, system automatically update the Track as asset checkbox which can be viewed using the Folders>Show Field.
In R12 we have been provided with additional functionality whereby we can provide the asset book and asset category at the invoice level. This functionality was not available in earlier releases i.e. R11i.
Since when you will be running the transfer from AP to FA, system will ask you to provide the asset book against which you want to process the invoices lines.
Even if you provide the asset book at the invoices level and if the same is incorrect i.e. not in sync with the Asset clearing/CIP Clearing account defined at the asset category, your processing of the invoice lines from AP to FA will fail.
You can make the asset book field as Required using Forms personalizations, however that would be applicable for all invoices entered,
However i am not sure how to make this field (Asset book) required in conjunction with the Asset Clearing/CIP Clearing account. That needs to be explored and looked into.
And as per your post, since amyway you have different sites and corresponding asset book against each sites, you can anyway enter the associated asset book in the field and process it accordingly.

  • Payable Open Interface Import---Asset Book name is being generated

    Hi,
    I am working on Payables Open Interface Import in R12.
    I am not generating the 'Track as Asset Flag' and 'Asset Book Type Code' fields in Ap_invoice_lines_nterface table.
    And the distribution account is also an Expense account.
    But after the payables open interface import is completed, the asset book name is being populated in ap_invoice_lines_all table.
    and as a result, recoverable and non recoverable tax lines are being created in the ap_invoice_distributions_all table making the invoice total and line total unequal.
    Did any body faced a similar issue?
    Please help....

    I have raised a SR with Oracle and got following suggestion:

    To implement the solution, please execute the following steps:
    1. Download and review the readme and pre-requisites for Patch.9577089:R12.AP.B.
    2. Ensure that you have taken a backup of your system before applying
    the recommended patch.
    3. Apply the patch in a test environment.
    4. Confirm the following file versions:
    120.67.12010000.27 of apiimutb.pls
    You can use the commands like the following:
    strings -a $XX_TOP/filename |grep '$Header'
    5. Retest the issue.
    6. Migrate the solution as appropriate to other environments.

  • Fixed Asset Book Report

    When running the Fixed Asset Book report, the system shows every instance of an asset number. By that I mean that when and asset has changed locations the asset shows in the report in both locations with a value of zero in one location. This makes using this report for NBV reconciliations to the GL very difficult as I need to find ways of tracking and eliminating the duplicates before I can even begin.
    Is there a way to get the report to provide the data only in the current locations or is there a differant report I can use that provides a NBV at a period end broken out by cost and accumulated depreciation.
    Any assistance would be appreciated.

  • How to restrict Asset Books LOV in the Asset creating work bench

    Currently when users try to create Assets, they are able to see all the Corporate Books in the Book field. We want to restrict this LOV to show only book/s relevant for that Operating Unit.

    Prerequisites
    Following steps assume an Asset Organization is already defined.
    Step by step instructions
    1. Query for your Asset Organization in Organization Window:
    Navigator -> Setup -> Security -> Organization -> Description
    Select "Asset Organization: from "Organization Classifications"
    2. When you are in the Organization form, click the Others button.
    The Book Controls window will appear.
    3. Query up the existing book that you wish to attach to the organization
    or you can create New Asset book.
    4. In order to save this book to the organization, the form trigger must recognize
    that a change has occurred to the book information. To create a simple change
    that will enable the Save function to work, enter the Description field and simply
    add a space at the end
    5. Navigate to the File menu and select File: Save. Although there is no visible
    alteration to the book information, the form will now be able to save the book
    to your organization.

  • FSCM 9.0: Where to define Accounts Payable Module "Origin" for Voucher ?

    Folks,
    Hello. I am working on FSCM 9.0 Accounts Payable Module. I add Voucher using Accounts Payable > Voucher > Add and the following message comes up:
    "Origin missing on your Operator Profile. Origin is required to enter Voucher. No Origin was found on your Operator Profile. You must be assigned to an Origin in order to enter Vouchers."
    My login IS is VP1. I try to solve the above issue as follows:
    Setup FSCM > Common Definition > Define User Preference > Procurement > Payable Online Voucher page, "Origin" is required field, but no prompt values come up. I don't know where to define "Origin".
    Do any folks understand where to define "Origin" in Payable Online Voucher page ?
    Is this way the correct way to solve the above issue ?

    I have created a few "Origin" using Set Up Financials/Supply Chain > Product Related > Procurement Options > Vouchers > Voucher Origin like 1, 2, 3, ...

    This can be mapped in Foreign trade.You need to use Licensing functionality.Each  time you use it,  it  depreciate by document value.

  • Unplanned Asset Book Depriciation

    Hello
    I have posted Unplanned Tax Depriciation . but book depriciation is also posted. and when i try to reverse the unplanned book depriciation through AB08 the system gives a message that no FI document is created but the Entry is already passed in General Ledger So how to reverse this document .. I am using ECC 5.0

  • 2 ASSET BOOKS

    I have 2 asset Books.. Book A and Book B. I created an Asset Category and assigned the 2 Books in it using different asset clearing accounts.
    I entered invoices in AP and assigned book to respective invoices. Both book A and book B has a potential asset accounts that will be transferred to FA.
    First i ran Mass Additions for Book A. It's a success, the potential assets for Book A transferred to FA.
    But when I ran Mass Additions for Book B, it no longer transfer potential asset for Book B to FA. :-(
    Why is this so?
    Can somebody tell me how to fix this issue?

    please answer these to questions to better understand your issue:
    1- Is each of you asset book is under a different ledgers?
    2- If your answer Yes to Q.1; Are you using security by book functionality?
    3- When you enter invoice in AP do you select the correspondent asset book on the invoice line?

    Hi all.
    I am learning how to set up R12 assets.
    I am in the process of creating an asset book.
    On the natural accounts tab there is a required entry of Account Generator Defaults.
    I think that this basically auto fills in the segments, apart from the actual account numbers?

  • Asset under construction-IM module

    Hi,
    I am planning to manage the asset under construction (AUC) by the PS module. This means to create the AUC through the WBS element, and finally settle to the final asset. For doing that I understand that the asset under construction class should be created as an investment measure.
    I am asking if it is necessary to implement the IM module to manage the AUC by PS module.
    If it is not necessary which is the difference of having IM implemented?

    Hi Cecillia,
    To answer your questions:
    You need to define specific asset class for AuC (status of AuC "investment measure" in OAOA)
    You do not need to "implement" IM by creating investment programs but what technically make a internal order or WBS element an investment measure is the presence of an "investment profile" in their master record that will pilot the creation of the AuC. Investment profiles are defined in transaction code OITA that can be found of the IM part of the IMG
    I second Ajay comment regarding the use of WBS elements (PS) vs. internal orders (CO) as investment measures: PS offers a lot more possibilities and options than CO but the set up, maintenance and daily use is much more complex. Take the time to consider both options.

    Is there a provision for mass cancellation of students booked to events and if so how is it done?.Similarly for modules.

    You will have here also different options according to the business scenarios:
    - When you cancel an event on transaction PIQACADOFFER00 you will automatically mass cancel and remove the event bookings to a waitlist status (or prebooking to the event type).
    - You are given the option to automatically cancel all module bookings for a student on a given year and academic session when he de-registers at that year and session.
    - If you want to build a custom functionality to cancel bookings, SAP delivers a supported function module which you can call from your own program:
    HRIQ_STUDENT_BOOKING (you can check it on transaction se37)
    For cancelling the modules using the function module you should perform a booking using value '<b>04</b>' which means <i>cancelled</i> for the field SMSTATUS at structure IT_MODULETAB which is the one including the information of the modules to be cancelled for the student.

    Hi,
       The procedure of procuring machinary or asset is :
    A asset master is to be created in FI.
    Create a purchase order with account assignment category 'Asset',here dont give material, give only short text quantity unit and price.Give the asset number in the item details account assignment tab.
    Dont forget to check the GR nonvaluated tick in the delivery tab of the item details.Because this desides whether you want to valuate the asset at the time of GR or not.
    Then GR and IR are as usual.
    Check the asset master after PO,GR and IR and observe the changes.

  • Has anyone tried to close the inventory module before payables module?

    We are currently in 12.0.4. and have recently changed our expense PO's to accrue at receipt rather than month end. We recognize the Oracle documentation requires that we close AP, Purch, and then Inventory. We were wondering if anyone had ever tried to do this.

    We do occasionally encounter the odd receiving problem but we instruct users to simply wait until the next period to alleviate issues.
    To date, we have not found it to be a hindrance to our business processes, nor a burden on our IT support.

  • Unable to find the asset in FA which is shown in PA Module

    Dear Members,
    We are using Projects Costing Module and also FA Module with other financial modules like GL,AP etc.
    We have created one project.When we are querying this project in PA_PROJECT_ASSETS_ALL table we can see there are 4 Asset Numbers associated with this project.
    In the same table we can just see the asset numbers but the FA_ASSET_ID column and FA_PERIOD_NAME columns are null.
    We picked the asset numbers shown in PA_PROJECT_ASSETS_ALL table for a given project and we are trying to query the Asset Number in FA Module.When we did this no records are found.
    Can anyone please tell me what is the problem? Did we skipped any process?

    The assets you see in PA were set up as part of the Capital project initiation.
    On that project you need to enter expenditures and run the applicable distribute cost process, and then interface those to GL.
    You may also interface supplier costs from Payables (after entering project related supplier invoices is AP).
    Run the process: PRC: Update project summary amounts.
    Navigate to the Capital project form, there you can see the costs accumulated on that project.
    Run the process - PRC: Generate Asset Lines, and after that Interface Asset lines to FA.
    In FA responsibility you should see the asset lines in Mass Addition and from there you may post them (unless they were automatically posted when interfaced from PA).
    Only now can query the asset in FA.
