Automatic reply
Twice I have tried to set up an automatic reply system whilst away fromhome and twice my unfortunate friends and colleagues (and people from elists) have received replies to the entire body of the emails they have sent me which are in mailboxes. As travel quite a lot I need to be able to do this successfully. I do not have the time to put in each email address manually - but need automatic reply to all incoming emails.
Can anyone give me adivce as to how to set up the rule sin such a way that they don't apply to old emails but only to forthcoming eamils.
thanks
Hello Rubidge, welcome to the discussions.
What did you try?
In Preferences/Rules, click Add Rule. Set the conditions to "every message". Set the actions to "colour background yellow". Click OK. When it asks "do you want to apply your rule to messages in open mailboxes" click No, as you only want to apply it to new, incoming messages.
You should now observe that incoming messages are coloured yellow, while existing messages remain as they were. Once you are happy with this, edit the rule (you might to give it a name while you are at it) so that the action is reply, and give the appropriate reply message text. Again, click no when asked if you want to apply the rule.
However, I would reconsider your plan of auto-replying to everything, including lists. List members quite reasonably get annoyed if every message to the list produces a message from you "I can't deal with your email at the moment as I am off having a fantastic time on the ski-slopes". Much better is to restrict it to eg only senders in your address book - you can quickly add them as you read an email with Command-y.

Hi,
We recently introduced a Exchange 2010 server into our Exchange 2003 enviroment but had to stop migrating users over to it after it became appartent that users using Outlook 2010 could not switch on their Out Of Office, getting an "Your automatic reply settings
cannot be displayed because the server is currently unavailable" error. However users on the new 2010 can set OOF if they use OWA or Outlook 2003!
Running the Test E-mail AutoConfiguration shows no errors with the Log tab showing Autodiscover succeeded and the Results tab showing all the correct values, including a OOF URL of
/Autodiscover/Autodiscover.xml">https://<servername>/Autodiscover/Autodiscover.xml into IE gives a XML file with a 600 error code.
I have looked at loads of 'solutions' on the Internet but cannot get this working, anyone have any suggestions?
Thank you,

Hi,
This is my first post in the forums. Please forgive me if it's in the wrong category or if it's not posted correctly in any way.
I'll try and give you below as much information about the problem we have here as I can.
What we have:
- an on-premises Windows 2012 Standard server that is the PDC, DNS and DHCP server;
- a second Windows 2012 Standard server with the sole purpose of hosting our Exchange 2013 CU7 server;
- Windows 7 PCs with Office Home and Business 2010 v.14.0.7143.5000 (32-bit);
- Outlook 2010 connects through Outlook Anywhere (mail.ourdomain.com).
The problem:
If trying to set up Out of Office through Outlook on the client PCs, we'd get an error message: 'Your automatic reply settings cannot be displayed because the server is currently unavailable. Try again later.' Interestingly, it does work normally for some users.
It works fine for all users if done through OWA.
Tests performed:
User 1 on PC1 has the problem. User 2 on PC2 doesn't have the problem. Both users are members of the same security groups.
- setting up User 2 on PC 1: the problem exists;
- setting up User 1 on PC 2: the problem exists;
- setting up a second Outlook profile on PC2 within User 2's domain account (the one that works), for the same User 2: the problem still exists!
I haven't been able to set up an Outlook account that works since this issue was discovered, although there are existing Outlook accounts that do not have the issue.
Let me also point out we have another issue we are working on and which may or may not be related: the Autodiscover function in Outlook doesn't work. Test E-mail AutoConfiguration results in 'Autoconfiguration was unable to determine your settings!'.
I can see postings in the Internet of other people having the same problem with OoO, but couldn't see a solution that fits my case: some existing accounts in Outlook are fine, other are not and newly created profiles of aforementioned working accounts do not
work. The majority of the articles/threads I read suggest recreating the Virtual Directories in Exchange, but we did that just a month ago (when troubleshooting the Autodiscover problem) and besides if the problem is in the Virtual Directories, I would expect
it to affect all accounts.
Any help in resolving this problem would be greatly appreciated. Please let me know if you need other details.
Apologies if the posting is not in the right place or not done properly - I'm still learning.The IIS log files on the CAS might tell you something. Depending on how your proxy server handles NAT the IP address of your connection might be from the proxy server instead of your client.
In any case, a tool like Fiddler (http://www.telerik.com/fiddler) can be extremely helpful in working on problems like this because it can decode the SSL traffic on the client and you can see what's being sent
and what's being received.
Another thing to check (although it's unlikely to be your case) is whether or not your browser (when you try connecting to the autodiscover URL) thinks it's in the "Internet" zone. the "Local intranet", or at a "Trusted" site.
The domain names you use on machines on your LAN should be excluded from being proxyed. Anything with "." in the name will be set, unless excluded, to the proxy server.
Is the time correct on the client machine? Is it more than 5 minutes different to the Exchange machines and domain controllers? That'd be something that would cause Kerberos to fail.
A certificate can be a problem if its expired or if it doesn't have the correct names. But I wouldn't worry about the uglog.com domain just yet. Until you get the Autodiscover working with the SCP you have bigger problems.
If you've never used a WPAD file then don't worry about it. It's very useful if you have a complex network and you want to manage how browsers connect to servers. For example, if you have multiple proxy servers the each manage a different set of names, an/or
if some names should bypass proxy servers entirely and just connect directly. If run a strictly Microsoft network with only Microsoft product that you can manage with GPOs (and you can enforce those GPOs on every machine -- even the BYOD ones) you probably
don't need a WPAD.

Microsoft Outlook 2010 & 2013 cannot set automatic reply settings
Hello,
We cannot seem to set automatic reply's within outlook 2010 & 2013. We have an exchange server 2010. We
can setup automatic reply through OWA absolutely fine. The error that we receive is 'Your automatic reply settings cannot be displayed because the server is currently unavailable. Try again later.
However we can setup out of office on any other office version below 2010 fine. We have run through
a number of tests and have come to the conclusion that the auto discover service is not configured correctly. I have been told to run through the following
"We need to make sure the IIS service is assigned to the certificate which includes mail.mydomainname.co.uk
name:
Enable-ExchangeCertificate -Thumbprint 62C247B3BD081D0A8B074D4A928A76E6DA3BABBA -Services
POP,IMAP,SMTP,IIS
Then restart IIS service
to apply the changes.
If the user is connect
to mailbox from external environment as your test results, it is recommended to add the autodiscover.mydomain.co.uk name in your certificate with IIS service. If so, the autodiscover
service can be accessed successfully in your posted second steps(https:/autodiscover.mydomain.co.uk/autodiscover/autodiscover.xml). Alternatively, if you don’t want to change your certificate configuration, we need to create a new SRV record for mail.mydomainname.co.uk
to make your autodiscover succeed in last steps of Srv Record lookup method".
So I followed this and opened Exchange Managemnet Shell and ran the following.....
'Enable-ExchangeCertificate -Thumbprint 62C247B3BD081D0A8B074D4A928A76E6DA3BABBA -Services POP,IMAP,SMTP,IIS'
The following output was displayed:

Thank youHi,
We have this problem with some of our users, in that they get the server unavailable error when trying to activate the out of office.
In our case this is because the Proxy is blocking the connection from the PC to the Exchange, so we just go to Internet Options - Connections - LAN Settings - Advanced (under proxy server) then just add *.domain.com into the Exceptions box at the bottom.
This seems to resolve the issue and allow them to set their out of office. The only reason this reoccurs for these users is because their roaming profile for some reason won't save the proxy settings, which is a different issue.
Hope this helps. -
When I configure the Outlook profile manually then receive warning "Your Automatic Reply Settings Cannot Be Displayed Because The Server Is Unavailable" when clicking "Automatic Replies (Out of Office)".
However if I use Autodiscover to configure the Outlook profile the above does not occur and "Automatic Replies (Out of Office)" works fine.
Client: Outlook 2013 Click-to-Run version 15.0.4551.1011 on Windows 7 Pro SP1.
Server: Exchange 2007 SP3 on Windows SBS 2008 SP2.Hi,
First of all, please make sure you have installed this Outlook 2013 hotfix package (December 10, 2013):
http://support.microsoft.com/kb/2825652/en-us
It may fix the issue.
If the hotfix doesn't help, please note, this problem can occur after your primary SMTP address changes. The problem occurs because your previous primary SMTP address is cached in the Windows registry under your Outlook profile and this information does
not get refreshed for 24-48 hours after the SMTP address change.
So please make sure you have configured smtp address correctly, or, we can find some workarounds from the link below:

One of our users is having problems setting replies from Outlook on his local PC. This is an SBS 2008 Server with Exchange 2007. The client PC is running Windows 8 with Outlook 2013. This issue doesn't seem to affect other users but this
is the only client with Outlook 2013.
When trying to set an automatic reply from within Outlook 2013 we get the "Your automatic reply settings cannot be displayed because the server is unavailable". Outlook seems to be connecting and working fine so connection to the server does
exist.
Trying this same operation from owa works without issue. Please let me know what we need to do to find a solution.
Thanks so much!Problem:
IMAP downloads inbox don't work after November patches.
If you install a fresh OS and O2K13 unpatched ,the IMAP works fine.
Fully patched O2K10 works fine too.
It worked for my customer until November patch Tuesday broke the IMAP sync.
Consultant opened case.
Response from Microsoft:
This is with regards to the issue faced by you due to regression caused by November security update. This is further to inform you
that fix is out and below is the download links for 32 bit and 64 bit of the office suites. You need to apply all 3 hotfix. The crash issue and IMAP issue would get resolved
immediately while the issue related to Free / Busy and OOF not getting set would take 24-36 hours to start working once the patch is
applied.

How do I set up my mail to automatically reply that we are on holiday?
How do I set up my mail to automatically reply that we are on holiday?
From Mail Help:
You can create a rule to have Mail automatically reply to incoming messages. For example, you can set up a rule that’s triggered by a specific subject so that Mail replies automatically to all messages with that subject.
This feature is useful if you receive a lot of similar messages from an online form on a website, and you want to reply automatically.
To automatically reply to messages:
Choose Mail > Preferences and click Rules.
Click Add Rule and type a descriptive name for the rule.
Set the conditions necessary for the rule to apply to a message.
From the “Perform the following actions” pop-up menu, choose “Reply to Message.”
Click “Reply message text” and enter the text for your reply message.
Mail will include the text you enter, along with the full text of the original message, in the message that it sends.
Mail must be running to automatically reply to messages, because rules aren’t processed while your computer is shut down or you’re logged out. To set up automatic replies while you’re on vacation, ask your email service provider how to set up an out-of-office reply.
Carefully consider the rules you create for sending automated replies. If they’re too broad, you can send messages inadvertently or create message loops (replies to replies you sent). If possible, test the rule.
After a rule has processed a message, the message’s status icon changes to a gray arrow to indicate a reply was sent. -
Automatic reply settings cannot be displayed (O365 -Exchange 2013)
Good afternoon,
I am currently having a problem with one employee who uses the automatic replys when he is away from work.
The error I get when trying to turn his replies on or off from outlook 2013 is "your automatic reply settings cannot be displayed because the server is currently unavailable. However I can have him log into OWA from his phone and web browser where he can
enable to disable the settings. But I need him to be able to do this quickly from his computer.
Ive done quit a bit of research and below are the things Ive tried.
- Checked Exchange 2013 and user profiles nothing setup there.
- Check for Windows Update KB2837618, it is not installed.
- Deleted profile from mail settings from control panel.
- This is an internal connection to the server and his machine is setup just like everyone elses. But yet he is the only user who is having problems.
- We just upgraded to 2013 exchange about 2 months ago, and we just updated from office 2010 to office 365 about 2 weeks ago.
Anyone who is able answer this question thanks in advance!From the user machine, can you confirm that he is able to access the out of office config URL?
Should be something like;
https://external.fqdn/ews/exchange.asmx
You can find it by running the 'The E-mail AutoConfiguration' tool by CTRL+RightClick on the Outlook icon in the system tray. -
Applescript to automatically reply to an email
Hi, I'm trying to create a script in Lion that will send an automatic reply to messages I receive with the subject line "Here's your offer". I am a BCC recipient of these messages, and I want to send the message to the actual recipient, not to the sender.
I created a rule to run an Applescript if the subject is "Here's your offer" but it's not doing anything. Even if it were working, I'm sure it's missing the code to send the message to the recipient in the To: field of the triggering message. I'd love some input on this script:
using terms from application "Mail"
on perform mail action with messages theMessages for rule theRule
tell application "Mail"
repeat with thisMessage in theMessages
set AppleScript's text item delimiters to {""}
set thisSender to sender of theMessages
set theNewMessage to reply thisMessage with opening window
tell theNewMessage
set content to "Test message"
end tell
send theNewMessage
end repeat
end tell
end perform mail action with messages
end using terms fromIt is possible to create a new mail message using Applescript, and to send the message, or to bring up the new message window for further editing before sending. If, however, you start with the new message window (or a reply window, effectively the same thing) I don't think it is possible to have Applescript manipulate the new message, as there is no reference to it.
Unless your "boiler plate" text is very long, I would suggest looking at TextExpander. I strted using it back when it was freeware, but it has since gone commercial, for around $30, I think. It is a keystroke monitor, and when it sees keystroke sequences which you define it automatically replaces them with (or appends to them - your choice) predefined text. I don't know how long the replacement text can be - I only use short sequences - but you can have any number of sequences. So for example I type a.k.z (dots inserted to stop it working!) and it replaces it with my initials and the html link to my elephant icon. If you go for it I would recommend giving all your sequences the same pattern - mine are all two characters followed by z, so that ordinary words don't get accidentally substituted.

Exchange Server 2010 automatic reply once per day or once per week?
Hello,
can some tell me how often the automatic reply is send in Exchange Server 2010.
Is it once per day for each sender or once per week for each sender?
In the web some tell per week, some tell per day.
Is it possible to change the time shedule, so that each day a automatic reply is send?
Thanks,
EduardHello,
after some googling and consolidating the different examples on the Internet I came up with this powershell script which is executed by the windows task scheduler once a day. The script first gathers all the mailboxes for which the out of office mechanism
is activated. Then it disables the autorepliers for these mailboxes, waits for 10 seconds (this seems to be necessary to let exchange do some housekeeping) and then reenables the autorepliers.
Warning: I have learned that this script resets the time interval of the autoreplier. Any ideas how to preserve the time settings?
Add-PSSnapin Microsoft.Exchange.Management.PowerShell.E2010
$objUsers = get-mailbox | Get-MailboxAutoReplyConfiguration | Where-Object {$_.AutoReplyState -eq "scheduled" }
$objUsers | %{ Set-MailboxAutoReplyConfiguration -Identity $_.identity -AutoReplyState disabled}
Start-Sleep -s 10
$objUsers | %{ Set-MailboxAutoReplyConfiguration -Identity $_.identity -AutoReplyState scheduled}
Remember to use -AutoReplyState scheduled instead of -AutoReplyState enabled to reenable. -AutoReplyState enable should only be used for permanent autorepliers and not for "out of office" messages.
Cheers,
Florian -
Hi All,

Any idea?

Please follow this step.
1. As you said you are in coexistence step , so for now all endpoint already point to Exchange 2010 right?
2. Check legacy owa redirect that you already configure
3. In Exchange 2010 , Make sure that you already configure "Autodiscoverinternaluri" by this command set-clientaccessserver -identity "servername" -autodiscoverinternaluri
https://autodiscover.domain.com/autodiscover/autodiscover.xml. and don't forget to create autodiscover record in DNS
4. in Exchange 2010 , Make sure that you already configure "EWS" path by this command set-webservicesvertualdirectory -identity "XXX\Default web site name" -internalurl
https://yourinternalurl/EWS/Exchange.asmx -externalurl https://yourexternalurl/EWS/Exchange.asmx
5. don't forget to replicate freebusy from Exchange 2003 to Excahnge 2010 via public folder.
You error look like client cannot get autodiscover process please check it again. -
I am trying to get the automatic reply function to work under rules. However the reply just does not seem to work. No message is sent. I have been trying to get the rules to automatically reply if it see's an email to a particular email address but this just does not happen. I have tried deleting the message rules plist and that has not helped either.
Any ideas ?Mail keeps information about outgoing servers in a separate list, independently of any specific mail account. The account settings just associate one of the available outgoing servers with each account. Orphaned or dangling outgoing server entries (i.e. not associated with any account) sometimes cause weird sending problems, so let's look at this possibility.
Go to Preferences > Accounts > Account Information > Outgoing Mail Server (SMTP), choose Edit Server List from the popup menu, and delete any servers that shouldn't be there. The Edit Server List panel shows the account each outgoing server is associated with.
BTW, have you tried manually replying to those messages? When you do that, do you observe anything that could be relevant here? -
Automatic "Reply to" address when sending emails?
Is there a way to automatically include an address in the "Reply to" field in all my outgoing emails, similar to the way Mail can automatically put your own address in the CC or BCC field?
Oh, I just found two possible ways in another thread but they have serious drawbacks:
1. Change the "send new email from" address in the prefs. Unfortunately Mail won't let me create an account with my desired email address because the address I want to use has the same host and user name as my "From" address.
2. Go into Terminal and make a permanent "Reply To" address. This method is so arcane and scary that I really don't like the idea, plus it's unchangeable.
Apple should offer an option to include an automatic "reply to" feature. If they don't, they dropped the ball on that one. -
Automatic "Reply To:" field
Can I set up Mail so that every message I send is automatically "Reply To:" a different email address?
We have used yahoo mail for years and don't want to confuse people by changing our email address. However, I would love to use some of the outgoing features in mail. like notes, to-dos, and stationary. I know that I can compose a message and type in a different "Reply To:" email address, but can I set Mail up to do that automatically?
Thanks

I'm a bit confused why you don't just setup your Yahoo account in Mail and use it directly from there instead though. -
No automatic "Reply To" option?
After upgrading to Tiger and Mail 2.0.5 I am searching to find the automatic "reply to" thing that I had with the old Mail. I send email from my .mac address, but would like the "reply to" address to be different. I see this is something I can add to each email, but I don't want to type it in every time I send an email. I could set this in preferences before and now don't see it. Any suggestions?
I don't know how you did that either since Apple doesn't allow using a different email address entered in the email address field under the Account Information tab for the account preferences for a .Mac account.
You can add the Reply To: address field for the message header and manually enter the desired reply to email address but a .Mac email address must be used as the sending email address for a .Mac account.
Although you are wanting to use this for valid reason, spammers don't provide a valid sending email address for their bulk spam mailings and this restriction is part of an overall effort to prevent spam emanating from .Mac's domain.
Some ISPs and other email account providers have the same restriction. -
How do I set up an automatic reply to the e-mails I receive when I am out of the office for a few days informing people to contact another person?
Yeah, this is stupid because when it auto-replies it puts a COPY OF THAT REPLY right in your Inbox!!! So it's filtering your mail and unless you've made an extra rule to move messages with "Re:" already in them... the infinite loop's going to happen.
How hard is it to have the reply put in the SENT folder -- much like would happen if you manually replied to the message????
So much for it being INTUITIVE!! What's the point of the auto reply feature in the first place then???
