Book of business-Look In Selector

hi
i created book of business.i set default lookin selector to one subbook for the user and its working fine. but when i select ALL+ in Lookin selector,still it shows the records while searching.my requirement is to show access denied when i make a search in ALL+.
is that possible?

    I was wondering if anyone can provide some help with book of business and custom reports. I have tried to created a custom report and changed the Book in the book selector at the top of the reports page, but it still returns results from all of the entries as opposed to just those associated with the book.   • Look in Selector Default for Record Types

    Is it possible to set a Look in Selector Default for each record type? For example, I'd like the Look in Selector default for account, contact, and opportunity to be defaulted to All but the Look in Selector default for Custom Object 1 to default to a specifc book we defined. I know that I can set the default look in selector for a given user but not sure if it can be set for a specific record type.

    At this time it is not possible to set the Look in Selector by record type.

  • Leveraging Book of Business for Mail Merge

    I'm looking for some advice from the community on how I can make use of the Book of Business for segmenting records for mail merges?
    Bascially, I want to restrict my mail merge to contain only those contacts who are linked to a specific Book of Business. Problem is I'm not quite sure how best to achieve this!

    Cameron,
    I don't believe you can get a list of records attached to a book (wish you could), you'd need to create the list based upon your rules for assigning BOB's. For example with a company i setup BOB for we assigned the books by region. So where location = north then assign to North book. Your list would then be where location= north.

  • Analytics Visibility - Books of Business and Direct Reports

    We have a manager who has looks over two key accounts and also has a few employees who deal with smaller deals.
    For the two major accounts, the opportunities are assigned Books of Business and each book rolls up to the same parent book.
    When the manager runs a report, and picks the parent book at the 'Look In', will they see other opportunities that are owned by people who report to him/her, or will they just see opportunities that have the books of business on them.
    In a perfect world, they would like to see the key account opportunities as well as the other opportunities for people who report to them.
    Can this be done?

    Hello,
    I have a user with 3 "Books of Business" (No Sub Books).
    I would like to generate a report with the data of the 3 books.
    With the "selector", it seems that I can't choose the "All" option.
    Can someone confirm the behavior ?

    I do have a similar problem.
    I have already tried to create a parent book (the checkbox "can contain data" is not activated), assign it to sub-books and add first my user as a book user (Admin role). However, when I start a simple report which should show e.g. Number of Contacts in a book an choose the parent book in the book selector I get an error message and there are no results ("The specified criteria didn't result in any data").
    Did I miss any setup steps or is not possible to see all the records at once which belong to the sub-books with a parent book?
    If I pick my user book, I see only the records I own. The problem is that our CEO needs a view there he could see records in sub-books separately but also the records in both of them at once. Unfortunately, the Manager Visibility can not be applied because we have a different hierarchy in the system as it is in real (otherwise wrong data in forecasts).

  • Query-Automatic assignment of Record type to Book of Business-Pls help me

    I have a query about Automatic assignment of record in Book of Business.
    Using 5 record types & 50 regions as a part of Book of Business. You can say 50 sub-books.
    I want to assign these 5 record type to particular Book when to create & modify.
    Eg. When I create new account it should be automatically assigned to Book 1 & later I modify this account for reassignment to new user then it should be automatically added to the new user’s book.
    I need to create workflow for this as Assign to book criteria for both when new record saved & when modified record saved.
    I have tried this & its working; however problem is with the creation of two many workflows.
    50 region (Books) x 5 record types * 2 - Create/modify flow = 500 workflows for one country!
    If I am right then I can assign 1 record type with action as create or modify in 1 book only.
    How to reduce these no. of workflows?
    Pls help me out in this regard.

    I am sorry to tell you that there is no quick answer to this but i will say that maybe you need to rethink your book structure and their requirements here.
    I have 4 types and 7 regions so you need to create books to allocate all these on create and also modify. Customers have raised concerns with this to Oracle and they are looking into it but they are along way from completing this. Sorry to spoil your day but i would strongly ask you to consider your books structure before you complete this.
    Otherwise if you are using webservices you could assisgn the book when the record is piped into the CRM and then you only need to complete the modify workflows.

    Does anyone know if we have a limitation on the max number of Book of Business? To be clear, I'm looking for the max for books not the users that it contains.

  • Book of Business - Please Help....

    Trying to get books of business finally implemented and tearing my hear out. The requirements I have are as below:
    We have certain Service Requests that need to have limited visibility due to the sensitive nature of the data and therefore the activities created to support these Service Requests will need to have limited visibility.
    Now from the front-end application (OLTP) side of things this is straight forward by creating 2 books - 1 for the Restricted Visibility SR's (and activities) and 1 for the remaining SR's (and activities) with all users being linked to the second book and only those that have access to this book.
    The problem comes in the reporting side of things - ideally I don't want the users having to select which book the look in (as I know them and i can sense lots of support calls being raised because they cannot find the data they need!!) so ideally want them to search All Service requests (which does not seem to be an option) and this only return the appropriate records they can see.
    I thought about adding a parent book above this which did not seem to work
    If anyone has any ideas as to how to resolve this please help!!!

    Untick privilege Access all data in analytics
    In user profile set
    Default Analytics Look In Setting to the book, it will be set to their user a/c so make sure you change this.
    Historical Subject Areas to Full
    Real time doesn’t matter
    In company admin set historical visibility to Full

    Top Management grants access to a custom object to the sub-ordinate by adding into custom object team, i want the associated account, associated contacts also accessible to him apart from the custom object.
    what i though i would pack account and related contact information in book of business and assign it to the sub-ordinate automatically when his name is added in custom-object team.
    can any one help me out what would be:

    Is there a pre defined rule based on which the custom object access is given?

  • Books of business - supported via web services

    Are books of business supported in R15 via web services interface? If we create a new Contact, Account or Opportunity, can we associate it to a specific book? I can't find any documentation on this subject.
    If not, what's the point of using this functionality? We have over 13,000 different zip code ranges in our territory structure in Oracle 11i CRM, and would like to be able to maintain some sort of parallel structure in OnDemand via web services integration.
    Are we stuck with creating Sales Team records for all object types? Seems very cumbersome to have to add a specific user to 100,000 different records, when we could simply assign them to a single book of business and accomplish the same thing.

    What resolution are the photos? What size are the photo frames are you placing them in? Are you getting the yellow low resolution warning triangle on them?

  • Books of Business for Country data segregation

    I am trying to determine the best way to use books of business to segregate the data in the system. There will be multiple countries using the system but the requirement is that noone from one country can see data belonging to another unles special access is granted.
    Has books of business been used in this way previously?
    As I will need to allocate all records to books are there any examples of workflow that can assign all the records owned by a user to a book?
    I need to create 2 book structures each with about 10 books, and assign the records of 150 users to these books - how long should this take me to setup?
