Bring in a shared field from a sub report

Hello All,
Let me set what I'm doing first.
I have a running total on my sub-report.
Second I have a running total on my main report.
I have to get a percentage of sub-report running total by main report running total.
I shared the sub-report running total as followed:
formula name @shared1
shared numbervar share1;
share1:= (sub-report running total)
then I created a formula called Calculation just to see what I get.
I did the following
@calculation
shared numbervar share1;
numbervar calculation;
calculation:= share1    this is where I get 0.00.
But on my sub report  running total I get a 309. (which is correct)

In the formual in the main reqport u need to set the EvaluationTime To WhilePrintingRecords  - the reason that the formula is displaying zero is becuase it is evaluated once per report, (before the sub -report is executed) . This is because there are no databases fields etc.
ie you formula should be (crsytal syntax)
WhilePrintingRecords;
shared numbervar share1;
share1;
(Basic Syntax)
WhilePrintingRecords
shared  share1 as number
formula =  share1

    I need to pass a calculated value in a shared variable from a sub-report into a croos-tab in the Group footer of the main report. When I place this variable in the group footer I can see the value, when I use this variable in the Cross-tab, it is 0.
    In the Sub Report:

    shared numberVar Total_SF;
    Total_SF:= calculation.
    In the Main report:
    whileprintingrecords;
    shared numberVar Total_SF;
    In the Cross-Tab I am using the above formula from the main report.
    Do you guys know what I need to do for this to work?

    Hey Tat,
    I have learned to avoid passing shared variable from sub reports back to main reports.  You just always seem to run into issues with execution order.
    Personally, I try to create a shell report and add sub reports, calculating the values I need in the first sub report and pass the values to subsequent sub reports using shared variables.  I'd recommend thinking about arranging your reports like this during your design time.  It has saved me some headaches.

  • Pass a value from a sub report back to a main report

    This may not be possible but i though i would see if i had any options.
    I have a main report with sales data and a sub report with budget data in the footer. Neither are linked to each other as i do not have a common field.
    I was hoping to bring a value through from the sub report to the main report or vice versa for a calculation. Its just one calc to work out the percent of sales against budget. sales/budget total.

    Any help would be appreciated.

    I created a formula field on the main report HEADER @myValue with:

    Shared numbervar myValue:=0;
    Then I created a formula field in the sub report @myValue with:

    myValue:= {@Budget-Month};
    @budget-month being the field i want to pass through to the main report.
    I placed this formula in the same section as the @budget-month formula field which is in the report footer
    Then i created a formula field @AVG, added it to a new section below the current fields and used the below
    Whileprintingrecords;
    Shared numbervar myValue;
    //calculation using MyValue
    {@myValue}/{@Sales Total}
    I get an error with the @myValue part in this formula "a number or currency amount is required here"
    I did have to change the Shared number from your formula to shared numbervar as number was not accepted. Does that matter?

  • Is it possible to pass a formula value from a sub-report to a main report

    Hi there,
    Im trying to pass a formula value from a Sub-report back upto into my Main report but the value doesnt seem to be getting passed up. Ive tried it the other way around, that is, passing a value from the main report to the sub-report and that works fine.
    Below is an example of what I am trying to do but it is not working. In my sub-report Ive declared a formula variable as,
    formula name=main_subIntRatePageCount
    Shared NumberVar subIntRatePageCount := TotalPageCount;
    and in the Main report Ive declared the formula variable as,
    formula name=subIntRatePageCount
    Shared NumberVar subIntRatePageCount;
    subIntRatePageCount;
    I want the value assigned to "subIntRatePageCount" in my Sub-Report to be available to my Main report.
    The problem I am trying to solve is that the sub-report is spilling over onto two pages, and I need a way of updating the page display on the main report to reflect this. The page display is of format, "displaying page 1 of  3", but its not taking into account the extra page produced by the sub-report, so it should say "displaying page 1 of 4".

    I've tried adding the "whileprintingrecords" statement but that doesnt seem to make any difference.
    I notice that the subReport is being called from my the GroupFooter section of the main report, and I am trying to reference the variable in the main repot in the Page Footer section. Could it be that the variable hasnt been calculated in the Page Footer by the time I calculate it in sub-Report? I thought Crystal Reports does at least 5 passes over the report evaluating all the formulas before it prints the report?
    The problem Im trying to solve is I need to know how many pages my report will have before its completed, so that i can print the statement "displaying page 1 of X", and X is currently not being calculated correctly because the sub-report is printing onto 2 pages and not 1 so the report thinks I have 1 of X pages and not X+1.

  • Back arrow does not work with SQL Server Reporting Services Reports. When one pages back from a sub report the back action appears to skip moving to the previous step. IE 8 works fine?

    I have a SSRS report that has a parameter driven drop down list to select a catagory for a report to run a summary for the category in Report Manager. When the report runs there are links to a sub report with more detailed information about the category summary. Firefox runs everything correctly up to this point.
    When I try to back arrow from the sub report Firefox skips the summary report page and reverts to the initial page where the sub category can be selected to run the summary report.
    Can you help? IE8 works well with this but has severe spped issues with reports that contain multiple selection parameters. Firefox handles the multiple parameters very fast but has the page back issue.

  • Get data in a subreport based on a shared variable from the main report.

    Goodd morning,
    My question/problem is how to manage this scenario.
    I am transfering 2 shared variables (pereiod from /period To, ) from the main report to a subreport and now  i would like to get data in this subreport based on these 2 variables...
    The problem is that i can not find the shared one in select expert icon...
    Could anyone point me to solve this issue?

  • How to add a new field from SQL to report

    This is what SQL Expressions are for.  I suggest you try using those (visible in the Field Explorer) to capture custom SQL field logic.
    Alterantively you could use a SQL command with your hand-written SQL.

  • Main/Sub Report Passing Parameter

    This is a twist on the general passing parameter question:
    1. The main report is a detail report based on a stored procedure.
    2. The sub report is also based on a stored procedure. This SP calculates the values that will be introduced into a 'table' drawn on the report canvas. The SP consists of a CTE which is a 'reduced' version of the Detail SP used in the main report - to ensure that all the same records are being retrieved between the main and sub reports. Another select, following the CTE, sums the values and makes them available to the Sub Report.
    The client has requested the availability to view records where an Activity Date falls within the last full week, the last month, this month, and YTD. The report is available both through Infoview as well as a scheduled version. The client wants to make a selection as to time period through Infoview.
    Most other users will be using a printed copy of the 'general' report.
    I thought to use the SAVED DATA in SELECTION REPORTS and use Crystal functions to handle this. The SAVED DATA and an optional parameter allowed the user (in Infoview) to change the parameters. This works fine in the main report.
    HOWEVER, the sub report needs to update the totals for the groups of properties that are aggregated in the sub report's summary Stored Procedure. Since the time range will, on changing in the Main Report, reflect different counts,  I need to be able to tell the sub report what the main report is doing.
    The Main report has an Optional Parm ({?Account Open}) which allows the selection of a data range
    The SAVED DATA selection uses the values from the parm:

    My problem in passing the optional param selection made by the user down to the sub report in order to update the counts.

    Thank you for your reply. I've spent the morning working on the two directions you had provided me with.
    Cross tabs: I took one report, created a cross tab for it, and, as expected, it worked as desired. The issue I'm having is where to place it on the report canvas. If I'm correct, the only place where it can be placed is in a header or footer - the sub report is currently residing in Page Header D (there's a lot of suppression and reveals in these reports). The cross tab does not want to be placed there. It's currently living in the Report Header... further, the cross tab occupies page 1; the remainder of the report starts on page two. Not what needs to happen. The current business specification for the report is: Page 1 includes a page header which includes (through iterations a-e) logo, print date info, the sub report showing the summary a series of group headers which in effect creates an index into the various business units. By clicking on a business unit, any groups under it are exposed. By clicking on the sub group, customer data is exposed. As you go to the 'next page', the Summary sub-report is eliminated and the groups under the Business Unit are shown. All of these dynamics are based on section suppression and unhiding based on the user's interaction, which why the placement of the Summary data is important. If you have any hints on managing the cross tab and its placement, I would be eager to hear them.... (btw - the number of rows in the cross-tab can range from 0 to 12. That dynamism is not a problem with the sub report - would it be for the cross tab?)
    Parameter Passing: I took one of the reports and (1) ensured that the sub report had the exact  same parameter (called Account Open) as the Main Report. (2) ensured that the Saved Data filters in both reports were the same. (In order to do that I had to update the stored proc for the sub report to include an account date field). (3) I then went to link the two reports selecting the Account Open parameter in both the containing and the Fields to Link To list boxes (see the graphic LINK.JOG. This produced no useful result - the Summary showed ALL records- the container report properly showed the count for last full month (see SUMMARY.JPG) (4) I then tried to link a field from the sub report to the Parameter, but only 4 of the six fields from the stored proc's select were displayed. (Prior to this Select there is a CTE which collects the data with a ROW OVER.. PARTITION function):

    Only the COUNT fields show up in the Fields box (see the graphic LINKS CHECKED.JPG).

  • Sub-report summary fields

    I have two sub-reports on a report. Each of these sub-reports have a quantity summary on them. I want to find the difference between these two summary totals.
    So let's say Sub(A) total is 200 and Sub(B) total is 25, is there a way to subtract the 25 from the 200 and bring that total to the main report?

    4.you can create final formula for different Aqty-Bqty

    I have a report with two subreports in it, and I want to be able to tell the main report about the data in the sub-report so I can supress a detail section if the sub-report contains certain data.  How do I pass a parameter from the sub-report to the main report?

    Passing a variable from subreport to main report and vice versa
    Declare a variable as shared in the subreport.
    Shared numberVar NoOfrecords;
    Assign some value to this variable,
    Shared numberVar NoOfrecords :=Count()
    Then in the main report, create a formula and in that formula again declare the vairable and use it as u like
    //Declaration
    Shared numberVar NoOfrecords;
    //If you want to supress a section based on this count,then
    if NoOfrecords = 0 then TRUE
    click ok..
    NOTE:
    For the shared variable to return the correct value in the main report, you must place @MainFormula in a main report section that is beneath the section containing the subreport. This ensures Crystal Reports evaluates the @SubFormula before @MainFormula.
    Very Important : Dont just create the formula, u have to place this forula somewhere as mentioned above. If u dont want to show this formula value,then hide it by changing its colour to white or by some other way. If u dont place the formula in the report,it wont work.
    and same thing applies when passing values from main report to subreport.
    In this case define the @MainFormula first and then @SubFormula.
    I have used this successfully in my report.

    Hello All,
    Let me set up my problem first.
    I have a running total from a subreport and a running total from my main report.
    I shared my running total from both reports ( it didn't work when I did or didn't).
    when I do my calculation I get a boolean true as my answer.
    By the way my running total from my main report is controled by a formula.
    In subreport I did the following;
    Called the formula share1
    shared numbervar Cong1;
    cong1 = sub-report-running total
    in main report i did the follwing
    called the formula share2
    shared numbervar Cong2;
    Cong2 = main-report-running total
    Still in main report
    I create a a field called Calcuation
    shared numbervar Cong1
    shared numbervar Cong2
    numbervar calculation
    calculation = Cong1 / Cong2
    I get a boolean True

  • Printing Page Numbers With A Sub Report

    Hi, I have a Crystal Report (XI) that includes a subreport which is identical to the main report because I am actually making the report print 2 copies of the same report with different critera in the detail section only. On the main report I have a Page Header section which I am using the special field "PAGE N of M", so on all pages of the report it is printing this page number. I  My issue is listed below:
    First page of report                    "Fred's Place"                 Page 1 of  2 (Correct)
    Second page of report              "Fred's Place"                 Page 2 of  2 (Correct)
    Third page of report                   "Fred's Place"                 Page 3 of  2 (Not Correct)
    Fourth  page of report                "Fred's Place"                 Page 4 of  2 (Not Correct)
    The first/second page are printing correctly with data being pulled from the main report, but the third/fourth pages are not printing correctly with data pulled from the sub report. My question is how to get the third/fourth pages to print as follows:
    Third page of report                   "Fred's Place"                 Page 1 of  2 (Correct)
    Fourth  page of report                "Fred's Place"                 Page 2 of  2 (Correct)

    Jim,
    Try passing the total page count from the main report to the subreport via a shared variable. Then set up a counter formula in the fake PH of the subreport and convert the counter and the shared variable so that it reads page 1(counter) of 2(shared variable)
    You should also be able to suppress the extra pagenofms in the main report when pagenumber > totalpagecount

  • Extract Data in sub report to main report

    Hi I have written both a main and sub report in V10 that shows grouped data by Name with a total count on each Name:-
    EG:-
    Name                               Numbers
    Tim Smith                         10
    John Smith                        15
    I need to extract the data from the sub report that matches each of the Name into the Main report.  So I can calculate a ratio.
    EG
    Name                               Numbers              (Numbers from Sub Report)
    Tim Smith                         10                       10
    John Smith                        15                       12
    Is this possible?

    you can use shared variables to pass the data from the sub to the main. in the knowledge base you can find instructions on creating these.
    make sure you do not surpress the value in the sub or it wont pass through. place the variable in the main below the sub report.

  • AR Invoice Crystal Sub-report Editing

    Hi experts,
    please i need a help on editing AR invoice crystal report  version in SAP business one .
    i want to add some fields to the sub report named summary section.
    For this particular customer he or she wants to see the sum of the individual row VAT and the individual row Freight.
    From the summary section all i see is parameters set but no tables added and parameters set can not be edited.
    Individual Vatsum and freights total (TotalExpns) can be found under table INV6. I added that table but nothing worked.
    attached is the crystal report for customer and i want the table OINV AND INV6 to be added to the summary section. The VatSum and TotalExpns from INV6 to be made in a formula. ADD Vatsum and Totalexpns form INV6. And the value should be based on docentry from the main report.
    we dont want duplicated Total Expns. It should be just one and added to the Sum of Vat.
    Urgent Help will be much appreciated.

    i want ti create a parameter on the subreport that links with the parameter on the main report.
    that is the dockey@ and objectid@.
    so that the values i will pick from the added tables in the subreport will come out based on the main reports  parameters.
    Please experts i need urgent help with my question.

  • Hyperlink (Drill-Down) in a Sub-Report

    I have a report in which I am using on-demand sub-report.
    In the Sub-report I added a working Hyperlink to one of the columns to drill-down to transaction details.
    However when I run the report I can't drill from the Sub-report. The hyperlink inside of the Sub-report is not working.
    Is there any work around to make this to work?

    Hi Tanya, 
    Let's try breaking this down a little bit more granularly.  I'd like to know what the formulas in the subreport shows and what the main report shows.  It's always a possibility the subreport's formula is returning 0 and passing it properly to the main.  So this will show that. 
    1)  The formula in your subreport, just have it do: 
    WhilePrintingRecords;
    shared numberVar Nar_Count;
    Nar_Count:=Count ({Command.YTD_NARRATIVE});
    Show/Unsuppress the subreport's Report Footer so we can see the formula. 
    2)  Leave the formula in the main reports GF1 as: 
    WhilePrintingRecords;
    shared numberVar Nar_Count;
    Do you see a number in both formulas or do you see the number in the subreport but not the main report? 
    I want to see if the formula in the subreport is working and not just returning 0. 
    If the formula in the subreport works then I want to know what the formula in the main report is showing. 
    If this does work:
    1)  Change the formula in the subreport back to: 
    WhilePrintingRecords;
    shared numberVar Nar_Count;
    Nar_Count:=Count ({Command.YTD_NARRATIVE})+Count ({Command.PTD_NARRATIVE})
    2)  Leave the formula in the main report's GF1 as: 
    WhilePrintingRecords;
    shared numberVar Nar_Count;
    Again, what do you see in the subreport and the main report?

    hi id like to know if its possible to merge my iPhoto library from my ibook (tiger) to my iPhoto library in my MacMini (panther). whats the best way i can have all my pics transferred from ibook to macmini (preferably by album). thanks for any info.
