Custom document management system

Hello.
Our sharepoint content database grew to 600GB (mainly documents and infopath forms... more than 500K of them), and the document system works more slowly evry day. My question is, is it a viable solution to remove all the documents and forms from the content
database to a custom database, and create a custom DMS app to use in conjuction with SP. We dont use any sharepoint features for documents except versioning wich is not a big problem if its not there. In my opinion this will be more scalable then sharepoint
DMS (we anticipate that the database wil grow over 1TB in the comming months), and we can easly transfer this system to another "intranet" platform if we choose to..
Does anyone have any expirience with this?

Yes we allready considerd all that you have pointed out, but deviding this content among different web apps is nearly impossible, becouse of the way this applicatin works. It would take alot more time to rewrite evrything to work with different web apps,
then a custom DMS (in my opinion). We only have 1 web app, that contains all the documents. Why is it like this I dot know, becouse this was done long before I joined.
We would only need a good search wich I think can be done beter using custom sql database than sharepoint lists (the app uses a sharepoint list with 900k items for searching becouse we need a lot of different data to search documents by, that has nothing
to do with document content). And a few other list with 100-200k items for support. The only other thing is concurrency on infopaht forms, wich can be again easily done with a web form.
My other concern is can this be deployed as a sharpeoint site/app (this is sharepoint 2007). I think that conecting to a database via BCS will not be a problem. So what we want to do is create a replica of our infopath form with web forms (or mvc), and display
some data and documents in a sharpoint site...

    I thought of creating a seperate site collection for this purpose & document libraries of each department, setting up the permission on document library level. Is this a correct approach?

    Creating separate site collection for each department will help you scale and grow better and easier to group SharePoint sites together.

  • OLE2_OBJECT AND DOCUMENT MANAGEMENT SYSTEM (DMS)

    Hi Experts.
    I'm trying to make a excel inform like a catalog with materials and images which are in a Document Management System.
    I'm using OLE2_OBJECT to make the inform in EXCEL, because I'm trying to do it with SMARTFORMS, and I cannot because I need to resize and put ok the images and with SMARTFORMS I cannot.
    To see the information I have a ALV Objects with a custom container with the information to the database..., material, price, etc..., and in other container when you click in a row I show the picture which is in the DMS.
    To do it, I use this method to get the URL to the image.
    CALL METHOD cl_dms_thumbnail_display=>get_url
    EXPORTING
    i_doc = ls_doc "IMPORTING
    e_url = g_graphic_url.
    And after I call the method of instance of class cl_gui_picture to show the picture in the cl_gui_alv_container
    CALL METHOD g_picture1->load_picture_from_url

    In the code to excel print to insert the picture if I put this URL to my local pc, it's ok,

    but the URL of the g_graphics_url it's

    Customizing settings can be collected by processes into Business Configuration Sets (BC Sets). BC Sets make Customizing more transparent by documenting and analyzing the Customizing settings. They can also be used for a group rollout, where the customizing settings are bundled by the group headquarters and passed on in a structured way to its subsidiaries.
    BC Sets are provided by SAP for selected industry sectors, and customers can also create their own.
    When a BC Set is created, values and combinations of values are copied from the original Customizing tables into the BC Set and can be copied into in the tables, views and view clusters in the customer system. The BC Sets are always transported into the customer system in which Customizing is performed.
    Advantages of using BC Sets:
    1.     Efficient group rollout.
    2.     Industry sector systems are easier to create and maintain.
    3.     Customizing can be performed at a business level.

    To create BC sets follow the below step:

    Looking for Document Management system to replace GW
    Is this a Fair analysis...
    No improvements in GW8... (Sadly GroupWise is going nowhere fast specially
    when it comes to DM).
    Users want more functionality - access the email archiving (not the joke
    archives), PDF support, Library from the Web etc.
    Since we are going to have to move from Netware soon - I guess Windows is
    the way to go (looking at the dead SmallBusiness Nows-SBE2 forum - Novel
    doen't have a credible Small Business solution or the will power)
    What other Document Management systems exist?
    I've come across things like KnowledgeTree but don't have any experience of
    it.
    I guess others who have moved from GW DM have already left the Novell forums
    but I'm looking for someone who has had to move to a better (or another)

  • Integration with  with 3rd Party Document management System

    Hi
    We are implementing Invoice Management in SAP, using the Opentext VIM ECC Addon.
    The Customer has a 3rd Party Document Management System called DocHarbour which is NOT Archivelink enabled.
    The process flow is that Invoices will be scanned and available in a share drive somewhere.
    Using SAP and Invoice Management Work, we would like to attached these documents to the relevant SAP Documents, and then post them to the 3rd Party Doc Management System , but the Images must be retreival in SAP at any time .
    Everything tells me the 3rd party Doc Management System needs to be ArchiveLink enabled for this work.
    Is anyone able to shed any light on this issue , provide possible solutions , workarounds or infor ?
    Any help or information appreciated.

    My suggestion would be use SAP Content server provided by SAP as is easily available and easy to setup.
    Doing Integration with third party involves much time and efforts.
    Client always thinks of Moon. Always show him his city.

  • I can no longer edit my custom content management system using Firefox

    Hello,
    I work for the University of North Carolina. We have a very old custom content management system that is built in Oracle (UCM). When logged in, it has little edit buttons that allow you to click on items and launch edit windows. I don't know what's behind that -- it's not Java. I'm thinking javascript? All I know is that since the Firefox upgrade to 13.0.1, the edit buttons no longer display, and the sites are not editable.
    So far, the only way we've been able to allow people to edit their sites is by forcing them to use IE9 in compatibility mode. All other browsers fail for various reasons. Firefox is our workhorse browser, but we're desperate to have Firefox back.
    I understand we also have some problems with our Remedy application -- not sure what's happening, but it's also no longer functional in Firefox. I'm wondering if there is a patch in the works that will address these issues?

    Drat... So, we tried taking out the javascript entirely. No real change, except lightbox actions would not function. Then, we tried referencing a different javascript version. No difference, except that lightboxes and Carousels still would not function.
    To see if the $ error was universal across all of our sites, I logged into four or five other UCM sites. None of them threw the $ error, only the Art site. What's interesting is that for all sites, you can see editable areas if you look for them (e.g. mouse randomly around the areas where there used to be buttons to click on), but the icons continue to not show up.
    The warnings coming from the console seem fairly benign, and it's only the Art site that throws a definite error. The only thing that seems consistent across all sites is the warning: "server does not support RFC 5746, see CVE-2009-3555".
    Any other thoughts? I'm not sure a guest logon would help, but I can certainly pursue that line of action if you'd like to dig a little deeper.

  • How to install EASY DMS (Document Management System) setup in windows 7

    Dear Experts,
    Recently we have started a project to establish document management system in SAP. So, i have downloaded easydms7.1sp04 from the servicemarketplace service.sap.com/swdc and setup is successfully installed in windows Xp and unable to install successfully in windows 7.
    The SAP is upgraded in our company to release ERP6 EHP6.
    In windows Xp the DMS is accessing to all the systems in the landscape( DEV, QAS, PRD).
    But, In windows 7 it is only accessing the production system and if creating manually the systems prompting the error about RFC and hosts in windows 7.

    Logon Failed (RFC_ERROR_LOGON_FAILURE)
    Name or Password is incorrect (repeat logon)
    But it is accessing only the production system in windows 7 but not all the 3 systems which are in landscape. I dont know how can it proceed to logon to the production system only with out other systems .

    It is possible to store documents/attachments in Oracle EBS database.

    This does not look a real "Document Management System" with meta data, version control, status handling and all that stuff, right?

    There are a number of solutions, none of which, unfortunately, are trivial:
    In decreasing scale of difficulty:
    a) Hand-code the entire solution. PDF and MS DOC are both well documented formats.
    I wouldnt recommend you try this.
    b) Use ready-made open source libraries:
    Other than the ones mentioned earlier, there is an Apache Libraray (POI ?) which can be used for reading and writing streamed OLE objects (which is what a word doc is)
    c) Use the Java-Activex bridge and use mature COM/Activex components
    WinWord itself is an Activex component. There are loads of mature Activex components that can spew out PDF.
    d) If platform is not an issue, use C# or VB.NET
    I'll probably get flamed for this.
    I am not a .NET advocate usually, but in this particular case you should be able to complete your task with least effort by using mature Activex libraries and one of the .NET languages.

    SAP DMS - Document Management System
    SAP DMS are for storing documents such as CAD drawings, Materials pictures etc.
    With the document management system, users will be able to view the documents with ease within their SAP systems.
    Installing the SAP DMS requires a little bit of planning on how you want to do it.
    You have to give a little thoughts to stuff such as :-
    1.  The total numbers of documents that will be store monthly.
    2.  The average file size of each documents.
    3.  The capacity of your present R/3 system.
    4.  Your present network bandwidth.
    5.   Document Archiving Strategy.
    6.   Backup and Recovery Plan.
    Additional purchasing of hardware are required, especially if you have large amount of documents to stored.
    With this in mind, you can then decide on how you want to do it.
    You can do this in a few ways :-
    1.  Import the documents into the R/3 system.
    2.  Use an external document server.
    3.  Have a dedicated PCs where all the documents are stored.
    Most companies that intend to used DMS will opt for Option 2 as they does not want to overstretch the R/3 database.
    Options 1 requires you to setup the conversion interface. 
    The conversion interface allows R/3 to automatically covert your files and import it into the R/3 database.
    Here is a simple example of storing documents into your PCs, just to have a feel how the SAP DMS works:-
    For those using Citrix, you have to set this at the Citrix Server where the SAPGUI is located.
    Configure SM30 - V_TDWE_C1
    Put this command in your autoexec.bat
    SET HOSTNAME=PC1234
    Restart your pc.
    You can create/manage your documents in transaction code CV01N / CV02N
    Assigning Documents to a Material Master Record
    Access a material master record in Create or Change mode, and select Basic Data. 
    To create links to documents, choose Additional data -> Document data.
    The Link to Documents dialog box appears.
    Assign one or more documents to the material. 
    If you do not know what the document number is, you can search for it using the search help or by choosing Find document.
    When assigning a document to a material, you have the following options:
    1. Viewing the document by choosing it in the Link to Documents dialog box.
    2. Viewing any originals of the document by positioning the cursor on the document and 
       choosing Display originals in the Link to Documents dialog box.
    To return to the Basic Data screen, choose Continue.
    Save your data.

    If user reqest to open a original in SAP then it should connect to PDM WEB client and it should fetch the original from PDM server for viewing and editing the original.
    How can I implemet this scenario...Should i wrire code in ABAP or Any advaced technology(BSP or PORTAL) should i sue....
    Please let me know??
