Customizing Email Notifications

How can you customize the email notification received when a user completes and submits a form. At the moment I see a few things that could be improved and so these are more feature requests and suggestions based on the many common things I have seen posted as well as items that I feel would improve the current product to be really outstanding in the marketplace.
Adobe branding in headers and footers should be removable on paid subscription accounts.
Responses should also include section headings as laid out in the actual form.
Have the option to include a PDF version of the completed form included in the email notification.
Have the option for part of the subject line to be based on a form response field selected.
Have the option to embed the completed form as designed in the email notification.
There should be an option to allow you to create a custom layout for the email notification rather then just a table list.
I would be curious to hear what other users would want to see as well.

7. Make it possible to enter an E-Mail Adress as CC. (So that the person who fills the form can optionally get a copy of the entered formular.)
Most important for me is 3.)

you can use JavaMail natively or use some of the mail services implemented within KM (using for example configured mail servers and so on).

As we want to make the new UI also available from the internet (e.g. mobile phones), we want to use a reverse proxy for that.
So in fact the address will no more be http://sap.example.com:50000, but http://approval.example.com.

Hi Thorsten,
I'm not 100% sure if this will work for you or not, but you can change the URL's via Java system properties, see the below screenshot. If you set custom calculated values here they will appear in the default messages that are sent out.
Being Java system properties these apply across the entire system though so if you only want a subset of tasks to have the external facing URL this wont work, this also assumes the external facing url will work internally too.

Anyone having issue with email notification delay in ES4?

After upgrade from ES2 to ES4, we're experiencing an email notification delay when a task is assigned to an individual or group queue. It's not consistent, but happen enough that we can some what replicate it. It's almost like an email notification from task assignment wouldn't send through until we kick off another process or claim another task. This happens with server default email notification as well as custom email notification. Please advise how I can go about trouble shooting this.

This is what in the log at the time I ran the test process & email notification delay occured. Again, the email notification delay wasn't the issue when we were in ES2, until we upgraded to ES4 recently. The delay happens spontaneously, no specific pattern. Sometimes it'll arrive instantly and sometimes it will delay. However, when the notification delay occur, if I kick off another new process, the notification will come through.

Email notification mail not working in case of customer repository

Hi Experts,
We have the system MDM 7.1 SP06, we are not able to get the email notification for customer repository. For other repositories like material & vendor mails are working fine. I Have checked the following steps.
1) Added notification step to the workflow between processes.
2) Verified the email addresses of the workflow owner and the receiver of the notification.
3) Verified that the mds.ini has the "MailServer=" setup to the right smtp.
I have check in workflow history, it is showing notify step but not showing details of mail like send to, mail body. While in case of material repository, it was showing complete details like send to, mail body & all.
Previously mails for customers were working fine. Kindly suggest the solution.

Hi Gaurang,
Are the time parameter same for all the repositories?
Create a dummy user and dummy workflow,and try to send mail from that workflow.
If this works with some id then check with the Admin id which you are using.
This way you can eliminate the possibility of id not working.Also it will tell you that user is corrupt or not.
Check for log and traces,kindly provide with the post here.

Customizing / Creating Email Notifications

Ok, so I have asked this question already in an earlier post. About creating/formulating E-mail Notifications, based on Information gathered/input in a Customized User Form.
Here is a copy of my previous posting

I am in the process of customizing User Forms, and I would like to implement a trigger (if that's the right name for it) in the XML script, which will execute a Rule (or some code) that will result in an email being sent.
For example, the following simple script (selection from a dropdown menu) :

Does anyone know how this can be done?

Defining a rule is relatively simple and is pretty well documented and there are existing examples in a default install of IDM that you can check-out and use as reference templates.

There's a lot there. You need to take some of what has been told to you in the forum and use that to guide your search in the existing documentation.

The answer is yes, but you're on your own in determining how to do that. You've become quite the jerk in this forum. Read the docs, go on some training if you can afford it. What you need to know about how to implement rules, email templates and custom notifications is all there.

Workflow-Attaching pdf from Custom Concurrent Request to email notification

Hi,
I was wondering if anyone has done something similar before and maybe have any suggestions?
I am trying to attach a .pdf file that is generated by a custom concurrent request report to an email notification.
The .pdf is generated correctly and I can access the file but I’m having problems trying to attach it to the email notification
I have tried to use Wf_Engine.SetItemAttrText and Wf_Engine.SetItemAttrDocument but are unable to get it to attach the file.
Does anyone know where I can find an example how to use either of the above API's? and a detailed explanation of them?
Should the attachment always be in FND_LOBS to be picked up or can it be picked up from the file system?
What should the Workflow - Notification - Performer Value be set to, that is referencing the message with the Document Attribute?
I'm unable to find a detailed explanation of how this can be done in the Oracle Workflow Developers Guide Release 2.6.4.
Any reference material or guidance as to where an example can be found will be greatly appreciated

You can use FND_LOBS or any other table to get the content. The content must be stored into the corresponding table before using it.

Using Alert Framework to send email notifications when Process Chain fails

Hi Everyone,
I've configured ALRTCATDEF in Solution Manager, selected the alerting option for Process Chains in - RSPC > Attributes > Alerting, but it looks like whenever any process chain fails, an email notification will be sent to the same recipients.
Is there anyway to have an ALRCATDEF - alert category for different process chains, so that different recipients receive notifications for different Process Chains.

Interesting....I was actually hoping for different recipients for different process chains.
E.g. for our
CRM process chain - Support Team 1
FI process chain - Support Team 2
and so on and so on.
I think the only way may be creating a custom process type and implementing a class for this process type that calls function SALRT_CREATE_API. Then adding this process type to the process chain, with a different variant for each.
However if anyone knows a way to do this in a SAP standard way using the Alert Framework, that would be great.

Email notifications from Verification and Validation routines

I am trying to generate an email notification after we run a Verification or Validation routine once we make some changes in the DRM? Is it possibe? If so how can it be implemented and what versions of DRM supports the same?

DRM does not suppor this feature. Nowhere in the documentation does this exist. If you want to do it on demand you have 2 options:
1) use mdm-connect to run the verification/validation process saving the output to a file and write a script to take the file and mail it
or
2) create a custom API workflow process
Those are your options.

Oracle iLearning 5.0 on Windows and email notifications issue

We are upgrading from iLearning 4.3 to iLearning 5.0 on Windows 2000 server and I have a question related to that.
iLearning 5.0 is certified for Windows.
The accompanying release.txt states that:
--'Email', 'Email and Web' notifications options for Learner Rating and Authorized Enrollment/Unenrollment are not available on Windows platforms. Only web-based notifications should be used.
Through a Technical Assistance request (TAR Number 4439000.992 ) I've found that this problem is due to the use of Workflow 2.6.2 stand-alone which requires sendmail, which is not available on Windows.
This worries me because I want the system to be able to:
* notify admin when authorization is needed for enrollment
* notify course participants about changes or a cancelled course.
* Certification reminder and expiration
* Assessment submission
* Notification to all learners currently enrolled in an offering
The suggested workaround from Metalink is to use a Unix/linux server.
Metalink suggestion:

I have some questions:
1)Can I use WorkFlow 2.6.3.5 on windows with iLearning 5.0?
I know Workflow 2.6.3.5 is working with MS Exchange.
2)Can I use sendmail in some form or shape?
IIS 5.0 (or 4.0) has a mail gateway that can be utilized by a sendmail program.

There are a couple of patches available that allow a customer to upgrade their Oracle iLearning database to 10g and with that, upgrade Oracle Workflow to version 2.6.3 which supports email notifications through workflow on windows.

I am new to this technology. I need to send email notification to the user's, whenever file is checked-in. What is the procedure to send an email notification let us take GMAIL from UCM.
1) Now I have installed UCM in my machine. Do I need to install any other software to implement this feature(sending email)?

You will need to have an SMTP server of some sort that you can use. I think out of the box, you may only be able to use an SMTP server that allows anonymous sending or sending unauthenticated (e.g. an internal server). Any good SMTP server (that is not an internal server) would not allow this for security reasons.
Thus, I think if you want to use an external SMTP server such as Gmail, you will need to write custom Java code. See this thread for more information: UCM SMTP server Configuration
