Data Merge for addresses, wont remove blank fields

Sometimes it works, sometimes it doesnt.  Today it worked for a file, came back to it late with nothing unchanged and it wasnt working...
Im working with addresses for data merge and everyhting works fine but with the fields (like Address 2, Address 3, etc...) that are unused, I have it set to "Remove blank lines for empty fields" in the options but it will not work.  Why doesnt this seem to work?

It didn't work in CS2.
I was told that it was initially broken in CS3, but later fixed (I cannot confirm as I skipped that version).
It doesn't work in CS4.
So, apparently Adobe managed to break a feature that did work, but haven't fixed it again.

  • Can I use InDesign's Data Merge for more than just address labels?

    I am a Graphic Designing working on a new science exhibition in Melbourne, Australia.
    I'm trying to streamline the way we import our label content into InDesign (currently cut and paste from Word which is slow and leaves room for error). I've been going down the path of having a macro developed which converts the Word content into a csv file so I can then import this into InDesign through data merge, however the import is falling over.
    Through testing we can conclude that data merge doesn't like paragraph breaks, en-dashes and apostrophies (and possibly more we haven't come across) and will only import data up until one of these items occurs in the data. We've tested a number csv file formats however we can't find a solution.
    Has anyone come up with a solution for this? My macro developer would be keen to get a hold of a working csv file that deals with these issues...

    I have done what you are describing, with Word & InDesign, on a daily basis, for years. Word is not the best choice for this kind of workflow, of course, but if I had to choose between placing Word & doing a data merge with CSV, I'd be torn. Neither one is really the tool for the job. XML import would suit you better, but if you're already midstream in VBA development, there's no point in trying to describe why placing carefully styled RTFs and clearing overrides is better than writing VBA to clean up Word files and turn them into CSV.
    (Look at style mapping in Import Options when placing a Word file for future projects.)
    (Also: it's not extra codings that you want to apply in VBA, it's purging Word-specific "Symbols" and just using true Unicode values for em dashes and other typographical symbols.)

  • InDesign data merge isn't pulling in all fields, seems to be confusing some fields

    Hi there - I'm trying to do a data merge in CS6 for about 450 address labels. The labels are 10-up so I made a .csv file with 10 equal sets of colums (named Firstname1, Firstname2, Firstname3, etc.) and merged those into my label document. I've done this before plenty of times with no problem, but for some reason this time the merge seems to be getting thrown off by something. I can see multiple places in which the merge will stop after a certain field - usually the address - then there will be a bunch of blank labels, then on the next page the address from the last label will start up again. I've attached a screen shot of what it looks like when the address breaks like this. In the top image, Troy Christian's merge breaks after the street again. Then a few blank labels follow, then Troy's city, state, and zip appear at the beginning of the next page. Then it continues on with the next address block (inserting commas along the way for some reason), then it breaks again.
    I've scoured both the merge fields and the Excel file - nothing seems out of the ordinary - resaved the Excel over and over as both .csv's and .txt's, and can't get it to fix. Any ideas here?? Please let me know if there's any further info I can provide.

    We didn't end up even looking at it in a text editor, although that probably would have been easier - we just saw where the errors were occurring in the merge and looked carefully at those cells in the .csv file, and then deleted line breaks, commas, and weird characters. Worked like a dream.

    Data merge is strictly a simple tool. It cannot handle variable numbers of fields other than to delete blank lines.
    It's great for things like address labels and directories.

  • Data Merge: Layout Adjusting to Varying # of Fields?

    Greetings all,
    A friend is producing a PDF report for different countries to show what diseases exist in each country. I think a data merge might work, but she will want to list information only about diseases that are present in a given country. Right now, there are blank / null cells in the spreadsheet for non-applicable diseases. Essentially, we’d like to collapse the display of any missing data fields (and its accompanying table) so that only relevant data is shown. So if we had three diseases total (A, B, C) and only two were present in a country (A & C), we’d like to produce:
    Table. Disease A
    Info, data in table
    Table. Disease C
    Info, data in table
    Is this possible using InDesign’s data merge (or another feature)? Perhaps using content placement options? Any other ideas? I think the goal is to have different tables for each disease, though I’m not sure if that will affect the process. Many thanks in advance for the help; my InDesign experience is very limited!

    Awesome, thanks Eugene! I'll do some reading on table looks and styles. It sounds like we may be able to suppress tables if all their fields are left blank (or something similar)? If another question comes up, I'll post a mock-up of the final product.

  • Mail Merge script to replace any blank fields with specific text

    In InDesign Mail Merge I would like to replace any blank fields with specific text. For example if we have four fields (A, B, C & D) to merge, and field A is blank, it would insert field C.
    In essence leaving no blank fields but replacing a blank field with another specific field.
    I have read that inDesign does have Mail Merge limitations but if there is a script that we could run that would solve our problem.
    Please let me know if you can help?

    I take from the lack of response it is not possible to do this in InDesign.

  • Using Data Merge for filenames?

    First off, I'm running Indesign CS5 on Snowleapord.
    I've used Data Merge to create one file with 45 pages. Each page is a form letter, with the first line being the persons name.
    What I need to do is save each of those pages as its own Jpg file, (Easy to do, just export>Jpg)
    Where  I'm having trouble is in the filename scheme. If it saves each page as  "formletter-1" "formletter-2" I end up not knowing who's letter it is.
    I'd  like to name the files for the name of the person in the letter, the  <<Name>> field from data merge. There are FAR to many to do  this by hand.
    Any suggestions?

    I have an Indesign document with data merge information on it. I can successfully get it to create either a multipage indesign document or PDF.
    I now want to name PDF with one of my field names and create single named PDF files.
    I tried clicking on the above link be the website has no information on it.
    I am using a mac and unfortunately know nothing about scripting.

  • Data Merge FYI - can't name a field "table"

    I spent an hour today trying to figure out why my wedding place card data merge wouldn't work. I wasn't even getting an error message so it was hard to identify the problem. It turns out that you can't have a field named "table". Just thought I'd get the word out there as there seems to be no mention of it in InDesign Help.

    Yeah, I resaved the source both ways, and even copied/pasted it into a brand new TextEdit file. Maybe the OS has something to do with it; I'm running Mac OS X 10.5.8. Just now, I opened a new TextEdit file and typed up a new one-field, one-record source file, and sure enough, it didn't work. But when I deleted the "e" in "table" and resaved it, it worked just fine.

  • Assistance with Data Merge for product sell sheets

    Last year I started creating product sell sheets for our sales team. The sell sheet is built containg these elements: A product photo, a data table displaying product numbers, descriptions etc.. Underneath the photo and table is a text box. I have created a lot of these sell sheets for a variety of product categories. The prices are updated fairly often, maybe once every month or two. I created all of these using excel and Illustrator. Other than photoshop, Adobe products were forign to me and never looked into what indesign was capable of until now.
    I am wondering if the data merge feature would be a good fit for what I am doing. I would be more than happy to share my project files. I am asking for a little bit of hand holding here to expedite this process. Anyone out there willing to take a look and help me out??
    Project Files:
    PDF Sell Sheet created in Illustrator (would like to have the same look and feel but have the data automated in Indesign)
    Excel Data (Looking to reformat the way the data is displayed so that it would work well with Data Merge)

    I don' think data merge will lend itself well to that sort of layout. It's just not sophisticated enough. For datamerge, all the data for each module has to be in one row on your excel sheet. Example: The setup on top will yield the example below. The image has a placeholder in the far left.
    For your example, I think your best bet is to set up table styles. (table styles won't hold column widths, but there is a script that you can use for that: it's referenced in this thread. If you make good use of paragraph styles and table styles, it will still go much more quickly in InDesign.

    You can search using SE11.
    goto SE11 in ECC system, give the table name and click on where used list.
    in the next screen select structure and press enter.
    in the result screen you will get the list

    That is a quirk of Pagesthat  it applies only one record per page.

  • QR codes data merge for delegate badges

    Hi
    We are creating delegate badges for a event and have 300 names and details we would like to merge into a badge design,
    merge fields have been done <Name> and <Company> however the client has requested a qr code that can be scanned to phone and creates a vcard.
    i have read the support about data source files, however as a novice to excel, I am not sure how i create the 'csv' so it import and creates a QR code
    any help would be very much appreciated

    I saw these, however the stumbling bloc for me is the csv\excel and how i set that up for a vcard
    the post explaining BEGIN:VCARD\nVERSION:2.1, etc...just didn't make sense .........
    as reading it, sounds like I would need to do this to each of the delegates manually, which then it is weighing up the time spent doing that or doing each qr code in design, copy and pasting in the fields, either way is far to long!

    Mac Mini 2.66 GHZ Intel Core 2 Duo 4 GB 1067 MHZ DDR3
    I rolled back from Mountain Lion Server to Snow Leopard Server because I needed mySql. At the time I was under AppleCare and they walked me through the steps. However, I ended up with Address Book issues.
    Addressbook user on the Snow Leopard Server was upgraded to Mountain Lion Server. During the rollback process, the Apple tech had me delete the Addressbook user.
    When we finished the rollback, he had me recreate the Addressbook user, but now it is linked to a new, empty data file. I cannot add new contacts nor edit or delete them. So I need to use the command line to view both data store files, find the one that has my data in it and re-attach it to my new Addressbook user.
    Can someone help me with the Command Line commands?

    There are a couple of more advanced solution I can think of and I'm actually working on one myself.
    * You can create your own jnlp client that allows you to pass in arguments. That sounds harder than it easy. Building a stripped down jnlp client (e.g. no installer, no applets) using one of the two open-source client as a start takes probably just a couple of days and should be sufficient for in house usage.
    * Another solution is what I'm working on now. You can wrap your own executable around javaws that takes your passed in arguments plus jnlp href and looks up the original in the cache and adds a new one to the cache that it passes on to javaws and suddenly everything works as it should.     You can have the dynamic items in a frame which would shrink or grow depending on the circumstance.Now your item below this should be anchored to the frame so that it shifts itself up or down depending on the frame location.
