Data merge messed up my print prefferences

After using data merge in indesign I cant print multiple page documents all facing the same way. The first page is always vertical and the rest come out horizontal. I reset my prefs, re intalled my print driver, nothing  Any thing im missing?

You might be able to copy preferences from one user to another, but it will be cleaner to rebuild the ones in your profile.
Close InDesign, then restart the application and hold down the Ctrl + Alt + Shift keys immediately. You should see a confirmation dialog asking if you want to replace the preferences. If you don't it means you weren't fast enough with the keyboard. As an alternate you can search for and delete or rename the two hidden files InDesign Defaults and InDesign SavedData, which will be in your user profile. I actually prefer this method since it allows me to save the old set in case new prefs don't work any better.
Keep in mind that replacing your prefs will wipe out things like document and printer presets and custom default swatches and styles. Presets can be selected in the define dialogs and saved for reloading as external files before you replace the preferences (but I'm not sure I'd reload the printer presets until you try printing without them). Styles and swatches can be reloaded from another document that contains them.

  • Need to data merge so 4x2 labels print 10 up

    Using Avery labels. Label size is 4 x 2. The indesign file is 8.5 x 11. Margin .5 top and bottom; .1667 left and right.
    I have my master label in the top left position. I make my data fields. I go to multiple records and indicate .1667 space between columns. I hit merge and end up with 169 pages with a label at top left. How do I get two columns of 5 labels for a total of 10 up? The labels have a return address at the top. The bottom part of the label gets populated. I can merge singles with no problem but I have to print these 10 up on Avery Labels. Thx.

    I think you're familair with all this, but the basics...
    It sounds like you have items on the page precluding the ability to place more than one per.
    Are you on the live page or master? Perform a "Select All" (on master and live) to verify all content is no larger than 4.25 x 3.66

    Does anyone have any solutions to help manage the data merge and the print booklet situation properly?

    If you get crashes, you should check out the crash reports! Unreported crashes will just persist in the next version, so let's get them reported so they can get fixed. Step one is to take a look at the crash report. http://indesignsecrets.com/guide-to-interpreting-indesign-crash-reports.php.

    Sure. Run your data merge. Then, with both documents open, use Pages (panel) > Move Pages to move your 1,2 and 15,16 into the data merged document. Then print booklet.

  • Data merge with football tickets. Printing causes out of memory errors. Can only print 10 at a time!

    Here's the deal. Printing football tickets for the local high school. 10 tickets per 8.5 x 11 sheet. All black and white. I couldn't data merge into one whole document of tickets because it was failing to do that. So, I end up with 3 documents. First two have 50 pages of tickets and the last has 37 pages.
    When I go to print, I can only print 10 pages at a time or InDesign straight up crashes or I get an "Out of Memory" error which is bull because I've got plenty of ram available (unless it's complaining about lack of HD space for some reason)
    Incredibly frustrating.
    Each ticket has 3 images on it. Two of the images are the same. Those two images are about 103kb .ai files. Very very simple. The other image is a TIFF that is about 76kb. So there are 1000 .ai files / document and 500 TIFFs.
    Here's a video I took of it ripping: http://www.youtube.com/watch?v=UCjvdmXuaYs&feature=c4-overview&list=UUf_1UFp80YLZJfCyIxXEg kg
    Also, when printing, I have the Send Data set to Optimized Subsampling instead of "All". That's not seeming to help.
    Any thoughts?
    IDCS 5.5
    OSX 10.8.4

    I just ran a sample on my laptop.
    AI file, duplicated, is 284k. Image is roughly 200k. The CSV has 2054 records, and the merged document with 10 per page is 250 megabytes. PDF is just under 50 megs.
    This laptop has only 4 gigs memory but has a lot of free disk space. It took a good amount of time to do the merge, a bit longer to create the PDF-X1a PDF.

  • Printing Tab Sheets using Data Merge (DM)

    Given: Three "layers" of 5 cut Tab sheets that are to show different text items on the 15 tabs. (I have performed DM to print 5 cut tab sheets.)
    But how would you use DM to place and print the 3 unique sets of 5 cut tab sheets? How would the csv file be set up to reflect the repeating tab positions? I believe you can have up to 50 items layed out in a DM.
    I know how to actually print tabs, but I figured DM was more efficient.

    I'm not sure this will really work for data merge, but if it can be done with a single file you'll need to do some modifications to your data set.
    First, you'll need five different fields for the data, one for each tab, so for each record you'll have one field populated, and 4 blank (or just two commas next to each other, nothing between for each blank field). If you were working in Excel, this would mean you'd need to populate cells in a shift right AND shift down pattern, sort of stair-stepping.
    Next you'd need to make a five-page file in ID and put each filed in the correct position on it's own page. It might work to use five master pages, and put one field on each master, but I haven't had good luck using fields on the master page unless you are using a single record per page merge (which you are), and I never tried with multiple masters, so ...

  • Automatic printing to location, with data merge?

    Hello all,
    I am quite new to this, and i have a question...
    I am using Data Merge with large number of values to fill in fields in indesign...but for each value line, printing has to be done to different folder. Is there any way to set printing location with data merge?

    Try this:
    Save your file as a UTF-16 BE (Big Endian) file.
    Import showing options in ID. I'm on a PC, choose the below regardless.
    Should look like this in ID.
    Apologies to Farsi-speaking people everywhere. I pulled some text out of a Farsi text file to make up this tab-delimited merge file. I don't speak it, so it is likely servely non-sensical.
    The text editor being used here (first screen shot) is the OpenSource NotePad++. I am also not using the ME version of ID.
    Take care, Mike

  • Data merge only prints first record

    Help, please: I've done it over and over, checked my .cvs file, replaced prefs...
    BUT data merge will only print the first record either in create merged document or export to pdf.
    It WILL preview all records.

    W need a LOT more information, starting with the OS, and the version of ID, including any applied patches.
    Next we need to know if you are doing a single record per page or multiple records, whether the placeholders are on the master page, how many pages are in the document and if they all have fields on them (some screen captures might be useful -- embed them using the camera icon on the editing toolbar on the webpage rather than attaching, if it works [there seem to be some issues at the moment, though only for some people]).
    What else is on the page? Are you really telling it to merge all the records, or just one?
    You get the idea... Full description of what youhave, what you are doing, and what you get instead of what you expect.

  • Linking Data Merge Field with JavaScript for PDF link

    Hello everyone,
    I am using the data merge in InDesign to generate a PDF with data from a data source file. The data merge will populate a Product Number field. I want to write a script that will modify the Product Number field to contain a JavaScript Link in the resulting PDF.
    For example, the product number [1234-567] will launch: app.launchURL("plsddr://localhost/1234-567|*", true); when the Product Number link is clicked on in the resulting PDF.
    Can anyone provide an example on how this could be done, or point me in the right direction? If there is a better way to go about this, please let me know.
    Thanks!

    What findText returns is a list of Text, but that's totally interchangeable with Word. It appears InDesign can switch at will between Characters, Words, Lines, Paragraphs, and Stories.
    Text can consist of one single SpecialCharacter (a column break, or a hard return, or any of the SpecialCharacters enumeration), or of a standard JavaScript "String" object -- a simple Unicode string.
    The property that 'holds' the text is "contents" -- so, adding all of this up, to 'get' the text that has been found, you'd typically use
    next = list.pop();
    alert ("The text contents of this one is '"+next.contents+"'");
    and you can build further on that -- using it as a HyperlinkDestination URL, or something like that. The Text item -- 'next' -- still points to the 'live' text it was found at, so be careful not to modify it. Doing something like
    next.contents = 'hey what happened';
    will change the actual text in your document. But it's also useful to add, for example, a hyperlink to the actual position this text was found on.
    (A tip regarding changes: if you are to change your document, the original items findText pointed to will be messed up after you changed the first one! To prevent that, work backwards from the last item found to the first. findText(true) will reverse the order of found items, from last to first -- see the JS Help on that.)
    As for
    (Also, how do you print the contents of a Word object?)
    that depends on what you mean with 'print' . To a printer?

  • How Do I get data merge to work without creating duplicate pages in a single page native file?

    I've called Adobe about this and they indicated it was some kind of setting that needed to be changed in InDesign, but wouldn't tell me how to do it unless I paid for an "incident pack" and talked with technical support.
    Problem: I have a single page document in InDesign CS5. It's a direct-mail postcard with large high-res images and complicated graphics on it. I want to merge a list of recipients names/addresses from Excel with this single-page design. Excel document has 2,000 names in it.
    I successfully create the merge using InDesign's data merge feature, but it creates a new InDesign document with 2,000 pages in it. Each page is a duplicate of my original file, but with different addresses on each page. Because of the multiple records and the high res images it has created 2,000 duplicates of - InDesign crashes. It also took about 4 hours to do the merge.
    There has got to be a better way to merge data w/o it created the same page over and over again.
    I can't make a pdf to solve this problem becasue I have to work with an in-house printer and they do a poor job of printing from pdf. So, I always send them native files. This printer does not have variable data software. However, if that is the fast and easy solution to this problem - I will force them to purchase it.
    Any advise or solution to this problem would be appreciated. Is there a setting in InDesign that needs to change so it doesn't repeat the single page design 2,000 times and cause InDesign to crash?
    Thank you.

    That's exactly how Data Merge works. If it's on the page, it gets duplicated. 2000 records is a lot, so I'm not sure if the images or the sheer number is what's slowing things down.
    One thing you can try is to moove everything EXCEPT the merge placeholders to a master page, then assign the [None] master to the page with the placeholder anbd do the merge. Change the master to the one with your static content after the merge. That might speed up the merge, but it won't do anything for the file being 2000 pages that each has to RIP for printing. The best way to deal with this is to find a printer who can do VDP printing and give him the template file and your data file, and let him do the merge in the print stream.

  • Automatization and data merge in CS3

    Hi there,
    Let me first sketch the problem. As an organization we publish a weekly booklet with a calendar and information about things about to happen, etc. This is all made in InDesign with a header on the first page (only on the first page), followed by the calendar and then a big text field on multiple pages with all the different subjects (and not in different text fields because it's the only way to be able to add an extra topic without having to move all the fields automatically). All the different topics are sent to us by mail, but it's a very time consuming job to sort them all out and some topics are easily forgotten.
    So, our goal is to let people add topics on the server, which returns - when the deadline is due - us a txt file with all the information (title, text, author, email, calendar item yes or no, calendar information, ...) needed. We then tried to use Data Merge to do the job, but this messes the pages up (the header we only want on the first page comes on every other page as well), it's not so easy to make the calendar items separately and instead of putting all the topics in order in the big text field it creates a new page for every topic.
    Is there an efficient way of doing this job, or are we overlooking some options to make it work with Data Merge? Thanks!

    That sounds to be beyond the capabilities of DataMerge. Investigate setting up an XML structure and importing your data
    as a tagged XML file.

  • How can I use data merge, within a master, within a book?

    Hi all,
    I am producing an 84pp catalogue for multiple brands.
    I have it set up as:
    1x .indd document per spread
    Master styles within one .indd document for black text, white text etc.
    Book setup to contain all of the .indd files to make up the 84pp book
    Now, my problem is I have to change the footer text and references depending on the brand, so I can have the footers saying 'Call Brand A on 123 4567' or 'Call Brand B on 567 1234' and have various in-text references change from Brand A to Brand B and vice versa.
    I have a data merge on each of the masters in my .indd style source looking at a simple .csv of:
    Brand Name
    URL
    Phone Number
    Brand A
    www.branda.com
    0800 123 4567
    Brand B
    www.brandb.com
    0800 567 1234
    This works fine on the masters within the source .indd.
    But, when I close this master style source and go into another .indd document within the book (after synchronising) I see the <<Brand Name>> container but, when I export the documents it does not populate the book with the data - it keeps the containers.
    Obviously with a normal in-document Data Merge you'd click 'Create Merged Document' but I don't want to export each page, and I have PDF print presets / .joboptions file with settings for the book.
    Any advice on how to get this to work?
    Thanks!
    Andy

    I'm not really following the workflow here, but this seems like it might be better suited to Conditional Text than to Data Merge.

  • How do I generate a data merge in InDesign from an excel spreadsheet which includes a barcode

    Can you please advise if the following process is possible within InDesign CS 5.5? (Mac OS 10.8.2).
    We need to create a data merge that includes a barcode. The data merge is for several thousand records.
    We have a customer-supplied Excel spreadsheet that contains seven fields, one of which is a number that ultimately needs to print as a barcode when we make the data merge in InDesign.
    As you would expect, the conventional six fields data merge perfectly - but we can't find a way to make the barcode print correctly within the data merge.
    We have investigated several possible solutions without success.
    Some solutions suggest a plug-in for Excel to convert the number into a barcode whilst still in the spreadsheet - but this doesn't come across correctly when we import the CSV file into the InDesign data merge.
    We have investigated certain third party software applications but none provide the full solution we require. Some, for example, appear to create the barcode within the Excel spreadsheet but don't produce the barcode correctly when we data merge in InDesign; and some will allow us to create a one-off barcode within InDesign but have no automated way of retrieving the thousands of Excel numbers and turning them into barcodes.
    We have also come across possible 'font' solutions but have had no success with these either.
    For a previous job we needed to produce we outsourced to a specialist mailing company, who assured us they produced the whole job (very quickly) within InDesign. They, understandably, won't tell us how they did it. But, given the speed with which they produced the job for us, we imagine - with the correct software - the whole process is easy to do.
    Can you please advise?

    HI MIKE
    Thanks again for your reply and your help with this.
    I've downloaded the barcode font from the link you supplied.
    I've tried three tests - and seem much closer to getting what we need. But I've come up against a couple of issues.
    TEST 1 - almost just to see if the downloaded font worked, I simply data merged our source csv file and applied the downloaded barcode font to the serial number in ID. Probably unsurprisingly, this produced a perfectly printed barcode - that wouldn't scan.
    TEST 2 - I manually added asterisks before and after the serial number in the first couple of fields and then tried the same process as TEST 1. It produced a perfectly printed barcode which this time DID scan correctly - but obviously the barcode had asterisks on it which I don't want. I just want the serial number. And with thousands of serial numbers we need the addition of the asterisks to happen automatically (which is where your text editor process seems the perfect solution, if we could get that to work).
    TEST 3 - Noting your comments about using parenthesis around the serial number, I followed your example of (123456). But Excel won't let me type a parenthesis. It lets me type the parenthesis but then instantly substitutes it with a - (hyphen) before the number in the actual serial number cell and no character at all after the number.
    If you have any suggestions or solutions for any of the above they'd be gratefully received! Thanks again for all your help with this.
    Kind regards
    Rob

  • Is there any way to name the records from a data merge?

    I have a spreadsheet, that has all the names for the images I'm using for a data merge. What I want to do is name the resulting records after the filenames in one of the columns in the spreadsheet. Is there anyway to do this? Or is there some other way to individually name the records from a data merge? I don't have any scripting prowess, so I can't really mess with that. Any help is greatly appreciated! Thanks!

    You merge it along with the others, just like any field. ID cannot do the naming for you during the merge, but most spreadsheets have lots of logic capabilities that should allow you to extract a name for the record from the filename in the column of your choice. The only reason ID knows to find the image instead of writing the filename is that you've used a special name for the field.

  • PDF- Filename automated from labelscript (after data merge)

    Hello,
    first of all I'm quite new in javascripting... but some simular scripts I have found on the internet could provide a solution for my problem.
    What I've done is the following:  I've used Data Merge and created a 200-paged file with 1 label on each page. Each label has a labelnumber.
    What I could do is export the file - split it up in 200 different pages - rename each file to the specific labelname. Seems a lot of work and this job I need to repeat about once a month.
    I looked for a solution and came to these discussion: http://forums.adobe.com/thread/289666http://      http://forums.adobe.com/message/3178412#3178412
    What I want to create is a script that I can run every month after I have updated my 200 labels and overrides all the pdf-files of the old labels.
    With the different scripts I have found I constructed the code below.
    The script works, it prints to multiple pdf's which have the correct labelnames, export is according to the requested presets,  but the CONTENT of each label is the content of the FIRST label (first page).
    I have tried a lot of thing (trail&error) but as I said, I'm quite new to this matter...
    So.... I can use some help or advice on this one.
    Thanks in advance,
    Dheart
    function getLABEL_A(page) {
              for (var  currentTextFrameIndex=0;currentTextFrameIndex<page.textFrames.length; ++currentTextFrameIndex) { // Iterates over frames
                   if (page.textFrames[currentTextFrameIndex].label=="LABEL_A") // if label is LABEL_A..
                        return page.textFrames[currentTextFrameIndex].contents; // ..returns text frame contents
              return null; // if not found, returns null
    var LABEL_A;
         var pagesList=app.activeDocument.pages;
         for (var currentPageIndex=0;currentPageIndex<pagesList.length;++currentPageIndex) { // Iterates over pages list
              currentPage=pagesList[currentPageIndex];
              LABEL_A=getLABEL_A(currentPage);
              if (LABEL_A!=null) { // If we have a LABEL_A - PDF file name-

                   app.activeDocument.exportFile(ExportFormat.pdfType,"F:/.../"+LABEL_A+".PDF",false,export_ preset); //.. and save the file
              } else {
                   alert("Page number "+currentPageIndex+" NO LABEL_A");
                   alert(LABEL_A);

    Thx for the reply, indeed this is a solution for consecutive numbering, however, the numbering is following another 'system' and in this case the numbering is given randomly.
    Anyway, trying a lot of things,  gave me a working script!!!
    The script exports a multipaged indesign file to single-paged pdf files. The namegiving of the pdf-files is automated and follows a labelscript (textlabel) on each page.
    function getLABEL(page) {
              for (var  currentTextFrameIndex=0;currentTextFrameIndex<page.textFrames.length; ++currentTextFrameIndex) { // Iterates over frames
                   if (page.textFrames[currentTextFrameIndex].label=="LABEL") // if label is LABEL..
                        return page.textFrames[currentTextFrameIndex].contents; // ..returns text frame contents
              return null; // if not found, returns null
    var LABEL;
         var currentPage;
         var pagesList=app.activeDocument.pages;
         for (var currentPageIndex=0;currentPageIndex<pagesList.length;++currentPageIndex) { // Iterates over pages list
              currentPage=pagesList[currentPageIndex];
              LABEL=getLABEL(currentPage);
              if (LABEL!=null) { // If we have a LABEL PDF -file name-
                  app.pdfExportPreferences.pageRange=String(currentPageIndex+1); // set up the export range..
                    var export_preset = app.pdfExportPresets.item("[High Quality Print]");
                     app.activeDocument.exportFile(ExportFormat.pdfType,"F:// fill in destination"+LABEL+".PDF",false,export_preset); //.. and save the file
              } else {
                   alert("Page number "+currentPageIndex+" without LABEL box");
                   alert(LABEL);

  • [CS5.5/6] - XML / Data Merge questions & Best practice.

    Fellow Countrymen (and women),
    I work as a graphic designer for a large outlet chain retailer which is constantly growing our base of centers.  This growth has brought a workload that used to be manageable with but two people to a never ending sprint with five.  Much of what we do is print, which is not my forte, but is also generally a disorganized, ad-hoc affair into which I am wading to try to help reduce overall strain.
    Upon picking up InDesign I noted the power of the simple Data Merge function and have added it to our repetoire in mass merging data sources.  There are some critical failures I see in this as a tool going forward for our purposes, however:
    1) Data Merge cannot handle information stored and categorized in a singular column well.  As an example we have centers in many cities, and each center has its own list of specific stores.  Data merge cannot handle a single column, or even multiple column list of these stores very easily and has forced us into some manual operations to concatenate the data into one cell and then, using delimiter characters, find and replace hard returns to seperate them.
    2) Data Merge offers no method of alternate alignment of data, or selection by ranges.  That is to say:  I cannot tell Data merge to start at Cell1 in one column, and in another column select say... Cell 42 as the starting point.
    3) Data merge only accepts data organized in a very specific, and generally inflexible pattern.
    These are just a few limitations.
    ON TO MY ACTUAL DILEMMA aka Convert to XML or not?
    Recently my coworker has suggested we move toward using XML as a repository / delivery system that helps us quickly get data from our SQL database into a usable form in InDesign.
    I've watched some tutorials on Lynda.com and havent yet seen a clear answer to a very simple question:
    "Can XML help to 'merge' large, dynamic, data sets like a list of 200 stores per center over 40 centers based off of a single template file?"
    What I've seen is that I would need to manually duplicate pages, linking the correct XML entry as I go rather than the program generating a set of merged pages like that from Data Merge with very little effort on my part.  Perhaps setting up a master page would allow for easy drag and drop fields for my XML data?
    I'm not an idiot, I'm simply green with this -- and it's kind of scary because I genuinely want us to proceed forward with the most flexible, reliable, trainable and sustainable solution.  A tall order, I know.  Correct me if I'm wrong, but XML is that beast, no?
    Formatting the XML
    Currently I'm afraid our XML feed for our centers isnt formatted correctly with the current format looking as such:
    <BRANDS>
         <BRAND>
              • BrandID = xxxx
              [Brand Name]
              [Description]
              [WebMoniker]
              <CATEGORIES>
                   <CATEGORY>
                        • xmlns = URL
                        • WebMoniker = category_type
              <STORES>
                   <STORE>
                        • StoreID = ID#
                        • CenterID = ID#
    I dont think this is currently usable because if I wanted to create a list of stores from a particular center, that information is stored as an attribute of the <Store> tag, buried deep within the data, making it impossible to 'drag-n-drop'.
    Not to mention much of the important data is held in attributes rather than text fields which are children of the tag.
    Im thinking of proposing the following organizational layout:
    <CENTERS>
         <CENTER>
         [Center_name]
         [Center_location]
              <CATEGORIES>
                   <CATEGORY>
                        [Category_Type]
                        <BRANDS>
                             <BRAND>
                                  [Brand_name]
    My thought is that if I have the <CENTER> tag then I can simply drag that into a frame and it will auto populate all of the brands by Category (as organized in the XML) for that center into the frame.
    Why is this important?
    This is used on multiple documents in different layout styles, and since our store list is ever changes as leases end or begin, over 40 centers this becomes a big hairy monster.  We want this to be as automated as possible, but I'd settle for a significant amount of dragging and dropping as long as it is simple and straightforward.  I have a high tollerance for druding through code and creating work arounds but my co-workers do not.  This needs to be a system that is repeatable and understandable and needs to be able to function whether I'm here or not -- Mainly because I would like to step away from the responsibility of setting it up every time
    I'd love to hear your raw, unadulterated thoughts on the subject of Data merge and XML usage to accomplish these sorts of tasks.  What are your best practices and how would you / do you accomplish these operations?
    Regards-
    Robert

    From what I've gleaned through watching Lynda tutorials on the subject is that what I'm hoping to do is indeed possible.
    Peter, I dont disagree with you that there is a steep learning curve for me as the instigator / designer of this method for our team, but in terms of my teammates and end-users that will be softened considerably.  Even so I'm used to steep learning curves and the associated frustrations -- but I cope well with new learning and am self taught in many tools and programs.
    Flow based XML structures:
    It seems as though as long as the initial page is set up correctly using imported XML, individual data records that cascade in a logical fashion can be flowed automatically into new pages.  Basically what you do is to create an XML based layout with the dynamic portion you wish to flow in a single frame, apply paragraph styles to the different tags appropriately and then after deleting unused records, reimport the XML with some specific boxes checked (depending on how you wish to proceed).
    From there simply dragging the data root into the frame will cause overset text as it imports all the XML information into the frame.  Assuming that everything is cascaded correctly using auto-flow will cause new pages to be automatically generated with the tags correctly placed in a similar fashion to datamerge -- but far more powerful and flexible.
    The issue then again comes down to data organization in the XML file.  In order to use this method the data must be organized in the same order in which it will be displayed.  For example if I had a Lastname field, and a Firstname field in that order, I could not call the Firstname first without faulting the document using the flow method.  I could, however, still drag and drop content from each tag into the frame and it would populate correctly regardless of the order of appearance in the XML.
    Honestly either method would be fantastic for our current set of projects, however the flow method may be particularly useful in jobs that would require more than 40 spreads or simple layouts with huge amounts of data to be merged.
