Need to data merge so 4x2 labels print 10 up

Using Avery labels. Label size is 4 x 2. The indesign file is 8.5 x 11. Margin .5 top and bottom; .1667 left and right.
I have my master label in the top left position. I make my data fields. I go to multiple records and indicate .1667 space between columns. I hit merge and end up with 169 pages with a label at top left. How do I get two columns of 5 labels for a total of 10 up? The labels have a return address at the top. The bottom part of the label gets populated. I can merge singles with no problem but I have to print these 10 up on Avery Labels. Thx.

I think you're familair with all this, but the basics...
It sounds like you have items on the page precluding the ability to place more than one per.
Are you on the live page or master? Perform a "Select All" (on master and live) to verify all content is no larger than 4.25 x 3.66

  • Data merging and making labels. I'm stuck...

    Dear indesigners,
I've got a question concerning data merging.
I've been asked to create labels for a showroom.
I received an excel file with more than 9000 items.
    - At first I tried to save the file as CSV. The CSV file unfortunately didn't work for me.
Instead of creating a comma-separated file it created a ";" separated file.
This is an issue because I live in Europe apparently…
    - After that problem I just exported the file as a "Tab separated text file" and that worked fine.
I set up the indesign file and the data merging went completely fine.
    But here comes the challenge:
When I create a "merged document" all labels get placed underneath eachother in a new file. That's perfectly normal.
But the marketing team from the company I work at wants to be able to create labels for each item they sell.
The items change a lot so it has to be printed "in house" on pre sliced sticker paper.
I was wondering if there was a way to get several labels on 1 A4? how do I set this up?
    Im really stuck here
At first I was asked to print the labels from a DYMO printer. But that was a horrible experience… that didn't work at all.
    All help is appreciated.
    Thanks,
    Kevin Hensels

You can specify a range of records to merge, or individual records. To make it easier to identify the record numbers you can add a column for them if you like (just remember they don't update automatically if you add, remove, or move rows around in the spreadsheet), or you can read the row number in Excel and subtract 1.

  • Data merge messed up my print prefferences

After using data merge in indesign I cant print multiple page documents all facing the same way. The first page is always vertical and the rest come out horizontal. I reset my prefs, re intalled my print driver, nothing  Any thing im missing?

You might be able to copy preferences from one user to another, but it will be cleaner to rebuild the ones in your profile.
Close InDesign, then restart the application and hold down the Ctrl + Alt + Shift keys immediately. You should see a confirmation dialog asking if you want to replace the preferences. If you don't it means you weren't fast enough with the keyboard. As an alternate you can search for and delete or rename the two hidden files InDesign Defaults and InDesign SavedData, which will be in your user profile. I actually prefer this method since it allows me to save the old set in case new prefs don't work any better.
Keep in mind that replacing your prefs will wipe out things like document and printer presets and custom default swatches and styles. Presets can be selected in the define dialogs and saved for reloading as external files before you replace the preferences (but I'm not sure I'd reload the printer presets until you try printing without them). Styles and swatches can be reloaded from another document that contains them.

  • Urgent- Data Merge with 4 labels to a page not working

I have a csv file that I am attempting to place 4 labels to a page.
I use the multiple record placement and all records but it only generates the 1st record for all labels.
    What am I doing wrong.

Have you placed the label four times on your page? If so, that's what you are doing wrong.
You only place ONE copy of the label in the top left of the page, and InDesign will clone it and work its way through
your CSV data as it does so.
Positioning of the labels is done by the margin and separation options in the multiple label dialogue, and you can check
    the output with preview.

  • Data Merge & Print Booklet

I have a 16 page document where I am just trying to print the cover. so instead of making it more complicated I have taken the 1,2 and 15, 16

Sometimes when I use data merge, Indesign 5.5 crashes on me. I lowered the records to deal with 500 at a time instead. However I realized even if I can get it to generate the 2000 pages. Print booklet isn't going to work correctly for me. (These are 8.5 x 11 pages that I am folding over fyi).
Does anyone have any solutions to help manage the data merge and the print booklet situation properly?

If you get crashes, you should check out the crash reports! Unreported crashes will just persist in the next version, so let's get them reported so they can get fixed. Step one is to take a look at the crash report. http://indesignsecrets.com/guide-to-interpreting-indesign-crash-reports.php.

Sure. Run your data merge. Then, with both documents open, use Pages (panel) > Move Pages to move your 1,2 and 15,16 into the data merged document. Then print booklet.

  • Data Merge - many records, good alternative?

    Hello,
I need to data merge 780 records.  And to top it all off, each record will be two pages...So we're looking at a total of 1560 pages.  I know InDesign data merge isn't meant for this many records.
I was wondering if anyone could recommend a good alternative. Perhaps a plugin or another program?
    Thanks a lot,
    kdubbie

I think Data Merge could handle it just fine, but if there is other static content on these two pages, you'd be far better off finding a printer with VDP capabilities. The Data Merged doc requires processing ALL of the content on each page before printing it where a true VDP solution like XMPie would process the static data once, then insert the varialbe data into the print stream.
Are you concerned about the merge itself, or printing it after?

  • Tip for Data Merge with Multiple Records (labels, etc.)

I have seen many InDesign Data Merge questions about how to create sheets of mailing labels, especially the problem of getting only one label per page, when you need 30 or more.
Adobe's instructions are poor and incomplete in that InDesign doesn't step out the records from a data source - it steps out the FRAMES that contain the data field placeholders.
That is why you only need to place a text or image frame once on a single page - during the datamerge, InDesign will create the additional FRAMES for each record, and it will create the pages required to hold them.
You do have to set the desired spacing on the
If you create the frame on a Master page, ID allows you to update the data source (when it changes) in the Data Merge tool panel.
These are very nice and robust features, but the documentation for them is confusing to many people.
You will find more great in-depth help  for Data Merge, with screen captures and attachments, here in the forum.

For a multiple record merge you need one set of placeholders, then set the margins and spacing in the merge options so the positioning is correct.
Warning: Using Preview in a multiple record merge will corrupt the file. If you press the preview button, Undo after looking at the preview, then merge without using preview.

  • Printing Tab Sheets using Data Merge (DM)

Given: Three "layers" of 5 cut Tab sheets that are to show different text items on the 15 tabs. (I have performed DM to print 5 cut tab sheets.)
But how would you use DM to place and print the 3 unique sets of 5 cut tab sheets? How would the csv file be set up to reflect the repeating tab positions? I believe you can have up to 50 items layed out in a DM.
I know how to actually print tabs, but I figured DM was more efficient.

I'm not sure this will really work for data merge, but if it can be done with a single file you'll need to do some modifications to your data set.
First, you'll need five different fields for the data, one for each tab, so for each record you'll have one field populated, and 4 blank (or just two commas next to each other, nothing between for each blank field). If you were working in Excel, this would mean you'd need to populate cells in a shift right AND shift down pattern, sort of stair-stepping.
Next you'd need to make a five-page file in ID and put each filed in the correct position on it's own page. It might work to use five master pages, and put one field on each master, but I haven't had good luck using fields on the master page unless you are using a single record per page merge (which you are), and I never tried with multiple masters, so ...

  • Data merge only prints first record

Help, please: I've done it over and over, checked my .cvs file, replaced prefs...
BUT data merge will only print the first record either in create merged document or export to pdf.
    It WILL preview all records.

W need a LOT more information, starting with the OS, and the version of ID, including any applied patches.
Next we need to know if you are doing a single record per page or multiple records, whether the placeholders are on the master page, how many pages are in the document and if they all have fields on them (some screen captures might be useful -- embed them using the camera icon on the editing toolbar on the webpage rather than attaching, if it works [there seem to be some issues at the moment, though only for some people]).
What else is on the page? Are you really telling it to merge all the records, or just one?
You get the idea... Full description of what youhave, what you are doing, and what you get instead of what you expect.

  • Can I use InDesign's Data Merge for more than just address labels?

I am a Graphic Designing working on a new science exhibition in Melbourne, Australia.
I'm trying to streamline the way we import our label content into InDesign (currently cut and paste from Word which is slow and leaves room for error). I've been going down the path of having a macro developed which converts the Word content into a csv file so I can then import this into InDesign through data merge, however the import is falling over.
Through testing we can conclude that data merge doesn't like paragraph breaks, en-dashes and apostrophies (and possibly more we haven't come across) and will only import data up until one of these items occurs in the data. We've tested a number csv file formats however we can't find a solution.
Has anyone come up with a solution for this? My macro developer would be keen to get a hold of a working csv file that deals with these issues...
    Thanks!

I have done what you are describing, with Word & InDesign, on a daily basis, for years. Word is not the best choice for this kind of workflow, of course, but if I had to choose between placing Word & doing a data merge with CSV, I'd be torn. Neither one is really the tool for the job. XML import would suit you better, but if you're already midstream in VBA development, there's no point in trying to describe why placing carefully styled RTFs and clearing overrides is better than writing VBA to clean up Word files and turn them into CSV.
(Look at style mapping in Import Options when placing a Word file for future projects.)
(Also: it's not extra codings that you want to apply in VBA, it's purging Word-specific "Symbols" and just using true Unicode values for em dashes and other typographical symbols.)

  • Need to create a directory in inDesign using data merge

Need to create a multi paged document that contains fields with persons pix, name, address, and phone number.
It will be alphabetized and searchable using an index.
I want the end result to be a multi-page pdf.
Is data merge the tool to use?
Or please suggest some other application, mac please!
    Any advice...
    Lisa-renee

Yep, Data merge can do that.  You'll want to make multiple records per page, have a look at the help here and report back with specific questions if you have them.
You need to get your document that you're merging from sorted first though, there's a script here that will help you arrange your images.

  • What is the "Live" page and need help in data merge

    Hello,
Im very new to indesign so bare with me. Im trying to data merge (Need to create a merge template?) and from what I understand is that I need it to be on the "Live" page. Someone on the forum suggested this.....
There are two ways to set up the merge template. You can put your placholders on the master page or on the live page. If the placehlders are on the master page, only the frame(s) with the placeholders, along with any other grouped objects, will be duplicated. On the live page, ID will try to duplictate EVERYTHING on the page, so you must be very careful about the setup and sizing of objects.
I would like to be on the LIVE page...how do I do this? I got everything else sorted but cannot get multiple records for the life of me to come up.
Thanks in adavance for your help

Thanks for all your help, Peter. I will do the step and repeat method like you said. I dont know why I cant get this camera for the images to work but I did what you said with Word paint after capturing the page using the keyboard. Unfortunately I cant copy and paste the indesign screen to this page.
Thanks again for your patience and good help.
    With kind Regards,
    John
P.S Im sure you will see more questions as I make my way through indesign. LOL

  • URGENT NEED: Using Photoshop CC, is there a way to auto-center linked layers to a specific area on data merge?

I'm looking for a way to auto-center a group of linked layers to a specific area after being data-merged in Photoshop CC. The text needs to be all left-justified within the area in question, so I'm looking for a way that once the merged data comes in, the layers automatically center themselves within the area.

Yes.  For example do a select all or make a selection of the area.  Target the layer you want to align to that and use menu Layer>Align Layers to Selection>Location...
Use this menu twice to align the layer(s) to one of the nine positions og a tick tack toe board are of the selection.
Example center layer over center of the canvas
    Select All
    target top layer
    Layer>Align Layers to Selection>Vertical center...
    Layer>Align Layers to Selection>Horizontal center...
If you select a group of layers that are linked I would expect the group's  layers center would be over the center of the canvas.  However I have not mad that test it would be easy to test try it. You may even only need to select the layer you want over the center all the linked layers should move with the one being aligned.
But I do not know what you mean by a data merge. Do you mean merge down or merge layers.

  • Data merge with football tickets. Printing causes out of memory errors. Can only print 10 at a time!

Here's the deal. Printing football tickets for the local high school. 10 tickets per 8.5 x 11 sheet. All black and white. I couldn't data merge into one whole document of tickets because it was failing to do that. So, I end up with 3 documents. First two have 50 pages of tickets and the last has 37 pages.
When I go to print, I can only print 10 pages at a time or InDesign straight up crashes or I get an "Out of Memory" error which is bull because I've got plenty of ram available (unless it's complaining about lack of HD space for some reason)
    Incredibly frustrating.
Each ticket has 3 images on it. Two of the images are the same. Those two images are about 103kb .ai files. Very very simple. The other image is a TIFF that is about 76kb. So there are 1000 .ai files / document and 500 TIFFs.
Here's a video I took of it ripping: http://www.youtube.com/watch?v=UCjvdmXuaYs&feature=c4-overview&list=UUf_1UFp80YLZJfCyIxXEg kg
Also, when printing, I have the Send Data set to Optimized Subsampling instead of "All". That's not seeming to help.
    Any thoughts?
    IDCS 5.5
    OSX 10.8.4

I just ran a sample on my laptop.
AI file, duplicated, is 284k. Image is roughly 200k. The CSV has 2054 records, and the merged document with 10 per page is 250 megabytes. PDF is just under 50 megs.
This laptop has only 4 gigs memory but has a lot of free disk space. It took a good amount of time to do the merge, a bit longer to create the PDF-X1a PDF.

  • Automatic printing to location, with data merge?

    Hello all,
I am quite new to this, and i have a question...
I am using Data Merge with large number of values to fill in fields in indesign...but for each value line, printing has to be done to different folder. Is there any way to set printing location with data merge?

    Try this:
Save your file as a UTF-16 BE (Big Endian) file.
Import showing options in ID. I'm on a PC, choose the below regardless.
Should look like this in ID.
Apologies to Farsi-speaking people everywhere. I pulled some text out of a Farsi text file to make up this tab-delimited merge file. I don't speak it, so it is likely servely non-sensical.
The text editor being used here (first screen shot) is the OpenSource NotePad++. I am also not using the ME version of ID.
    Take care, Mike
