Data Merge preview vs. document

Hey there!
First off I am super new to InDesign.  I am using a Mac and version 4 of InDesign.
I am making mailing labels.  I have gotten everything in place, added my fields and linked my data source.  I go into create my merge document.  Ive selected merge multiple records and set all my margins and spacing to fit as needed.  I preview the document and everything looks great.  I click ok and it creates my pages/document. 
This is when the problem starts.  The completed merge only shows the first label on each page even after the preview is correct.  I have recreated the file 5 different times and get the same results.  Can anyone help? Im so frustrated!

Sorry I was not clear.  I have Mac OS X version 10.7.5 and InDesign CS4 version 6.0.6.

All looks great and is exactly how I want it….so I click OK…….
Here is page 1 and 2 of the newly created document.  As you can see the first field is the only one that shows up on each page.

  • Data Merging Preview Error CS3

    I am attempting to merge the names and position of people into nametags through InDesign and Excel.
    The excel file seems to work fine.
    When I go through the steps to create a data merge I chose to preview the results before clicking ok.
         My setting use Multiple records so I wanted to make sure everything was in the right order.
    After I set the layout options and previewed I clicked ok and after a few minutes a new document was created with pages of the name tags and filled in information. However instead of using all of the different name and positions as it had shown in the preview it only repeated the same name and position for all 15 pages.
    My question is what steps can I take to makes sure all the names are used instead of getting 60 tags with the same name?

    I have done that with the same results.
    If it is helpful to note, it always chooses the 8th row and repeats that data. If I ask it only to insert specified rows and there are more than 8 it will take the 8th from that number. For example if I want it to insert rows 11-29 it will choose row 18 and repeat.

  • Data Merge then Split Documents

    Hey everyone,
    I'm using InDesign and Data Merge to create business cards for our printer, but we of course have the recepients proof them first.
    I was wondering if there was a way where after the Data Merge, I could separate every 2 pages into their own PDF (front and back of card).
    Even more awesome would be if the PDF filename could be "<<FirstName>><<LastName>>-BC-proof.pdf"

    in Acrobat X, there is a feature under the pages panel called split pages which lets users split a PDF into various sizes, whether it be based on amount of pages or file size.
    As for titling the PDFs appropriately, the above method won't do that, BUT i'm sure i've read about this somewhere before on this very forum. Do a search of this forum for Data Merge Split or something similar... if I find it I'll post it here.

  • Data Merge - preview work, not final ID file

    Hi I am working on ID CS3 (on-site at a client), I am setting up tradeshow badges 8 up on a page. Setting up a Multiple Record Layout.
    I have one place holder text frame (top left) on the master page, I have set up all my spacing so I have a total of 8 names/company per page.
    The preview looks great but when I run the merge the generated ID files has only one record per page in the position of the placeholder text frame.
    What am I missing!!!!  I use CS4 in my studio and I don't have this issue...

    I am going to check it on my studio system I have both CS3 and 4 loaded.
    You never know with on-site client equipment what has been updated and what as not.
    And as freelancers our contract states we are not to adjust any of the equipment we are working on... or install any software.
    So can't check for updates/software patches.
    I have gone over the document with a fine tooth comb...  and the preview of the merge is 100% correct. spacing, records fonts everything looks great.
    OMG I found it!!!  There is a box filled with a background colour on the master page because they want to have a green background with KO text.  That is what is doing it!!!!  I stripped everything out of the document. and it worked.
    The background colour has to be on text box area only!  The fact that the preview was working was throwing me.

  • CS3 hangs on multiple document data merge

    I am using data merge to create documents for high school graduation issues for two different high schools for the newspaper I work for.
    For each school, I have created a single document data merge to print proofs of the individual students. For the first and largest school,
    I've done a successful test run of a multiple document data merge of all the students. I then used the Excel .txt file from high school #1 to create the .txt file for high school #2. We have successfully done the individual data merges for proofs for each of the students in high school #2.
    However, when I try to run the multiple document data merge for high school #2, InDesign gives me the spinning wheel of death. Forever.
    I cand run or preview a single item, but it hangs up if I try to run them all or a range (even just 1-2).
    I am stumped as to why in what are basically the same documents one works and the other does not. Can anyone help?

    Brainstorming with a co-worker solved the problem. A graphic I was using was too large for InDesign to handle on the multiple document data merge. So I reducd the file size, and that did the trick.

  • Merging XML Data to make many documents

    Hello,
    Here's where I am at:
    I've used LifeCycle Designer to create a PDF with all the forms named. I have XML data for all my companys. The XML data merges into the document, and fills in the form perfectly.
    However, I'm looking to take this one step further, and automate the process. Meaning, Putting all the company data in one file, and importing the data to make PDF forms for each company.
    Similar to a mail merge. --Lots of different Companys, Fill in thier each individual page.
    What are the steps to do this?

    Yes.
    You can do one of the following:
    a) Build a custom application using the LiveCycle Forms api.
    b) Use the RenderForm QPAC within a workflow to convert the XML to a PDF.
    The RenderForm QPAC is a little obscure to use - read the documentation VERY carefully, and be very careful about the values you enter, otherwise it won't work. It does work perfectly if you get all the values right. In my experience, you do need to enter a username and password, even though these are not noted as mandatory fields.

  • Data Merge Multiple Records Per Page Greyed Out

    I am using InDesign cs5.5. I am attempting to create a catalog with the data merge option. I am attempting to do a data merge from the Master Page.
    As you can see in the image, I have inserted my fields from the data source file. All images, original file, and data source file are in the same folder. I am inserting this info on the left sheet of the master file. When I select "Create Merged Document" the "select multiple records per page" is greyed out, however, there is plenty of room on the page for the 8 records I want it to show. See image below.
    After watching tutorials, reading, etc. I made sure that my document does not have facing pages. I deleted my "page 2" to avoid that conflict. I made sure that the placeholder "allows overwrite from the master". I also deleted my "cache"/settings" by doing "ctrl, alt, shift" when reopening the program. I read that it may be because the files need to be on the right hand sheet of the master, however, when I move my info to the right sheet, I get the following message.
    I have watched the tutorial videos, read the entire help section regarding data merge, and have correctly created my data source file. I've tried everything I've seen on the forums, apart from uninstalling and reinstalling. Please tell me that someone can help me figure this out as soon as possible. I'm in crunch time!

    Thanks Peter. That helped me un-grey the multiple records. I was able to complete a data merge, however, this is what happens.
    As you can see in this image, I have the margins setup the way I prefer, and the data merge previews correctly.
    Once I click to merge, this is the new document I get - it's only putting one record per page (even though the multiple records per page is selected), and it inserts this layout, not onto actual pages in indesign. It looks reall odd.

    Any suggestions on fixing this?
    Also, my InDesign freezes up when I try and do a merge of my entire sheet (182 items). The images above are when I tested doing just records 1-32.

  • How can I utilize text variable in my book which only uses data merge on the first chapter?

    Hey ladies and gents, I'm trying to automate a process here and running into trouble. I have the first chapter of a book with several data merge fields (legal documents etc), and want the later chapters to pick up from what I have already merged via text variables or SOMETHING. From what I've tried, the options available to me are limited and buggy.
    Using the running header with character styles almost worked, but it removes all visual tracking in text around it (I assume this is a bug) and it only works for the first/last instance of the style. I need something that will fill in all instances.
    Here is an example of what I'm doing. In the ch1 document of my book I data merge the Name, Age and Occupation of a person. In chapter two I want to have a variable that takes the name that was merged in ch1. Any ideas? Doesn't seem possible!

    I need some solution that references live text, specifically different fields that have been data merged. This solution needs to work between documents, so your cross-reference suggestion was in the right direction. If I data merge 'Plan Name' from a CSV file into my first document and mark it with something (character style, paragraph style, text anchor etc), I want to have places in my other documents that pull that exact text from the first.
    If document 1 says 'the plan is XXXX', document 2 will copy that name, i.e. 'According to plan XXXX'. Whatever solution this is it's what I'm looking for.

    Setting the record number actually changes the field for single record but when I try to merge said number it does all the records. I am sure its an ordering thing but it is still causing some head scratches. You've all been really helpful with an area that doesnt seem to be detailed anywhere.

    Thanks, SRiegel, now that I’ve added the apostrophe in the title of the photo column, the Data Merge box DOES indicate photo. The problem is, when I do the Data Merge, it says the photos can’t be found. Here’s an example of how I have the photos listed:
    U:\MyPictures\employees3\smithjohn.psd

    Is that path correct? Can you place that image outside of data merge into another document, and doe it say that's the path?

    I am hoping someone can help me.  I have everything set to default but for some reason my Data Merge preview when turned on selects default as OFF the page (red boxes) and centered.
    Can someone help me figure out how to get them back to the page?

    OK here are my settings along with the template.  It is a label that is setup 6 up on a sheet.
    I did copy everything to a new template/file.

  • Inconsistent placement of anchored text frame in data merge document

    Just writing up this bug so that anyone else who encounters it can find out what's going on with less head-scratching.
    It seems that InDesign's data merge feature gets confused when there are anchored objects in a text frame that's anchored inside another text frame, which can result in:
    exported PDFs that don't match the InDesign preview when viewed in Acrobat (so, nasty surprises on some pages after exporting)
    InDesign previews that - bizarrely - show differently depending on whether you navigated to the preview by hitting the arrow keys in the Data Merge box or by entering a number.
    (sadly I can't provide a file for confidentiality reasons - but the problem point had multi-line data merge entries, a text frame that was anchored in another text frame of equal width, and anchored images and text frames in this anchored text frame)
    There were certain entires where, if I navigate to them in the preview using the 'next' and 'previous' keys, there was 4mm less space between the nested text frame and the previous line than if I navigate to it by entering the number. Exporting as a PDF through data merge used the variant with more space.
    Re-working the area in question so that the nested text frame wasn't needed seems to have removed the problem (but loses the ability to vertically align these elements in a fixed size frame that is in the text flow).

    You didn't say what version of ID, or whter a single or multiple record per page merge, but the Preview is known to be buggy for multiple records since CS5 and might be for single records as well.
    I have an annual directory that is built by data merge with one section in each listing as an anchored frame, and I've never had a problem, but it's not as complex as your description, nor do I ever merge to PDF (though I've heard here from several users that it's more reliable).
    One thing you might want to try is merging without the preview step, but do it from a "fresh" file by copying and pasting your placeholders into a new document. If the problem is with the preview it seems that it "infects" the file and even merging without touching the preview button may not work.

  • Extracting an image data merge field using only an indesign file and not document.dataMergeProperties.dataMergeFields

    I have kind of a weird requirement but I hope you guys can help out.
    I need to extract all the custom fields used in an indesign file without referencing the dataMergeProperties of a document. Sorry if this is a weird request it is just what I've been told (our system needs to not crash when people upload a variety of in design documents to generate high resolution jpg preview documents).
    I can already get all the text custom fields by looking for "<<" and ">>" in the text frames of a document but I'm having a really hard time finding the image custom fields.
    I tried looking at the rectangles for a given page but that didn't seem to help (but maybe i'm missing some there). I also tried looking at the graphics and images collection of a document but this seemed to return only graphics that are hard coded on the in design document and not the custom image fields.
    Any help would be appreciated!

    Found the answer after I realized I was looking at the wrong SDK (5.0 instead of 6.0)
    I'm using the doc.hyperlinkPageItemSources property to get these images. It also looks like you can get the image data merge fields from DataMergeImagePlaceholder (but rememeber I couldn't access this).

  • Check InDesign data merge template for errors without creating document?

    I've got a big InDesign template with hundreds of rows. Producing a full batch takes over an hour, and sometimes crashes. The deadline is fast approaching, and I'm waiting for the final minor amendments to the content spreadsheet, which could virtually land any minute.
    I want to check for overset text errors on the current sheet without creating a merged document or PDF, so I can get on with fixing any likely major problems before the final sheet arrives - but I don't want to create a full merged doc, because that will take a very long time and will that doc's content will be obsolete, whereas the overall length of the text will change very little.
    When you create a merged document, you have the option to turn "Generate overset text report" off. What I want to do, is ONLY generate the overset text report, without actually storing the merged document in memory.
    Is this possible?
    The closest I can see is click through the "Next" button in the Data Merge palette with Preview turned on, while watching the "No errors" preflight panel notification at the bottom of the screen. This is probably faster than creating a full merge, but still very slow.

    That is what Indesign does when it does a data merge, it creates copies of the document and there's no way to change this.  Have you tried exporting to PDF (In CS4 you can do this in one step from the original) and printing?  I've never had anyone confirm it definitively but I'm pretty sure that the PDF created will be an 'optimized' one, meaning that when it sends it off to a compatible printer the images will be sent once and cached, with only the text that changes being sent separately.
    Definitely worth comparing it to Publisher for speed anyway, Office programs can merge straight to the printer, but in effect they're doing the same thing.  There are programs out there for doing far fancier stuff than data merge, probably the best is XM Pie, but unless you've got a printer that recognises their language they're a waste of time in this circumstance anyway.
