Database Credentials When Scheduling Crystal Report

In our Crystal Reports 2008 server, each user has their database credentials populated in their user account on the Crystal Reports Server.
(in the area where is says "Enable Database Credentials").
For each of our reports, we have the option "Use SSO context for database logon" selected.
This causes the server to connect to the database using each user's database credentials when they run reports "on-demand".
However, these credentials do not automatically populate when they go to schedule a report.
Is there a way to get these credentials to populate the Database Login fields when scheduling reports to run?
It seems odd to me that it would use the credentials "on-demand", but not when setting up a scheduled report.
Any info would be appreciated.

What you describe is what we currently have setup.
The difference with what I'm asking is that each user's account has different database login credentials.
So when running "on-demand", it logs in using the credentials in their account settings.
But when running "scheduled" everyone logs into the database using the default account.
We have row-level security on the database (using Oracle VPD) to enforce security based on the user account that is logged into the database.
This means that when running the report scheduled, the security doesn't work because it doesn't populate the database credentials from the user's account.

    For security reason, we are try to hide the Database Logon option in Crystal Report Schedule page in InfoView.
    There is option in CMC which we can configure the default Database logon option so that users do not have to enter the logon everytime they view or schedule the report.  However, we are looking to hide this option completely.
    Does anyone know if there is a security setting which can hide the option from specific users?

    Hi Bobby,
    As Jorge informed that there is no method available within CMC to hide database logon option when scheduling or viewing a Crystal Report in the Info view. This is very much true.
    But as you also mentioned that you don't want your users to enter the database logon credentials evertime they view or schedule a crystal report, there is one setting in CMC which we can do to avoid prompt for database logon credentials.
    CMC - Home - Go to that specific crystal report - Click Process tab - Click the sub-tab 'Database' and at the bottom of the page there is an option "Use same database logon as when report is run". Check this option after providing the database credentials and click UPDATE.
    Now whenever users try to view or schedule this specifc crystal report they won't be prompted for the database logon credentials.

  • Unable to Schedule Crystal reports 2008 based on MSAS 2000

    Hi,
       I created Crystal Report 2008 (XI R 3.1 SP3 FP 3.2) on Cube MSAS 2000 SP4. I do not see any option to configure database credentials. While creating report in the wizard I did not enter any User name and Password Info (I have admin credentials to Cube but when I give these credentials and try to create report, CR designer hangs, not sure why?). The idea is to pick cube level security for the user who is trying to view / refesh the report.
    Could you please help: 1. To configure Database info in CMC
                                           2. To implement cube level security to these crystal reports.

  • Can not view/schedule Crystal Reports in new BOE XI 3.0 Installation

    Hello,
    I'm having an issue on a brand new installation of BusinessObjects XI 3.0 on AIX 5.2 (using WebSphere 6.0). Installation went smoothly and migration went fine. Can log in, pull up CMC, InfoView (all other apps). But scheduled Crystal Reports (as well as viewing Crystal Report thru InfoView) are failing with the following errors (which to me seem interrelated):
    *(1) Error in File ~cec0c55d91e0e015.rpt: The request could not be submitted for background processing*
    *(2) Error in Report XXX: Failed to load database information*
    *(3) An error occurred while creating a subprocess in the processing server. [RCIRAS0604]*
    These three errors indicate to me that the report engines are having issues opening the files, pulling the data and generating the reports. We've checked to make sure that the account that BOE is running under has all the permissions it needs - and it has.
    I just turned on tracing (-trace) on the report job processing servers and I'm watching the logs as I retrace my steps...
    Any ideas? Would appreciate any feedback...

    Turns out this is a pretty nasty issue on Unix environments. Being that the BOE application is developed on Windows then ported to Unix environments, the services (daemons) still end up depending on an emulated registry (MainWin) sort of like in a Windows environment.
    For some reason (we're still trying to figure this out), the BOE registry entries got corrupted and then started preventing the processing servers (which in the case of CR ultimately depend on  CRPE - Crystal Reports Print Engine) from opening up and processing CR files.
    We engaged BusinessObjects/SAP support and have been able to resolve this issue on our test AIX system. The resolution included deleting all the mainwin (mw) tmp directories and files in the root temp directory and also in the
    /bobje/enterprise120/aix_rs6000/crpe>
    directory. Then we stopped all BOE services and reran the MW script to regenerate registry entries. This repair was a pretty intricate multi-step process. The SAP Technical Rep who worked on this case is writing a knowledge base article (an SAP note). Once I get details, I'll update this post.
    The good news about this issue is that the upcoming SP1 of XI 3.0 removes the dependency on the mw registries...

    This is because Crystal Reports does not recognize database connection from share drive
    1. Save the database locally on server machine
    2. Create a new database on server and link the new database with the database on Network.
    Steps to link the database.
    1.Create a new test database on server.
    2. Go to File --> Get External Data --> Link tables | Select the database on Network Drive.
    3. Select all the tables from the database.
    4. Save the Database  e.g. Test.mdb.
    5. Create an ODBC Connection on server machine, with the same name as on client machine using test.mdb database.
    Note: Click on Advanced button, enter the default user id and password for the odbc connection, it is not mandatory to give Login Name and Password, only if the user id and password are given then we need to provide the same user id and password in the CMC database configuration.
    6. Create a report using this ODBC connection, and save the report to Enterprise.

           I have scheduled a crystal reprt which is published in BO Enterprise. I have scheduled such that it should run right now. when i choose schedule, in the History screen of that particular Report Document, it  is showing the status as Failed.
           I cecked the Instance Details of that particular instance in History Screen, it is giving me this error message:
    " Error in File ~tmp1f905fddf0fb274.rpt: Unable to connect: incorrect log on parameters ".
           I have choose ' set to null ' to all parameters in the Parameteers Screnn while scheduling, as all the parameters are optional.
    Please suggest how to go ahead with this error. I am new to BO Enterprise, I have to schedule crystal report in the Enterprise.

  • Controlling Access to Certain Reports When Using Crystal Reports Server

    Hi,
    I was wondering exactly how security is managed when using Crystal Reports Server?  Do you assign rights to individual reports via user ids in Active Directory?  Or what exactly is used for user authentication?  Is it possible to create local accounts?  Thanks.

    Usually access is controlled by permissions which are set in the CMC (BO web admin tool). You can map 3rd party groups from AD or LDAP and then assign permissions to those groups or set up security with built in enterprise groups as well. You may elect to use any combination of the above. For more complex security models there can use database and row level security built into our meta layers called business views and universes.

  • Login error with report viewer when opening Crystal report with subreport

    Hi
    I have a problem with a login error (database vendor code 18456) when I try to open a crystal report to view it.
    The report uses data from an external payroll database but I'm running it via our Accounts system (it's a convenient front end for users to run the report from). This works fine for another report that doesn't have any subreports. However when I run the Crystal report that has subreports, the report generation process works but when the crystal reports viewer tries to open the report I get the login error. It doesn't seem to be passing the login details for the payroll database down to the subreport.
    I'm using Crystal Reports version 11.0.0.1282. The Accounts system is Technology One. Tech One have provided a report template that has several formulas designed to allow Tech One to play nicely with Crystal. One of these formulas allows me to enter the nickname of the external database that the report needs to use. The external database's connection details are fully specified in the Tech One configuration section (server console). So in this case the report says use database U1 & the server console identifies U1 as being the payroll database, specifies the connection path  & has the username & password required to logon to the payroll database/server.
    The report is running ok & retrieving data, but for some reason the viewer is erroring. If anyone has any ideas for how I can get the login details used to run the main report to flow through to the subreport it would be much appreciated.

    I understand your  frustration. We can do a few things. But really, it should be Technology One contacting us. To use an analogy (which you are free to share with Technology One). They built a car and sealed the hood. You bought the car, but he engine does not quite run as it should. You bring the car to the mechanic and all he can do is look at the car as he can not even open the hood.
    In any case, here is what I would do if I could open the hood (e.g.; if I was dealing with Technology One):
    1) Look up database vendor code 18456. This is simply the error our print engine is receiving from the database client and it simply passes it through relatively unhandled. This you should be able to do your self or ask Technology One to tell you what that means.
    2) Break out the subreport and see if it runs on it's own in the application (if this is a permissions issue - which I doubt -  it should come up here too). Unfortunately, this is for Technology One to do...
    3) Run the report (with the subreport) in the CR designer. Does it work there? If this is a win app and it works, we again eliminated permission issues. And we also confirmed that the report is good. Again, Technology One should do this for you.
    BTW.; CR 11.0 is out of support - not sure if you or Technology One are aware of this...
    4) Can the developer duplicate the issue on his development computer?
    Now, there are couple of instances where you say something like; "the report works and gets data, but the viewer errors out":

    How do you know the report is retrieving data? From the error I would say the report never connects, thus the error / request for a logon...
    So, the short of all of this is; get Technology One to contact us. They can do it over the forums or obtain a phone case here;

    Now, here is a warning. As CR 11.0 is out of support Technology One will have to upgrade to CR 11.5, before that can create a phone case, which for them and you brings up another bunch of issues...
    If you do not get any joy from the support person at you are talking to at Technology One, get him to escalate the issue. They are the ones that should be talking to us...

    Thank you for your response. I have installed SP3 and ProcMon and still the same result.
    I applied a filter on ProcMon to filter out items where the path contains 'export'.
    There are a few items where the result is 'NAME NOT FOUND' but I don't think it necessarly had anything to do with the barcode. These include items such as 'EXPORT\MailDestType','EXPORT\DisableExportLiveOfficeSupport'','EXPORT\ExportDirectory' to name a few.
    What drew my attention was the ACCESS DENIED result on specifically the EXPORT\PDF folders. The detail for these are  Desired Access : All access, however the very same entry appears a little futher on as a SUCCESS but this is detailed as Desired Access: Query Value.
    So in summary it looks something like this:
    User : Server\XXX
    Operation : RegOpenKey
    Path : HKU\.DEFAULT\Software\Business Objects\Suite 12.0\Crystal Reports\Export\Pdf
    Result : ACCESS DENIED
    Desired Access : All Access
    User : Server\XXX
    Operation : RegOpenKey
    Path : HKU\.DEFAULT\Software\Business Objects\Suite 12.0\Crystal Reports\Export\Pdf
    Result : SUCCESS
    Desired Access : Query Value
    There are a few other entries that follow this pattern that exists in other locations such as HKLM\Software...
    Could this 'ACCESS DENIED' be the problem? and If so how do I, and should I give user XXX this ALL Access its looking for.

  • Scheduling Crystal Report to fax

    Hello,
    We have a requirement to schedule the Crystal Report to fax through Crystal Report Server 2008.
    We use rightfax server with email gateway configured to SMPT server to send fax as email . In order to send fax as email right fax server uses addressing scheme like below for email address.
    /fax= <fax Number>/<domain name)
    /fax = 610666666/<arightfax(at)xyz.com>
    In Crystal Report Server, I scheduled  crystal report with destination as email and for " To field :" entered email address following above addressing scheme.  But crystal report server does not recognize above addressing scheme as email address and job fails.  Please advice if there is any way to resolve this or achieve my requirement through Crystal Report server.

    WebI does not return failed when scheduling a report which only holds partial results.
    We have scheduled reports which take some time to run. When they are scheduled they sometimes show successful even though the report only holds partial results. The only indication is when you open the report as webi report you see the warning that it holds partial results.
    When running the report manually, it works file.
    The issue is not in the no of rows in the universe settings because we this unselected. The issue is that it times out.
    The reason that it times out is that a lot of resources are used for loading and processing data when the report is scheduled. When running it manually, it works because at this time the serverload is less. the time in the universe is set to 10 min.
    The version we have is BOXIR2-SP4.
    Ok. Issue identified.
    The question is - why is the report successful when it holds partial results? If this is normal behavior, noone can really trust the scheduled reports, especially when you save it to excel and send it by mail.
    Is there a solution for this except increasing the allowed query time which would not solve the issu but only allow more reports to complete?

    Currently this problem exists in XI R2. This feature will be part of thenext Service Pack i.e XI R2 SP6.
    This CER will be delivered from IDC Webi and BIP Platform as part of Jupiter Sp6.
    Problem Statement:
         Scheduled WebI Reports which are partially refreshed are distributed to the destinations for Users to View and make decisions. These users arenu2019t usually aware that these reports have u201CPARTIAL RESULTSu201D
    Recomended Solution:
        Allow the Schedule Creator / Modifier to set a parameter to stop the distribution of the u201CPARTIALLY REFRESHEDu201D WebI report.

    We are using a web application developed in VS 2005, .NET 2.0 with the bundled Crystal Reports version 10.2.3600.0 running on a Windows 2003 Standard server with 4GB Ram and Dual CPU's. Periodically we are still receiving the following error in our production environment:
    InnerException:
    The process cannot access the file because it is being used by another process.
       at CrystalDecisions.ReportAppServer.Controllers.ReportSourceClass.Export(ExportOptions pExportOptions, RequestContext pRequestContext)
       at CrystalDecisions.ReportSource.EromReportSourceBase.ExportToStream(ExportRequestContext reqContext)
       at CrystalDecisions.CrystalReports.Engine.FormatEngine.ExportToStream(ExportRequestContext reqContext)
       at CrystalDecisions.CrystalReports.Engine.ReportDocument.ExportToStream(ExportOptions options)
       at CrystalDecisions.CrystalReports.Engine.ReportDocument.ExportToStream(ExportFormatType formatType)
    This is occuring at the point on the code where the report is being exported to a PDF. Exporting the report to Excel does not appear to cause the error.

The report limit has not been changed from the standard of 75 jobs.  Reviewed the following document, Re: "The process cannot access the file ..." occurs when export crystal report However this applies to VS 2008. Any suggestions to resolve the issue would be greatly appreciated.

    To answer your questions:
    Is it correct to presume that the physical number of CPU's is not factored into the CPL? So that a Server with 2 or more processors does not increase the 3 concurrent requests? Therefore 2 CPU's would not increase the CPL limit to 6 processes?
    - Server with 2 or more processors does not increase the 3 concurrent requests.
    What would be an alternate solution to this limit be, considering the report requests could increase significantly?
    - Only way around this would be to web farm the solution
    If only only 3 reports can be processed at the same time. If one or more of the reports currently processing is taking longer due to receiving large amounts of data, how does that affect the queue? And what is stored in the queue, data and/or the report? Is this something that could consume memory?
    - The report can take as much time as it needs. The result is that one license will not be released until the report is done. There is no data stored, just a pointer to the report. However queued apps will chew up memory, some times to the point of the server becoming unresponsive
    I have read in the documentation on this site, that the dataset sent to the engine is copied in memory during report construction. So if a large amount of data is requested for a report (as an example 10+ MB) Could enough users requesting reports drive the memory up because memory usage doubled due to the dataset?
