Defining metadata at the folder level.

We are migrating from Content DB to Webcenter Content 11.1.1.7, using FrameworkFolders.
Our old Content Management solution (Content DB), allowed us to define metadata on a folder level. For example a group of metadata (a category in Content DB) could be defined and applied to a specific folder. When documents are uploaded, the server enforces the metadata to be populated for all documents uploaded to that folder and all child folders.
Webcenter Content seems to behave quite differently. From what I can tell, this is set up in the "Configuration Manager" Admin applet. Metadata fields are defined in the "Information Fields" tab. Sets of fields are defined as a "Rule". Roles are enforced on uploaded content through "Profiles". A given profile is enforced by the user of a "Trigger". The trigger is specified to look at a specific field, which is global to everything on the server. Having the trigger field be global seems to be very restrictive. We will have several different systems storing content on the server. Isn't this a big limitation of the product?
How can create a rule to enforce metadata to be populated for all content that is uploaded to a folder?

I'd say the answer is: create a folder and assign it a set of metadata (and inherit, if you will).
I don't think WebCenter Content, or UCM, has a concept equal to the mentioned category as described; i.e. an object that represents a metadata settings that can be assigned to 'something'. There are, however, many concepts that are close:
- rules/profiles mentioned in the initial posts - a profile (consisting of rules) may correlate to a "content type". It defines what fields make sense for this particular content item, what is required, default, etc. (relationship between fields). The caveat is that profiles define actually just how content items behave in the GUI; (global) rules can enhance also back-end processing (e.g. fill in an automated contentID identifier, if missing), but in reality they don't define data model
- folders - folders help to define hierarchy on items. As Srinath explained, we can also benefit from propagation of metadata, or inheritance. This is probably the closest concept to the Content DB category, but the holder is not the category, but the folder itself. Keep also in mind that folder is an optional parameter, and metadata inherited from a folder can be overriden for both items and folders
- in URM, where the categorization is more strict is another hierarchical structure; retention category (which can be assigned other settings, esp. disposition rules, and which can contain retention folders)
- yet, another concept that might be useful in some use cases are folios; a folio is an item (XML-file) that has its own metadata, and can reference other content items. However, operations on a folio item OOTB does not affect contained content items, and a content item can be referenced by several folios.
Finally, if no standard concept helps, you may always create your own customization via filters. A filter is a Java piece of code, which can be "hooked" to standard events (like "uploading a file", or check-in as it is called in UCM) and which can do whatever validation you like. For instance, I created a component which checks that an assigned quota on a folder to which an item is uploaded is not exceeded.
I assume that for your use case, you might be good to go with a combination of folders and profiles (a profile setting can also be assigned to a folder as default metadata). Let us know if you get stuck.

    This is my first post to this community. I would not be surprised if the answer to my question can be found in a simple search or tutorial. However, I assure you that I have been searching, clicking, reading and even attempting to install new software all morning and have only succeeded in further confusing myself.
    I'm running Adobe Acrobat X Standard on a Windows 7 machine. My job includes the management of legal documents of conveyance. All conveyance instruments have a set of unique identifiers such as the county where the deed was filed, the book and page where it is filed, the type of instrument, and the date it was filed. Historically I have tried to jam all of this information and more into the file name of a pdf. For example: "105_Bk109-Pg188_Assignment_05251950" is the name of a file that I have open right now that indicates an Assignment filed in Crockett County, Texas (code 105) at Book 109, Page 188 and recorded on May 25, 1950. I typically work in folders that contain around a hundred similar documents with all of the fields I have described varying. My objective is to begin moving this information into the metadata or properties of the individual PDFs AND then be able to view those fields in Windows Explorer from the folder level. As I understand it, this is not possible. When I began searching for an alternative solution, I found several references to Adobe Bridge and attempted to install it. The installation failed, but more importantly I am not interested in becoming a CC user as I don't feel like it is necessary for what I am trying to accomplish. I'm not working with HD photos or video.
    So my question is this: Is there a way (that doesn't involve purchasing and learning Adobe Bridge) that I can modify the attributes/metadata/properties of a pdf, and then see the modifications in a folder viewer without opening the pdf? Thanks in advance for your help.

    Thanks for responding. I suspected that my understanding of metadata was incomplete or inaccurate. As I understand it, the metadata for any given pdf can be found by first opening the pdf; clicking File -> Properties, which opens a dialog box titled "Document Properties". The first tab in the dialog box is "Description" and includes the fields File, Title, Author, Subject, and Keywords. The values for these fields are what I'm referring to as metadata. Additionally, from the Document Properties dialog box, clicking on the "Custom" tab allows you to create custom properties and values, which I also considered to be metadata. I have manipulated these fields for a certain pdf as shown in the two screenshots below:
    After making this changes, I saved the pdf and closed it. I then navigated to the folder where the pdf is stored using Windows Explorer. As you can in the following screen shot of WE, that the pdf I have made the changes to is the first in the list. The Windows Explorer columns include: Title, Pages, Author, and Subjects, but their values are all blank and fail to show what I have assigned them in the PDF properties (or what I thought was metadata). As for my custom fields, Windows does not give me any kind of option to display those. Windows inability to display something as simple as the number of pages in the PDF is completely baffling to me.
    My objective is to be able to modify the standard document properties of a PDF with usable information, those being Title , Author, Subject, and Keywords. I would also like to be able to create the custom properties with additional useful information. I would then like to be able to use a file manager, to view the contents of a folder full of pdfs, similar to the screenshot above, and see the properties and custom field values that i have assigned to the pdfs in columns of the list of pdfs. Windows Explorer is the only file manager I have ever used. It's possible that the solution to my problem could be as simple as changing file managers. It may be that what I'm after is not possible at. Any suggestions would be greatly appreciated. Thanks.

    Is there a way to disable this feature, so that one would only see the current folder's children, and then you need to click on a specific child/node/sub folder to see its children and so on.
    I would like to remove this default behavior of displaying the children of all the subfolders while you are in a specific folder.

    go the layout tab, select the "Sub Folder" region and set the folder level display setting.
    By default, it is set to "2".
    Keep in the mind that this will no only the current folder, but all other folders attached to this style.

    No matter how much I try, as soon as I define a text box as a placeholder, I cannot find a way to define the multiple levels, like those existing in a Body text.
    I try to change the indent level, but that doesn't allow me to say that one level is bold and one is plain, or that before paragraph spacing is different.
    It looks like that, as soon as I define it as a placeholder, the entire text inside becomes a single paragraph.

    The folder I have may be a contribution folder or a collab project folder.
    But I would like to populate the metadata of the content automatically when the content is dropped into a folder using the desktop integrator.

    Yes Leo, that's correct, all documents inheriting the metadata of the folder and the option to propagate changes to documents and sub-folders is out-of-the-box functionality.
    Just create a folder and set the metadata fields you want, then add some documents via the desktop integartion or simply via webdav (you can map ucm as a web folder in windows explorer without having to install the UCM desktop integration).. all the document should have the folder's metadata by default.
    Give it a try and let me know how you go.

  • Can I set sidekick's Allowed Components for a parsys at the Template level?

    The components page section on parsys[1] explains that you can set the sidekick's Allowed Components for a parsys by clicking Design Mode (ruler icon) in sidekick, then clicking Edit on the parsys and putting a checkmark on the components you want.  We are defining templates for our authoring users and I don't want them to have to go through that effort for every page.  I want to define something at the Template level which specifies the Allowed Components so that the user can use WCM New Page and the parsys on the page will already be set up right.  How do I do this?
    Our template has sling:resourceType=/apps/hello/components/ourpage, and ourpage has a JSP which specifies:
        <cq:include path="par" resourceType="hello/components/ourparsys"/>
    We just copied ourparsys from the foundation parsys.  Inside it has a design_dialog, which I double-clicked in CRXDE Lite and I see the Design View ("Edit Component," "ParSys (Design)").  I put a checkmark on one of the Allowed Components, clicked Save, but the checkmark was not saved.  When I closed this view and double-clicked the design_dialog again, the checkmark was gone, and when I went to WCM Websites and made a New Page from our template the sidekick still did not show our desired component.
    So please advise, is there any way to set Allowed Components so it will take effect on all New Page webpages made from a given template?

    Thanks, I was expecting to define this on the Template but you are completely right, it is the Designer in /etc/designs.  One thing I noticed that I want to point out to people is that when I edit a New Page instance in Design View, click Edit on a par, that it does in fact create this property "components" on the par inside /etc/designs/ourdesign, but it uses type String instead of String[] Multi.  So I deleted the scalar "components" and remade a new array "components" property with String[] Multi.

    Hi Gurus,
    I created a folder level JS, it works fine on all computer here exept on one. On one computer, the javascript's in the pdf are working but the function called in the folder level script is not executed. (when it works on all the others). The script is in the right folder and the pdf works on other computers. Do I have to enable something in the preferences of acrobat reader 9.1. I checked the settings for JS in edit/preference and they are the same as for the others.

    All the script does it to generate a mail with the mailto function. The Preferences-JavaScript are set as on my pc. So it must be something else. If I email the pdf to my pc, it works, so the pdf form is fine, the script is the same as on my pc.

  • Selecting the Planning Level for Statistical Forecast in S&OP on HANA

    Hello together,
    we currently face an issue regarding the statistical forecast in S&OP on HANA:
    The customer wants to implement an S&OP process containing the two steps statistical forecast (automatically calculated) and sales forecast (manually determined). The planning level of the statistical forecast should be higher than the planning level of the sales forecast, i.e. the statistical forecast is calculated on a higher planning level and then disaggregated to be an input for the manually determined sales forecast.
    Since it doesn't seem to be possible to disaggregate any key figure below its base planning level we need to have the lower sales planning level as base planning level in all key figures, including the input and output key figures of the statistical forecast.
    When running a statistical forecast with a defined forecasting profile, the planning level used for the forecast seems to be the base planning level of the input/output key figures defined in the forecasting profile.
    However, we need to define a higher planning level for the statistical forecast in order to have a better data base for recognizing trends and sesonality. In APO DP it is possible to define the planning level for the forecast when running/scheduling the forecasting job. Is this also possible in S&OP on HANA? Can we define the planning level for the forecast in the forecasting profile or when running the forecast from the Excel AddIn? I tried to use the field "Filter" in the forecasting profile as it listed all the planning levels (as well as a lot of other things, we don't know where they come from), but the forecast was still carried out on the base planning level.
    Do you have any other idea where to define the forecasting planning level that is different from the base planning level of the input/output key figures?

    However, I don't really get how the disaggregation is meant to work; the suggestion seems to be to calculate a forecast on an aggregated level, i.e. with input and output key figure with an aggregated base planning level, and then disaggregate it "somehow".
    Do you have any idea how this disaggregation might work and what other steps I have to consider?
    It seems as if I'd have to define a whole bunch of new key figures and have more than one output key figure but no input key figure for the statistical forecast, which doesn't make sense in my eyes.
    Actually I was looking for a solution where I can define my forecasting profile with both input and output key figure on the lower planning level and then insert the level I want the forecast to be done at either in the profile as well, or even more flexible when running or scheduling a forecast. Defining more key figures any time I need another forecasting level does not appear very comfortable. Is it meant to be like that or is there another way to reach the goal mentioned above?

    If you are mass updating the content location, you need to inspect the following three tables in the ILEARN schema.
    Table Columns Description
    content_server host, physical_directory Content Server Definition
    rco starting_url Self Explanatory
    host_adapter adapter_path CMI Adapter
    You might not have to change all of them, if you are only changing the path and not the host.

  • Import Text Data to text fields with folder level script

    I am using Adobe 9 professional and have a folder level javascript to import text into existing fields of a pdf.
    There are multiple fields with multiple rows of data to be imported.
    The folder level script is not working (but there are no errors in the console showing when run)
    I have manually tested opening the text file with the following code in the console and the text file opens and populates the text fields, so the text file must be correct:

    Running SP2013 Foundation. My users interact by uploading documents to personal folders within a document library, selecting the type of document they have uploaded via a lookup column and SP list. I have two levels of view in my library, a top level view
    and an in-folder view which contains the metadata and standard document information like version and modified date etc.
    Currently I am able to count the total number of documents that have been uploaded of a particular document type against my document type list, but I would also like to include folder along with document type to thoroughly track document returns by folder
    name. The desired output being a list with a count of document type uploaded by folder name.
    I have tried creating an associated user column at the top level view and also uploading an associated user and folder name list.
    Is this possible and how would I go about this?

    My requirement is I have to group and show the folder metadata for folder creation, updating and information based on profile.
    Suppose If I want to create, update and information a HR folder that time I have to show only HR metadata
    If I want to create, update and information a FINANCE folder that time I have to show only FINANCE metadata
    If I want to create, update and information a standard folder that time I have to show only standard metadata
    Example
    Someone accessing a ‘standard’ folder would not see the HR group of metadata fields; instead they should just see the ‘standard’ profile metadata fields for said folder. Conversely, when someone is accessing a ‘HR’ folder, they should see the ‘HR document’ metadata profile for that folder.
    Please help me is there any way which can I approach this by through configuration.

    I checked the standard behaviour. When I create few profiles I am able to choose the profile I want while creating a new folder (there is an option Switch Profile).
    Therefore, the only thing that remains is auto-select the profile you want to use. Note that profiles by default are selected by the Trigger Field (configured in Configuration Manager). This means you need to combine requirements you have for your folders and for your content items. This can be quite challenging. However, you can also 'Use rule activation condition', which is assigned to rules contained in the profile. There, you can work with any metadata and other system variables (like checkin vs. search defined in dpAction - see this link for further details: Value of dpAction
    In your case, you could use folder name, or create a surrogate metadata field containing list of values and use it.
