I want to know why document types are used and what is thier significance .Kindly explain

Sales document can have many different document types.  Each document type have its own usage..
Some commonly used document type are:-
OR - Standard Order
RE -  Returns
FD - Delivery Free of Charge
Different Sales Document type have different control parameters.
For e.g. Document type ZOWN :-
General control :-
Check Division -
Blank -> no checks
       1 -> Dialog to inform user that the division is different from material master
       2 -> Error when division is different from material master
Shipping
Immediate Delivery
Blank -> Create delivery separately
       1 -> Create delivery immediately when sales order is save
       2 -> Create delivery if quantity can be confirmed to day
Maintain Sales Document Type
Transaction VOV8 - Double click on the document type to check the configuration.
Some configurations you can specify:-
Check credit limit
Define the default Delivery type
Define the default Billing type
Block the Document Type from being used etc.
Hope this will help you in understanding the concept of document types

    Hi,
    Hope you have maintained u2018Delivery relevant billing type F2u2019 and u2018Order relevant billing type F1u2019 in the billing tab of the Sales document type in VOV8.
    If you create delivery related billing, the system will pick F2. This is controlled in Item category (VOV7). Billing relevance in Business data of Item category decides whether this is delivery related or order related. u2018Au2019 for delivery related billing; u2018Bu2019 for order related billing and so on.
    Item category is determined by this combination: Sales document type + Item cat group + usage + higher level item cat.

    Hi,
    If you don't want to see the SAP Standard PO Document Types in Search Help of ME21N or any other Transaction then the only option is to delete these document types from config. (Path: - SPRO > MM > Purchasing > Purchase Order > Define Document Types).
    But it is not recommended to delete the SAP Standard PO Document Types since in future if you want to create any new PO document type then you need to by copying SAP Standard PO Document Types.
    It is suggested to control the usage of SAP Standard PO Document Types by Authorization using Authorization Object M_BEST_BSA (Take help of BASIS Consultant). By this SAP Standard PO Document Types will be visible in the search help but user will not be able to use these.

  • Content Server Report- Document types with file sizes & Status history

    We are about to start with implementing Seal Systems, however we are a global company with to start with 4 content servers in different regions of the world. In order to determine bandwidth for future strategies, I need to know what is stored on each content server in terms of document types, type file and size of files attached to each document type and of course date created and status changes  of each document.
    In addition we are of course contemplating usage of SAP Cache servers, not only for better responses, but also for backup purposes.
    What we are using is SAP ECC 6 with the content servers using MAX DB. I have contemplated creating a Z program in order to return only the required information for import in Excel where I can then manipulate the returned result to a report which fits us.
    But before I start with this, does anyone know of any report or tools just to do that within SAP? I have seen these capabilities in other PLM solutions.
    I would appreciate any feedback in this regard

    Hi Joe,
    maybe transaction DB20 could help you here.
    From DMS side tables DMS_PHIO2FILE and DMS_PH_CD1 are most relevant for original data stored in Content Server.
    Regarding the changes of documents report MCDOKABL will show you all the changes done for a specific document.
    For maintaining and monitoring content repositories please see transaction CSADMIN.

  • Document Type Configuration question

    Hi,
    What does Condition type Line Items (Condition type for copying costs from line items) mean in a sales document type configuration.I am not clear even after reading the F1 help on this field.
    I know that it has something to do with the pricing condition types EK01 and EK02 but still am not able to relate it completely with business point of view.
    I know the differences between EK01 and EK02 and am also aware of the concept but I want to know the usage of giving picing Condition type at document type level.
    It can come directly from the Pricing procedure then why do we give here?

    Laxmi or Bala or Venkat..Anybody can reply if they have some suggestions?

  • Create new PR document type

    Hi all,
    I have a requirement to create new PR document type and replace existing PR document type.
    What are the pre-requistes for replacing the existing document type?
    How will it impact on business process?

    Create new document type copying existing one but dont delete the existing doc type as it will affect the old PRs.
    To stop usage of existing doc type you can remove its number range assignment so that no new PR will be created using that doc type.
    For new doc type you have to assign number range.
    Assign field selection key.
    If you have used doc type as characteristics in release strategy then maintain new doc type in release startegy.
    Also check whether the new doc type is linked to purchasing doc types such as PO/RFQ/Contract.
    If you have activated version management for PR then maintain new doc type in version management.
    Hope this clears.

  • Using a existing Document type for a new requirement.

    Hi Gurus,
    I have a Sales Documnent type ZOR which was earlier used and now this not being used any more.
    If we start using  the same document type again after changing the description will it have any negative Implications?
    Will any reporting or financial posting or Audit issue occur as we use the existing document type with a new desciption for a new requirement.

    1. First you will have to decide that the document you have created for a business process is going to be reappear in future. if not then you can change the document description and reuse it.
    2. Within the document type take care of no. range assignement, Pricing date and billing documents you have assigned (Delivery related or order related)
    3. Item category usage, you would have assigned an item category for this document type check the item category assignement when you are using it for new process relook into into item category details screen. Check even Schedule line category details and its assignement
    4. Check Copy controls once again (Delivery related or order related).
    5. Check the Delivery and billing documents associated with it.
    6. Check its assignement to a specific sales area if configured else OK

  • Document types irrelevant to WF

    Hi all,
    I'm working on different WFs about FIPP object and I need workflow functionalities only for some document types (e.g. CA, TX, KR).
    In customizing (SPRO,Finance) I have set the "Posting Release" flag and it triggers the FIPP.created event, but I don't want the "Release necessary" flag in Workflow tab (in the document) to be set since it disables the posting function. Even if I have developed a custom WF with the FIPP.WFReleaseReset method (and a start condition), the Post command is still disabled as if workflow functionalities continue to be enabled.
    I'd like to avoid completely the workflow tab in the document for these types, but I don't know if it's possible.
    There are no OSS notes about it.
    Can you please help me to solve this issue?

    Angelo,
    Instead of setting the "Posting Release" flag, you can use Business Transaction Events (BTE) to trigger the events for the FIPP object. Please search this forum as well as SAP-WUG forum (read the sticky at the top of this forum by Alan) for BTE usage. Depending on your SAP Version, you can either use Start Conditions or Check Function Modules for starting the WF based on document type.

    These are various types of document types available in SAP, here are the uses for each document type and by uses you can differentiate each one,
    1 - Report Template - It defines the layout for all the reports.
    2 - Report               - These are the generated reports which uses report template as basis with all the SAP-EH&S data.
    3 - Ship-To Report -  These are the final released reports with all other SAP data(logistics data) other than EHS data, these are sent to the customers.
    4 - Cover Sheet Template - layout for creating accompanying letters which are sen along with the reports(MSDS).

    FO - Frame work order Document type is a standard document type , which is used for Blanket Purchases, Purchase of services.
    The FO document type has a Validity Start & End date feature whcih is not in the NB document type(You can get the same in NB also after cusotmization)
    Services & limits are also presnet. The FO document type is limited to usage for Iterm categories
         Standard
    B     Limit
    D     Service
    All these can be made for NB also, but only after customizing.

  • Can we delete a document type?

    Dear All,
    I created a document type supposedly to be used in a One-sided reclassifcation.
    But, i understood that, one-sided reclassification will not post a document.
    (I have configured this long back & i believe that it did not allow me to create the One-sided recalssification task without creating the document type. But, i m not sure of this).
    Now - if i try to delete this document type - system will not allow me.
    It gives an error message as
    If you want to delete Document Type R1, you must first change Cons of Investments C1 so that Document Type R1 is no longer used.
    Note that further uses of Document Type R1 may exist. That is, after you have changed Cons of Investments C1, the system may display yet another usage the next time you attempt the deletion. Hence, make sure you eliminate all uses of Document Type R1.
    In my system there is no C1 in Consolidation of Investments.
    Is this C1 a special version?
    I searched in special versions - but could not make any sense there.
    Any clues on how to go about this?

    There is no task or method with the name C1.

    Yeah, i did this before.
    Here is what i got:
    Master data Characterisitics: 1 use (this is a folder icon)
       Cons of Investments Charact Values: 1 use (this is a folder icon)
           Characteristic C1 (this is a charcteristic - adjacent to this there is a button to change it)
    When i click the change button, I get a message
    No maintenance screen exists for the object
    Diagnosis
    Using the where-used list, you found a data record that is version-dependent. The data record belongs to special version type Consolidation of Investments and special version 100.
    Procedure
    If you want to display or change the data record in the Workbench, you should check the parameters to see if a version combination belonging to special version type Consolidation of Investments and special version 100 has been specified.
    If this is not the case, change the parameters before you change the data record.
    Re: "If the document type is not assigned to a task in any version it cannot be used and may not need to be deleted".
    But we dont want to keep the unused doc type's  :'(

    For case A, create insp plan with usage "1- production" If you have one IP with this usage for given material then system will assign Plan to lot automatically. In your case for second plan update usage as 1.
    For case B, system should assign 1st plan make sure for both plan udage is correct. for 1st plan usage should be 5 while 2nd plan usage should be 1. Now if your 1st have status 4 and key date before lot date then system will assign plan auto.

    I could not find the "tolerance" described by you. Please read:
    Delivery block (document header)
    Indicates if an entire sales document (a sales order, for example) is blocked for delivery.
    Procedure
    The system can propose the delivery block indicator according to sales document type. You can also enter a block manually in the header. A block in the header applies to the entire document. If you want to block one or more specific items, you can enter the block at item level.
    The delivery block at header level is only effective if this block is assigned to the corresponding delivery type in the Customzing table (TVLSP). Regardless of the settings in Customizing, the delivery block is always effective at schedule line level.
    Example
    You can block delivery automatically for certain sales document types (for example, free of charge deliveries) where it is important that someone checks the details before shipping takes place.
    Dependencies
    If you use a credit limit check, the system can automatically block delivery. You can change this block. However, as soon as you change any of the values in the sales document, the system automatically reapplies the delivery block.
    So, in abstract, the whole document will be blocked, depending of this customization.

    Hello Gurus,
           when I want to change sales document type, there is a requirement as following :
    " When you change the sales order type for a sales document that has already been saved, both sales document types must belong to the same number range."
    my question is:
       1. can sales order type be changed ?  most recommend to remove previouse sales order, and create new sales order with another sales order type.
       2. what does " the same number range" mean in the above quoted word ?

    Different Order Type can share the same number range. In the case, if Sale Order Type is saved in Transaction, then it cannot be chaged.
    The number range is controlled through Number Range Object, which is maintained in Sales Order Type (T.Code: VOV8).
    Configuration steps are as under:
    Normal Sales Order Cycle:-
    Step 1: Sales Document Type
    IMG > Sales and Distribution > Sales > Sales Documents >
    Sales Document Header:
    1. Sales Document Type:The sales document types represent the different business transactions, such as Inquiry, Quotation, Sales Order, etc. To create new sales order type, always copy as with reference to similar sales order. If possible use standard sales order.
    2. Define Number Ranges For Sales Documents: Maintain number range with discussion with core team.
    3. Assign Sales Area To Sales Document Types:
    A. Combine sales organizations / Combine distribution channels / Combine divisions: Ensure to maintain these, else Sales Order creation will give error.
    B. Assign sales order types permitted for sales areas: Assign only required Sales Order Types to required Sales Area. This will minimize selection of Sales Order Type as per sales area.
    Sales Document Item:
    1. Define Item Categories: If possible use Standard Item Category. Incase if required to create new, copy as from standard & maintain New.
    2. Assign Item Categories: If possible, use standard. Formula for deriving item category: Sales Document Type + Item Category Group + Usage + Higher Level Item Category = Item Category
    Schedule Line:
    1. Define Schedule Line Categories: If possible use Standard Schedule Lines. Incase if required to create new, copy as from standard & maintain New.
    2. Assign Schedule Line Categories: If possible, use standard. Formula for deriving Schedule Line: Item Category + MRP Type / No MRP Type.
    Step 2:
    IMG > Logistic Execution > Shipping > Deliveries >
    1. Define Delivery Types: If possible use Standard Delivery Type. Incase if required to create new, copy as from standard & maintain New.

    1. Define Billing Types: If possible use Standard Billing Type. Incase if required to create new, copy as from standard & maintain New.

    3. Maintain Copying Control For Billing Documents: Maintain relevant copy controls such as Sales Order to Billing, Deliver to Billing, etc.
    Note: Ensure that Copy Control settings are done
    Sales Order to Sales Order (QT --> OR): VTAA
    Sales Order to Delivery (OR --> LF): VTLA
    Sales Order to Billing (OR --> F1): VTFA
    Delivery to Billing(LF --> F2): VTFL
    Billing to Sales Order (F2 --> RE): VTAF
    The configuration differs from scenario to scenario & requirement of the client.
