Format Pages document

I don't find Pages very intuitive.
I want to format a document with a title page, including a couple of images in media placeholders, followed by a series of identically formatted pages of text with images, also in placeholders.
I've already started the document and have several pages that I wish to format retrospectively. The title page is done but I want to be able to format and repeat copies of the subsequent pages. I've tried the Help section and have made no progress. I tried Sections; I can insert a blank page but don't want to have to reformat every individual page as I go along.
How to I set up a template of a single formatted page that I can copy as needed?
Also, I can't easily select sizes for media placeholders. When I drag the image corners the size changes but it's very sensitive to mouse movements and difficult to match all images to the same size. How can I reliably set the size of all the image placeholders?

And another thing. I've tried inserting a Blank Page from Sections and it adds it to the end of the document, rather than at the insertion point. With the individual pages visible at the left of the screen I've tried dragging the Blank page to where I'd like it to go, as you would with a Word or Powerpoint page but it refuses to go.
I've really tried to use Pages over the last couple of years but I usually end up leaving it in frustration and going back to Works. It's just so counter-intuitive, which is the opposite of what Macs should be about.

    Here is a step-by-step commented example of how to copy multiple, mixed format Pages documents to a single document:
    1) Open and/or create appropriate documents for merging. In this example, I will merge the title "Family Newsletter" page to a new "Blank" page document. I tend to prefer to copy old documents into a new document "in case of accidents" even though this may require more work. By doing so, I preserve each of my original documents until I am quite sure they will no longer be needed. In addition, by copying to an inserted blank page, you ensure an automatic section break. (If working with two or more documents you could, of course, simply copy one or more projects to an old document to save time/effort.)
    a) Boot Pages
    b) Create a new project using the first template in the "Family Newsletter" pallet
    c) Create a second new document using the "Blank" template
    2) The next step is to plan how you wish to conduct the copy process. The Family Newsletter is a complex template consisting of a "Master" layer (bordered shapes), the dedicated word processor layer, and floating objects anchored to the page. I could work with each of these "layer groups" individually, but, since I am lazy, I will work by "class" of items instead. In this case, I find it easier to move the dedicated word processor layer first.
    a) Select the project from which you wish to move the word processor layer and click in any of the "place holder" areas contained therein. This places you in the Word Processor mode of context operations.
    b) Now use the "Select all" Edit menu option. All instances of text in the dedicated word processor layer should now be highlighted.
    c) Copy the selected material using the "Copy" Edit menu option (Command-C) to the clipboard. (NOTE: Items can be "drag 'n dropped" in this mode but not in the "Fixed/Floating" mode. Therefore, I recommend using copy/paste at all times so as not to cause confusion or problems selecting destination layer mode.)
    d) Select the "Blank" document window to activate it and then click in the word processor layer to ensure you will be pasting the copied material into the proper destination layer.
    e) Now paste the clipboard copied material into the dedicated word processor layer by using the "Paste" Edit menu option (Command-V).
    3) While all "object" class items can normally be copied in a single operation, the "Master" layer objects in this example happen to be locked and, therefore, are not selectable/copiable without some "pre-processing."
    a) The first step is to use the "Advanced" Make Master Objects Selectable option under the Format menu to make the master layer objects selectable.
    b) Next select first one of the border objects and, then while holding down the shift key, select the other border.
    c) Once both objects are selected, use the "Unlock" Arrange menu option to make them accessible for copying.
    d) Since the border objects are already selected and we are now in the "Object" mode of operation, use the "Select All" Edit menu option to select all other "object class" items on the page.
    e) Copy all "object class" items to the clipboard using the "Copy" Edit menu option (Command-C).
    f) Activate the destination project window by clicking on it. Now margin-click the new window to ensure you are in the "object" mode of operation.
    g) Paste all objects to the new document using the "Paste" Edit menu option (Command-C).
    4) DON'T PANIC! While it may appear that much of you work has disappeared, it is really still there and simply in need of a bit of post-copy processing.
    a) To deselect all objects and ensure you are still in the "Object" mode, again margin-click the destination document.
    b) Shift-click both border objects to select them.
    c) Use the "Send to Back" Arrange option to send the borders to the "bottom" of your stack of layers.

  • Mailing Pages documents to groups

    I'm frustrated by my inability to email formatted Pages documents to groups on the iPad. The app "Group Email!" removes formatting, boldfacing, columns, etc. Any suggestions?

    This is a Pages issue and not a Mail issue. The way to save it as a .doc file is in Pages to choose File>Export and then select Word Document. You were correct to select sending a Windows friendly attachment in Mail. They should have no problems opening it once you send them the appropriately formatted file.
    Please note that in the conversion process, the resulting Word doc will probably have a slightly different font alignment, resulting in longer paragraphs, which could result in a document that originally fit on one page in Pages spilling over into a second page in Word. Hopefully this will get worked out in a subsequent update...

  • I cannot send a Pages document, Word format via email from my ipad if it has a picture in the the doc.  I can send a Word doc if it does not have a pic in it or pdf with a pic.  Any thoughs why a word doc with a pic in it won't email in Pages?  thanks

    I cannot send a Pages document, Word via email if the doc contains a picture.  If I email a Pages doc without a pic in Word format or pdf with a pic it with go through to sender?  Not sure why Pages won't send Word doc with a picture in it.  I check the security on the email recipient and the email doesn't get blocked or throw in the junk box?

    If you have upgraded to Mountain Lion, Save As… has returned to the File menu when you hold down the Option/alt key. But you don't really "save" as other file types, you translate & export as Word or RTF or text or PDF & that is easily done by going to File > Export or Share > Export.
    Also, please do us all a favor & don't use all capitals in your posts, either the body of the post or the title. All caps is the internet equivalent of shouting & is very hard to read.

  • Pages document "could not be read" bc. it "does not have a valid format"

    The document in question was properly saved and Pages was not open when my computer hung as it was shutting down. MS Word would not quit or force-quit and I had to hard restart the computer. When I later tried to open this Pages document, which I had been working on before Word froze, Page would not open it and responded with the error message: "This document "document_name.pages" could not be read. This document does not have a valid format." When I looked at the document in question I noticed that its file size was 0KB. I have no idea why this happened, but I suppose it has to do with my computer not shutting down properly and perhaps with Word freezing. If I repair my drive permission, re-index it, anything, will it help? Just a note on the status of this machine: spotlight stopped working earlier this morning and I was waiting to finish this document before repairing disk permissions and trying to fix that issue with Spotlight.
    In the meantime I have tried various fixes. First I tried to change the file ending to .zip, unpack it and open it. Then the same, but this time I tried to view package contents. It doesn't show up in the contextual menu as even having a package to show the contents of. The file is effectively empty, but I don't know where the contents went! The funny thing is that the MS Word doc was recovered automatically. Is it possible that Pages doesn't have an auto-recovery mechanism?
    I need this file urgently, or at least the text in it. It is the bibliography of an important paper due tomorrow at 5 pm.Any advice or suggestions would be greatly appreciated.
    BTW, I have used a file-recovery program in the past. It is called "Stellar Phoenix" and it worked wonderfully to find a Word doc that I accidentally deleted. It can't find .pages document though. In order to do so, I would need to tell the program what the average file size is, as well as the header information as follows. "Header (in hexadecimal)" "At Offset (in decimal)". I have no idea what this means, but if I could insert it, perhaps it could find the lost data. Should I have it search for .pages, .zip, .xml? I'm at a loss, but I know that it doesn't recognize .pages. In the meantime, I sent a support email to them and will see what happens.

    I can't respond before.
    When the system say that your file size is 0KB, it means that nothing was saved. Only a file descripto exists.
    So, there is nothing to recover.
    Given the time the system crashed, you may have :
    (1) a simple descriptor with nothing written
    (2) a folder with every or only some of the required files.
    In this case, Phoenix is useless : it's unable to revive a folder.
    (3) a flatfile (a compressed version of the folder named above). It's only this kind of file which Phoenix may revive.
    With a bit of luck, Phoenix would be able to revive the index.xml file which was in the original folder created in the temporary folder.
    This file starts with :

    or

    <sl:document xmlns:sfa="http://developer.apple.com/namespaces/sfa"
    The minimal size for a Pages index.xml file is : 520038 bytes.
    If you retrieve the index.xml file, we may try to rebuild an usable package.
    Ask the recovery tool to transfer the recovered file on an other media.
    If the document embedded pictures, the index will give their path and their size which may be useful to recover them.

    If you installed the Devon Technologies (Freeware) WordService Service package, there is an item that will enable you to fix selected content to show initial capitals in sentences. You may need to enable this feature in the System Preferences > Keyboard > Shortcuts > Services selections. This only works in Pages v5.2 (and maybe later releases).

    Many of the poster layouts do not save well as a ".doc" document.  The formating gets all screwy.  I have only the "pages" option or the ".doc" option for files under the "save as" dropdown.  No professional printing services in my area offer the ability to print pages documents.  They all recommended converting them to pdf.  Anyone have any suggestions?  Thanks, Joe.

    In OSX you can print anything to pdf ( see PDF button at bottom left of print dialog).
    Pages also exports to pdf Menu > File > Export > PDF
    However be aware that OSX will convert any transparent objects to low res 72 dpi bitmaps which are not suitable for commercial printers. Also it takes quite a bit of work to ensure that text is not in cmyk.

    Are you sure PDF won't work? It should as what you're trying to do is pretty much what it is designed for (PDF - Portable Document Format). On a Mac anywone who receives the file should be able to see it in all its page layout glory by using the app Preview or Adobe Reader. Same on a PC, the file should be viewable as a PDF file using Adobe Reader and probably some other viewer (don't use PCs so not sure what other apps).
    What application are you creating the file in and are you sure you're exporting it correctly in PDF format, fonts and images embedded?

  • Can I Auto format the first paragraph on every page of a 20 page document?

    So I have a document that is basically just a numbered list of 200 entries.
    There are 10 entries per page, making it a 20 page document.
    Unfortunately, every so often I am given an additional entry to add, which invariaby is to the middle of the document, and not the end.
    What I'd like to do is if I were to add a new #20 to the document, the old #20 (now #21), being pushed to the next page, would then automatically be formatted using my "StyleA" paragraph style.
    I haven't been able to discover how to do this, which means, in the above example, I need to go to 18 pages and remove the "StyleA" paragraph formatting as in each case following the addition, it is now the second entry on the page. At the same time, I have to apply the "StyleA" paragraph formatting to each first entry of all subsequent pages. If I only had to do this once in a while, it wouldn't be an issue, but as this document is updated regularily, it is getting tedious.
    Nested styles doesn't seem to be an option, since i'm using Numbering which requires a paragraph break to differentiate between each line number, and nested styles seem to apply to every paragraph, unless i'm doing something wrong there.
    I hope this is enough to go on.

    You are saying that the formatting is different for every 20th paragraph, reagardless of its content, and that it is aways going to be the first paragraph on a page?
    As long as you never deviate from the 20 paragraph cycle this is actually fairly easy to do, you jsut need 20 paragraph styles, 19 of which are based on each other and differ only in the style name. You then set the "next style" attribute to rotate through the list of styles, so the next style for #20 is #1 and the sequence starts over. Now just select the entire block of text from the point where you edited to the end and right-click on the style name for the irst paragraph in the selection, then from the context menu choose Apply <stylename> And Next Style.

    Are you trying to print or to save the doc? Whether you have a working printer or not is really immaterial. If you're trying to print, then File > Print > PDF > Save as PDF…. If the resulting PDF is small enough (<5MB, though my preference is <1MB), e-mail it to your pal. If it's too big, transfer it using a chat programme or a file service (MediaFire, RapidShare, etc).

    Trying to print a Pages document from my iPad to a non-Airprint printer.  Want use HP's ePrint app.   Bring up "open in another app" -- and then I am asked to chose a format.  Chose Pages.  Then asked for an app.  Chose ePrint.  ePrint locates my non-Airprint printer, but cannot print.  Reason: the Pages document has tuned into a zip file (xxxxxx.pages.zip).   Why??   If I chose Word format, the Pages document becomes a docx file, and it CAN be printed by ePrint.  I do not understand what is happening here.  I also get a zip file if I try to use Dropbox.

    Well, to your curiosity once more, read that link I sent you again - this part in particular:
    While the Finder did not treat this file as a package (that is, no Show Package Contents command showed up in the document’s contextual menu), it was indeed a package. To pry it open, you could use a utility such as Pacifist. Inside, you’d find several items, most notably an index.xml file which contained the primary content you created.

    You could always try turning the Ipad around to landscape after undoing the lock sreen switch on the side.
    Yes you could try using 2 fingers to hold the photo and rotating the picture but it usally goes back to normal. But you try taking a snapshot by pressing the home and the lockscreen button at the same time.
