GL Journal Entry & post - control by GL accounts?

Hi all,
There are many users assigned with GL Journal Entry & Post responsibility. Some of them are budgeting staff and some of them are comptrollers.
Questions:
1. Is it possible to restrict a user to enter/post journal entries to only a group of GL accounts?
2. Is a finance comptroller supposed to enter and post journal entries?

    Dear all,
    Thanks for your attention.
    I would like to post an Journal entry automatically at the same time (or just after) a certain account is posted.
    Certain account means an account ID for Payment Difference of Payment for Invoice.
    I would like to reverse payment difference amount and post same amoount with another account ID.
    What we need to do is to catch the event of each posting and if find the account ID, post another journal entry by using action "post".
    But I have no idea where to catch posting occurs.
    Could you tell me if anyone know what I should do for this?

    Hi Mai,
    If you go to General ledger work center and click on Journal Entries view.
    Here you can do advance filter  and find the journal entry type of posting ( Cash Disbursement for instance) and you can make a note of the diff amount that got posted may be due to payment difference/exchange rate diff etc.,
    (One way of finding out which is the journal entry id, you can find this id by going to invoicing & in its document flow.)
    Now create a manual Journal entry voucher for this diff account and as you want to move this to another account, select it as offsetting.

  • Unbalance transaction Error - Journal Entry Posting

    Hi all,
    Good afternoon. i posted  journal  entry using DI -API. I have two  Journal Entry when i add the first journal Entry added the second journal entry not added its show the Error Unbalanced transaction
    Each Journal Entry have 2 lines
    I am using 8.8 patch Level 12

    Is there any task available in BPC to check debit/credit mismatch or error in the journal entries?

    i don't think so that there is any task which does the TEST RUN kind of activity for Journals in BPC.
    If no body id posting the values in that account  from input schedule then you can easily find out the diference.

  • "View Journal Entry" line when "Export"shows 'Account Description' as TEST?

    When use "Line Drill Down" of Journal Entry line from GL & click on "View Journal Entry" button. The Journal line that appear when "Export" shows 'Account Description' as TEST in the excel or csv file. This issue is happening in Production. Is there any setup thats bringing this 'Account Description' as TEST or Oracle is defaulting this 'TEST'? What is the reason for this?
    It will be of great help if somebody explain this.

    Got an issue with document posting.
    User is not able to post document because of below error:
    Balancing field "Profit Center" in line item 003 not filled
    Message no. GLT2201
    Diagnosis
    The field Profit Center marked as balancing is not filled with any value in line item 003, even after document splitting.
    System Response
    The document cannot be posted.
    Procedure
    First check your entries.
    Additional causes could be:
    No value can be derived for this field from the current document data.
    You have entered a document type that is not designed for this business purpose.

    hi san777,
    this means that the G/L account is not within the range of G/L accounts assigned to the specific transaction code that  you are using in the document splitting configuration.
    check document splitting config and search for the t-code you are using and you'll be able to see that this G/L is not included in that group. afterwhich, you need to evaluate if you need to add the G/L account group to be allowed to a specific transaction as you might just need to use a different G/L account.

  • R12 AP create account process success while no journal entries produced

    Enviroment:12.0.4
    in AP, the invoice validate and create account all done successfully. while to query journal entries, there isn't any produced journal entries.
    During the create account process, there is no error message, therefore i cann't find what is the problem.
    can anyone give me a guide to how to find the problem is?or what the problem is ?

    just to give a background of this process in R12
    As we know there are two methods to create Payables Accounting in R12,
    1.Online Accounting method
    The Online Accounting method can be called from either the Invoice or Payment workbench and has the following modes:
    Draft - The accounting is only created in the XLA Subledger tables and is not transferred to the General Ledger. Draft accounting can be recreated based on changes to the transaction data or accounting rules.
    Final - The accounting is created in the XLA Subledger tables and is not transferred to the General Ledger. Accounting created in final mode can not be recreated/altered. Run the Transfer Journal Entries to GL program to transfer these entries from the XLA subledger tables to the General Ledger tables.
    Final Post - The accounting is created in the XLA Subledger tables and is also transferred and posted to the General Ledger tables.
    2)Create Accounting process.
    The Create Accounting process has similar options, you can create accounting in Final or Draft mode and if Final mode is selected, the Transfer to GL parameter can be used to automatically transfer the accounting created by the corresponding run. When the Create Accounting process transfers the journal entries to GL it only transfers the accounting created by the process that calls it. If there is accounting created by the online option = Final or a previous Create Accounting program that was not transferred, that accounting will not be transferred. The Transfer Journal Entries to GL program needs to be ran separately to transfer any accounting created online or created by a previous Create Accounting process that did not transfer the entries.
    Based on the above cases, the following are possible causes of journal entries not transferred in R12:
    1. The accounting is created in Draft mode and can not be transferred.
    2. The accounting is created in error and can not be transferred.
    3. The accounting was created by Online Accounting with Final Mode.
    4. The accounting was created by the Create Accounting process with Transfer to General Ledger = No
    Hope this makes a clear understanding and you know the root cause.

  • BAPI or Function Module for FBCJ Posting of Parked Cash Journal Entries

    Hi Experts,
    A blessed day.
    We have one requirement that requires the creation of Batch Program that will post all the outstanding (status is set in yellow) Cash Journal Entries in transaction FBCJ.
    Hereu2019s the issue, to satisfy the requirement, we either use BDC/Call Transaction OR use a Function Module/BAPI. 
    I would prefer to use Function Module/BAPI.  However, currently thereu2019s only one BAPI available for FBCJ (BAPI_CASHJOURNALDOC_CREATE).  This BAPI can only create cash journal entries BUT DO NOT change the cash journal entry for posting.  The Function Modules (Function Modules of FCJ_POST* series) cannot be used for background processing because of GUI pop-ups. These FMs also donu2019t have the Exceptions functionality for error handling and would not report the Accounting document created from the Cash Journal Entry posting.
    The problem with using BDC/Call Transaction is that it should incorporate line item selection of the cash journal entries, which I havenu2019t tried yet.  Iu2019m not sure if this is possible and if itu2019s possible, how much complexity will it incur.
    If you have the availability, would it be possible if you can help us explore on the potential solutions for this requirement?

    You can use RFBIBL00 program for FB01 postings. Go through the program help on how to use this program.
    This program requires a file to be on application server in a certain format.
    You may also refer the program RFBIBLT0 on how the file format should be.

  • Hot links to report listing journal entries for an account

    Hi Experts,
    We are going live soon with BPC-NW and have some questions regarding BPC-Excel reports, all done with EVDRE() function. Our BPC service pack level is 05, we are using Excel 2007 SP2 for the client and BW 7.01 ABAP Stack (Enh Pack 1) on the server side.
    We want to produce an Excel standad report with hot links to a report listing journals entries, passing it a parameter (account) so the report would list all journals and their entries for that account, and, so far, we haven't been able to find out how to do it.
    We tried using buttons and associate them with macro MNU_eJOURNAL_REPORT but it doesn't open the report journal by account directly and doesn't seem to accept any parameters.
    Has anyone found a way to do this?

    Thanks for the quick reply.
    Yes, we do manage our stock by warehouse. I went to admin->setup-> stock-> and then 'item groups' and 'warehouses' and checked the accounting tab. In both cases the 'Sales return Account' is marked as our stock account. Are there more hidden places I can look? Thanks

    Gordons way is the easiest - just query the OJDT table for journal entry headers and JDT1 for journal entry lines if needed.
    But if you want to work with the business objects:
    'Journal entry
       Dim oJE As SAPbobsCOM.JournalEntries
       Set oJE = company1.GetBusinessObject(oJournalEntries)
       oJE.GetByKey(1234)
       Dim postingDate as String
       postingDate = oJE.DueDate
    'etc etc

  • Printing journal entries

    Our international offices have a legal requirement to print each journal entry posted to their general ledger. They currently use FB03 to print each entry.  I cannot find another report or other program to allow multiple entries to be printed at once using the FB03 format.  So they are going into each document and printing them.  Does anyone know of a better way to do this.  Also, the print font from FB03 is very small.  I have tried all the available layouts and even printed to pdf files.  But it is still hard to read.  Any advice would be helpful.

    Check your configuration.
    Please follow the following steps:
    IMG ==> Financial Accounting ==> Accounts Receivables and Accounts Payables ==> Customer Accounts ==> Line Items ==> Correspondence ==> Make and Check Settings for Correspondence
    Define Correspondence Types
    Create Report Variants for Correspondence
    Assign Programs for Correspondence Types
    Define Form Names for Correspondence Print (even you assign your form to blank company code also)
    If you complete these steps you will get the spool request get generated.
    Try to use F.64
    Then go to SP02 - Take print out.

  • Purchase Indent & Journal Entry Parking

    Dear All,
            If it is possible can Purchase Indent form be taken care off in the coming patches of SAP B1 in near future.
           Also is it possible by the Product Enchancement Team of SAP B1 to bring up with a feature of Journal Entry Parking whenever Marketing Document like GRPO, A/P Invoice, Delivery, A/R Invoice etc. is been Posted.
           Journal Entry Parking means the Journal Entries are saved in a Draft mode. Unless and until the Finance head adds that Draft the accounting entries is not been passed.
           Please look into this matters. As this things can make the Product more workful within SME's.

    Dear Peter,
             The reason for not making the Journal Entry Posting Immediately is because when some Enduser is making GRPO or Purchase Invoice or Sales Delivery or Sales Invoice that Enduser is not known to Accounting concepts.
             So what happens at that time if the JE Posting is done immediately after making any Marketing Documents like GRPO or Purchase Invoice or Sales Delivery etc that Journal Entry Passed could not be changed.
             Now instead of the Journal Entry if a Journal Voucher is passed at the time of Posting of Marketing Docuement like GRPO or A/P Invoice or Sales Delivery or A/R Invoice than the Accounts or Finance Manager can check the Journal Vouchers and hence once the Journal Vouchers are checked those Journal Vouchers can be further Posted as Journal Entries by the Accounts Manager.
           Hence this feature will lead to less errors within Accounting in SAP B1. Also the Accounts Manager will stand more responsible if any wrong entries has been passed.

  • Is it possible to automatically trigger a Manual Journal Entry?

    Hi Forum,
    This could apply to any situation:
    Suppose when I create an A/R invoice, I would like another manual journal entry to be created automatically. Is this possible and how could it be achieved?

    Hi Mahendra and Gordon:
    This is the situation:
    Relates to DropShip Order:
    1.Client create DropShip Sales Order (against drop ship warehouse).
    2. DropShip Sales Order generates PO (Note no liability accounts are hit)
    3. Client wants to invoice their drop ship customer immediately by emailing A/R invoice.
    This mean the revenue accounts are already hit and our client has registered a revenue.
    Problem : However liability accounts are not hit and our client may not receive A/P invoice for say 2 weeks. This means the books show exagerated revenue.
    I suggested - A/P reserve invoice to be created immediately, but it needs to be canceled which leaves original PO in closed state in 8.8.
    Second method I suggested to create a manual journal entry to hit deferred liability account to be reversed in two weeks. The client says, this is backoffice job and they do not want them to have access to journal entries.
    In anycase, whatever reason, our client will change business practice, however, I thought let me check what it takes to create manual deferred liability auto reversal entry automatically.
    Is there any other way to handle this situation?

    As soon as A/R invoice is created, a deferred payable needs to be updated also automatically at the same time. This is the requirement.

  • FSCM 9.0: COBOL Process does not post credit accounts of a Journal Entry

    Folks,
    Hello. I am working on FSCM 9.0 General Ledger module. COBOL process GLPPPOST posts only debit accounts of a journal entry into PS_LEDGER table but not credit accounts of a journal entry. Can any folks understand how to solve the issue ?

    Hello. Thanks a lot for replying.
    I linked my Ledger Group RECORDING with my Business Unit BU01 using "Set Up Financials/Supply Chain > Business Unit Related > Ledgers For A Unit". Then linked UserID VP1 with BU01 in User Preference. I have checked all information about the 3 concepts (VP1, BU01 and RECORDING) and don't see anything wrong.
    I suspect the problem is in the Journal Line page because its Chartfileds belong to 2 SetID (SHARE and FEDRL) and 2 Business Unit (BU01 and BU02).
    When define Chartfields value using "Setup FSC > Common Definition > Design Chartfield > Define Value", I see Chartfields "Fund", "Class" and "Program" with SetID "FEDRL", and other Chartfields with SetID "SHARE". The 2 SetIDs are default in the system.
    Because one Business Unit (BU01) can link to only one SetID (SHARE), I create one more Business Unit BU02 and linked with SetID "FEDRL". Thus, when create a Journal entry using "General Ledger > Journal > Create Journal ", we type in Business Unit (BU01) and Ledger Group (RECORDING) in Header page, but in Line page, some of Chartfields link with SetID SHARE and BU01, and some of Chartfields link with SetID FEDRL and BU02. The journal entry indicates "Inter/Intra Unit Journal". When select "Edit Journal" and click "Process", the message comes up as follows:
    "Ledger Group RECORDING is not valid for Business Unit BU01. Ledger Group defined for this journal is not valid for the Business Unit BU01".
    My question is: That the Chartfields in Journal Line page link with 2 SetIDs and 2 Business Units causes the above error ? Can any folks help ? Thanks.
