Have Infopath form interact with Sharepoint 2013 Workflow

Situation
I am working on a system having the user fill-in a sequence of list-forms. Form 1 initiates form 2 after closing, Form 2 initiates form 3 after closing etc. This is done by altering the Source= part of the form URL
Form 1 fills list 1 and initiates a workflow to update some fields. This is to prepare some data for form 2. This data is stored in a temporary list
Form 2 fills list 2 gets data from the temporary list and initiates a workflow to update some fields
Problem
When the second form is started, the workflow of the first is not finished yet. In that case the second form uses the wrong data from list 1.
I want to have form2 waiting for a status update on the first workflow so that the correct data is transferred from form 1 to form2
Question
How can I delay the presentation/update of a form based on a status of a list workflow. I want to use out-of-the box techniques and avoid program code

No, you cannot submit form values of a acrobat to SharePoint. You can use list form for basic form, else try using jquery to build custom forms as an alternative for infopath. Refer to the following codeplex solution. You could use this or build one similar
to that using the source code.

    Okay so here's the deal.....
    I have a few HR forms that need to be searchable and created as workflows in SharePoint 2013. Creating a custom list will not work because it is not a built to create forms. Integrating InfoPath would be ideal, but it will not work either because the company
    will not pay for Enterprise licensing.
    So my question is....what if I created a fill-able form in Acrobat and uploaded to SharePoint. Can I create a workflow from the document. The only question is, when the user fill out the form, where it will go? There is no submit button.
    I guess the REAL question is, other than InfoPath, is there a work around to having forms on SharePoint that can be created as a workflow and made searchable. Did I mention that the forms must be fill-able.

    If you want to avoid the SharePoint development, then use a custom IWorkflowTypeExtender and interact with SharePoint using the Lists OData service.  That way your code runs on the MDS server, and you don't have to deploy custom code to SharePoint. 
    You would simply add an item to an existing or purpose-built SharePoint list, and that could kick off a standard list workflow (which can be built without custom code).
    Otherwise you need to create a custom SharePoint Site Workflow in Visual Studio, and deploy it to SharePoint (yuck). Per:

  • How to have Infopath form use Sharepoint Domain credentials

    I have built a for in infopath which is published to a library on Sharepoint 2013. This form is filled out by certain users and when its completed it gets moved into a subfolder. We then provide a link to a client who has a domain account with restricted
    access to just this folder of sharepoint. They can view this form and any others we put in this folder.
    The form has 2 views. The first is the view our staff sees when filling it out. There are some hidden sections in there for us that the client does not need to see. So there is a second view which is read only and I have taken away the option for them to
    switch views so they can't go back to our internal view.
    What I would like to happen is that the form can somehow detect by the domain login info from sharepoint, what user is opening the form and switch views based on that. What I can't figure out how to do it to have the form pull domain credentials from the
    sharepoint site and use those a a variable when opening the form to set the view.
    I believe I am on the right path what trying to setup a data connection but I am just missing something. I found this great guide http://www.pointgowin.com/seethepoint/Lists/Posts/Post.aspx?ID=55 but now when I open the form I get a warning stating "You
    do not have permissions to access a SharePoint list that contains data required for this form to function correctly." Also I still can't seem to pull the username.

    According to your post, my understanding is that you wanted to have Infopath form use Sharepoint Domain credentials.
    When you use Claims-based authentication, your user name is prefaced by “0#.w|”.  So for example, if your user name is SuesDomain\jdoe then your Claims-based user token will be, without
    the quotes:     “0#.w|SuesDomain\jdoe”
    InfoPath can’t handle that, or more specifically, the UserProfile.asmx method GetUserProfileByName method can’t handle that.  InfoPath tries to pass in your Claims-based user token instead
    of your domain\User Name.
    You have an authentication problem where the currently logged in user is not allowed to hit the web service, so you get an Access Denied 401 authentication error
    To resolve the issue, you can refer to the great blog:

    Hi..I am working on SharePoint 2013 workflow using visual studio 2013. In this workflow, i am creating tasks and i want to make a custom task form.
    My workflow contains serial tasks. When each user approve, he should specify the next user.
    I have added a custom content type and assigned it to my tasks but all i can do is taking the outcome from the task form as integers.
    I want the user to approve and choose another user so i can assign another task to him.

    I believe what you're looking for is the Collect Data from User function, however I don't see that anywhere in a 2013 workflow. This did exist in 2010 workflows.
    What you can do is to change this to an InfoPath form and run the workflow that way, assuming there isn't anything you absolutely need Visual Studio for.

  • Unable to change and re-publish existing InfoPath forms on External SharePoint lists (SharePoint 2013 Enterprise Online and On Premise)

    Hi everybody,
    I really reached the limit of my diagnostic ability... ...please help me!!!!
    I subscribed an Online Sharepoint 2013 Development site to try Business Connectivity Services and InfoPath forms. Using SharePoint Designer 2013 I successfully created an external content type
    and an external list, including InfoPath forms.
    When I use InfoPath Designer 2013 to customize the forms I can open and change them without any problems, but when I try to publish the changes I made I get the following error:
    "An error has occurred. The form template has been published to the server but it can only be opened using InfoPath filler"
    (please note that I changed just an existing label, without adding any new control or new fields).
    If I try to do exactly the same things but with an normal SharePoint list everything works like a charm!
    I noted that the main difference between the internal/external list is that with the internal list the publishing path in InfoPath 2013 is something like:
    https://<sharepointsite>/lists/<listname>
     whereas for the external list is something like the following:
     https://<sharepointsite>/lists/<listname>/item/template.xsn
    Trying to overcome the problem I installed SharePoint 2013 Enterprise on premise using the VM from the Windows Azure Gallery. In this case the error I get when I try to publish with InfoPath
    Designer 2013 is the following:
     The following URL is not valid:
    http://<sharepointsite>/lists/<listname>/item/template.xsn
    and of course everything works fine with InfoPath Designer 2013 and regular SharePoint lists.
    Even if I believe the problem is in general with external list and InfoPath, my external list is based on a the "Product" table from the "AdventureWorks2012" sample database
    installed on SQL Azure and connected to SharePoint via Business Connectivity Services.

    Same issue here for any external list. We've migrated from 2010 to 2013 - it used to be fine on 2010. 2013 seems hang after 'getting site column information' then nothing. All effected users can quick publish to regular sharepoint lists, but cannot to external
    lists.
    In our situation we are trying to quick publish to sites using the 2010 look and feel in a 2013 environment. using SharePoint Designer 2013 and InfoPath 2013.

  • Display an XML file Content as a treeView in a SharePoint 2013 custom form edited with SharePoint Designer 2013

    Hello everyone,
    Within a list form, user has to select a value amongst a huge number of availables options.
    Instead of using something like a dropdown list, which would be very boring to parse, I would like to display possibles values in a treeview.
    To do that, I tried to use an <Sharepoint:SPTreeView bind to a SharePoint:SPXmlDataSource who read data from an XML File.

    But when I try to display the form in my web browser, an error occurs.
    Therefore, my question is : Is it possible to display the content of an Xml file as a treeView in a SharePoint 2013 custom form edited with SharePoint Designer 2013 ?
    If the answer is yes, how ? Which are the required properties for "SharePoint:SPXmlDataSource" tag and "SharePoint:SPTreeView"  tag ?
    What are the requirements to use thoses tags ?

    Assuming that https://fullsitename is a new URL address did you make sure to update your browser to include it in the Trusted Sites zone?  The message you are quoting is exactly the one you get if you don't have it in Trusted Sites.

  • Workflow Manager 1.0 with SharePoint 2013

    Hi Guys,
    I understand as per below link that minimum three servers are required to provide high availability for Workflow Manager 1.0 in SharePoint 2013.

    According to your description, my understanding is that you want to configure the high availability for Workflow Manager 1.0 with SharePoint 2013.
    Per my knowledge, the three servers just have the same Hardware pre-requisites:

  • Unable to get User Information in infopath form hosted on sharepoint online(2013)

    Im trying to retrieve user information (department, Manager, Work E- Mail, Etc..) into an infopath form hosted in sharepoint online using "/_vti_bin/UserProfileService.asmx"
    web service. But it returns me an error when im opening the form as :

    trying to connect
    to a
    web service. Error ID 5566
    Any idea about how to get those  information into a form which hosted in Office365 environment?

  • SharePoint 2013 Workflow (SPD 2013) fails for Active Directory Group members

    Hi
    I have a SharePoint 2013 site called "Team Meetings". There are a number of lists and an InfoPath form library.
    The site's SharePoint Group "Team Meeting Members" has two Active Directory groups (All Club Managers and All Club Police) as members. Those two AD groups contain all the people that I want to have  access to the library and list, except for
    a few additional folk who I have made individual members. 
    My PROBLEM:
    I  have created a SharePoint 2013 Workflow using SPD 2013 associated with the  Form Library. Workflow is set to start on new or modified item. The first action is to write to history list, then determine the status (Submitted or Pending) of
    the form and go to different Stages depending on that status.
    The workflow works perfectly for any user who has been added directly to the SharePoint group (Team Meetings Members) BUT FAILS at the very first action for anyone who is a member of one of the AD groups. I know the Workflow is fine because I've tested it
    with numerous people who are direct members of the SharePoint Group, but whenever a person who is a member of the AD group tries it the Workflow just fails.
    Here's a print of the info from the Workflow Status page (I don't have access to server logs):

    Members of the SharePoint Group "Team Meetings Members" have Contribute Access to both the form library and another list that the workflow writes to as well as the Workflow History list (which in SP 2013 uses the credentials of the
    user who started the workflow, unlike 2010 which used System Account).
    All members of the Team Meetings Members group, whether they are individual members or part of one of the AD groups, have no problems opening and saving forms etc. It's just the Workflow that doesn't like them...
    I am stumped. I've spent many hours searching for a reason for this. There are about 200 people in the two AD groups so I really don't want to have to add them all individually - especially when these groups are managed in AD for a whole bunch of other reasons
    and using the AD groups means I'll basically never have to worry about modifying the SharePoint access permissions.
    Does anyone have any ideas why this is happening and what I can try to fix it?

    Hi Lars,
    I'm afraid not so far but we are trying a few things today so I will post back with results.
    First thing we are doing is making the AD Group universal because one of our (external provider) gurus remembers seeing something about that. He also sent me a link to a post where they were talking about earlier
    versions but having similar issues and their solution was to make sure the app pool account has sufficient permissions in AD::

    This part of that thread looks interesting but we haven't checked it yet as were trying the universal setting first:
    "If the users participating in the workflows have been added to the SharePoint site via Active Directory groups, SharePoint has to update the user’s security token periodically by connecting to
    the domain controller. By default, the token times out every 24 hours. But if the application pool account did not have the right permissions on the domain controller to update the user’s token, user will keep getting the access denied error. The error was
    intermittent because when the user browsed to any page other than the workflow form, the token was getting updated successfully.
    You can try to fix it through granting the application pool account the appropriate permission by adding the account to the group “Windows Authorization Access Group” in Active Directory."
    I'll update when we try these ideas. If you have any luck please do the same.

    Hi,
    How to create a sharepoint designer workflows for InfoPath forms.
    For example, I have a form library. When the user submits new form, it should trigger a workflow or an email to the approver with the link of this new form that the user has submitted. When the approver opens the link, it should open the InfoPath form and
    after approval(approver should be able to approve using InfoPath form itself), it should reflect in the list.
    Please let me know how to accomplish this task. I tried creating a simple workflow in sharepoint designer. What is happening is before, user approves the form frm InfoPath form, it is completing the workflow.

    Hi,
    I understand that you want to approve task in InfoPath Form.
    If you create InfoPath with different views and you disable controls such as Approve/Reject Button according to current user, please make sure you create the workflow correctly.
    There's a great blog that covers how to ask Leave Request, how to send email to leader and how to approve the form by leader, although it is about the SharePoint 2010, it still works for SharePoint 2013.

  • Sharepoint 2010 Workflow successful: Sharepoint 2013 Workflow UNsuccessful:

    Observation 1 
    1. I created 2 workflows that write "completed" to the workflow history 
    a. 1 workflow uses sp2010 workflow manager 
    b. 1 workflow uses sp2013 workflow manager 
    2. sp2010 workflow works fine; it will start either manually or automatically (when a new item is created ) without issue; "completed' is written to the log as expected. Good. 
    3. sp2013 does not start automatically (when a new item is created ); when trying to start manually I get error message "Something went wrong. To try again, reload the page and then start the workflow." Which I do, but still fails.
    Bad. 
    4.On Workflows.aspx I can see the links to start the 2 workflows manually. 
    a. When I hover over the sp2010 workflow link I can see something that look like this:

    Observation 2 
    In Sharepoint Designer 2013, when I goto Navigation -> Workflows and click on the 2010 workflow, I see a file listed under "Forms" that looks like this "sp2010 test workflow.xsn". By the way the name of the workflow happens
    to be "sp2010 test workflow". 
    But when I goto Navigation -> Workflows and click on the 2013 workflow, I see a NO file listed under "Forms". Should I see "sp2013 test workflow.xsn" listed there? If yes, can you think of why it is not listed there? 
    I saved the workflow debug logs from Event Viewer but won't share that info here unless necessary, to avoid making things look more complicated than they have to be.

    First of all, I'd like to clarify that workflow manager is dedicated for SharePoint 2013 workflow platform. SharePoint 2010 workflow is integrated in SharePoint server, while 2013 workflow is based on a new platform named workflow manager server.
    In SharePoint 2013 designer, 2010 workflow has forms while 2013 workflow doesn't have forms.
    For this issue, I suspect there is something incorrect with workflow manager. From the error message "Something went wrong. To try again, reload the page and then start the workflow",  please flush the DNS cache via executing
    IPCONFIG /FLUSHDNS, and restart workflow manager related services such as below, then recreate 2013 workflow to test the issue:

  • SharePoint 2013 Workflow Calendar Entry Create Time AM PM Conflict

    Windows 2012, SharePoint 2013 Enterprise.
    I have a change control form that basically creates a calendar entry once it's been approved. Works well, but discovered a bug with the calendar create portion when there are events that have the same time in AM\PM. 
    Use case:
    1. Create a change control item in the list with a planned start time of 2PM, I'll approve it, which then fires off a workflow and it will create an event in the change control calendar for 2PM, all good.
    2. Create another change control item in the list with a planned start time of 2AM this time, I'll approve it, which then fires off a workflow and it will create an event in the change control calendar for 2PM and not 2AM. ???
    Yes the original event entry created in the list shows planned start time of 2AM, but its being created in the calendar entry as 2PM. This only happens when the time is exact. For example if I had created the second entry at 3PM, it will create the calendar
    entry at 3PM. It only happens if there is an existing entry for the same time, then all subsequent entries for the same time will have the same AM\PM depending on the first entry.
    I can manually create an entry in the calendar and specify 2PM and it will take, so its something with the workflow that is causing it. The workflow is very simple all its doing is checking the item to see if the field says approved for the change request
    form if so, create calendar event and carry over the fields, planned start time, planned end time, title description, that's it.

    In my test per your description, I cannot reproduce the issue, however, I attached the screenshot of my test for your reference, let me know if there is misunderstanding.
    Please capture the screenshot of your workflow process design so I can try to reproduce or find out if there is action that may cause the issue.

    According to your description, I try to reproduce your scenario in my SharePoint Server 2013 environment.
    I create a lookup column in a list and create a workflow 2013 for the list. In the workflow, I add Send an email action. Then I display the lookup column in the body of the email as the below figure:
    When I start the workflow, it works fine.
    Have you installed
    the workflow manager 1.0 cumulative update 1 ? It can be the point.  If not, please install it.

  • Custom SharePoint 2013 workflow activities in site template throw error on site creation

    Hi all,
    I have created a number of custom activities for SharePoint 2013 Workflows and I am using them on an Office 365 environment. The custom activities are packaged as a sandbox solution and deployed on my Office 365 site. Everything works as expected.
    I have now created a site with all the functionality I need, including some Site and List workflows - all of them containing my custom activities. I saved the site as a template - including content - and the process was completed successfully.
    My problem is that when I try to create a site based on that template, I get the following error:
    Microsoft.Workflow.Client.ActivityNotFoundException: The activity named 'WorkflowXaml_66b9230b_823e_4783_82b8_daf481237847' from scope '/spo/d42a4487-9465-4347-9f2c-a2718e92fc02/74d0f9e7-fb35-493d-86fb-ab7aa27da7e0/c2e1bf45-cf67-4e13-9755-421cf92395f8'
    was not found. HTTP headers received from the server - ActivityId: 0997496a-5a15-4b83-82eb-727881eefa67. NodeId: . Scope: . Client ActivityId : c82f6e9c-9f8f-808b-7679-f2c0f92a339d. ---> System.Net.WebException: The remote server returned an error
    After a number of trials and errors, I am certain that this relates to my custom activities. i have already tested all of the following scenarios:
    Delete the workflow with the custom actions: Site is created successfully.
    Create a new workflow with no custom actions and save the site as a template:
    Site is created successfully.
    Save the site template including a workflow with my custom activities, but not including content:
    Site is created successfully, but my workflow is not there.
    Create a new custom workflow activities sandbox with one custom activity that just writes something to the history list - just to make sure that this is not related to any specific solution. Save the site as a template:
    Site creation throws the same error.
    Packaged my workflow (with my custom activities) as a wsp from SharePoint Designer and deployed it as a custom solution. Activated the feature in the target site. The workflow gets created and executing finally. Saved the site as template: Site
    creation throws the same error.
    Same as above, but without activating the feature in the target site: Site created successfully, workflow works fine after I activate the feature in the new site.
    My custom activities feature is always enabled in the site I save as template - in all of the above scenarios.
    I have tested all of the above scenarios both on SharePoint 2013 on-premise and Office 365. There is
    a forum post regarding some inconsistencies in the wsp file, but unfortunately this is not my case. Am I doing something wrong? Are custom 2013 workflow activities not supported in site templates - which would not actually make any sense, as it would "break"
    the fundamental concept of re-usability.
    Any ideas/feedback/guidance?
