How to delete a sales order which has already approved

Hi,
Could anyone please tell me how can we delete an already approved Sales order if no delivery doc is created and billing document has already been cancelled.
When i try to delete the order it is not allowing to delete the sales order.
It allows to put the reason for rejection in the sales order.
It does not allow me to put the reason for rejection in the sales quotation.
Please help and guide me.

    Hai,
    Two things want to share.
    1. Hope the material will be considered in some particular division while creating.
       The reason for the issue may be, user entered a division /12 and selected material of other division.
    First as a permanent solution
    a) Check in Material master,the  sales view division is maintained for the material or not
    b) In the sales order type settings, - T code:  VOV8 Check the field
          Check division      needs to be maintained as 2 Error.
    This prevents the wrong selection of division and material combination.
    2. You mentioned as no reference document, similar if there is nor following documents cancel the sales order and create a new sales order.
    In case if you want to change the data compulsory in the same document , then can edit the SAP table entry directly. BUT IT IS NOT RECOMMENDED.

    Go to VA05, give the date range and execute.  List of sale orders will be generated.  There you can see a tab "Status"  in which, the status would be like
    -  Not delivered
    -  Partially delivered
    So based on this, you can decide whether the order is still open or completed.

  • How track changes in production order which is already Read PP master data

    Hi Gurus,
    Due to some unavoidable reason my client has to do Read PP master data time and again, now my client having a requirement that want to see what has been changes in Production Order.
    We already created 1 report for that which tracks whatever has been changed in Production Order but having a constraint in it.  That It could not be able to distinguish to which order READ PP MASTER DATA done.
    So my query is how to map that in report. As sytem Status directly changed to CRTD phase.
    Any table which can track the changes once the order been through with READ PP MASTER DATA?
    As there are huge number of Production Order so we can go and open each order to see the Status changes in each and every order.

    A suggestion:
    Change the specification as, log changes at each save instead of Read PP Master Data, as the changes would become effective only upon save. So if this is acceptable then 2 options, 1. Go with OCM feature or 2. Refer note - 390635
    Revert if you face any issues.

      I have created Production Order with ref. to Sales Order and made the status Released.
    Now my requirement is when i am able to delete the sales order which has been linked to the production order.I.e,At what status of production order the linked sales order will be able to get deleted.
    For Eg.If the Status is settlement rule completed.them am i able to delete the Sales order.
    And how do i know the status of production order that it is being processed or it is yet to get processed.

    Hi,
    This is common problem of deletion of sales order in MTO scenario. First thing is that you cannot delete entire production order from database. you need to TECO for the that production order.
    sales order does not gets deleted unless its subsequent document gets deleted (production order).
    So only solution here is TECO for the that production order & then reject the line item in sales order by giving reason for rejection.

    This is what the BAPI_ALM_ORDERHEAD_GET_LIST documentation says
    "You can use this method to determine a list of orders according to a list of selection criteria. The number of hits that are produced for the person calling up the list, can be specifically reduced; without further parameter transfers, the first 50 hits are displayed. A complete list of the hits is stored internally. If you call up the selection again within a Logical Unit of Work (LUW) without changing the selection parameters, but with other refurbishment parameters, then you receive further partial quantities of the selection result, as specified by you."
    and for deletion
    check whether you can set any deletion status through the fm BAPI_ALM_ORDER_MAINTAIN

    I had created a sale order with sales are 1000,10 ( direct sales) and 00 , but business had told that our dist channle must be 50 Trading  not direct , alredy business had done a sales order with 10 dist channel after that they changed the requirement stating that it must be with 50 trading. we have configured accordingly and removed the previous assignmnets.
    But now i am not able to view that sales order which we have created erlier, because i want to delete that order because stock is reserved with that sales order.
    kinldy suggest me how to delete that order.

    The sales order will be in the system and can be displayed eventhough If you delete the assignment of order type OR with sales area 1000,10,00 and make new assignment(Assign sales order types permitted for sales areas ).
    I had created a sales order with 1000, 10, 10 sales area, then _*i had deleted the org assignmnets*_ and in Assign sales order types permitted for sales areas.
    The problem here is you have dismantled the org structure that is you have removed the org assignments. It is clear by your above statement. Then in this case you can not view any sales order which was originally created for the old sales area(1000,10,00).
    So you have to either setup your old org(1000,10,00) assignments and try to display and reschedule the old sales order or need to explore other options of deleting the sales order requirements.
    I have simulated the above scenario and it works fine. Try the above to set up org structure again and do whatever you want to do with the old sales order and after finishing all your things, you again dismantle it.

        I have deleted the sales order,so that document number is out.When i craete the next order will i get the same number which i have already deleted.
    I want the same number again,for that what should i do...
    I dont want that number be missed,the reason is there should be a flow in number,with out missing some numbers in between.

    Yes this is possible but should not hand over the responsibility to end users.
    B4 implementing this in production, please test a document and proceed.
    Go to VOV8, select your order type and execute.  There see what numeric value is maintained against the field "No.range int.assgt".  Now go to VN01, [click on Status]  tab and go to that number.  On your right, you can see the last generated sale order number with editable option.  You can change it.
    For example, if your last created sale order reference is 805, you will see this 805 in the above area.  Change it to 804 and save.  Now if you create a new order, the reference of that particular sale order will again be 805.
    But as I already mentioned, each and every time, you need to go and change this area which is not recommended.

    if you want to "recover" the deleted process chain, try to check DEV / QAS / PRD. Maybe there is a copy still available

    Hi Srinu,
    it looks like you got the error message Schedule line &1 &2 is missing in table YVBEP while deleting the sales order.
    It seems, that there are no SAP notes regarding this issue. Do you have this issue with all orders or with a single order?
    If only a single order causes this issue, maybe something was wrong during an update.
    If you get this error for many orders, then custom code (modification, enhancement, user exit in MV45AFZZ, ...) may be the reason for it.
    If you have no custom code in module pool SAPMV45A, then contact SAP for this issue.

  • Interesting scenario- user facing error while deleting a sales order

    I have one interesting scenario and want feedback from your side as soon as possible
    Scenario-
    One of my clients is facing a problem while deleting a sales order.
    the sales order he is trying to delete is the old order created in 2007.
    when i see the document flow the user has created the export order, then delivered it, invoiced and sent it to accounting, accounting document is also cleared. then he cancelled the invoice, reverse PGI and deleted the delivery. the status of the sales order system is showing is being processed. but please note in this case after reversing PGI and deleting a delivery the delivery document disappears from the document flow.
    document flow looks like this
    Order - 200004715                     Being processed
    invoice- 700005310                    completed
    accounting 700005311                 cleared
    Cancel Invoice 700005315            completed
    Accounting 700005316                 cleared
    Now, in 2008 user is trying to delete the sales order but he is unable to do the same. system is giving him message "unable to delete sales order because of subsequent document 70005310 (which is invoice number)"
    Can somebody please throw some light on this problem.

    As fas as I know, this is standard system behaviour. The reason - you have done PGI (which has created a material document as well as accounting doc) and invoiced & reversed (which again has created accounting documents & rversal documents). All these documents are referencing the sales order.
    If you delete sales order, sales order number gets deleted from VBAK /VBAP tables.
    Hence, in relational data base scenario (meanin SAP in this context), deletion of sales order after creation of subsequent documents is not feasible.
    Hope it clarifies the issue.

  • How to close automatically sales order with open items ?

    There is a request from a client:
    he would like to be able to close the open items of a sales order which are not billed automatically according to a specific calendar. Moreover he would like to specify that ,generally speaking, the customer does not want to be delivered another time if there are leftovers in the sales order.
    I read in other posting that manually you can close open items in a sales order by adding a reason of rejection for the line item. Nevertheless, I do have one question about that. Imagine we only have one line of 100 pieces and we only deviver 90 pieces. When we put a reason of rejection in the sales order item of 100 quantity, what exactly will happen? How the system will know it only has to reject the 10 non delivered pieces and not the 100 pieces mentionned in the line item ? I also read that the price would change to zero but how can this be correct if we have 90 pieces to bill ?

    Dear Stephanie,
    the reason for rejection change the status of the item itself to completed and it move the item from "active to be processed" to a simply statistical status.
    In the scenario you mentioned, as the reason for rejection is applied to the full item, you will set the full item as statistical, but your 90 pieces will continue being delivered and even eventually invoiced.
    Some discrepancies you may find only running some statistical reports, where also the net values information would not be in line as per your expectation.
    In order to prevent this discrepancy issue, I would advice you to contact a good abaper and develop a program that may massively rejects open items with not confirmed quantities, creating a new item for the open quantity if the sales line is partially confirmed.
    It means that, in your scenario:
    Order A > Item 1 for 100 pieces
                               > only 90 pieces delivered & invoiced
                               > 10 pieces open
    the result would be the following:
    Order A > Item 1 for 90 pieces
                               > 90 pieces delivered & invoiced
                  > Item 2 for 10 pieces rejected
    In this way you keep under control any report you may generate out of your sales and you can set as statistical items only quantities not processed further.
    I hope this explanation may help you.
    For any additional information on the reason for rejection I would remind you to SAP documentation and if you have the possibility to try to customize ans set your system with reason for rejection in order to discover directly with your eyes how these work.

    hello again, Joseph.
    until someone comes up with a standard solution, i believe what ABAP will do is to come up with a customized table that will show all sales orders with status 'not yet processed' (from table VBUK) within a date range.  when the list is called, you will be enable to enter a value in the field 'reason for rejection' (field name ABGRU).
    when you have entered a reason for rejection, the sales orders are effectively closed (completed) and a subsequent transaction based on these orders cannot be done.  you can ask ABAP to use an available user exit to further prevent the re-opening of these orders.
