How to manage multiple resources in multiple project?

Hello,
We are a very small company that has migrated from an in-house TFS solution to using VSO to manage our projects.  One issue we are having is being able to look at outstanding tasks and resources allocated across multiple projects.  What I'm looking
for is one place where I can see how many hours a person is allocated for a given week for all projects.

Hi Curtis,
You can create a single team project and create teams for each of you project. Then you would be able to monitor all team progress etc using root team project and each team progress can be separately monitor. If you use parallel iterations across all teams
this would be more effective.
For team capacity you can set full capacity to root level and divided capacity levels to each team.
Scaled Agile Framework is explaining similar concept here for more complex situations in below article. But you can use a simplified version of it.

  • How to Manage the Resource Master in Primavera Enterprise Version

    We are using P6 enterprise version in our company having a central database. We had created our own unique resources and standardised across the enterprise and is Admin protected. However we often have to import some schedules sent by our consultant/client. In those schedules they have their own resources.
    So when we import these schedules, it also imports the resources along with it and pollutes our resource master.
    Can anyone let me know, how to manage such a situation.

    We have met this issue. You have few ways to deal with it, but each has its own +ve and -ve.
    1- You may create a separate "Working" db into which you can import those files and keep them there only. Your master db shall be used for maters and your own program only.
    2- You may do the same for checking the resourses, vet them before importing into the final db
    3- P3 and MSP importation allows you to select the node to which the resources will be located. We have created a resource node called "Imported Resources" and dumped all those resources into it. Our users don't have access to that node so those resources can only be used on the imported program and can't be assigned to any other program / activity
    4- Enforce your supply chain to use the same resource list. We managed to do that for our main and subcontractors. That formed part of their contracts.

    There is one copy of a Template.mpt file in the shared drive. Users copy this file to their project folder for a specific project and they save it as Project_n.mpp. There is only one Project_n.mpp file per project. So whoever works on the particular project
    will always open the same Project_n.mpp file. There is a lot of projects that users work on and each of them has its respective Project1.mpp, Project2.mpp, Pproject3.mpp etc.file.
    These files contain modules that are called on the Project Open and some of them on the Project Close. Current code in modules is used to update the project file with data from a database and also to update database with the data from
    the project file.
    I am looking now into the solution on how to incorporate any future modifications of the modules so that it can be applied to all project files.
    If I modify code in any of the modules of the Template.mpt file that is on the Shared drive I am now sure that modifications will apply only to the new projects (when user initiate the Project_n.mpp and starts from the Template.mpt).
    But in the case of already created project files (Project1.mpp, Project2.mpp, Project3.mpp) I also want to apply the modified code in modules, but currently when I open them I have the old code.
    I tried using Global.mpt file but ran into some issues such as if I move all modules to the global.mpt the functions called from ThisProject/Project Open are ending having errors since they are not defined. Is there any way of specifying
    in the project that modules are defined in the Global.mpt.
    I also tried to Move modules from Template.mpt file to the Project_n.mpp file on the opening. Before moving modules I deleted them to avoid having to answer to the question "Do you want to replace the file?", but then some modules wouldn't get deleted
    right away because functions that are called in the Project.mpp open event are defined in the modules I want to delete. They get deleted at the end of the code execute and that causes issues when code runs again.
    I would appreciate any help, suggestion on how to solve this issue. I am open to any proposition in regards how to share modifications among all users and previous and future projects.

     Well, it certainly sounds like you could use Project Server, rather than standalone Project and MPP files stored on hard drives. This would be a perfect example of why Project Server was developed. 
    Some of the features that may address your needs are...
    Project Server permits the creation of "template" schedules, so that users create new projects from existing Templates on the server. There can be as many as you like - different templates
    for different types of schedules. Users have a drop down menu to select which "type" of project they want to create. There are other items that can be associated to the project creation.
    Project Server also has workflow, which can perform actions (on the server side, not the desktop) to help manage the Project Management process flow.
    Project Server allows many users to access the same copy of the schedule via a check-out (for editing) / check-in mechanism. This ensures that everyone is seeing the current and accurate version of
    the schedule.
    Project Server allows you to automatically keep "archived" versions of your published schedules for backup / restore purposes.
    Project Server stores all project information in a SQL server database which permits you to use standard SQL tools to transfer data in / out.
    Finally, Project Server still uses a Global.mpt, which is stored in the database and every user gets an automatic update of that file each time they open a project from the server (they get a local
    copy, which updates with any changes) so that all changes to Global MPT are pushed out to all project users.
    It sounds like you may benefit from Project Server Online, which is quick and relatively cost effective.

    Pay close attention to your data transfer needs, this area is getting better, but may or may not meet your requirements.

  • How to manage linked files with multiple designers?

    Hi,
    I work at a small company with multiple designers (5 of us) where 3 of us work remotely. We use dropbox to manage our files so that everyone has access--we keep client files in specific folders and stock media in a shared folder.
    Currently whenever we open a file that's been edited by someone else, we have to go in and individually relink the files. Some would prefer to embed the files, however this can increase filesize by 60-400mb. Our current files total in at around 500gb, so I don't think that's a viable option.
    4 of us are on Macs, 1 on Windows. 1 has CS5, 3 have CS6 and one has CC.
    My question is this:
    If we all have the same path to dropbox (or the same path to the file, either way) will Illustrator be able to automatically find the files?
    Eg. X:/Dropbox/...
    If so, will it work cross platform?
    I know InDesign has a better link management system, is there a good plugin that would help with this?
    I'm going to continue to do my own research and testing, but I thought I'd consult those more knowledgeable than me.

    Thanks for your response. Currently, dropbox works so that it syncs online but also is stored locally on your hard drive (not like a network drive). So one person could have a different path to the dropbox folder than the other. As for the second part, that would be about the same as embedding it in the file as far as general disk space usage. We use many of the same stock photos in multiple files, so keeping them in the same location reduces the amount of space used. It wouldn't be a huge problem if illustrator used relative paths instead of absolute paths, but alas.
    I was forgetting that Mac OS doesn't use drive letters, so there probably won't be a way for illustrator to read things as the same path cross-platform...
    I'm still wondering if there are any good plug-ins which help find broken links.

    Assuming that we are going to have only one user for our web-app to access the BO-ReportServer.
    Are we supposed to fetch the IEnterpriseSession, using the following code for every user who is trying to access the WEBI report using BO-SDK from a web application.
    CrystalEnterprise.getSessionMgr().logon
    Example:
    When User_One, logs on to the webapp start a new HttpSession and then do a CrystalEnterprise.getSessionMgr().logon
    When User_Two, logs on to the webapp start a new HttpSession and then do a CrystalEnterprise.getSessionMgr().logon
    Questions:
    1. Is this right approach
    2. If yes, So does this keep going, considering if our webapp has around 500 concurrent users then will this be scalable
    3. If no, then I wondering if the IEnterpriseSession will be threadsafe
    Confusion:
    Just confused if IEnterprise session is similiar to a datasource(for db connections which manages the connection pool) or is it more like HTTPSession, which is created for every individual user accessing the application.

    Yes total users should be around 5000, but there could be around 500 users accessing concurrently. Besides we are using to BOE to show a dashboard, with charts and graphs(using the HTMLView) so we will have to 500 concurrent IEnterprise sessions. I just hope that:
    1. Each session is unique(independent thread) although they have logged on using the same credentials
    2. The CMS server can scale upto this number(500). Don't know if there are some caching options available?

  • How To Managed Serialized Data Over Multiple Application Versions

    Lately I've been struggling with deciding how to deal with serialized data between application versions. Assume you have some software that has to be able to save data files. As the application evolves, the data format changes. The application needs to be able to load data saved from prior application versions.
    When I first started out I just used a Serializable class. It was quick and easy. However, as newer versions used slightly different data formats, I had to come up with a means to upgrade the data to the latest version. Initially I created a process where the latest data class knows how to upgrade from prior data class versions. Then, when loading data in the application, if the class doesn't match the latest data class version, it checks to see if it matches one of the versions that can be upgraded.
    This sort of works, but still has one glaring problem. The old data classes must be etched in stone; never altered. For ever and ever. You can get away with certain simple updates to older data classes by defining a serialVersionUID and keeping it's value the same. But this doesn't always work. What if my overall package structure changes? I have to ensure that the old data classes remain in the same older package structures. Not ideal.
    So I've started considering other ways to serialize data...a process where the data can be broken down into core Java classes. There are serializers for serializing to XML, but I don't feel that XML is an appropriate storage format for the data. I'm also considering using a custom built serializer that uses introspection in some fashion.
    Before I go any further, however, I'd like to solicit some suggestions. Do you know of any serialization packages that might help me? Do you have any suggestions on what might be a good custom solution? Will Externalizable make this easier? (I've never used Externalizable before...looks like maybe it could help, but even that appears to be vulnerable to refactors that change package structure).

    I've continued to work on my own custom serialization process as described in my previous post. Here is how it currently works:
    In the example there is a class named ExampleSubClass identified by the String "xsub" of version "1.0". It is saved and then reloaded into a class named RevisedExampleSubClass identified by the String "xsub" of version "1.1". The String "xsub" identifies what the class represents, which allows the class and package to change as needed. Fields can be added, removed, or converted through the optional serialConvert method.

  • Using multiple resource cost rates in Project Server 2013

    We use Project Server 2013 to manage resources that often perform multiple roles within projects and also have different rates between projects. The Standard Rate from the user's profile is somewhat helpful but, as we all know, it carries over to every
    project that the resource is part of.
    I have tried opening Project Professional 2013 and using the additional Cost tabs in the user's information to enter different rates in tabs, B, C, D and E (tab A is the default Standard Rate from Project Server).
    My experience has been that as soon as I close and check in the project file, this data disappears. Next time I open the file the default rate is available but tabs B-E are blank. This behavior does not occur if I open a stand-alone project
    file not connected to Project Server. 
    I realize that Project is not meant to be a financial management tool and has its limitations but I'm looking for suggestions and would appreciate any feedback.

    Dale is right in that an Enterprise Resource can only have its rates (or any details) set by the administrator. Unfortunately you are limited to 5 rates (A-E).
    I have done a macro for a client that reads rates for a resource for a project from a database (or Excel) every time the project is opened. So you see the correct rates and calculated costs.
    These rates get over-written next time you open the project, hence the need for the macro to update rates every time the project is opened.
    Another option in the macro is to zero the rates so a copy can be emailed to clients etc without sensitive rates data.

    related version of the code to the solution repository. Later host on the site which is created for that client purpose. This process is same for all the clients where we purchase individual server for each client .
        Now we want to host our product in farm environment of sharepoint foundation 2010 where we are going to try 3 level architecture. 
    • SQL Server-In this sever we are going to install sql server 2008R2 standard edition. Which should serve the database service for all the web applications/sitecollections which we are going to create in Web front end server.
    • Application server- In this server we are going to install the sharepoint as farm and will install search server express for serving search functionality for our product

    It sounds like you have a farm scoped solution at work. In that case you can only have a single instance of it per farm, you'd have to branch each version so they appear to be seperate solutions entirely (thus ruining your clients upgrade process).
    Bluntly i don't think a single farm can manage all your user environments.

    All devices signed into the same iCloud account will finish up with the same contacts. Of course if prior to joining iCloud two family members each had an entry for Uncle Fred, then you will finish up with two contact cards for Uncle Fred, and so on. If you tidy this up on your computer then the changes will propagate to everyone else.

    The article that AnaMusic references assumes that you sync automatically I believe. Turn off auto sync and select whatever you want to put on each device. As Philly said, it really is a snap. I have never synced automatically and I never selected iTunes to start up when my iDevices are connected. I want the control over all of that.
    Launch iTunes on your computer and go to Edit>Preferences>Devices>Prevent iPods, iPhones, and iPads from syncing automatically. Check that box and then quit iTunes.
    Connect your iPad to your computer, launch iTunes, click on your iPads name on left sidebar under the devices heading and then click on the summary tab in the iTunes window on the right. Select - Sync only checked songs and videos. If you really want to "live dangerously" - uncheck Open iTunes when this iPad is connected. Now you can control what you sync and when iTunes starts up. iTunes will not start up when you connect the iPad and it will not sync anything on its own.
    Go into each tab in iTunes, Info, Music, Apps, .... All of them - check what you want to sync in each section. After you have made all of your selections (and you have checked all of the headings - Sync Music, Sync Apps and so on) click on Apply in the lower right corner on iTunes and the sync will take place.
    Do this with each iDevice and iTunes will remember what you selected for each device the last time that you synced. You can make changes to this configuration any time that you want for each device and if you do just remember to click on Apply in the lower right corner of iTunes in order to apply the changes.

  • Export to MS Project and multiple resources to one role

    Ok, after this rather cryptic title i will explain my problem:
    We are currently in a project where we have the following requirement:
    A download of cProjects needs to be imported into MS Project 2007.
    When a project role is staffed with multiple resources in cProjects it is imported into MS Project as a single role with only the first resource attached to it. All the other resources are nowhere to be found.
    Does anyone have a solution to this?

    Hello Meil,
    You can try to implement your requirement in BAdI DPR_MSP_CUST_FIELDS method CUST_CONVERT_DPR2MSPINT. Here you have to convert each and every Resource assigned to a Role as individual resource in MS Project. You have to use method CUST_CONVERT_MSPINT2DPR to convert it back in Project's format.
    e.g. 1) Downloading Project to MSP --> Role 1 has Resource 1 and Resource 2 then in first method you need to Create entry for Resource 1 and Resource 2 and keep track of to which role these are staffed. But this will create individual entries for each resource and will not add the resources name to Project role. Other possible implementation would be that you can maintain the Employee number of each Resource in some Text field which is not used in Field Mapping and accordingly decode these Emplyee numbers while uploading the Project from Ms project.
    2) Uploading Project from MSP --> Use second method CUST_CONVERT_MSPINT2DPR to decode the above implementation to fill the Project structure for Role and Resources.
    You may check it if it is possible to implement it in that way.
    As a standard, as metioned earlier, it is not possible.

    i am trying to solve one problem. I have one iMAC where i have two user profiles connected to different AppleIDs. Next to it there are two iPhones and two iPads. I am trying to find out, how to manage photos from all these devices using one account on iMAC. Second question is if there is any finction in iPhoto that can publish images to NAS server? Second alternative for me is to byu iCloud drive space and use Family sharing for publishing photos. Bellow text schema is attached, it is only my idea and i dont know if this could work like this. Did anyone somehow solved this configuration? Thanks
