HRSS Workflow/AME approvals

Hi
We need to change the standard approvals process in HRSS. We're on R12.0.4, so AME.B using HR_GENERIC_APPROVAL_PRC.
Depending on the organization, a notification needs to be sent for approval. The person will be stored against the organization in a DFF (possibly).
Can this level of approval customization be done using AME, or will we have to update the Workflow?

We also have a customization req for Leave approval to send the leave form to HR based on Emp Organization for verification before sending to Supervisor.
I have created a Lookup where I stored the HR person and Organization mapping. Then I created dynamic approval group which fetches HR from lookup based on Emp Org and attached it to Pre-List approval action type.
With this setup, in Absence review page, it is showing HR person as 1st approver and supervisor as 2nd approver but when submitted leave form is directly going to supervisor only.
The same setup is working for ICD function to submit reimbursements.
Could some one tell me, where I am going wrong.

    We're on 12.1.3 and have received a request to include approvals in the "Enter and Maintain" form of HRMS Manager responsibility. I've checked on the User Function "Combined Person & Assignment Form WF="GLB HRMS TSKFLW" and I can see the workflow name "WORKFLOW_NAME="GLOBAL HRMS PERSON TASKFLOW"
    I've suggested to a consultant to create a copy of this workflow and customize it to include approvals. His response is that it's a taskflow, not a workflow, and therefore can't be customized. Is there a where to include approvals in Enter and Maintain form so that any changes to the employee details get approved?

    Hi Dula,
    Do you want this approval to happen from PUI form. I dont think this this would be possible, at max you can send trigger alert(or any other notification) when there is any change on the personal record.However, if you self-service, whenever employee does any change on his record, you can configure AME, to send for approval.

    Can anyone help, We are trying to set up an automated Business Process Matrix, bascially we have people that need to submit reports (annually / Monthly / Quarterly) and we want to be able to
    Send them an email say 1 week before the due date (and then another say 2 days before due date.
    When they submit the document I want to be notified that they've uploaded the document to a business process list and be able to approve it or return for correction
    Last but not least – would like to be able to keep a historic library of the documents
    Looked on google and can see how to do it with sharepoint designer – easy – but our company have denied us access to it – and we have to pay a team to do anything in designer !!!!

    You're stuck without SPD for the first requirement, but I’m sure your specialised team would welcome a bit of direction :). My comments in bold

    You can use the ‘Information Management Policy’ method as described in
    this blog article by Laura Rogers (it’s for MOSS and WSS but works in SP2010 also). SPD required. Alternative is custom timer job which would be dev – not ideal.

    You could use a standard ‘out of the box’ approval workflow for this. No SPD required.

    The library that the documents would be uploaded to could also function as a historic library of the documents. Perhaps your default view could only include recently uploaded documents. No SPD required. Some useful info

    I have setup AME for my business group and it works almost perfectly. The thing is I have different organizations in my business group
    and have setup security profiles that prevents people in a certain organization to view information of people from a different organization.
    Issue: in SSHR, an employee can see the list of approvers of their organization and approvers belonging to different organizations.
    I only want users to be able to see a list of their approvers from their organization in SSHR.

  • SCRM Workflow + sourcing approvals issues

    Hello,
    I am testing the SCRM workflow set up and I'd like to be clarified on the following issue:
    when I need to add a user/group to the owner section for example, the system allows me to put author + another user.
    I assume "author" would be the creator of the workflow (myself), so how is it possible to set up another user = author as owner of the workflow?
    Also, what is the impact of the "optional" field to be ticked? would you please give me some examples?
    Finally, when creating a sourcing approval I'd need to fill in the supplier item field and flag the supplier signed spec.
    I assume the supplier item would be the crossed reference supplier number in another system. Am I right?
    When should I tick the supplier signed spec instead? when would it be necessary? Would you please give me a few example to better understand the need for the supplier to sign a sourcing approval?

    The "Author" token represents the originator of the Sourcing Approval or GSM specification. To set other users up as owners you need to add them to the owners grid in the step. The first step and terminating step don't have the owner grid option. The Administrators User Guide discusses this further on page 7-10

    You can make it optional for the end user to select an owner, notification recipient or signature requestee. This means the end user when workflowing the object could choose not to select one of these. If the selection was not marked optional then the user would be told that they are required to select something before continuing. For example, if you wanted all members of the Labeling group to be notified you wouldn't make that an optional selection for the end user workflowing the sourcing approval or specification. If you allow the end user to decide when and who needs to be notified you would make that selection optional.

    It could be and you could manually fill out the cross reference related to that supplier in the supplier item # field.
    This could also be a temporary number that you are using for the supplier's material until it is an approved/purchased material with an assigned cross reference.

    Supplier Signed Spec means that the supplier literally signed off on the specification and agrees to supplier what the specification dictates. It allows you to say they signed off, what date they signed off on the spec and any other comments that are necessary around that approval. There is another feature you can use to automate this sign off. You can send the specification to a supplier, have them review it, then they can approve or reject suppling the material as the specification dictates. This interaction is captured on the sourcing approval. When they approve the spec the supplier signed box is checked, the date is captured and their comments are also recorded.   • AME (Approvals Management Engine)  patch 6699770

    Hi Friends,
    We have EBS 11i on IBM AIX 5L 64-bit server. And the functional consultant wants to use AME.
    I read the docs and I found out that AME is installed using the patch 6699770. Is my understanding correct?
    I also searched the patch on metalink and found out only 32-bit version of this patch? Can I use this for our 64-bt server?

  • Vacancy Approval Custom Workflow

    Hi All,
    Purpose: approval process for all job vacancies, this approval process will be based off the approval chain entered in the dff segments on the 'Requisition and Vacancy' screen in the core application. The workflow process should start at attribute 1 and work thru the remaining populated attribute values till the last approver name.
    The DFF for the screen is the Additional Vacancy Details. There are 7 segments setup for the approval chain, however not all segments will be populated for every vacancy approval.
    Can you please give brief idea how to customize the vacancy approval workflow for aboverequirement. can we use Approval Management, is it support 7 approver levels?

    Hi,
    Think there is still confusion on 'where' you want an approval.
    Vacancies created in core HRMS are saved automatically, thus AME (Approvals Management) is not going to solve your issue. This is based on transactions that do not commit until approval has been gained.
    e.g. Creating a Vacancy in iRecruitment
    I'm guessing you want saved vacancies to start an approval chain (based on names in the DFF) and then when all approvers have approved, the 'Status' field in Core HRMS is automatically updated to 'approved'.
    I presume you are making this Status field read-only for HRMS users creating the vacancies
    Is this correct?

    For Absences Oracle uses AME (Approvals Management Engine) to send notifications. You would have to write a new rule to send notification to new person for an absence

  • Error while opening AME Approval Function

    I am trying to open the AME "Approvals" Function in R12 Vision Instance and I am getting the following Error.
    The requested URL /pls/VIS/OracleSSWA.Execute was not found on this server.
    Seeded approval functionality for iRec is working fine.
    I am logging in with a vision instance user only with a seeded responsibility "FED AME Application Administrator".
    I checked the function details but could not make out any thing. Here are the function details

    Properties:

    In R12 old AME functionality will not work. Old AME pages as in 11.5.10, AME.A are built using mod PL/SQL. But in R12 mod PL/SQL is not supported. In R12 all the AME pages are build using OA Framework now and using RBAC mechanism for assigning responsibilities.
    For setting up AME Rules in R12 one can follow the following note

  • How does FYI work with AME

    Using AME - Approvals Management Business Analyst responsibility on R12.1.1,
    I enabled FYI under configuration variables => Allow for your information notification = yes; for the transaction type specific value Payables invoice approval.
    I set up a rule and selected Category = For your information. i completed other settings but the invoice is approved and no notification is sent out.
    How do i setup the actions to send notifications to the selected users.

    By default, WAAS preserves the DSCP marking on intercepted packets.  There is a configuration option to set/override the DSCP value at the global (device), application, and classifier levels.  Currently WAAS provides marking only.  There is no action taken by WAAS based on the DSCP value.

    I am seeking process workflow examples that point out the approval steps.  I intend to take these examples and compare them to our current processes and identify areas where we are not taking advantage of the workflow/automated approvals/controls available in SAP.  An example would be the journal entry approval process.

    Hi Richard
    The answer to this one is driven by your process, but the options available are actually quite broad.  What I mean is:
    You can use existing approval mechanisms such as park/release (as in the case with invoices), release (in a purchasing document), or unlock (in the case of HR infotypes).  These could be described as the vanilla options.
    You can also develop your own methodology based on the workflow instance rather than the database entry.  For example I was asked to create a workflow to approve creation of master data objects (vendors in this case).  I built a module pool to create/change/delete/list entries for the user, but on creation/change, this started a workflow and populated the workflow container before sending for approval.  Only after approval was the container passed into a method to actually create the database record.  In this way you can get approval on any type of data regardless of whether SAP has supplied an approval mechanism.
    And of course you can use Adobe forms in an analogous manner as well.
    So the question actually becomes where do my business processes require approval and using workflow here.

  • SC in Awating Approval satus but No workflow item found

    Hi Experts.
    We are using SRM 5.0 and have found this strange problem where a SC is awaiting approval status but there is no workflow item generated when we check for the sc in bbp_pd.
    We tried to check in swi1 for workflow item id for that particular but are not able to see this SC.
    What could be the reason where the workflow is not started since in our case once the sc is created workflow gets started automtically in this case that has not happend.
    we ran the clean_req_req_up job and bbp_get_status_2 for this sc but no help
    Any help in this regards will be highly appreciated

    Thanks for your response As suggested we did check for the SC in SWI6 but we get a messge " there are No workflows that have already worked with this object type"
    Since our SC have approvals in line will restart of workflow trigger the approval or will t get auto=approved,since in a few cases when we retriggered the workflow teh approvals were never called and the SC were auto-approved.
    There are more than 10sc which have stuck in thsi kind of situtation
    we also had a SP patch upgradtion,cld this have been caused  because of SP upgradation?

  • Submitting An Apex form into the Seeded Workflows

    Hi all,
    I am currently working on a request form that we will use for any new stock items and I want to dump the request, once submitted , into the standard workflows for Inventory like the requisitions workflow for internet procurement.
    I basically want to route the requests to supervisors using standard workflows and then once approved have the request routed to our user who maintains our Inventory master for entry via seeded forms in the apps. The entry and request form is basically same principle as creating an email template that gets forwarded to everyone but I intend to add via APEX entry form to an Inventory menu within Oracle and then once submitted have the process utilize workflow for approvals and then have the form automatically routed to Inventory so It can be added into Oracle via standard form entry through the applications.
    I am unsure how I actually call workflow from within Apex. Has anyne done something similar?

    the seeded workflows within Oracle applications specifically - PO Requistions Approval. I need to reload workflow Builder on my machine to get the actual technical name for the workflow out of the database but basically any seeded supervisor driven workflow would work to route the requests. PO/Inventory workflows made the most sense.

  • Workflow, comments, and emails

    My team is having issues writing one of our first workflows, involving approvals. We have a few
    questions.
    *1.* We want to send an email to the content reviewer to tell her that there is something in their inbox requiring her attention. How do we implement this?
    *2*. We need to insert the approvers comments into the approval/rejection email. How do we accomodate this?
    *3.* If I am a page author, and my page has been rejected, assuming the reviewer has entered the reason in the workflow comments, where do I find the comments telling me why it has been rejected?

    Yes, SE63 is used in translating the Adobe forms into other languages (I get to it from either being in the form editor from HRASR_DT or from t-code SFP directly, then from the form, choose "GOTO->Translation" in the top menu. You can go straight from SE63, but getting your form up is a bit trickier)
    A few things to keep in mind in SE63....
    1) Make sure you are logged in IN THE LANGUAGE YOUR ARE TRANSLATING TOO (ie. target). Otherwise, the editor won't show/allow you the special characters for some languages since it does not have the right codepage in use.
    2) The editor control can be buggy. We had issues on SAP GUI 7.10 patch leve 5 and 7. Upgraded to patch level 12 and it works just fine now.
    3) The editor will allow you to translate all form elements it has access to (ie. control labels, static text boxes, etc). However, it will NOT let you get to "hardcoded" texts in Javascripts in your form for example. You must find a different solution for this (there are some common ways out there on the net you can search for as well as some folks have posted in the Adobe forums on here).

    I would suggest you to check the standard template in SAP workflow also.
    To check the standard template, goto transaction SWDD, and search by using structure seach, you will find the standard templatea under sales and distribution area.
    Regarding to your requiements , you need to create the new object by extend from the standard object BUS2032 by using transaction SWO1.
