Import Glossary from Word Doc?

Hello!
Is it possible to import the contents of a Word doc into a
project's glossary, rather than having to create from scratch
and/or cutting & pasting into the Glossary?
I saw nothing about this in LiveDocs or the Forum...
If I have a Word doc, what styles should be applied to the
term and to the definition?

Hi Kathy
Yes, it's possible. However, keep in mind that the Glossary
file exists as a simple ASCII text file. Thus, no formatting is
allowed. I might suggest the following approach:
Add a single term to the Glossary using RoboHelp. Then sneak
behind the scenes and open the ProjectName.GLO file with Windows
Notepad. Note the structure. Now format the text in your Word
document to follow the example you just looked at. You could then
select it all, copy and paste into the .GLO file.

    This results in a graphic which cannot be updated. iWeb help suggests
    Identify items that will be converted to graphics when published:
    Choose iWeb > Preferences.
    Select “Show text imaging indicator.”

    Word is wordprocessor. iWeb is an application to create webpages with.
    Copy/pasting formatted text always has unexpected results.
    To overcome that, save your Word document as a html file.
    Open it in a browser and then copy/paste the text.
    iWeb will retain the formatting.
    And Lion is an operating system. Just like a Mercedes is a car. Neither has anything to do with your problem.

  • Hidden formatting held over from Word doc conversion

    Our company is shifting our product manuals from Word docs to InDesign.  I'm a newbie to InDesign, and I have just converted my first attempt using File>Place.  This was a moderate size file (15MB), with a lot of embedded images, diagrams, and formatting.  Although some of the text formatting didn't convert properly, the clean up has been easy.  The biggest issues I've found are residual page and section breaks that needed to be manually removed from my text frames.
    My boss, however, is hesitant and concerned that there might be some "hidden" formatting that carried over from Word that will ultimately undo all my progress and wreck havoc with the new ID document when we least expect it.  Is there anything I should be looking for in particular?

  • Importing images in Word Doc

    My colleague recently had Office 2007 installed, then RH 7.
    She started a new project and imported a Word *.docx file. RH
    did everything I expect it to do except for this:
    The images do not appear in the topics. It creates a separate
    project manager folder for the images, as I expect it to do.
    However, the folder seems to contain nothing. Normally, I
    would expect to see images listed there. They aren't in the top
    directory as baggage files, either. They are in .gif and .jpg
    formats.
    The images do show up in the project's Windows directory, in
    the new folder corresponding to the "empty" directory in project
    manager. The Unused Files report finds them.
    I can't figure out what my colleague may have done when built
    the Word .doc -- nothing any different from what I usually do --
    that could explain this. Saving it as .docx or as .doc makes no
    difference. Converting it from .docx to .doc doesn't fix it. The
    import goes exactly the same on my two PCs. One runs Office 2007
    and RH 7. The other runs Word 2003 and RH 7. Of course, .docx won't
    run in the latter environment. Any .docx or .doc files that I built
    work fine.
    I found two workarounds, but first I'd really like to know
    what conditions in her Word files would cause RH to do this. Has
    anyone seen it, and is there a simple way to fix the Word doc?
    Otherwise these are her options:
    Option 1. Create a new Word document in Word 2007 and insert
    the complete original file (the new Word menu moved this to Insert
    > Object > Text from File). Save the new file as .doc or
    .docx. Import the new file into RH 7. Images appear in the topics
    and in the project manager under a new folder. (Copy all and paste
    into the new Word doc also works.)
    She has several large Word documents to deal with, so this is
    less than ideal.
    Option 2. In the new topics in RH, insert the images where
    they belong. While they don't appear in the project manager, the
    insert image dialog finds them. After we insert an image, RH shows
    it in the project manager. Probably, this would take longer than
    Option 1.
    Any ideas?

    Next time you have trouble importing a legacy Word .doc, try
    this:
    In Word, create a new file using the New command and the
    default .dot.
    Insert the contents of the legacy .doc from the menu command
    (not by cutting and pasting).
    In Word 7, they moved the "insert file" command to Insert
    > Object > Text from File . . .
    I'd think "insert text from file" would mean pasting
    something that doesn't include graphics. However, Word will bring
    in everything from the legacy .doc including formatting and styles.
    Save As . . . the new document as .doc or .docx. I don't
    think RH 7 cares. In our experience, jpegs and gifs sometimes were
    missing until we created the new Word file.
    Another wrinkle: In Explorer view, with a folder open, File
    > New allows you to create an empty Word document right there.
    We had some trouble using one of these for importing and saving the
    legacy .doc.
    Didn't have time to track it down. Was the legacy .doc
    created in Word 2003, and the conversion to .docx in 2007 glitched
    some images? In your case, it just happened to the .png files? As
    you previously speculated, images may have been handled differently
    in creating the original .doc.
    My hypothesis here is, whatever the reason for images getting
    lost in the import to Word, everything gets fixed -- even for pngs
    -- when you start with a clean slate in a new Word document created
    from the New menu in Word.

  • Importing footnotes from Word (and making endnotes)

    I have always had great problems importing footnotes from Word. After having saved Word as an .rtf and importing the text through and Cmd/Ctrl-D the footnotes come in at the bottom of every column in the text frame.
    Is there any way of getting them to go to the end of the text whilst still keeping their numbers and the numbers in the body of the text?
    I think what I want to do is change footnotes to endnotes.
    At the moment I'm just deleting all the footnotes from each column and changing the leading to zero to close the box and then pasting all the footnotes from Word into the document as endnotes.
    This way at least I still get the superscript numbers in the text OK but it's not a very elegant solution.

    Hello Guys, Thank you so much for your answers. Sorry it took so long to get back to you, I've been really busy and I've only just got back to this job where I have all the footnotes. I tried  the Footnotes2Endnotes_v23.jsx and it worked first time!!
    This will save me countless hours with this issue. I have resorted to pasting in the text and laboriously re-entered the numbers in the past!

  • Images not importing from Word doc

    SORRY MODS - Accidently posted this in the HTML Help forum
    I'm having trouble getting my images placed in a Word
    document to import ito my project. I have RoboHelp 2002 and first
    experienced the problem there, thought I'd try the upgrade to see
    if that fixes the problem. It did fix my step numbering problems
    (all steps were numbered Step 1), but the image import problem
    remains. The images are .jpg images and most were placed in Word
    using Insert Image. Some were just copied and pasted. Regardess of
    how the images were included in the doc, none come through in an
    import. Am I doing somethig wrong? I've tried importing it as a
    Word 2000 and a Word 2003 doc with no luck.

    I had the same issue and could get no good advice on how to
    fix it. What I finally did was take the embedded images from the
    Word doc and save them in another location. I then inserted them
    back into RoboHelp after I imported the Word doc. It's a little
    tedious, but it worked.

  • Question re Create PDF from Word doc

    I am trying to create a pdf from a Word document (Word 2007, Acrobat 8 Professional), and am having lots of trouble with images,fonts and document overhead. With the fonts, i generate the PDF by saying Create Pdf from the plugin in Word. I specify in the Preferences that fonts are not to be embedded. I then open the PDF and access PDF Optimiser -> Audit Space Usage, and it says that fonts take up like 20% of the document, however there are only like 10 lines of text in Arial (9pt), and 6 titles also in Arial (Bold). I dont understand why Font is taking up so much space considering that i have elected not to embed fonts (if i go to the Fonts section in the Optimiser, it shows both embedded and unembedded panes blank).
    With the images, i have 2 jpegs in the footer, that are compressed (JPEG -> Low). The other thing i am struggling with is the headers and footers, if i generate the PDF from the Word doc with Headers/Footers, then images take up over 15% of the document. Not sure if there is a way to add headers and footers within minimum impact of filesize? I have tried checking everything in the 3 categories of Dicard Objects, Discard User data and Clean Up. but the Document Overhead remains at 35%.
    What else can i do to get these filesizes reduced?I have been researching this for days and have not come across anything that has helped.I have tried to PDF print, i have changed the font to like Courier, ensured no thumbnails or bookmarks, ensured JPEGs are not embedded in the doc, tried Save As, Save As under a different filename - basically anthing you can find on the net i have found and tried, but still cant fix this!!!! please, if anyone knows acrobate 8 better than me / or knows what the problem is, please advise????

    The colors and size in a graphic needs to be done in a graphics editor. What type of editor would depend on the use of vector graphics versus bitmap. Sometimes vector graphics are larger than bitmaps if you are using a lot of lines that would display better as just a splotch of color. Such are the variations between vector and bitmap graphics, but important if you are looking for size reduction. For a bitmap, I would do the sizing and color depth with IrfanView, but you should be able to do that with PhotoShop if you have it. Vector graphics can be adjusted in Illustrator. The size of vector graphics is not an issue since they are scalable, but the size of a bitmap is important since your are looking at individual pixels and that depends on size. The point is that if you can adjust the color depth and size for the desired pixel resolution, the bitmap is optimized for the conversion to PDF from WORD.
    As I mentioned, the smallest file size job options should minimize font storage in the PDF. Checking with the PDF Optimizer does not always give you all of the fonts. I am not sure why. It is better to check the font tab in the document properties to see what has been embedded. There is a preflight macro to embed fonts, you might check to see if there is one to delete fonts (I have not checked on that). Sometimes you can play with the reprint of a PDF, but that is not an option that is generally recommended, particularly if you have any tagging or such. Of course, tagging can really bloat a PDF, but is needed for a variety of reasons such as format for saving back to WORD (not a great workflow), accessability, and related issues. In another topic, there is some discussion of the purposes of tagging and bookmarks. However, the tags and bookmarks take space if that is really an issue for you. The latter are avoided if you use the print to the Adobe PDF printer and do not use PDF Maker in the PDF creation process. Again, there is a trade-off here in terms of size and functionality, particularly accessibility compliance.
    Not sure I am helping as I run on, but sort what might be useful for you.

  • Can't create pdf. from word doc when edited photos are included

    Or for that matter, from any photo which has been imported from my camera through lightroon, which happens everytime I  download shots to my harddrive. I create .pdf tutorials which include process shots and text; whnever I include shots which have come through lightroom, I get an error message telling me that the flies in question are in use with another application. There must be a workaround for this, right? Why can't an edited photo be included into a word doc and then converted to a pdf?

    You must have a program open with the image file or you would not get this message.
    I just did a test run. It works perfectly with my images. I tried it with a JPG and I tried it with a TIFF.
    Word imported them into the document and exported the document to PDF.
    The TIFFs  were created in Lr by exporting, and they are in the Lr catalog. So Lr is not the culprit for you rproblem.
    What I sometimes forget when I edit / change a Word document is that a PDF already created has to be closed. When I don't like my PDF and just go back to Word, do some changes and export again to the same PDF, i.e. overwriting the existing PDF, then the PDF cannot be created. The PDF that needs changing must be closed before another export can happen.

    In CS 3 you can Command C and paste from TextEdit en Word but
    not the from the last version of Word. So I use Textedit a lot.
    Just paste on the right place in Design View. It strips
    automatically most formatting like bold and italic.
    I suppose it will be the same in CS4.

    Hello. Which are the best way to import text files? I mean, step by step, from Microsoft Word to ID? It is a headache when you apply an style and booom all the italics and bolds dissapear... Sometimes it works fine when i apply a style, but sometimes it does a disaster. From now, I am really curious about how indesign thinks to resolve the import cases and the work of styles.
    1) Why sometimes erase all the word local formats and sometimes does not?
    2) Is it a problem using .doc, .docx or .rtf to save text files an import?
    3) Is the problem that you work with .TTF fonts (like Arial, Times, Courier) from word and on ID you use OpenType Fonts?
    4) What is the NON-FAIL way to do an excellent import? from Microsoft Word to ID

    When placing, you can select to either preserve 'local' formatting or remove it. Local formatting is "anything done without using a style", just as it is in InDesign. As Ellis says, check your import settings.
    In addition, even if you 'preserve' local formatting, it's very easy to accidentally remove it in InDesign when you apply another style.     Not in the least. Actually, you can use TTF fonts as well as OTF fonts with InDesign. The import is totally indifferent of the fonts used -- it doesn't matter what you used in Word, you'll get the same fonts in the imported text. That is, except when it's bitmap fonts, which you cannot use in InDesign, or when the author italicized or bolded text in Word where the actual Bold or Italic font doesn't exist. But even then, InDesign will happily import the text -- it will just have an 'unavailable' font assigned to it, and you'll be notified of that.
    4) What is the NON-FAIL way to do an excellent import? from Microsoft Word to ID
    I would like to know the answer to that as well. The import filter has problems with tables, footnotes, endnotes, automatic references, and new page codes, for .docx, .rtf, and .doc files.

  • Imported footnote from word won't be removed in indesign textbox

    I have such an annoying problem!
    I got a indesign doc from my client, they already imported the text (with styles) from word for me.
    But now, I keep having problems wit a footnotecontainer  that doesn't want to be deleted from my text box. It stays in the bottom of my indesign text box, visible with a black line.
    I tried everything I know to delete it, but goes beyond my knowledge of indesign (which is quite a lot). Does anyone have a solution for me??

    Je hebt de tekst van de voetnoot weggegooid in het vakje voor de voetnoot-tekst. Maar op de pagina zelf staat ergens nog de voetnoot-vermelding, en dus krijg je toch nog een leeg vak onderaan. Als je de vermelding weggooit verdwijnt het vak ook.
    De gemakkelijkste manier om de vermelding te vinden is dit:
    1. Klik met de tekstcursor in het onderste voetnoot-vak.
    2. Klik daarna op de rechtermuisknop om het Tekst menu op te roepen.
    3. Kies "Ga naar Voetnoot Referentie" (uh ... ik heb een Engelse versie, en daar heet-ie "Go to Footnote Reference". Je vindt het wel Hij staat min of meer in het midden van het menu.)
    4. De tekstcursor zou nu direct achter de vermelding moeten staan. 1x Backspace en hij is weg.
    Als dit niet lukt proberen we wat anders.
    (In English, for those with the same problem:
    1. Click inside the Footnote box at the bottom
    2. From the context pop-up menu, choose "Go to Footnote Reference"
    3. Select "Go to Footnote Reference", somewhere near the middle of the menu list.
    4. The text cursor moves to behind the reference. Use Backspace to delete it.
    If this doesn't work we'll have ta try something else.

  • Acrobat 9 Pro PDF is not retaining original page settings from Word doc

    The document I am trying to put into PDF format (from Word 2000, using Acrobat 9 Pro (trial version)) drops my original Word page settings (5.5" x 8.5") and defaults to 8.5" x 11" in the PDF.  Using "Crop Pages" does not remedy the situation - the doc just stays at the larger size in Acrobat/PDF. Can anyone tell me what I might be doing wrong?

    Change the paper size in the printer properties before creating the PDF. This is the same as putting the proper paper in a physical printer.

  • How can I import text from Word including paragraph indents?

    I'm using Captivate 7.
    I need to import text from a series of documents written in Microsoft Word.
    When I copy and paste most of the formatting is retained. Bold, italics and underline import perfectly but I lose the indented paragraphs. They all become left aligned.
    Is there a way to import the indented first lines in the paragraphs?
