InfoPath 2013 custom list being locked versus lowering permission levels

In an InfoPath 2013 custom list, I do not want the user to be able to make changes to the custom list once it has been submitted to the workflow 2013.
The way I see to meet this goal is either lower the security level of the user to 'read only'. The other option is to lock the custom list record by using the mark a record (a declare a record) Feature.
Thus can you tell me what the better option is why you chose that solution?  Would you also tell me what the better user experience is? Basically there would be no selection like 'edit' or 'delete' when the option is not available.

  • One Infopath 2013 custom list be access by 2 workflows

    When accessing an InfoPath 2013 form that accesses a custom list, I have found that I need to split up an existing workflow 2013 into 2 workflows.  This is due to the workflow 2013 does not contain some features that workflow 2010 contains.
    Thus I have the following questions:
    1. Can a workflow 2010 call a workflow 2013? If so, can you tell me how to make this call?
    2. Can  I have the custom list that is accessed and updated by both a workflow 2010 and workflow 2013? If so, can  you tell me how to connect the same custom list to both a workflow 2010 and workflow 2013?

    Hi Wendy,
    You can click into the "parameters" and if there are any parameters need to be filled in the 2010 workflow selected , you need to give the values there; and if there is no parameters there, then you just need to click OK.
    It depends on the steps in the 2010 workflow.
    For "this item", I recommend to select Current Item as the 2010 workflow is created to be associated with the same list as the 2013 workflow.
    You can refer to the links for more details about Start a list workflow:

  • On deleting an item "Name" column of recycle bin is updating with data in one of the custom column instead of title field in SP 2013 Custom list

       On deleting an item, "Name" column of recycle bin is updating with data in one of the custom column instead of title field in SP 2013 Custom list.
    Thanks, Chinnu

    Hi,
    According to your post, my understanding is that you want to update title field in recycle bin with other field value of the item.
    We can use the ItemDeleting Event Receiver to achieve it.
    While item is deleting, replace title field value with other field value using ItemDeleting event receiver, then in the recycle bin, the title value will replace with other field value.
    However, there is an issue while restore the item from the recycle bin, the item title would be replaced.
    As an workaround, we can create a helper field in the list to store the title field value while deleting, then replace back while restoring using
    ItemAdded Event Receiver.
    I have made a simple code demo below to achieve this scenario, it works like a charm(the
    Test2 field is the helper field, you can hide it in the list), you can refer to it.
    public override void ItemDeleting(SPItemEventProperties properties)
    properties.ListItem["Test2"]=properties.ListItem["Title"];
    properties.ListItem["Title"]=properties.ListItem["Test1"];
    properties.ListItem.Update();
    base.ItemDeleting(properties);
    /// <summary>
    /// An item was added.
    /// </summary>
    public override void ItemAdded(SPItemEventProperties properties)
    base.ItemAdded(properties);
    properties.ListItem["Title"] = properties.ListItem["Test2"];
    properties.ListItem.Update();

  • How to have digital signature in a Sharepoint 2013 custom list form created in InfoPath 2013?

    I have a requirement that they want a form in SP13 that would allow Mobile mode.  Supervisor then can sign off the form in mobile mode.  Because Document Library form doesn't have Mobile client support so I decided to create this as a custom List
    form.  Now I'm finding out that when I right click on the section on the form to enable e-signature, there is no such option.   I appreciate it if someone can give me some suggestion on how to have a form that has both Mobile mode and e-signature
    support in SP13.
    I also noticed that the people picker doesn't work in Mobile mode.  Is that so or is there something-else I need to configure?
    Thank you.

    Hi,
    According to your description, my understanding is that you want to create an InfoPath form which supports Mobile mode and e-signature in SharePoint 2013.
    Per my knowledge, the browser-based forms cannot support signature in Mobile device.
    Here are some other products which are not free can achieve this goal for you to take a look:

  • InfoPath 2013 customized forms no longer working after linking Sharepoint 2010 list to MS Access 2013 database

    Hello,
    I am having trouble with my infopath form now that I have linked my Sharepoint list to an Access database.
    Background:  I created a simple SharePoint list and a few workflows to have users submit requests for changes to my organization's EMR system and have those requests be approved by the appropriate manager/department.  I used
    InfoPath to customize my form so that it would hide/show different portions depending on what the user selected.  The form has 3 views: NewItem, EditItem, ViewItem.
    Issue: The form and workflows were working great until I linked my SharePoint list to an access database so that I could run queries and reports using that information. Now when I click "Add New Item" on my Sharepoint site,
    the correct form opens but the fields do not allow me to input any data and some of the formatting for the form has changed (ie: the text boxe fields are no longer centered.  I opened the form in InfoPath and it displays perfectly fine in there but
    not once it's published to the site) .
    The only way that I've been able to input new data is using Datasheet view in SharePoint.
    Is there a way to fix this issue?  I really need to be able to have the customized forms for users to fill out the information since most users are not familiar enough with SharePoint to expect them to be able to use Datasheet view to submit their requests.
    Again, I'm using InfoPath 2013, Access 2013 & SharePoint Server 2010
    If the issue cannot be fixed, how can I disconnect or unlink my SharePoint list from the Access database because when I cliecked on "delete list" from inside Access, a warning popped up stating that it will also delete the list off of SharePoint
    as well.  If I can get the list back to the state it was in before linking to Access then I'll be happy enough to export it excel and then importh the excel file to Access as a work around for reporting purposes since I don't have to run the reports that
    often.
    Any insight would be very helpful!!

    Hi Bostic,
    I tested the same scenario per your post in my environment, however the InfoPath form was not affected if I used the list as external data in Access database.
    The issue may be due to the browser you used.
    I recommend to verify the things below:
    Change another browser to see how it works.
    Add the site to the trusted zone and add to compatibility settings in Internet Explorer.
    Test with a new list to narrow down the issue scope.
    As a workaround, you can save the list as a template including content, and then create a new list based on this template.
    Learn how to Save a SharePoint List Template:

    Hi All,
    I am having doubt to retrieve the field version information with the comments.
    For this field i am done like this
    1.Creating a custom list
    2.And enable versioning for the list

  • IN sharepoint 2013 custom list number type column ,decimal point shown as comma

    i have a sharepoint 2013 site in which a custom list is there. In number type field while i enter decimal number, instead of decimal point comma is comming. Any help appreciate
    Thanks sanjay

    Hi SanjayPradhan,
    According to your description, my understanding is that when type decimal point in number field, it became comma.
    I made a test in my enviroment and it works like a charm.
    Did you have some formula in that column ?
    If yes, I suggest you can check the formula in list settings->columns.
    If No, I suggest you can recreate a new list and number field to test whther it works.

    view to another by URL
    For exemple :
    i have "list costumers",
    And i have (

    forms 2 = www.msdn.com/liste/form2
    forms 3 = www.msdn.com/liste/form3

    Hi,
    You can create the multiple views in the InfoPath form and switch the view based on the rule.  In our scenario, you can switch the rule based on the list view.
    Please refer to the following article.
    Add, delete, and switch views (pages) in a form
    InfoPath 2010 – one form, multiple views

  • [Forum FAQ] Show Attachments in SharePoint 2013 Custom List View

    Introduction:
    By default, there is an Attachments column in the SharePoint List, some people want to display attachments name and click name can open the documents in List View. In this article, we would show you the method with
    REST API, JSLink and jQuery.
    Solution:
    The steps in detail as follows:
    Download the jQuery API  and upload the js file into the
    SiteAssets Document Library.
    Save the following code as a js file (showAttachments.js) and upload it into the
    SiteAssets Document Library.
    (function () {
    // Create object that have the context information about the field that we want to change it output render
    var attachmentsFiledContext = {};
    attachmentsFiledContext.Templates = {};
    attachmentsFiledContext.Templates.Fields = {
    "Attachments": { "View": AttachmentsFiledTemplate }
    SPClientTemplates.TemplateManager.RegisterTemplateOverrides(attachmentsFiledContext);
    // This function provides the rendering logic for list view
    function AttachmentsFiledTemplate(ctx) {
    var itemId = ctx.CurrentItem.ID;
    var listName = ctx.ListTitle;
    return getAttachments(listName, itemId);
    //get attachments field properties
    function getAttachments(listName,itemId) {
    var url = _spPageContextInfo.webAbsoluteUrl;
    var requestUri = url + "/_api/web/lists/getbytitle('" + listName + "')/items(" + itemId + ")/AttachmentFiles";
    var str = "";
    // execute AJAX request
    $.ajax({
    url: requestUri,
    type: "GET",
    headers: { "ACCEPT": "application/json;odata=verbose" },
    async: false,
    success: function (data) {
    for (var i = 0; i < data.d.results.length; i++) {
    str += "<a href='" + data.d.results[i].ServerRelativeUrl + "'>" + data.d.results[i].FileName + "</a>";
    if (i != data.d.results.length - 1) {
    str += "<br/>";
    error: function (err) {
    //alert(err);
    return str;
    3.     Edit the list view page.
    4.
    Edit the list web part. Go to Miscellaneous -> JS Link.
    5.    Add the following URL into the JS Link textbox.
    ~site/SiteAssets/jquery-1.11.1.min.js|~site/SiteAssets/showAttachments.js

    Hi,
    Thanks for your details steps, with your steps I can reproduce the issue using SharePoint server 2013 without any CU or PU.
    The items not displayed when group by the calculated column.
    However, I had done more research and test, I had found that it’s a known issue.
    I had tested with the SharePoint server 2013 which applied the December CU, the issue disappeared, the items displayed well.
    You can install the December CU for SharePoint server 2013, then test whether it works.

  • Duplicate Value comming while filter the Calculate Column in Sharepoint 2013 custom list. Thanks in advance

    Hi SanjayPradhan,
    Based on your formula, I could reproduce this issue in my SharePoint 2013 without any CUs.
    Then I created a new column using other types not Date&Time, add the formula =IF(ISBLANK([New Column]),"Employee","ExEmployee"), there is no duplicate values when filtering the calculated column. It seems that this issue only
    happens when judging Date&Time column in a calculated column.
    I tested in my SharePoint Online, and found I could not reproduce this issue on SharePoint Online.
    So, for your issue, please check whether you install any CUs
    for your SharePoint 2013. And please install the latest CU for SharePoint 2013.

  • Read-only textbox and/or disable buttons in Infopath 2013

    In a InfoPath 2013 custom list form, my requirement is to make textboxes read-only, disable buttons, and/or create new buttons so users can not update fields in a custom list once the user has updated data in the list. Basically after the user hits the 'save'
    button so that the data is saved.
    The requirement is not to set up custom permissions since my SharePoint administrator said I should find another option. This administrator said he does not see a reason for only an 'add' permission.
    Thus can you tell me how to meet my requirements? Can you show me screen prints, pictures, or urls on how to solve the problem?

    Hi,
    According to your description, you might want to prevent users from editing the existing items.
    There are two workarounds I can provide as below:
    As the first workaround, you can remove Ribbon from SharePoint InfoPath List Form via modifying the OOTB settings of InfoPath Web Part.
    Here is a link about more details, you can use it as a reference:
    http://the-north.com/sharepoint/post/Remove-Ribbon-from-SharePoint-InfoPath-List-Form
    As the second workaround, you can apply the CSS code below to your page, it will hide the “Edit Item” button in the Ribbon:
    <style type="text/css">
    #Ribbon\.ListItem\.Manage\.EditProperties-Large{display: none !important;}
    </style>

  • Add two attachment field in custom list through sharepoint designer 2013

    Hi all,
    I want to add two attachment columns to the SharePoint 2013 custom list through SharePoint Designer 2013 (not using ribbon attachment option) only . I managed to attach single attachment column to the attachment field. But I am not able to create second
    field for attachment.
    for example, one column for attaching address proof and second column for identity proof.
    Any help would be appreciated.

    Out of the box this simply isn't going to be possible the way you seem to want it. The attachment field does allow for multiple attachment, but I can see why you'd potentially want these separated out.
    Alternative:
    You could instead create a link field for each. Users load the documents into a document library and then copy the URL to paste into the form. If you potentially need multiple attachments for each, you can use an InfoPath form and a repeating table.

  • Infopath 2013 generic error message that displays

    In an InfoPath 2013 custom form that I created, I have several columns that are required. If the user does not enter all the data that is required, the automatic generic error message is displayed.
    I would prefer to make the error message that is more 'user friendly'. Thus can you tell me if there is a way to make the error message more user friendly? If so, would you tell me how to make the message more user friendly?
    The generic error message that is automatically displayed is:
    'InfoPath cannot submit the form because it contains errors. Errors are marked with either a red asterisk (required fields) or a red, dashed border (invalid values). use ctl+shift+O to go to the next error. Use ctl+shift+I to view error details'.
    Thus can you show me how to make this error message more user friendly in InfoPath 2013?

    Hi Wendy,
    All the error messages for the InfoPath form errors are stored in the intlcorestrings.js file which is located in C:\Program Files\Common Files\microsoft shared\Web Server Extensions\15\TEMPLATE\LAYOUTS\INC.
    If you want to modify the error messages, then you can modify that file to change the corresponding error message.
    Per my knowledge, the error you want to customize is IntlCoreStrings.k_strSubmitBeforeErrors and IntlCoreStrings.k_strSaveSubmitErrorInformation.
    You can change the two lines.
    Thanks,

  • Infopath to design WYSIWYG Custom List Views on 2013

    We are migrating to SPO 2013.  Playing with InfoPath 2013.
    I know it's dieing, but InfoPath has always frustrated me.  Some much potential yet so out of touch with what users seem to need IMO.  Far from user friendly enough to let users maintain their own forms too IMO.
    But really my biggest gripe with SharePoint in general is that it misses the mark with Custom lists and Views.
    Why doesn't SharePoint and/or InfoPath address the need for more flexibility and Design options in the Custom List View. My users are constantly looking to build View pages that to reflect paper forms they use to have.  They always seem to
    have to settle for the way the list view looks.  InfoPath does not seem to address Read Only Views of List Data ??
    - No List Mode (View vs Edit)
    - No Label control
    - Field Names do not display unless you hover over the control.
    - No WYSIWYG drag and drop designer - only grid cells.
    - No easy or clear way to get URL Query string values
    - No way to build complex expression fields, say I want to build a URL Link using some list field data and the ID from the URL query string on the form? Possible?
    - Better/easier way to join and bind in multiple Lists and multiple data sources?
    One other challenge we have is that SSRS can't be integrated into SPO and is being dropped from Azure.  The SSRS designer is leaps and bounds better than InfoPaths IMO.
    Considering SPO 2013, might there be another product or IDE coming in (maybe FoSL) that will address all of these? How about Visio, Excel, PDF
    Thank You.

    Thank You for your response.
    A little of both :)   ... But am very interested in hearing about practical development options.  But the catch is that we are waiting to see if something shows up that will enable users to build these views without development.
    I have been seeing new Apps show up on the o365 store that look promising, but none of them are quite there yet IMO ...  like Ninetex forms, Lightning Data Viewer, BlackCompass Data Viewer, List Designer, OData query Builder.  We've
    actually demoed every single one of them.
    We have also been playing with oData Connections from Excel and Visio web Access Web parts.  We can't get Data connections to refresh from Excel apparently unless we buy Power BI and we are still trying to figure out Visio on SPO.
    I know we can create a SharePoint 2013 App that binds in SPO List data and use .NET controls to arrange them on a page.  But that would put a developer and a deployment process in front of that View.  We can also use SSRS and create a one row report
    - but SPO does not support integrated SSRS and we would have to authenticate  on-Prem SSRS against  ADFS which we have not yet configured here.

  • Infopath 2013 - Values are not appearing in a drop down field referencing site column which uses lookup in custom list

    I have a master custom list that has a set of site columns. For each site column there is a lookup to a custom list with reference data. When I edit the list in data entry view all values in drop down fields work fine, but when I customize the form for
    the master list, no data appears in the drop down fields. I can change the data binding on the form so it references the the correct data and when I preview the form it works. But when I publish it, no data is available in these drop down fields.

    Hi  shakonarson,
    According to your description, I try to reproduce your scenario but the lookup field works fine.
    When we customize the form for the  list  in the InfoPath 2013 , it is by design that the Drop-Down List Box control cannot  display its value.
    For troubleshooting your issue, please take steps as below:
    Go to lookup List Box on your form in  InfoPath 2013 , right click it and choose “Drop-Down List Properties” from the bottom of your field menu.
    Make Sure you select “Get choices from an external data source” and correct Data source.
    Make Sure the Xpath  of Entries is “d:SharePointListItem_RW” under the dataFields.
    Here is a good blog for sorting lookup column DropDown by customizing your list form with InfoPath you can have a  look:
    Sort SharePoint lookup column Dropdown by customizing your list form
    with InfoPath
    Hope this helps!
