Linking options for Word documents

I'm a new user to RoboHelp10 and, based on research I've done online, I think the best use of the product for me is to link to previously-created word documents in order to create my online help project, since they are set up in a way that will translate into the topics.   I am trying to create a project and to link documents instead of importing them, since I think from a maintenance perspective, this will be better long-term.  I am also considering my company's my company's version control processes already in place.  I chose to "Create a Copy and Link" so all the linked files are contained within the project itself, and I generated the topic for the document I'm working with right now.  I then updated the Word document (via RoboHelp) and based on the help topic in "help.adobe.com/en_US/robohelp/robohtml/WS5DFA0634-079B-4265-89D7-2A59540BAB2D.html#commu nity" I thought that updating the Word document would automatically update the topic(s) linked to it, as long as I updated the copy of the document that RoboHelp created (and I actually did this by right-clicking on the doucment and chosing edit).  I saved and closed the Word document, and when I didn't see the topic updated, I right-clicked on the linked document but could not select Update (it's grayed out).  If I choose Force Update I am then able to see my updates from the document to the topic.  I don't understand why RoboHelp isn't recognizing the changes I make to the documents that are linked via "Create a Copy and Link".  Can someone tell me what step I'm missing?  And, even better, if you can understand my intntions above, and can recommend a better way to set up my project, that would be even better.  Thank you, and have a great day!!!

  • Customizing Publish Options for Word Doc

    Are there any additional publish customization options for Word doc? I checked the options available, and I didnt find any feature that allows you, for example, to manipulate slide images ( like, size and position), slide notes ( fonts and placement), etc. It takes so much time to reformat images and notes for each slide. Any suggestions?

    The handout template is hard coded. But, working with the other templates and the Word Output document, I was able to create a template that will allow you to publish the Word images and slide notes in Word. And, you can customize the placement on the page and image sizes.
    Here are instructions (I'm using Captivate 6 BTW):
    1. Make all of your slide notes into closed captioning.
    I was able to find the computer code to call the closed captions, but not the slide notes. So you have to drop some audio onto each slide (I'm using 1 second of silence generated in Audacity) and click the button that will turn your slide notes into closed captions. Don't worry...these won't display in your published project unless you have your skin set to display them.
    2. Open a new Word document.
    3. Copy and paste the script below into your Word document. This script as is will print 2 slides per page with slide notes above the images.

    4. Adjust the script to your liking:
    1. Change the image size. This is set to 282 x 214. But you can change the image size to whatever you want it to be. If you make the size larger, fewer will fit on a page.
    2. Move the slide notes, if you want. This is set to put the slide notes above the images. To put the notes below the images, move the [CPBlockInsert][CPTemplates[CC1[CPCC]CC1]
    [CCN[CPCC]CCN]CPTemplates] to below [CPSlideImage][size:282x214]. Be sure to move both instances, and don't copy/paste...move!
    3. Use Word's formatting options to change the page display. For example, if you use Word to center the code about slide images, the slides will be centered on the page when you publish. You can add your company's logo in the header. Type CPMovieTitle into one place to print the project title...either header or footer. It won't work if you put it in more than one place for reasons known only to Captivate. You can put page numbers or dates in the footer. You can change the font for the slide notes by highlighting the notes code (see #3 above) and making it larger, smaller, different, bold, italic, etc., etc., etc. Whatever you would do with Word to format your handouts, do in this document.
    4. Add anything that you want to print on every page outside the [ ] blocks. For instance, if you want to blank lines to print under the notes, you can add before the code for the images.
    5. Save the Word document in .doc format with a memorable name where you can find it. You don't have to save with the templates in the Captivate program file.
    6. Publish to Print. In the upper, right corner, in the Type section, click the button with ... It's to the right of Handout. That will open a window which will allow you to browse to find and select your Word document. The Layout Options won't do anything, so no need to mess with them. Set the rest of your settings...like project title and publish location and publish.
    Things that I don't know, but would like to:
    1. Will this work in Captivate 7? Will someone try and let us know?
    2. Can you save the Word file in .docx format?
    3. Can you set the Word doc to landscape instead of portrait? (I'll bet that you can, but haven't tried it.)
    4. What Word options won't work? I know that you can't put this code inside a Word table. Using column and page breaks, I got mine to print with the slide notes on the left and images on the right. Other than that, who knows? Word is a big program, so you'll just have to test.
    5. What is the code to call the slide notes? I've called Adobe support twice and can't get a straight answer. If we all start calling and emailing, maybe they'll tell us.
    So, I hope this helps. There are so many threads about this and I can't repost everywhere. So, please link to this thread if you see another one where this info will help.

  • How to disable Details option for a Document in KM?

    Hi,
       I had created a Folder by enabling Versioning and Lifetime ,under public documents and i had uploaded a word file under that folder.I had given read permissions to the other user .He is able to open the document with read permission and is able to see the version of the document.Now for the user whom i have given read rights should be able to acess only current version document and he should not be able to see the previous versions(Details->Settings->Versions).
         I want to disable the "Details" option for a document for the user to whom i had given read Rights.if possible i want to deavtivate the "Down Arrow" mark which guides the user to see the options like (Details,feedback,rating,send to,create link etc)
        Please guide me in this issue.

    Let's first create our custom layoutset:
    We will duplicate the ConsumerExplorer layoutset.
    goto System Administration -> System Configuration -> Knowledge Management -> Content Management.
    Select User Interface -> Settings -> Layout Set.
    Find ConsumerExplorer, check it and click Advanced Copy.
    Uncheck Collection Renderer Settings and Resource Renderer Settings leaving only UI Command Groups checked.
    select Group Levels to Copy: All, Add "my_" As Prefix and execute.
    You have created a new layout set called my_ConsumerExplorer.
    Now we need to copy the versions command.
    Navigate back to User Interface -> Commands -> UI Commands. find the command versions. Check it and click Duplicate. give it the name my_versions, leave the rest as is and add to the Roles with Visibility the roles you want to be able to see this command. for example: "pcd:portal_content/administrator/super_admin/super_admin_role" for super admin role. Save the new command.
    Now navigate to UI Command Groups, find my_DetailsSettingsSecondGroup and click edit. in the Command List find versions and change it to my_vesions and save.
    Now all you have left is to change the layoutset of the iView.
    goto Content Administration -> Portal Content. Navigate to your iView, open it, find the property Layout Set and change its value to my_ConsumerExplorer. Save.
    Now test it to see if it works.

    Hi All!
    I'm using Frame 7.2 and WebWorks just so you know that my file is being converted to html.
    I am trying to create a link to a Word document, that shows a Word icon (not the title of the document) with a pop-up (mouseover) that describes the "action" (something like: to open the worksheet, click here.)
    Any ideas?

    You might try the following (assuming that you use WebWorks 2003)
    1. Use a special paragraph format in FM for paragraphs that contain such a link (e.g. "Link_PDF")
    2. In WWP2003 map a special WebWorks Format to this FM Format
    3. In the macro tab of this FM format add html code that
    * displays a word icon
    * and give it an alt-text that says "Click the link" or whatever

  • Converting a document with multiple links to a word document

    I am trying to convert a PDF file with multiple links to a word document.  When the conversion is complete and the document is saved as a word document I cannot access the links - I keep getting error messages or messages that say a program is not associated with the link.

    Are they hyperlinks? If so - you will want to insert the links back in. If they are full links do they match the links on the pdf?

    I have used a Palm Tungsten T3 before a Nokia. With the Nokia E90 I was faced with a problem that E90 was not able to open our pricelist file. Is there a maximum size for files that Nokia E90 can handle?

  • InDesign CS6 not linking to source Word document

    When I had Adobe Cs4 when I place a word document in InDesign a link was created to the source documenent. If the word document was changed, when InDesign checked for errors it prompted me to update the link document. Now when I place a word document in CS6 it does not creat a link. If the word document is changed I cannot update the indesign unless I delete everything and place the word document again. Is there a better way?

    I have created a template from a successful project which i completed over three months ago.
    I am now trying to create a project using the template and getitng persistent crashes when attempting to Import or Link Word documents.
    This is causing a great hold up to the project delivery.
    Any help would be appreciated

    Please see the article on my site about Project Templates. The script has been found to have some issues.
    You say have deleted the file and then ask what will happen if you remove it. You did, you said so "Deleting the file seemed to work". If that is not what you mean, please clarify what you mean by removing the file.
    If you create a project using the script, then close the project and delete the CPD, it should be OK. If there ae going to be problems, you will know pretty soon.

  • Office Web Apps - How do I get Excel and PowerPoint to show up as options for New Documents?

    When I highlight a list of documents, a ribbon shows up at the top.  The left most action is "New Document".  Despite running and installing Excel and PowerPoint services, the only option that shows up is Word.  How do I add Excel and PowerPoint to that list?
    I have confirmed that I am able to upload, view and edit Excel and PowerPoint.  I just cannot find a way to add them as options in New Document.

    Create Content Types, same as in 2007.
    In a nutshell... Create a content type based on Document and add a PowerPoint template. Go to the library and enable Content Types in Advanced. Add the new content type to the library's list of content types. The New button will now contain the name of this new content type.
    Repeat for Excel.

  • Links within a word-document

    Hi,
    I have a really frustrating problem in our portal. We´re using SAP NetWeaver Portal 6.0.14.0.0 und KMC 6.0.14.2.0
    We have a Word-Document with several links to other documents anywhere in our system. These links do work.
    But we also have several links to programs on the local PC (e.g. c:programsxyzxyz.exe). The word-document is integrated into a page, but we have the problem, that sometimes (not always!!!!!) the links to the local programs are changed by SAP NetWeaver Portal:
    For example instead of "C:Programsxyzxyz.exe" the link is "http://npwortal.bbb.com:50000/irj/servlet/prt/programs/xyz/xyz.exe"
    Why does the system sometimes replace the correct link with this wrong link. This problem doesn´t appear all the time we update the word-document. Sometimes all links are correct, sometimes after a local edit theres just one link wrong, sometimes all links and so on.
    What could be wrong?

    I would be really Really REALLY be surprised if KM would touch the content of Word documents. Chances are that it's Word that is malfunctioning. Try to replace one of the components (such as use IIS or Apache as store, or use OpenOffice instead of MS Office to edit).

  • Link to external Word document does not work (in RoboHelp 8)

    I am trying to insert a link to an external MS Word document (.doc) from HTML help (.chm) using RoboHelp for Word (version 8).  When I compiled in WinHelp 2000 format, I used the EF macro to do this.  We converted our Help project format and now the EF macro doesn’t work when compiling HTML Help.  Is there a way to do this?
    By the way, I need to stick with using RoboHelp for Word.  Although I’d prefer to use RoboHelp HTML, my help project won’t convert correctly to RoboHelp HTML.

    First of all, is it just this one project that has a problem compiling? Can you compile one of the tutorial projects? If so I think this may require a bit of dectective work to see what is causing the issue. Take a copy of your project. Now delete half the topics and see if it compiles. If it does, add some more content and compile again. If it doesn't compile, compile the other half. As a result of these actions (and by repeating) you'll be able to narrow down what the issue is.
    Read the RoboColum(n) for mutterings on RoboHelp, Technical Communication Suite and technical communication.

    I am creating a document system with RoboHelp 6. I'd like to
    create a link that would open a word document that is our business
    template. This needs to open the Word program and then open the
    document file.
    Is this possible? How?

    OK I just checked our intranet and it does in fact work the
    same way as the web. Click on a link to a doc file and you get a
    dialogue box asking if you want to open in Word or save the file,
    that happens in both Firefox and IE and both give the user the
    option to always open such files in whichever way they choose. That
    option can be disabled though by the Administrator.
    So what you want can be done. You might want to add a note to
    the link. Otherwise it is a training matter.

  • Acrobat X Pro Ctrl E option for Edit Document Text tool

    Hi,
    When I use the "Edit Document Text" tool (formerly TouchUp Text) in Adobe X Pro and press Ctrl E, it's saying "Properties No current selection".
    However, pressing Ctrl E on other tools such as Comments, Link etc, the Properties toolbar is showing properly.  And when I switch back into using the  "Edit Document Text" tool, the Properties toolbar will show as grayed out.
    I tried using Adobe Acrobat 9 Pro and it's doing the same thing.
    Is the Ctrl E Properties toolbar is not really available for "Edit Document Text" tool?  Do I really have to right click on the area and choose Properties?

  • Using Hotspot to link to a word document

    I was wondering does anyone know when I use a hotspot how when somebody can click on the hotspot that a word document or one alike will open once the hot spot has been clicked on.

    When you make a hotspot, you can provide the Link in the Properties panel. This is the URL of the file that you want the hotspot to be linked to. You can link to Word documents, but they are not Web documents and won't open in browsers. They would have to be downloaded. (Of course, you have to upload the file to your site, first.)
