Manipulate table of contents results

Hi everyone,
Within each chapter of a book I’m working on, there are level 1 headings that look like the following:
¶5-100 Context
So each of these headings has a paragraph number, ie. ¶5-100 and then the name of the heading, ie. Context. There’s a tab between the para number and the content of the heading.
I need to create a specific chapter by chapter table of contents using the content of these level 1 headings. The information will be located at the start of each chapter.
It’s easy enough to do but when the TOC is genereated I get the following effect:
¶5-100 Context  [tab]    page number
¶5-120 next heading   [tab]   page number
¶5-140 next heading   [tab]   page number
¶5-160 next heading   [tab]   page number
I don’t need the page numbers at all and instead of the above, I need the following result:
Context [tab] ¶5-100
next heading [tab] ¶5-120
next heading [tab] ¶5-140
next heading [tab] ¶5-160
Once I have the above effect, I would then go ahead and create cross references where the para numbers within the TOC are the source of the Xref and the destination is the relevant heading within the body of the chapter.
So is there a way to manipulate the results so that the headings appear as the above? I know it probably can’t be done but just thought I’d ask incase I’m missing something.

When I want to run a nested style up to the end of a paragraph in a situation like this I often just tell it to run up to an end nested character style marker and don't insert one. You can use any character that isn't encountered and the nested style will run to the end of the paragraph. In this particular case you could also "swap" the formatting and define the paragraph style the way you want the numbers to look, then apply a nested style through 1 tab to change the text ahead of it, then there's no need for a "none."

  • PDF/A results in non-functional links in Table of Contents -- Normal?

    Hey,
    Got a quick Q here - I recently converted a .docx into the PDF/A 1-b (2005) standard, but for whatever reason, save the computer that did the actual conversion, the links in my Table of Contents no longer function.
    If I use Preflight to remove the PDF/A tag, the links work OK. Is there something about PDF/A that removes linking functionality that I'm not aware of? These links on my document simply move to different parts of the document, nothing too fancy.

    Hmmm. I hadn't heard of this limitation. Indeed, http://www.pdfa.org/2011/08/pdfa-–-a-look-at-the-technical-side/ says "With regard to hyperlinks, the special ‘Link’ annotation type is permitted with or without activated ‘Appearance’. "  Maybe this document is being generated with a different kind of annotation.

  • Word to PDF does not keep hyperlinks in Table of Contents ?

    I have used my free trial of Adobe CreatePDF before purchasing the annual subscription.
    I was surprised to see that the PDF document did not keep the clickable hyperlinks that Word uses in a Table of Contents. As this is the exact same behaviour as the "Save as PDF ..." option that I have natively available on my computer I don't see the point of paying a subscription to the service. Or am I doing something wrong?

    Am I missing something or is this the way it is intended (not) to work?
    P.S.: I know that, on the MAC, I can use Preview to manipulate the PDF document I obtain through "Print..." > "Save as PDF...". One of the things I can do is to select the page numbers in the Table of Contents and add a 'link' to each. But this is a VERY cumbersome process. Actually, I have to create a link for each page number, one at a time, on a table of contents that may consist of in excess of 50 entries. As I have a collection of 50-odd documents and am on a schedule of distributing new versions every two weeks or so, this procedure is completely unusable. Hence my search for a (paid) service that converts my documents while preserving the hyperlinks of the Word-created Table of Contents. Either I am doing something wrong or such service does simply not exist ...

    You are correct in that the workflow you described will not produce links in the resulting PDF files.  The steps that Lori outlined work great if you're working on Office for Windows in terms of getting the links to work when converting using the CreatePDF service. 
    In order to make this work on the Mac, you'll have to take a few extra steps within Office first.
    You're going to have to repeat this step for each item in your TOC.  While this will be time-consuming for a 150-page document, it will work.
    Within your TOC, highlight the entire entry listing (e.g. Topic 1.........3)
    Once the entire line is highlighted, choose Insert > Hyperlink
    Click 'Document' to select a location within the current document.
    Under the 'Anchor' option, either type in the Heading/Sub-heading (must be exact) of the page you want the hyperlink to attach to or click 'Locate' and find the proper Heading/Sub-heading within the structure.
    As I said, this will probably be time-consuming on such a large document, but it will work. 
    Unfortunately Office for Mac just simply isn't as full-featured as its Windows counterpart.

  • Table of Contents vanishes when trying to update or regenerate in CS6

    I'm working with InDesign CS6 on Windows 7 Pro 64-bit
    This is an old, legacy document. Today, I needed to remove two pages, so of course, I need to update my table of contents and index. I had no problems with the index - it regenerated just fine. The TOC is another matter. I clicked Layout > Update Table of Contents. I got the message stating that the contents was updated. However, what actually happened was the TOC text vanished! And, it actually is gone because I can see two empty paragraph markers where the TOC used to be. I've tried regenerating it instead of doing the update. Same result - it's gone.
    I'm still fairly new to InDesign, so I'm not sure what I can do to troubleshoot this. Any suggestions would be appreciated.

    Sounds like ID doesn't think there are any paragraphs with the style names you've selected for inclusion.
    But I'm not a fan of direct conversion of legacy files because these sorts of things, or worse, happen a lot. Try this: Remove minor corruption by exporting

  • Creating a Table of Content (toc)

    Hi
    I am very new with Output designer, so please dont mind if it is a silly question.
    I have to create a PDF report which has around 15-20 sections. I need a toc (table of content) at first page and at the specified position with page number for each section.
    All the sections has some header and detail subforms, so pagenumber is not known at the begining for each sections. I am using xml file as the data file.
    So can i use JFPREAMBLE to get the page number for different subforms, and write that on to the toc subform,
    i did lot of mind storming but not able to resolve my problem, please help.

    Hello,
    I was able to create a TOC for a recent customer in the UK.
    Took a lot of work, but it worked.
    You will have to create a TDF to get the data that you require to be on the TOC, but this is quite easy. The best way is to get the TDF to output the result as a seperate file, and then get the orginal data to call the file as the first thing that you do by using the ^file command

    You can download the trial version (http://helpx.adobe.com/acrobat/kb/acrobat-downloads.html) to convert the PDF back to WORD if you do not have the original. The conversion may not be perfect, but it is typically better than starting from scratch. You may be lucky and get a good result. You might check the settings (in the save screen) to try retain format versus retain text flow. The format version can be a pain to edit since it creates a bunch of text boxes. The flow version may require you to reformat in WORD, but you likely would want to do that anyway.

    Thank you for your advice. I followed your directions, but came up with the same results. However, I did discover that whenever I open up the iPhoto Library that is already existing on my MacBook a certain set of pictures shows up. But then when I open up the iPhoto Library from the Hard drive another set of pictures shows up. BUT not ALL of my pictures are showing up on the iPhoto Library from the hard drive. At least the last two years of pictures are not showing up?! Actually, it appears that all the pictures are there from when I started using iPhoto about 5 years ago up until around the time that I got my iMac desktop computer and started using that (2 years ago). I have noticed that more recent videos I have made are showing up in a folder on the hard drive, but will not appear when I open up iMovie?! Any ideas on how to access my pictures from the last 2 years off of the hard drive???

  • ID CS5: How to include additional text into a table of contents and how to hide text from it?

    I have the following problem:
    1. I'd like to include additional Information in my table of contents which I don't want to appear in the text I refer to.
    Example: I do have a picture with a caption saying:
    picture 1: Blablabla.
    And I want to have the source of the picture as additional information in the table of contents:
    picture 1........Blablabla (source: thisandthat)........23
    Still I don't want this additional content to disappear, as soon as I update the table of contents!
    How can I achieve that?
    2. And how can I have this the other way round?
    Let's say I want the source in the caption, but not in the table of contents.
    So the caption says:
    picture1: Blablabla (source: thisandthat)
    but the table of content says:
    picture 1........Blablabla.....................23
    I was trying to achieve this by two different praograph styles in the caption. One which would be listed, and one which wouldn't be listed, but this of course resulted in always having two paragraphs in the caption, which I'd like to avoid:

    Sorry, missed the second part of the question. I think the only way to do that is to use invisible "dummy" text of some sort, and if you're going to do it for some entries, you might as will do it for all.
    One of the easiest ways is to put the text you want inthe TOC into an anchored frame attached to the actual heading in the text (so it moves along with it). Use a unique paragraph style for this text, and include this style, not the one applied to the headings inthe text, to make the TOC. I usually use a character color of red to make it satnd oout so I don't forget it's there, and the position on the page isn't really critical. Select the anchored frame, open the Attributes panel and make it non-printing. You'll see it in editing mode, the TOC will pick it up (as will variables, if required) but it will disappear on output.

  • Sections and Automatic Table of Contents

    Hello there,
    I have encountered a problem with InDesign while trying to make an automatic TOC for a journal I am working on. It has something to do with Sections.
    So I have a book with several indd files. The very first indd file is called "frontpages" which includes the cover page, the inside cover, the leaf page, then two facing pages for the table of contents, then followed by the last page (Letter from the Editor).
    This is followed by my second indd file called "newsbeats" which has 5 pages.
    Now, what I wanted to do was mark the frontpages' page numbers using lower case roman numerals (i, ii, iii, etc.) Of course I do not want to include the cover page and the inside cover, so I want to start (i) with the leaf page, (ii) and (iii) marks the table of contents pages, and finally (iv) for the Editor's Letter. I did this by starting a section at the leaf page, START PAGE NUMBERNG AT: 1, and selecting the (i, ii, iii...) option. It worked, while leavingboth the cover page and and the inside cover with markers (a) and (b), which I previously set (because I do not know how to just get rid of the page number...)
    Now, my book pages actually starts page (1) in the first page of the "newsbeats" document. So to do that, I made another section on the newsbeats first page, START PAGE NUMBERING AT: 1, and selected (1, 2, 3...). That works, too.
    So at the moment, I have 3 sections to my page numbers: 1) the lower case letters (a, b) section for the cover page and inside cover, respectively; 2) the roman numerals section (i, ii, iii...) for the leafpage, table of contents, and Editor Letter; and lastly, 3) the arabic letters (1, 2, 3...) starting from the newsbeats document all the way to the last page of the last indd of my book.
    Hope it is clear enough. Now here comes the problem:
    When I try to create an automatic Table of Contents, it correctly finds my chapters (i used the style for each journal article's title) and lists them. The problem is, the page numbers do not appear correctly. Instead, it shows "a" on EACH AND EVERY table of contents ENTRY. I tried some trial and error, and found out that the pages shown (a bunch of "a") is actually the COVER PAGE'S (a) page number....
    I tried for hours searching on topics like "Sections and Automatic TOC" or "How to selectively choose which pages to include in a TOC".. But I found none.
    Your help would be really appreciated. I can easily manually type the page numbers (my journal only has 9 articles), but I wanted to do this in a very systematic way, so it would be a lot easier if in any case, there are more than 9 articles for next year's publication.

    PS: I attached a file showing the generated table of contents (on the ii-iii page that I wanted it to appear on), with the frontpages page panel, which shows the page numbering as well. Also I included the Book Panel, so you see how the pages are set up.

    We definitely experienced the same issue. Seems like pages just get lost. This is the approach I took:
    On the groups main page we just added a link called 'View All Articles' wrapped in a h1 tag (to make it very big and visible to the user) using the following url:
    search/?q=%20
    The resulting page will search for every article with a space in it and return the results. Still not the most elegant solution but it works. I'd like to implement it right into the xsl file but haven't found very much documentation to aid in this.

    That is not the issue.
    Pages/OSX does not save files with crop marks and bleeds.
    It also by default saves transparency, which is involved in a lot of Pages' better features, at a rubbishy 72 dpi resolution.
    It also makes it extremely difficult to maintain mono-color like black only text, has no spot color and makes color management opaque.
    It really is only meant for amateur publishing and printing to your desktop printer.
    A commercial printer who is willing to use and print from Pages may have better results but at the cost of considerable micro-management which defeats the point of this "cheap" solution.

  • I can't get the page numbers in my table of contents to update when I update the book.

    I'm using Framemaker 11 and I have two TOCs in my book: one in English and one in French. Each TOC links to different documents in the same book. The reference page for each TOC is set and correctly displays the heading 1 and 2 I've told it to display, but the numbers do not update when the content in my document files changes to a different page. I've checked the conditional text settings in my document files; they are correct. When I update the book, I choose to update Numbering, All Cross-References, All Text Insets, OLE Links, Generate Table of Contents, Lists, and Indexes. What am I doing wrong? Thanks.

    I just tested this out and saw the same result as Rick - a book with child books ignores all generated files within the child books. This applies to adding content from them (e.g. their titles) to actually including them in the output. This applies to all versions of FM since v.9!
    However, there is a workaround for this. You need to use the hierarchical book structure in the parent book and create Folders for each book that you want to add. Then manually add the generated files (TOC, IX, List of..., etc.) and book to the respective folder. This is what it looks like for two child books in a parent book:
    Note that the child book generated files (TOC, IOR) show as just regular files at this point in the parent book. To get the page numbering to be continuous throughout the parent book, you will need to make a couple of passes. First set folder, files and books to have the Numbering continue from the previous (if you want all sequential page numbers). This will set the page numbers correctly except for what they were in the respective book TOCs. You will need to use the starting page number of the child TOC files in each folder (it shows in the Book status bar when click on the TOC file in the master/parent book).
    To set the individual book TOCs to be correct in the parent book, open the child book and set the TOC Numbering to start at the page stated in the parent book (status bar). Now update the child book to set the correct (parent book) page numbers in the child TOC. [This is a necessary manual step, as the page number assigned in the parent book is ignored when th child book is individually updated and FM uses 1 to start off the sequence in the child book.]  Repeat for each child book in the master/parent book.
    The final step is to Update the parent book and create the PDF. You should now have all of the files included in the PDF and the child TOCs should show the correct page numbers of the master book.
    This whole process of books within books seems a bit borked and one shouldn't have to be jumping through hoops to include child generated files. Please report this as a bug via: https://bugbase.adobe.com/index.cfm

    This script is now complete, and has been the subject of most of my previous posts. Just in case anyone wanted to know what the finished script ended as, here it is.

    Task:
    Automatically find town names in listings, and fill in table of contents template on page 2 accordingly.
    Example of page 2 toc, initially:

    Because of the need to include the transaction dates on the TOC (comes as a provided, tagged-text file), a simple Indesign-generated TOC can't be used alone.
    This script uses an Indesign-generated TOC that's on a master page called "T-tocGen" ... It then uses grep search and replaces to grab the needed information, and insert it into the page 2 TOC.
    The script will update a generated TOC and then search for an instance of a page number, and town name. The generated toc lists all included towns in the following format:
    (line start)## tab townName(line end)
    In Grep, this would be (please note, extra \ for \d and \t ... javascript needs that for some reason):
    ^\\d+\\t(.*)$
    After the script gets the info it needs from a found instance of the above, it replaces that line with "---", to prevent that line from being picked up once again.
    The script with then place the needed page number in it's rightful place on page 2, replacing the XX.
    A while loop is used to repeat the above process until there are no longer any instances of "^\\d+\\t(.*)$" present.
    Not every town runs every issue, so once the script is done, it removes all remaining instance of "XX" on the page 2 TOC.
    FINAL CODE:

    This script will use grep find/change methods to apply page numbers in

    You are correct but the problem is there are three rows, One row is 100% black, the second is 60% black and the third is 40% black. I want to change the black to blue, the 60% black to an orange and the 40% black to a light shaded blue. In the find/change option you can select the tint you want to find and replace but yea.. does work on table cells.. oddly enough.

  • Table of contents placeholder not working?

    So far, everything is working well. I have my book about ready to go, but I need to customize the table of contents. There is a placeholder on each TOC page that as far as I can tell from the Help files, you can drop an image there. However, I can't seem to get it to work. Dropping anything there simple seems to place it on top of the placeholder, not "in" it. How is this done? or is it meant for something else?

    My analysis on the Image Placeholder for the TOC page has resulted in the following conclusions.
    You ARE able to include any image on each of the chapter pages in the TOC
    In order for a chapter page in the TOC to have its own separate image, you must define one of your images in the Chapter Layout for that chapter to have a tag of "Main Image." If you do not have an image in your Chapter Layout defined as "Main Image," then you cannot drag an image into the Media Placeholder for that Chapter in the TOC.
    To define an image with a "Main Image" tag
    Select the Chapter Layout
    Select an Image
    Go to Layout tab in the Inspector
    Select "Editable on Pages using this Layouy"
    Set the tag to "Main Image"
    The corresponding chapter page in the TOC will now have that image in the Media Placeholder
    You are NOT limited to having the same image in your TOC that is on the Chapter Layout. You can now change the image in the Media Placeholder on that chapter page in the TOC by dragging an image on to it

In this screen shot, "SPECIAL EVENTS" is considered level one and the pink circled "Fittest Firm Challenge" is level 2. Because it is a nested style, it is picking up the entire paragraph. I don't want to put in a paragraph break because that would add too much space in the magazine since there are a lot of other listings like this. I've tried reading through other people's discussions but I'm totally lost with the explanations. Is there a simple workaround or solution to this?

    You're asking InDesign to do something it's not designed to do, namely, to treat a nested-style section of a paragraph as an independent paragraph. That's called a "run-in paragraph" in Adobe FrameMaker, and it's been a beloved feature there since FrameMaker was introduced in '89, about ten years before InDesign.
    You can make a formal feature enhancement request here: Wishform Many InDesign features have come into being from user requests, so lend your voice, and be patient. Explain why you think a run-in paragraph feature would be useful.
    Others have asked about this, and there are a number of workarounds that may or may not be suitable for you. Let's hope that some of the more-intense forum folks can help you with a useful search term for this forum, so that you can review what's been suggested and tried in the past, and what results you can expect.
    In the meantime, you might consider inserting the second-level heading in an inline anchored text frame in the paragraph. It will be an independent paragraph but you can adjust appear on the same line as following paragraph. Then you can extract it for the TOC.
    Here's an example:

  • Table of Content with page number for entire pdf

    Hi
    We need to merge dynamic pdf with n number of static pdf.
    The output of the generated pdf has one of the page called Table Of Content with page number.
    For this we have created following process
    We created a form using Adobe livecycle form designer to populates input data(xml).
    We created process to generate dynamic pdf .
    We have static pdf's in some folder location(Eg:C:\temp)
    We created xsl to generate DDX to merge Dynamic pdf with static pdf's by using an assembler operation in the Process
    There are number of static specification pdf's  inserted in between of dynamic pdf using logic in xsl.
    We used bookmark option in xsl for creating table of content .
    While invoking the process we are able to generate the correct merged pdf with some unformatted page of table of content
    We can explain better in the following way where we are actually facing a challenge:
    We need a table of content in the below mentioned format:

    Since the pdf merging and numbering is done  using ddx at runtime, page number tag is not there in xml and  therefore the toc page cannot be populated at the time of form design.
    The issue we are facing is that, by using ddx script we are not able to align id,name,description in  table of content in proper manner. We want to wrap particular id ,name and description in their respective columns.
    Currently, we are getting the below mentioned result which is not in a proper format.

    According to your description, you want to display the table of contents with page number in SSRS 2014.
    In Reporting Services, the global variable PageNumber or Totalpages can be only used in the page header and page footer. In your scenario, you can create a table of content using document map, but we can’t specify the expression with PageNumber or Totalpages.
    So your requirement can’t be achieved currently.
