Matching resources based on skill profile (Project Server 2013 Online and Project Pro 2013)

Hey gang,
Has anyone seen any reported bugs surronding the resource matching feautre in Project 2013 (On-Line)?
I have done this before, so I know how this works.  In fact, I get different results when I try the Match button in Project Professional 2013 (on premise), versus when I try to use it via Build Team from Enterprise in PWA Project Details.  i.e.,
when setting up the custom enterprise resource field for matching I have selecting the option to use this field for matching, then I populated my resources' profile with a value accrodingly.
Also noted that I do not see the matching button when using the Build Team from Enterprise for Resource plans, is this normal?

Hi Spiro,
I didn't have a chance to test it. Nevertheless I can confirm that at least for PS2010, the "match" feature was not available for the resource plan "build team". In my point of view, that makes sense since the resource plan is not intended to micro-manage
activities but more for planning generic skills demand.

    How can I change Permissions for the individual users to see specific projects or all projects in project center and to see specific quick launch items?
    For Example: if i have 4 users, A, B, C and D. what i want is:
    User A can see everything and act as a project manager or Admin.
    User B can view all projects in project centre but can change the schedule or resource assignment etc.
    User C can only act as approver of projects and can view all projects in project centre.
    User D can only view specific projects for which permissions are given.
    can i have some expert help in sorting and understanding permission modes... as i was playing with project server mode permissions and can't figure out how to apply the above scenario to set of my user.

    Actually, it will take a couple of days to explain in detail the security model that is a fundamental and tricky aspect of every PS implementation. But basically, you NEVER set permissions for a single user. You have groups in which your insert users. Groups
    define "what users can do". Then you associate groups to a corresponding category. Categories define "what user can see". Thus the association of a group with a category will set "what the user can do on the objects he can see". Then, for more advanced security
    level, you can use the RBS that will consist in "branches" in which you'll insert users. Based on those branches, you'll customize categories to fine-tune what user can see (for projects and resources) depending on the RBS branch and level.
    I'd advice you to start "playing" in a test environment with the default categories/groups that might probably cover your need.
    Concerning your 4 users:
    user A : add him to the "administrator" group. Be careful that you're mentionning either project manager or administrator, which are 2 groups/categories with totally different permissions level.
    user B : basically can see everything and change everything? it could be in the project manager group, assuming that there are no project visibility restrictions on the category via the RBS.
    user C : waht do you mean by "approver"? Workflow approvals? Then it will be the portfolio manager group. Task update or timesheet approval? Then it is another long topic: please refer in the documentation to the "status manager" and "timesheet manager"
    concepts. There are not related to the security model. In a few words, the status manager is the owner of the project plan, is defined for each task and approves tasks updates. The timesheet manager is an attribute defined for each resource in its parameters
    and approves resource timesheet.
    user D : you have to define which permission level must be given to this user. Basically it could be a team member that will see only projects he's in the project team. Note that team member cannot interact with the project plan in another way than submitting
    timesheets and/or tasks updates which must be approved.
    Once more, those are large and complex subjects that require a deep dive into your business model and tons of tests in a test environment.

    I do have a requirement where I need to develop a Project Server Web Part to show some calculated project information based on some business rule from Reporting database.
    That webpart I have to add in Project Detail Pages to show calculated project information for the Project I have selected/clicked from Project Center.
    So please tell me how can I link my webpart with ProjUID in URL like "PWA/Project%20Detail%20Pages/ProposalStageStatus.aspx?ProjUid=2b24d36b-7796-4789-ada3-d895d218fc14"
    So that it shows data corresponding to opened project in Project Server.

    If I understand your requirement correctly then you can use ProjUID querystring paramater to get specific ProjectUID like below
     HttpContext.Current.Request.QueryString["ProjUid"];
    Then after getting ProjectUID you can use it anywhere in your SQL query, PSI method calling etc etc.
    Also you can look into PS 2010 Solution Starter
    custom solutions Kit to enhance your knowledge on PS 2010 development. That would a great starting point.

    I am not sure if there is a step by step process detailed anywhere, but that possible because it is fairly easy to get started. The steps below may vary sligtly because I am using a preview version..
    1) you would sign up for Project Pro for Office 365 from this link (or pursue through your organization) : http://office.microsoft.com/en-us/project/enterprise-project-and-portfolio-management-subscription-project-online-with-project-pro-for-office-365-FX104002972.aspx
    2) Once you are setup with Office 365 account and project online, you would go into the settings as shown below

  • Access permission to the Project server workflow tasks in project server 2013.

    Hi All,
    I am creating an OOB Project server workflow, where it contains few phases and each phases have some stages, there are few approval levels of the workflow. 
    Scenario - 1st stage - when project is submitted, a task is assigned to resource, when the resource click on the task link provided in mail, it redirects to the project server workflow task list.
    1) When users view the task list, for all user the delete Item and approve button is enabled even we have given permission as edit,view permission in sharepoint group for that user.
    2) Task list should be viewable by specific user but in my case even after giving the permission it can be apporved by any one who is not authorised also.
    3)  then i tried below things
    1. deleted the user in pwa
    2. deleted the user in sharepoint site.
    even after doing the above, the user able to do all activity in the stie content page, have access to the sharepoint portal. how this is possible?
    When checked with not existing user permission there are few defalut permission set for that user after AD sync. because of this he as access, even if he is not in pwa or in sharepoint site. how to retrict this?
    Can anyone faced the same issue?
    How to fix this permission issue?

    Server Workflow Tasks".
    And then when I pull data from the database, it is returning empty. For any other sharepoint list this
    is working absolutely fine. I am facing issue only wrt "Project Server Workflow Tasks" list.

    what a waste of money sending an engineer to "fix a fault" which does not exist.  Precisely.
    In my original BE post to which Tom so helpfully responded, I began:  It seems to me that DLM is an excellent concept with a highly flawed implementation, both technically and administratively.   I think that sending out an engineer to fix an obviously flawed profile is the main example of an adminastrative flaw.  I understand (I can't remember source, maybe Tom again) that they are sometimes relaxing the requirement for a visit before reset.
    Maybe the DLM system is too keen on stability vs speed.  This will keep complaints down from many people: most users won't notice speed too much as long as it is reasonable, but will be upset if their Skype calls and browsing are being interrupted too often.  
    However, it does lead to complaints from people who notice the drops after an incidence (as in your thread that has drawn lots of interest), or who only get 50 instead of 60.  The main technical flaw is that DLM can so easily be confused by drops from loss of power, too much modem recycling, etc, and then takes so long to recover.

    I'm new to project server online (office 365).
    I have a Project server online on Office 365 and I want to query all the projects and its Risks as an excel file. The Risks SharePoint uses OOTB content types and few custom column added to the list. I was told that the OOTB office data connection file for
    Risks does not retrieve the custom columns and I was tasked to fix this issue. 
    I'm completely new to project server and could someone tell me how this can be accomplished. If I create a new data connection file will I be able to use SQL Query or using SQL Query is not allowed in Office 365 since the database is not known.
    If using SQL Query is not an option how can I query the OOTB columns + the custom columns for all the projects.
    I want to use the ODC file to generate Excel file which then can be used for different views like power pivot etc.,

    You need to use the SharePoint list REST / OData APIs to get any custom columns as only the default Risks / Issues columns are synchronised to Project Online Odata.

  • How To Control the Langauge of BI Reports (Using Excel 2013, oData, and Project Server Online 2013)

    Although I buried and posted the following question indirectly in a recent post, I would like to do so here to try and elevate it in the hope that I can get an answer.
    It is in regards to creating reports using Excel 2103 to querry Project Server 2013 Online using oData.  I would like to be able to control the langauge of my reports that I create for others to view.
    Just creating and then saving the Report and Data Connections in a language directory does not seem to drive or determine the language of the report.  A colleague of mine over here is using the same directories as I am, and his turn
    out to be French like his environment.  Mine, even though I save the files in same the French directories, display in English. 
    Any ideas on how I can create reports so that they display in another language, eg., French when using Excel to create reports?  I know that we can set the language in an internet browser to control the language that the result is returned, for instance,
    when querying https://.../pwa/_api/ProjectData/$metadata

    Correction!  Thanks to Doug Welsby of Microsoft and some our other MS friends who worked behind the scenes to correct/ assist me on this, I got the right answer after all... the difference between, example a French oData command/ statement,
    and an English one is the inclusion of the square brackets with the language abbreviation/ code e.g., "[Fr..]" in the oData connection string/ statement.  For further reference, see the connection files provided by Microsoft in the Reports and
    compare the syntax for the same report/ different language.  There is where you will see what and how Excel is able to differentiate/ control what language that the report result will return.

    Not quite from the project center but you could have a windows scheduled task that bulk published the projects over night or each week etc. See the PowerShell script below:

  • Project Online and Project Lite Licenses Transferable?

    I was wondering how the user licenses are handled when deactivating and reallocating.   Are user licenses transferable for Project Online, Project Lite, and Project for O365?

    It depends on how you are defining "Transferrability". As a bottom line, the number of "Active" users at any time, cannot be more than your licenses. And the license for each product are its own.
    I am no licensing expert, and I suggest you talk to a Microsoft Rep for a concrete statement on the licenses.

  • Is there a path for projects between Premiere Elements and Premiere Pro?

    As an educator who has been teaching FCP7 for several years, we are preparing to purchase new equipment and most likely go to the Adobe Suite.  However, I want to know if Premiere Elements is functionally similar to Premiere Pro, and if it would be a good option for beginning students prior to moving to Premiere Pro.

    Premiere Elements is an excellent program and is in many respects not a second citizen to Premiere Pro.
    The principles of the programs are the same. And, although some Premiere Elements features might not be as full as Premiere Pro, they
    can get most of the tasks done.
    Is this your first experience with an Adobe product in your teaching facilities?
    If you have not, please work through or have your IT people work through the program permissions angle on this matter.
    Premiere Elements works from a User Account with Administrative Privileges. With volume licensing in a school or company
    environment, this can create problems.
    Another consideration is the level of support help to expect from Adobe once you have purchased the product.
    At the Premiere Elements level, often you are directed by Adobe to Ask the Community (us, user to user) and in some limited ways Adobe Chat.
    I have noted that Premiere Pro support channels are far more "enhanced".
    Will someone be looking at the tryout before purchase to assure the compatibility of the product with the computer environment and project goals?

  • Project Server 2010 categories and group permissions

    Hi, I have reason to suspect that permissions have been varied on categories and are different for differing users requiring the same categories. Are there any tools I can use to quickly look at the current permissions compared to the default permissions?

    Steve,
    This is one of the reasons why we always suggest that the default categories/groups be left intact and new elements be created for security.
    You do have some options though:
    1)
    Here is an excellent quick reference set up by Guillaume, that will give you links to the default security as defined out of the box.
    2) You could simply create a blank PWA instance and see the permission settings.
    3) For the Category Specific permissions for groups, you could create new groups and set up permissions with templates.
    4) I think the Orange book by Gary Chefetz and Dale Howard also details out all the permissions.
    At least these are the few things that I can think of the top of my head.

  • What's the best way to share my Aperture and FCPX projects between an iMac and MacBook Pro?

    Greetings,
    I own both an iMac and MacBook Pro and I'm interested in figuring out the best way to have access to my iTunes, Aperture and Final Cut Pro X files not only when I'm at home using the iMac, but when I'm out and about with the MBP.
    I'm sure there are others among us who require a similar setup so I was hoping you guys could share with me how you solved this little problem, and also inform me of any potential negatives for your method so that I'm well prepared. Thanks.

    Best is a subjective term, as it will ultimately come down to preference. The fastest however, would be to wait until they market has a few thunderbolt drives available for purchase...
    But like the first poster stated, a firewire 800 drive, would be the more convenient choice for now. Or you could set the shared folder on your iMac to be avaible on your network and use it to allow your MBP to access it wirelessly.
    Obviously whatever you change, just save it back to the same folder on the iMac. Keep in mind it will not be as fast as the first suggestion (unless it is a wired network), but may be usefull for smaller files.
    However, you should have everthing backed up via an external drive, that is always useful...

  • Levelling: Work Distribution based on Resource Capacity and Project Priorities.

    I have inherited about 25 projects and 15 resources spread across these projects. We use project server 2010 to manage projects....we launch any lest a new project each month. We run Weekely modelling.Having a nightmare managing shared resources. Hoping
    that I can get some of my questions answered here and bring back some semblance of sanity.....so here goes my first question.....
    lets assume I have two resources;
    resource1 whose allocation for project activities is 75%. His capacity in resource center view in pwa is 6 hours and resource 2 who has 8 hours capacity per day.
    let us assume there is a 28 hour, fixed work  task on which both the resources are assigned.
    let us assume that this task can start on jan1st -
    scenario1: both the resources are working on only 1 project.
    is the project server smart enough to assign 12 hours to resource1 and 16 hours to resource2, so that both of them finish at same time?
    scenario2: a higher priority project gets introduced in the portfolio because of which resource1 will not be available till 2nd Jan to Start work.
    is the tool smart enough to assign more work to resource2 to ensure that both of them finish the task on project1 same time?

    If you assign a single person to a Fixed Work task they will work on it for as long as it takes at their default Maximum Units.
    If you add a second person the task will take less time and the work will be apportioned based upon both resources maximum units.
    If you specify the work on the task before assigning the first resource (add the work column to a tabular view and enter a value in the work cell for a task) Microsoft Project will behave as
    you are looking for in your question.
    For example I create a new Fixed Work task and it shows with 1d? duration - I enter 28 hours work in the work cell - the task still shows 1d? duration. I assign a person to the task who works to the same base calendar as the project but who has maximum units
    of 75% defined and can therefore work 6 ours per day.
    I assign them to the task and the duration changes to 4.67 days - this is how long it will take someone who works 6 hours per day to complete 28 hours work. Technically speaking the duration is 4.6666 recurring days but project only shows 2 decimal places.
    If I know assign an additional resource to the same task and that person works 8 hours per day as their maximum units are 100% the duration will reduce to 2 days and the work will be apportioned 12/16 to the two resources.
    So the tool is smart enough to behave in the way you are expecting in Scenario 1.
    It will not however make decisions for you to address Scenario 2 unless you engage in
    "Multi-Project Resource Levelling" if you do this and your Projects do have different priority values then Resource Levelling will deploy resource to the more important project first in cases where a resource has conflicting assignments across
    projects in the same window of time.
