Methods for managing large content databases (SharePoint 2013)

I have a SharePoint 2013 web application with a content database of over 800GB.  It's becoming difficult to manage backups (backup time takes forever).  It was also very difficult to migrate for 2010 to 2013.  I'm getting a warning from SharePoint
indicating that the content database is very large?
What are methods (SQL or SharePoint) for managing this.  I was told I could split the content database into smaller DBs....

RBS isn't a factor in database sizing (RBS content must be accounted for when sizing a database). The latter half of your statement is absolutely correct. Microsoft supports you based on those requirements, appropriate disk performance, HA, DR, and so on
(because restoring a 4TB content database would take quite some time).
But keep in mind what supported means here -- if you opened up a PSS case with Microsoft, regardless if you did not meet these requirements, they would 'support' you up until they found that the issue may be stemming from your lack of having these things
in place.

So RBS dosen't shrink DB size, what's the purpose of it.  I dont' have RBS implemented but I have an 800GB DB.  I have a disaster recovery plan, Mirrored SQL and the disk utilization is within the range.

    I need to update the managed metadata field in SharePoint Custom List using Workflow but its not working. I have also tried to use the HTTP WebService POST Operation but no luck.
    Am doing this for a SharePoint Online (O365) Site.
    Has anyone worked on something similar and was able to get it running ?
    I saw a post to create a custom Workflow Activity but I don't have a choice to go with the custom code option.

    I was able to achieve this by creating a SP 2010 based Workflow for O365. Which means that it worked well with SP 2010.
    Is there a different way to do it in 2013 ? I tried almost all options apart from creating custom Activity but nothing worked out.

    Hi Nutan,
    According to your description, my understanding is that you want to update Managed Metadata field with SharePoint 2013 Designer for SharePoint Online.
    As far as I know, there is not an OOB action to achieve your requirement with SharePoint 2013 Designer for SharePoint 2013. Customizing a workflow action is a better option to achieve it.  Why didn’t you customize a workflow action as Patrick’s blog?

  • When to use Managed Metadata service in Sharepoint 2013 and 2010

    Hi Folks,
    I have been working on sharepoint from quiet some time now. I have been using managed metadata service also.
    What I have not been able to find out so far is when should I be using MMS.
    What are the real advantages that I can draw out of it.
    I have one application that has Managed Metadata installed and has various terms stores and terms. 
    The Managed metadata service  created is utilized in search,
    What I do not know is what is why are we using it at all. 
    What is benefit of it.
    Managed metadata service could also be used in navigation is what i know.
    But what confused me is when is the best scenario to use it for navigation.
    Why can we not use the navigation provider in the managed metadata service. 
    There might be other uses also, but that is not clear to me.
    Can any one tell me why and in which scenario to really use it.
    I know how to configure the mms and how it works though the jargons around the managed metadata.

    Managed Metadata has some specific advantages that make it useful for certain situations.
    A managed metadata column has the following advantages over a lookup or choice column:
    A managed metadata term set can be shared across the entire SharePoint farm, so you can use it in different site collections.
    You can set up "synonyms" so that multiple similar terms resolve to the same underlying piece of information
    Terms can be hierarchical (terms can be nested under other terms), and the SharePoint interface allows hierarchical filtering. For example, if I have a term set for Location, and one of my terms is North America, with terms below that for United States,
    Mexico, and Canada, I could choose to filter my list to show me all records with any North America location (inclusive of US, Mexico, and Canada), or to filter on a specific term (such as Mexico).
    You can allow people to enter new terms, which will then appear in the term set.
    You can specify information owners/stakeholders who maintain the term sets without them needing elevated access to sites; normally only site owners can mess with site columns and content types. Managed metadata lets you separate information management
    (what terms/synonyms should be used) from site management (granting access, creating groups and lists, etc).
    There are some disadvantages too. For example, with a lookup column, the lookup list can store additional columns of information. A managed metadata term set (on the other hand) only really stores terms (and descriptions/synonyms), but not related
    info. You might be tempted to do something like create a term set for part numbers, representing every part that your company produces; the term set would handle the part numbers just fine, but wouldn't let you add extra columns of information for
    description, weight, price, etc. In such a case, a lookup list is the better option.

    A brief summary...
    Managed metadata is a good option when the potential metadata meets the following criteria:
    ​Is something for which a user will select a valid value​
    Represents information that is likely to be used multiple times
    ​Has valid values that can be organized hierarchically
    ​Includes synonyms or abbreviations that should be aggregated
    ​Can be applied in one language, but might be viewed in other languages
    Managed metadata is not a good option if the potential metadata meets any of the following criteria:
    Is represented by a built-in column (such as “last modified date”)
    ​Has an infinite number of valid values
    ​Has different valid values in each location that it is used (such as different values for the “version” attribute depending on which product team’s site the item appears in)*
    ​Has only “yes” and “no” as valid values
    *This type of metadata could still be captured in site collection-specific term stores

    I understand as per below link that minimum three servers are required to provide high availability for Workflow Manager 1.0 in SharePoint 2013.

    According to your description, my understanding is that you want to configure the high availability for Workflow Manager 1.0 with SharePoint 2013.
    Per my knowledge, the three servers just have the same Hardware pre-requisites:

  • Any recommendations or references for managing video content in iMovie 11?

    Any recommendations or references for managing video content (Events, Clips, Thumbnails, Projects, etc.) in iMovie 11?
    I just finished importing all my digital videos and understand the .mov files will be large, but want to make the most efficient use of my disk space and iMovie 11 as possible.  Any recommendations or references to other resources will be welcomed.

    My suggestion would be that in the future, they upload photos only to iphoto, and upload video clips directly to iMovie. In the early days of iOS, going through iPhoto was the only way, so it is a habit that I have had to break.
    With iOS 5 and 6, iMovie now recognizes the iPhone and the iPad as cameras.
    I agree that the Consolidate Media command should bring over iPHoto movies along with the photos. I suggest that you go to iMovie/Provide Feedback and let the developers know that you would like this feature.

    I have been planning and deploying my companies first Windows Server 2012/SQL Server 2012 Always On cluster and Always On Availability Groups Multi-Subnet cluster and instances for SharePoint 2013, and I will be brutally honest, the documentation on either
    the MSDN and TechNet leave alot to be desired. Continually finding links in the documentation will take me from a Windows 2012 reference to a page talking about Windows Server 2008 or R2, The differences of which there are so many when it comes to configurations,
    settings, roles, services when working with SQL Server 2012. I have been confused, frustrated, screaming mad, with all the misdirection in this documentation.  The documentation takes me windows 2008 R2 which is different than 2012!

    In general, DTC is not required for SQL 2012.  But, since you are asking specifically about SharePoint, it would be better to ask in a SharePoint forum.  They would be more likely to know those situations where FTC might be needed by SharePoint.

    I dont think you can do this, because you have to name/url of the web application in realm. You have to add new realm for each web application.here is script to add another realm.

    this link you should be able to access this option from the Items tab. for this to work, the Analytics Processing Component needs to be running.

  • Setting up records management for a custom list in SharePoint 2013

    In a workflow 2013, I am planing to 'declare a record' on a custom list. I am doing this since I do not want users to be able to change the custom list once the record is submitted to workflow 2013.
    There are options in record declarations settings that I am not certain what to set like what values are appropriate in 'declaration of records can be performed by'.
    Since I am my own administrator on my test SharePoint 2013 website, would you tell me what I can do at the administrator's site level to enable the 'mark a record and/or declare a record feature? Basically I would like to know what options to set for a custom
    list so the records can not be modified once the custom list has been submitted to the workflow.

    According to your description, my understanding is that you got an error when you configured Workflow Manager for SharePoint 2013.
    For resolving your issue, please do as the followings:
     1.Start -> Programs -> Workflow Manager 1.0 -> Workflow Manager Configuration -> Remove from Farm     (not to be confused with SharePoint “farm”)
     2.Drop SQL databases for Workflow Manager.   (SbGatewayDatabase, SbManagementDB, SBMessageContainer01, WFInstanceManagementDB, WFManagementDB, WFResourceManagementDB)
     3.Start-> Programs-> Workflow Manager 1.0 -> Workflow Manager Configuration -> Configure Workflow Manager with Default Settings (Recommended)
     4.Ran the wizard just like before and it should be completed successfully this time.

  • Where is the Blob Content saved ,for BLOBs those size is lessthen the default Threshold limit 60 KB for RBS enabled Content Database

    in my sharepoint farm i enabled RBS for a content database
    1) I uploaded 4 pdf files to doc librfary, from which 2 fiels are <60 KB
    as per this query results  these 2  files are not go to RBS file system folder (ex: C:/MywebApp/BLOBFolder)
    select * from mssqlrbs_resources.rbs_internal_blob_stores
      when i click extended configuration column the xml has below value
    <config_item_list>
      <config_item key="max_size_inline_blob" value="61140" />
    </config_item_list>
    but which table the content itself saved for these 2 documents?
    when i check the below query the content is showing Null and it has RBSID value, but these 2  files not itself exists in RBS folder
    so my question is where these 2 files content saved

  • SharePoint 2010 UI Interface to add Custom Property for a Term, similar to SharePoint 2013 .

    Hi All,
    We have a requirement to capture additional metadata for each Term (Ex: Requested for, Requested date, Requested by). these properties are not available in Sharepoint 2010 OOTB but can be acheived using Term.SetCustomProperty(). where as in SharePoint 2013,we
    have option to add/update/delete custom Properties in Term Store management window(Custom propertiesTabs) , which is OOTB. 
    Just want to understand is  there any way to get that Custom Property Tab interface in 2010. Or any other way to manage(Add/Update/delete) custom properties from the browser itself. 
    Is there any codeplex/other solution which will  allow us to manage properties from browser with out doing the code.
    Any suggestions on this would be helpful

    According to your description, you want to manage term custom property in SharePoint 2010.
    As you know, there is no OOTB method to meet your requirement.
    If you want to do it without coding, you can take a look at this tool about managing term store:

  • Large lists in sharepoint 2013

    SharePoint 2013 list-I want to use for 100 employees timesheet application.
    In 1 month-crosses 5000 line item threshold.
    may be 1 person-enters 2 line item entry per day.
    So...Should I use Excel for timesheet or List multiple item form is good.
    Pls suggest ?
    because management finally seeks utilization report upon the gathered data?

    Design your list in a way that it has the folder structure implemented. Every folder can individually have 5000 items. So that gives you enough flexibility.
    Create a list which has folders for every user and for each user the entries goes in the respective folders. So your list will be like
    Timesheet List
         User 1 Folder
                  Item 1
                   Item 2
                   Item N
         User 2 Folder
         User N Folder
    Now, are you expecting more than 5000 items for users as well ? Is there any plan for archival ? If you are expecting more than 5000 items per user you can go to a sub folder level of monthly basis inside every user folder.
    The above approach is one of the approaches available to handle large lists scenario. See if that fits your requirement.
