Modify Email Notifications Used in Workflow

We are using content services with workflow and we have email notifications configured to be sent out to approvers when new document or delete requests are generated. The problem is, we are not using Oracle Mail, so the email that is generated contains links and attachments that are designed to execute in the Oracle Mail client, but do not work when opened and clicked on in our mail client.
I have read a few posts that suggest the email contents can be edited and customized using workflow builder, but I have yet to determine how this is done, or if there is any documentation pertaining to how this accomplished.
Anyone that can point me in the right direction? Thanks in advance!

I tried the mentioned approach of creating a 2 step workflow which has the following steps :
Created a criteria workflow .
Added following steps : -Reject Notification step(Edit/reveiw Step)-- added the condition -if wfAction like reject --notify the author with the custom template else move to next step with following piece of code :
   <$if wfAction like "REJECT"$>
  <$wfSet("wfJumpEntryNotifyOff", "1")$>
  <$wfNotify(dDocAuthor,"user","MY_WF_REJECT_MAIL")$>
  <$wfSet("wfJumpName", "Test")$>
  <$wfSet("wfJumpEntryNotifyOff", "1")$>
  <$wfSet("wfJumpTargetStep", wfCurrentStep(1))$>
  <$else$>
  <$wfSet("wfJumpEntryNotifyOff", "1")$>
  <$wfSet("wfJumpName", "Test1")$>
  <$wfSet("wfJumpTargetStep", wfCurrentStep(1))$>
  <$endif$>
                                          -Approval step-(Edit/reveiw Step)-- in this reviewer is notified for the approval.
Now I'm stuck in --when the reviewer rejects the content both custom and OOTB mails are being sent though I have used <$wfSet("wfJumpEntryNotifyOff", "1")$> in each step.
Now I'm not able to figure out what exactly needs to be done to suppress the OOTB notification.
Thanks,

  • Email Notification from a Workflow

    Hi,
    I'm trying to send an email to specific email addresses using a Workflow and in the 'To' field I'm selecting 'Specific Email Address' and am entering a value like...
    "[email protected]" + ";" + [<FieldName>] (with box brackets [] around <FieldName>)
    ...however upon saving the Workflow, I get the error 'Valid email required'.
    I tried various combinations (including uisng various non-custom/custom fields) but to no avail. I even tried simply [<FieldName>](with box brackets [] around <FieldName>), but that did not work either.
    Evidently it works only when I take out the [<FieldName>] from the expression. Would you know anything about this? What am I doing wrong?
    Thanks!
    Edited by: IR on Sep 9, 2009 4:18 PM

    Hi IR,
    According to My Oracle Support (Doc ID 872917.1), "...you will also get this error message when entering a formula in the "specific email address" field. Currently it only works with one or two email addresses within single or double quotes. This has been logged as CR 12-1UFAJBV and will be fixed with patch 1080.0.01."
    I would recommend asking Customer Care to add you to the notification list for updates on CR 12-1UFAJBV if you wish to be advised when the status changes.

  • HTML button in the eMail notification sent by Workflow

    I have a workflow which send eMail notification to the users. I want to add 2 HTML buttons for approve and reject on this email notification.
    For this I have embedded the following HTML snippet in the advanced properties (Message Body) of the email action in the workflow -
    <!DOCTYPE html><HTML xmlns="http://www.w3.org/TR/REC-html40" xmlns:v = "urn:schemas-microsoft-com:vml" xmlns:o = "urn:schemas-microsoft-com:office:office" xmlns:w = "urn:schemas-microsoft-com:office:word" xmlns:m = "http://schemas.microsoft.com/office/2004/12/omml"><HEAD><TITLE></TITLE> <META content="text/html; charset=us-ascii" http-equiv=Content-Type> <META name=GENERATOR content="MSHTML 10.00.9200.17183"></HEAD> <BODY> <P><IMG style="TEXT-ALLIGN: left" src="../Site%20Assets/abc_icon.png"></P> <P><STRONG>******************************************<BR>&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp; Styled Workflow eMail<BR>******************************************</STRONG></P> <P><STRONG>Full Name: [%Current Item:FullName%]</STRONG></P><FONT color=#0000ff size=2 face=Consolas><FONT color=#0000ff size=2 face=Consolas><FONT color=#0000ff size=2 face=Consolas> <P></FONT></FONT></FONT><INPUT id=btnApprove type=button value=Approve>&nbsp;&nbsp;<INPUT id=btnReject type=button value=Reject></P></BODY></HTML>

    Am I  missing any specific configuration? Is there anything more that needs to be done to render a HTML button and images in an email generated from a workflow?
    I would appreciate, if anyone could please help me resolve this issue.

    Hi Arghadip Kar,
    Im glad you liked my name. )
    Anyhoo, you are correct. A Task is used. I checked in SWI1 and the task associated with the mail is TS90000101. (not a ws) Does this help at all?
    In the Business Process, it is the part where the system informs a Training coordinator that a training request by an employee have been approved by his/her manager.
    Do I still check the FM below or are there any other way given the info above?
    Thank you!

  • Send Email Notification - Time Based Workflow

    Hi,
    I have a requirement similar to the ones posted on this thread Re: Send notification on pre-defined date
    but have couple of questions on the logic. Can anyone please suggest a solution for this requirement
    The requirement is to send an email notification to an owner if the Opportunity remains with sales Stage = "Inquiry" for more than 90 days.
    Here's what I tried
    Work Flow Name - Opp Closure - New
    Trigger Event - When New Record Saved
    Rule Condition : Sales stage = "Inquiry" and modified date = Created date
    Action
    Wait -
    Period - 90 days
    Send Email
    Wait 7 days
    Updates Slaes Stage from " Inquiry" to "Closed/Lost"
    The above workflow will take care of New opportunties that are created and never modified
    I am having issues figuring out the logic for modified record
    Work flow Name - Opp Closure - Mod1
    Trigger Event - When Modified Record Saved
    Rule condition : sales Stage = "Inquiry" and <IndexedBoolean> IS NULL or <IndexedBoolean> = "N"
    Action
    Wait - 90 days
    Workflow Name - Opp Closure - Mod2
    Trigger Event - When Modified Record Saved
    Rule Condition : Sales stage = "Inquiry" and <IndexedBoolean> IS NULL or <IndexedBoolean> = "N" and (today()-<LastUpdate>) > 89
    Action
    Wait - 0 days
    Send Email
    Wait 7 days
    Updates Slaes Stage from " Inquiry" to "Closed/Lost"
    Update IndexedBoolean = 'Y'
    But here I am confused about a scenario where after waiting for 90 days when it exceutes Opp Closure - Mod2 and if its been 20 days since the record was last modified, the condition fails and actions do not get executed which is fine but what if the record is never modified after that period and remains in Inquiry status , how will I capture that scenario and execute the workflow actions. Please advise
    Regards,
    SKJ

    Hello SKJ
    Your requirement is to send an email notification to an owner if the Opportunity remains with sales Stage = "Inquiry" for more than 90 days.
    New Record Saved.
    This means even the opportunity can be modified but the sales stage should not change. For e.g. when i create a new record, I can have the sales stage as "Inquiry" and save. At a later date I can modify the description of the opportunity (this would change the modified date), but the sales stage remains at Inquiry. Thus the notification should go 90 days after the sales stage has been set and not since last modified date. Keeping this in mind the condition the rule condition "Rule Condition : Sales stage = "Inquiry" and modified date = Created date" needs to be modified as Sales stage = "Inquiry".
    Coming to Modified Condition:
    Trigger Event - When Modified Record Saved
    Rule Condition : (PRE('<SalesStage>')<>[<SalesStage>] AND [<SalesStage>]="Inquiry") OR ([<SalesStage>]="Inquiry")
    Wait 90 Days
    Revaluate Conditon = 'Y'
    Action Send Email Notification
    Explanation
    When you set the sales Stage as "Inquiry", the condition (PRE('<SalesStage>')<>[<SalesStage>] AND [<SalesStage>]="Inquiry") would be satissfied and then the workflow would trigger. After 90 days if the sales stage is still in "Inquiry", the second part of the condition "[<SalesStage>]="Inquiry" would be satisfied and the email notification would be sent. If the sales stage has been changed to other sales stage, then the condition would fail and the notification would not be sent.

  • Email Notification for Forwarded Workflow task

    Hi all,
    Is there a way to trigger an email notification for a Forwarded Workflow task?
    That is when we forward a task from my SAP inbox to another SAP user's inbox by clicking on the fwd button, there is no email notification generated to the user notifying that a task has been forwarded to him/her? We have to manually send an email to the person notifying that I have fwded a task in his inbox.
    Maybe something in SWNCONFIG...
    But what?? not sure... We currently use RSWUWFML2 ...
    Thanks
    Abhi

    Hi Mike
    Thanks for the quick Reply.
    Have been lookking at SWNCONFIG and not sure how to accomplish it...
    Do we have to add a new parameter on the general settings tab ? Is there a SAP delivered Parameter (setting) with a value??
    Any input would be highly appreciated to point us in the right direction?
    Thanks

  • Cannot Send Email Notification Using Stored Procedure.

    Hi Friends,

    If you look at RFC821 (Request For Comments memo 821 describes the SMTP specifications), you'll see that the sender and recipient needs to be supplied in the format +<[email protected]>+, e.g. +<[email protected]>+.
    I have found that not all SMTP servers are equal in this regard. Some may insist on the brackets around the address, some may not.
    You need to confirm the format of the addresses you use in the "+MAIL FROM+" and "+RCPT TO+" commands.. and ensure that these formats are accepted by your SMTP server - and if not, change your code to use an acceptable format.
    The easiest way to do this is using telnet - and interacting directly and manually with the server. SMTP is a clear text protocol and easy to use manually. Try it. It is the best way to test SMTP interaction and validate the approach and SMTP commands and arguments used by your code.

  • Could not able to send email notification through approval workflow

    Hi,
    I am trying to send an email notification to the requester and approver on request creation and when the approver approves the request then an email should get triggered to the request with approve/reject outcome. All the SOA configuration has been done and also able to send test email through SOA console but could not able to send email through SOA composite.
    For configuring an email notification, I am using notification tab in ApprovalTask, but still problem is not resolved.
    Please help me in resolving the issue.
    Thanks.

    Use this link to check again whether you have configured the Email driver properties properly. http://www.iamidm.com/2012/09/oim-11g-r2-lab-6-managing-notifications.html
    Also check whether any firewall issue is there which is preventing OIM to contact the email server in sending out emails. Check the logs if there are any issues.
    Also check this system property 'RequestNotificationLevel'. This property indicates whether or not notification is sent to the requester and beneficiary when a request is created or the request status is changed. If the value is 0 for this system property, make it 1.
    I was facing a similar type of issue due to two reasons:
    1. System property
    2. Firewall
    Check both of them and try again.

  • Modify process flows using Oracle Workflow

    Hi,
    I'd like to use Oracle Workflow to enhance the process flows created using Warehouse Builder, as some features are missing if compared with the full-blown Workflow Builder, and it is desired to integrate OWB processes in larger ones. I have successfully applied changes on the Workflow processes generated from OWB but it's not clear how far I can go, especially because I don't want to lose too much of the benefits of the original Workflows:all mapping results should continue to show in the Runtime Audit Browser, and it shouldn't be impossible to deploy the processes in a new environment.
    I am worried that when I change the processes manually in Workflow, I lose the possibility to re-deploy automatically from OWB, but this is tolerable as long as the final Workflow processes are maintainable and deployable.
    Has anyone tried a similar approach? How much can it be feasible/supported??
    regards, Antonio

    Jean-Pierre, thank you very much for your reply.
    I'm still evaluating what will be done through OWB and what through OWF. However my first attempts were oriented along the lines you suggest, that is to keep the process flows generated by OWB untouched, and use them as building blocks for larger processes. At the moment I am trying to realize what balance gives the best result. One extreme would be to use OMB scripting to wrap mappings in very simple generated processes, deploy them and build all the workflow logic in OWF. The other extreme would be to implement complete workflows through OWB and modify them through Workflow, but I'm sure this would certainly not be supported (as the Workflow developer manual states).
    My intent is to use OWF to add some flow logic I find difficult to introduce using OWB, especially for recovery actions, eg I added a join operator to the standard AND and OR, which purpose is to wait that all joining processes complete and than to branch depending on a failure in any process. I don't want the following recovery/logging actions to start unless processing has stopped.
    I built such logic very easily throw OWF but it's very involved using OWB, unless I'm missing something...

  • Email Notification using Gmail Server

    Hi all,
    is it possible to use a SMTP Server WITH authentication (configuring username and password) to send email notifications?
    I.e. Gmail Server.
    Thanks and regards

    for the greatest amount of control and future-proof setup, you could solve this by configuring a simple relay email server. unauthenticated requests would be sent here, and then relayed to GMail.
    However, we also released a patch to extend/override our own email service to provide authentication and other standard email configuration values.
    if you are on 6.1.0.2, you can download 6.1.0.2.13 (16315472). if you are on 6.1.0.3, you can download 6.1.0.3.2 (16738662). please check the patch list announcement for a quick link to all patches.
    This patch is not currently available in 6.1.1.0, but will be available in 6.1.1.1.
    thank you,

  • Email notification using Oracle Job

    Hi,
    I am trying to setup a email notification job using Oracle 11gR2. Per online documnetation I have done the following setup, but the email notification job is failing. If you guys have any ideas, please assist.
    Step 1:
    BEGIN
      DBMS_SCHEDULER.set_scheduler_attribute('email_server', 'oracle.kotaise.com:25');
      DBMS_SCHEDULER.set_scheduler_attribute('email_sender', '[email protected]');
    END;
    Step2:
    BEGIN
      DBMS_SCHEDULER.create_job (
        job_name        => 'email_notification_job',
        job_type        => 'PLSQL_BLOCK',
        job_action      => 'BEGIN NULL; END;',
        start_date      => SYSTIMESTAMP,
        repeat_interval => 'freq=minutely; bysecond=0',
        enabled         => TRUE);
    END;
    Step 3:
    BEGIN
    DBMS_SCHEDULER.ADD_JOB_EMAIL_NOTIFICATION (
      job_name   =>  'email_notification_job',
      recipients =>  '[email protected]',
      sender     =>  '[email protected]',
      subject    =>  'Scheduler Job Notification-%job_owner%.%job_name%-%event_type%',
      body       =>   '%event_type% occurred at %event_timestamp%. %error_message%',
      events     =>  'JOB_FAILED, JOB_BROKEN, JOB_DISABLED, JOB_SCH_LIM_REACHED');
    END;
    Step 4:
    I have created the following  job that executes a package which executes a package "test_package.pdata". This package is not created yet, becuase I wanted to see whether the email notification is working or not. As expected the "TEST_JOB" is failed becuase of missing package. But the email notification job "'email_notification_job'", which runs every minute, failed to send an email notification.
    BEGIN
      SYS.DBMS_SCHEDULER.CREATE_JOB
           job_name        => 'test_job'
          ,start_date      => SYSTIMESTAMP
          ,repeat_interval => 'freq=minutely; bysecond=0'
          ,end_date        => NULL
          ,job_class       => 'DEFAULT_JOB_CLASS'
          ,job_type        => 'PLSQL_BLOCK'
          ,job_action      => 'BEGIN test_package.pdata; END;'
          ,comments        => NULL
          ,enabled         => TRUE
    end;
    I have queried the DBA_SCHEDULER_NOTIFICATIONS table, and I see that the email notification job did not started.
    JOB_NAME                                      RECIPIENT                     EVENT
    EMAIL_NOTIFICATION_JOB      [email protected]      JOB_FAILED
    EMAIL_NOTIFICATION_JOB      [email protected]      JOB_BROKEN
    EMAIL_NOTIFICATION_JOB      [email protected]      JOB_SCH_LIM_REACHED
    EMAIL_NOTIFICATION_JOB      [email protected]      JOB_DISABLED
    Thanks

    Hi,
    The DBA_SCHEDULER_NOTIFICATIONS show the notification settings, not the notifications that were sent. To see that, run the follwoing query:
    select queue,
           msg_state,
           enq_time,
           enq_user_id,
           deq_time,
           deq_user_id,
           t.user_data.event_type,
           t.user_data.object_owner,
           t.user_data.object_name,
           t.user_data.event_timestamp
      from sys.AQ$SCHEDULER$_EVENT_QTAB t;
    Does it show anything for your job?

    Hi Rajasree,
    You can get the email address by passing the PERNR of employee and read the infotype '0105' (communication) with subtype '0010'.
