No Notify when Approver Forwards workitem - Accident or Design?

Hellos.
I am trying to figure out what IDM is doing when an Approver selects an administrator to whom he wishes to Forward his workitem.
I see that deeply buried is the :forwardToButton variable.
I understand that the current workitem becomes owned by the selected admin from the drop-down Select list.. i.e. it is indeed Forwarded.
What I dont understand is why there is no automatic Notify activity informing the new owner of his obligations when this happens.
How has the field plugged this hole? Any hints by the experts?
The new owner has to be notified by email somehow, or does IDM rely on the forwarder to do it automagically.

This is default feature. In this case, the owner of the workitem is changed to the new owner and emails are not triggered. You can call a rule in onclick and send an email

    Short answer: Yes.
    Longer answer: only you know which workflow template you are using. Is it a standard SAP template? If so, which one? Is it your own custom workflow? If so, you have to explain it if we are going to be able to provide any help.
    I won't be surprised if your response is that you are using the standard workflow that you customize with release procedures. But I can't know that, so please (everyone) be specific and informative when you ask questions. The readers here may all have some workflow knowledge, but most of us are not very good at reading other people's minds.
    PS: Version information can also be quite significant. In some cases there are big differences between e.g. R/3 4.6C and ECC 6.0.
    If you have used the release procedure customizing it could be your customizing that causes the behaviour you have observed. Please give some more information about your current setup.

  • Limit users in search when Forwarding workitem or creating Substit. Rule?

    When you are in Universal Worklist, you have capabilities to Forward workitems or Maintain Substitution Rules.  In both cases there is a select box where you can search and pick a user from the system who you want to Forward a workitem to or say make your Substitute when creating a Substitution rule.  
    Is there a way to limit the users returned when searching?   It appears you can find any account/user in the system.  For example, we entered "admin*" in the search box and it returned "administrator".  We would not want this or any other kind of non end user account.  
    Also, we have concerns about customers accidentally being able to forward workitems to different customers or competitors.

    Hi Mike, thanks for the OSS and reply.  I agree with what you are saying.  I'll just add a few comments.  To help clarify, I guess there are two security concerns.   One is who you can forward workitems to and the other is hacker type security.  A security vulnerability report from a 3rd party is what prompted my posting.  They had issue with the user search on creating substitute and forwarding workitems (the fact it allows a complete enumeration of the system's user accounts).
    Restricting by possible agents (=General Forwarding not Allowed) is also for exactly this purpose.
    Perhaps that explains why not many companies have the same concern?
    I agree and we are using this in some workflows.  It does prevent you from forwarding a workitem to someone that is not a possible agent.  The problem is that the user search still shows all user accounts.  Fails their report and some of our users complain it forces them to know who the other possible agents are or guess.
    Another option is to not allow forwarding for the task but put the whole thing in a loop and give them a forward option as a decision choice or button which results in an agent selection step or popup box and then loops around, sending the task to the new agent.
    Yes, we do this in some workflows.  The only issue is that we do this with synchronous dialog in SBWP and we cannot do the same in UWL.

    Hello everybody,
    I am developping a workflow application with an external status monitoring, i.e. for each workitem I must write the current status as well as the person or organizational unit who is reponsible for the workitem to an external Z-table.
    I found that the programming exits using the interface IF_SWF_IFS_WORKITEM_EXIT would be the right way to do this. However, I cannot find the recipient of a forwarded workitem in the whole object, neither a method which would return this information.
    Does anybody have an idea?

    not quite.
    I want to achieve the following:
    Let's assume, the workitem is in the inbox of user DILBERT.
    Now DILBERT is in his Business workplace, selects the workitem and clicks "forward". He gets the popup to enter the user he wants to send the workitem to. Let's say, he picks user WALLY.
    Now I want to upate my custom status table with the user WALLY as the actual agent. Unfortunately, when I call the mehtod IM_WORKITEM_CONTEXT->get_header, the field WI_AAGENT still contains the value DILBERT instead fo WALLY.
    And I can find the value WALLY in no other accessible field either.

  • How to find the user who approved the workitem.

    Hi experts,
    I have created a parking/posting workflow.
    When the user Approves, parked document is posted and BKPF table is updated with WF-BATCH as user name.
    Now I need to find the actual user who approved the workitem for posting.
    My plan is:
    1. Find the workitem id using the BOR, company code, document no, year, task no.
    2. Find the user who processed the above obtained worktem id.
    Please let me know the tables for the above points 1 and 2.
    Or let me know if there is any other way to find the actual user.

    To get the workitem ID with respect to a specific business object instance make use of the FM SAP_WAPI_WORKITEMS_TO_OBJECT
    To know who processed the determined workitem either you can make use of the FM SAP_WAPI_GET_WORKITEM_DETAIL or directly read the table SWWWIHEAD and you can find the actual agent WI_AAGENT this is the field which says who has executed the workitem.

    For anybody thats interested please find below the reasons I've found so far for ER's dropping into said status..
    ERROR – Pending System Administrator Action
    If an employee cannot get their ER approved – check their Cost Code and/or that the approver named is actually an Approver. Also check the person who’s trying to Approve the ER has that particular GL Code in their Payables Signing Limits. Just add, then get ER creator to withdraw and resubmit it. Also check their actual ER lines table. Something must be up. And, of course, their expense Report via Auditor resp.

    If you think getting your web pages to appear OK in all the major browsers is tricky then dealing with email clients is way worse. There are so many of them.

  • Using Firefox, when I forward an email, I am no longer able to edit it, ie remove previous senders details, it is not my email provider, as I can with IE.

    I have just switched to Firefox from IE and when I forward an email, I cannot edit the email at all, i.e. remove the previous senders details before forwarding, which I consider very important. This is not due to my email provider (Tiscali), as I am able to do this in IE.

    Just to make it more clear:
    In our environment we have enabled Hyper-V on following Windows servers: 2012 R2, 2012, 2008 R2, 2008. The environment is very dynamic, VMs are getting created and deleted very frequently. Our intention is to get notified by any means on VM creation/deletion,
    currently we are relying on event-logs (we are OK with any different mechanism for such notification if there exists, i,e other than event-logs)
    We were able to get event-logs only on few of our 2012 R2 server on creation/deletion of VMs. On another 2012 R2 server, we did not got any such event (do we need to make some settings on 2012 R2 to get events? If yes, what are those settings).
    Also we are not getting any such event of VM creation/deletion on our Windows Server 2012, 2008, 2008 R2. Is there any setting required on hese host computer to get Hyper-V event-logs in "Event Viewer" for VM creation/deletion?

  • How to stop images embedding in message when I forward to other recipients

    I have looked long and hard in this forum but can't see others having the same problem or a solution to this problem so I think it must be unique to me.
    When I receive an email that contains any type of image format and then I try to forward the message to others the recipients on the other end claim it is embedding the image into the content of the email and can't be downloaded. Before I send the email I am careful it is showing as an attachment. I've even tried to delete the attachments and reattach them to avoid this and still it is ending up embedded on the other end. This only happens when I forward an email- this doesn't happen when I create a new email.
    I have read others having this problem and claiming it has something to do with Apple and how Mail creates HTML- but it impairs me completely in my work process when I need to forward an image. Any suggestions out there?

    I failed to mention the best way to forward messages without embedding the images in the new forwarded copy is to +create a new message+ and attach the email message to the new email message. It comes across great but my problem of doing this or what was just suggested takes away the simplicity of just clicking forward and have everything sent properly. Too many steps....

    When I forward a HTML mail or even a simple rich text, the mail arrives to the receipts stripped in a lot of archives.
    Example: If is a history of three mails, will arrive three or more (if have photos) archives to be opened as .html in some browser + the photos archives.
    I use: OS X 10.9
    The server is a exchange server.
    The strange reason is because IF I REPLY, the mail arrives well. Only if I forward manually and/or automatic (some rule), happen what I informed above.

    Thanks to the tip. But I am very upset that Apple have no solution to this. I mean, if you have the option to forward, if you have the option to resend in HTML. Why we need to find ways to do this?

    Open Terminal in Utilties and copy/paste
    This will send the attachment embedded inline. (This works in Snow Leopard, but not sure about Lion. Do a test first. If it doesn't work, just google "send attachment embedded + Lion." You don't actually have to send the message to see how it will appear.)

    To reverse the setting, change the 0 to a 1
    However, whether this will work or not will depend on what the e-mail client on the receiver's end does with it.

  • I cannot view HTML attachmants in Firfox that are visible in IE. However, the attachments are visible when I forwarded on the email.

    When I check the the properties of the attachments that Firefox cannot open (but IE can) they show them as Firefox HTML documents. However, the attachment can be viewed when I forward on the email.

I suspect that the answer to my problem is elemental and is something very seldom considered by rocket scientist or other like minded intellectuals. It is a reoccurring problem which suggests that it is a fundamental settings error which should be easily solved. I simply need to know which button to press.
