OC 3.0 SP1 Multiple incumbents data merged in Pos View and Details Panel

In OrgChart 3.0 SP1 we have some instances where there are multiple holders for a position (e.g. 2 people job sharing at 50% each).  For all employees the requirement is to display additional data for Employee Group/Subgroup (text), Payscale (Basic Pay IT0008) as well as the standard position/org unit information.  For multiple incumbents there are some negative impacts to the data display and any suggestions on how to resolve these issues would be very welcome.
1. Details Panel
If additional fields and data elements are added using the Admin Console, for multiple incumbents the data for each employee displays without distinguishing clearly which employee the data belongs to.  So the first employee's name appears, followed by all data for all employees below.
Alternative approach was to try to display the data through the Employee Profile (as separate Profile tabs appear for each employee) by editing the XML files.  However, the Profile seems to regenerate in such a way that the additional data for both employees appears in the first employee tab and the 2nd employee tab only contains the basic standard position-org unit information.
What is the best way to distinguish each set of data for an employee in the Details Panel?
2.  Position Box View
In the Position Standard View the box shows "Multiple Incumbents" instead of the specific employee names (although these appear if you mouse over).  To list the names separately within the box, in a previous post we had the suggestion to modify the template file.  However, on closer investigation there appear to be approx 500 instances in 40 files for the relevant views that may need modification.
Is there a more targeted way to do this?
I would be very interested to know how others have configured / dealt with the data for multiple incumbents in their org charts and details panels.

I hope all is well down under
1. This is a known bug that is resolved in SP2. If you cannot upgrade to SP2 you can delta-merge the changes into SP1, although this is not so easy for the unexperienced. OSS might be able to provide some comprehensive instructions, but I would advise to upgrade to SP2 if possible (although, again, if you've already configured or customized any part of the Position or Employee details then you need to delta-merge the changes anyway).
2. This is standard functionality in the Organization Structure with linked Positions. The alternative is to use the Organization Structure that has linked Employees instead. This will display the structure as you are expecting it.

  • How can I do a multiple record data merge, but specify that a specific text frame with variable data only merges on the first record?

    I'm doing a multiple record data merge, I have 2 frames both with variable data placed inside.
    I would like to specify that one of the text frames only merges once(first record) and the other frame multiple times for each record in the data file.
    Is it possible?
    I thought that perhaps if I place the text frame that must merge once on the master page, it would work.  But you are not allowed to place variable text on the master and on the document page.
    I'm going to try it through scripting next, but thought that perhaps there is an easier way that I'm not aware of.

    If you were trying to post a screen shot, you would need to return to the forum and post it using the "camera" icon at the top of the post editing windows.
    I use a plug-in from Em Software called InData. One of the benefits for what I do is there are no individual frames on a page to deal with post-merge. Individual frames are great for simple merges (address labels, post cards, etc.). But I typically do more other types of merges.
    That said, there is a drawback--one needs to come to an understanding of writing expressions that actually parse the incoming data. So in the spice price list example, that looks like:
    It's reasonably easy once one does it a few times. And it can be far more complicated. The above is from Em Software's samples that has been tweaked. The best thing I can recommend would be to download the trial and see for yourself. They are good at responding to specific questions if you get stumped.
    I imagine this all could be scripted somehow in ID. But I have no idea how and the plug-in just lets me keep working.

    For publications such as a directory with contact information, it would be easier to manage the layout by merging multiple records into one text box. However, it seems like the only option in InDesign is to merge the records into each of their own text boxes.

  • CS3 hangs on multiple document data merge

    I am using data merge to create documents for high school graduation issues for two different high schools for the newspaper I work for.
    For each school, I have created a single document data merge to print proofs of the individual students. For the first and largest school,
    I've done a successful test run of a multiple document data merge of all the students. I then used the Excel .txt file from high school #1 to create the .txt file for high school #2. We have successfully done the individual data merges for proofs for each of the students in high school #2.
    However, when I try to run the multiple document data merge for high school #2, InDesign gives me the spinning wheel of death. Forever.
    I cand run or preview a single item, but it hangs up if I try to run them all or a range (even just 1-2).
    I am stumped as to why in what are basically the same documents one works and the other does not. Can anyone help?

    Brainstorming with a co-worker solved the problem. A graphic I was using was too large for InDesign to handle on the multiple document data merge. So I reducd the file size, and that did the trick.

  • Multiple record data merge into paragraph styles-applies the wrong style

    Hi, I've been working on this project for sometime and everytime I manage to get one part of the workflow to work another seems to break. My agency publishes catalogs in multiple formats: large-print, audio, braille, and HTML. I've been trying to redesing our work process so that the catalogs will be laid out from merged data out of comma-separated file. The data merges have worked fairly well in Word, but InDesign is a challenge. I'm merging multiple records on a page, like a mailing label. The paragraphs need to be formatted and I'm trying to apply a paragraph style to them. After much work, I think I've finally got the data merge to work correctly, but the wrong paragraph styles are applied. I'm going to apply a new master page to the data once the data is merge that uses the paragraph styles for text variable running headers and I need to build a table of contents based on the paragraph styles so I need this to work. Attached are some screenshots.

    I don't remember this happening in past versions. But I mainly use XML. And a quicky test converting your file to XML worked fine (and besides, it ends up all in continuous text frames...).
    I don't do much GREP. But you can do this via a Find/Replace.
    First, in your main document, you can delete the tags--but do this on a second copy of your working file!
    Change your Content Placement options to not remove blank lines (these are in the Datamerge panel).
    Then after the merge, change the format of the two blank lines at the beginning of the records without the two lines of data:
    Note the Change Format style is changing those two paragraphs to Title.
    Then rerun the find to remove the two blank paragraphs.
    I suspect this can be done easier. I am sitting awaiting an appointment and cannot go much further than this for now, sorry.

    I am trying to create a response card.
    The sizing is such that they lie three on a letter sized page, and fit into Number 9 envelopes.  I've
    data merged onto the one page (so three target/data boxes in each of the response cards) but when i select expo
    rt and multiple records it doesnt work right.  It generates three on a page of all the same
    record, and then a page of three for each record.  i need each record only once and i'd like to print them three to a page and then cut them.
    advice?  i am not very advanced with indesign, so specific steps would be much appreciated.
    is there a way to print if i make just one card?  it seems you can only do 2 or 4 to a page, not three

    You set your fields three times on the page right?, delete instances 2 & 3.
    Repeat - Set the first instance of all your design, eliminate everything else.
    From the Create Merged Document panel, select "Multiple Fields" in Records per Document and adjust spacing on the Multiple Record Layout tab. (Hint, turn on preview)

  • Multiple Records Data Merge issue

    Hi all, could really use some help here, I've been trying to solve this for hours now:
    Made 3 different designs for labels that I'm printing based off of Avery label templates for InDesign. When I go ahead to do my data merge on any of them, I select "Multiple Records" under Records per Document Page, but the preview and the actual creation just spit out a single unique label onto each new page. For example, I'm using 2x4" labels on 2 of these, so it should print 10 per page, but instead of putting 10 unique labels on a page, it puts each new label on a new page. Therefore, instead of 100 pages for the 1,000 labels I'm printing, I end up with 1,000 pages.
    I know to double check the size constraints on the text box and make sure it fits when duplicated, and to my understanding, that is looking like it's fine. I'm also fairly certain that the CSV files I'm using are in the right format, too. I'm pretty stuck at this point as to what I need to do to fix this problem, any guidance would be awesome. Below are screenshots of what I'm looking at, please let me know if there's anything else I can provide that would help diagnose the problem.

    I thinnk the easiest way to deal with this would be to make sure all the template information from Avery is on the master page. Leave it active while you do the layout in the upper left position ON THE DOCUMENT PAGE, then assign the None master to leave nothing showing but your placholders and added art.
    Reassign the template master after the merge.

  • Multiple language data in the same table and indexes

    We have 8.1.5 database with
    NLS_LANGUAGE=ENGLISH and NLS_TERRITORY=UNITED KINGDOM set at the database level. We also set the NLS_LANG appropriately when we index the data. We also use the preference setting BASE_LETTER=YES when indexing.
    Our tables contain book titles which is what we index using interMedia. Being an online book store, this table may contain titles in English (most of the titles are in English being UK) and some titles in French. Please note the French language has accents and diacritics. Normally in a French database with NLS parameters set correctly and BASE_LETTER=YES, if we search for a title with accent / diacritic it will return the record correctly and match the rows with or without the accents (e.g. searching for video will return both vidio (not the accent on e) and video). However, with the UK settings the accents are not ignored during indexing and it only returns the records that exactly match the search word (e.g. searching for video returns only video and searching for vidio returns only vidio (note the accents on e in the last two videos)).
    Question: Is there any way to appropriately index multiple language specific titles in the same database? If yes, how? Is it possible at all? Suggestions, ideas are welcome.

    Similar request; if there are several different languages used in a database, but a search word can be typed in by anyone and not necessarily in the default language, I still want to be able to pick up all the records (including text in blobs) in any language where my search word = the equivelant word in the other languages; eg. searching on "tree", the search would bring back a document that contained "l'arbre". I then want to set the default language, and allow the user to select a "search in these languages" option to expand the search from the default "tree" to all languages in the database.
    I know about the multi_Lexer but does it extend functionality to this level?

    It is for an Invoice Report. I am having a list of values which are directly fetched from a table. There is a column named 'Type' which is having values 'Gas' and 'Water'. The table is having another column named 'values' which will list all values for the Type 'Gas' and 'Water'.Based on the 'Type' we will be displaying 'values' in the detail section. Gas values will be displayed in Details section A and water values will be displayed in Details Section B.
    Q1: My requirement is to display like this
    Page header for GasDetails section A
    Page header for WaterDetails section B
    Page header for ElectrictyDetails section c
    Q2: I am using the same SProc for fetching values for Gas and Water. (At present I am having values only for type Gas. Just assume that there are five values for Gas. So the SProc returns a total of five datas and these values are displaying correctly. But I am getting five 0.00 values for the type Water.
    Here is the sample of code in the formula section used code used:

  • Multiple Data Merge - Problem Resolve... Sort Of

    I've researched this issue all morning and found issues dating back to 2012 regarding the problems with Indesign's Multiple Record Data Merge. Many of the issues are answered with the basic set up. Create a new page as a single page and non facing page document. It appears that an earlier bug was resolved that caused data merge documents to be placed off center when produced. The issue that I was experiencing was similar to what I had seen but not covered or not answered when it appeared someone was posting a question about it.
    I started with a single page document, non-facing page, no initial text box, and sized to 8.5'' x 11''. I'm layout out name badges 10-up on a page. I had a previous template that had some graphics in the background for alignment purposes. I created a blank master page and a record holder for the name badge then loaded my data source, placed my data entries, and styled accordingly. Upon creating a data merge I selected Multiple Record and then previewed the data merge and positioned the elements on the page using the data merge controls top, left and column placement commands.
    The preview looked perfect. The problem came when I finished the final data merge. The resulting page was not correct and looked nothing like the preview. Records were strewn about the page and excessive amounts of pages were created. I spent 4 hours trouble shooting this, far more than this project was billed. At this point it was a mission. In a reply dated back around 2013 I found that someone had removed a layer from their document. I had no layers. The only thing that was not a part of the actual data merge was the graphics that I had on the page for positioning that were not tied to the data merge at all.
    I decided to delete these graphics and try to apply the data merge again. The results were perfect. I'm deducing from this experiment that the data merge needs to be done on a blank page. Which is counter productive to the Indesign mater page template. Any elements on the page need to exist as a a part of your data entry group and no other elements on the page. You only create one data entry group in the top corner of the page then use the data merge panel to position and duplicate. Otherwise, you will get a single page for each record you have with each record set 10-up in my case.
    Recap:
    Create a single non-facing page document with no intial text box. (if you have more than one page the Multiple Records option will be grayed out)
    Only have 1 layer in this document
    Set a single data entry set/group on the master page.
    Do not include any other graphics. Put them in after the data merge.
    Click the Create Merged Document button in the data merge panel
    Select "Multiple Records" from the drop down list
    Click the Multiple Record Layout tab at the top of the Data Merge panel
    Click "Preview Multiple Record Layout" at the bottom of the Data Merge panel so you can see the Entry Sets with the data in place
    Use the Margins and Layout or Records inputs to position the elements on the document (see note below)
    Click OK when everything is in place the way you like it.
    After the data merge is complete you will have a new document that should look like you want it to. Now you can go into this document and start adding your design elements.
    NOTE: Positioning the content without the base graphics can be tough if not impossible. What I did in this situation is placed my positioning guides on the page then went through Steps 1-9 to set up the document for merge. Once my settings were set I then clicked "Cancel" and deleted my positioning guides and graphics. The problem I was having was due to these elements being on the page. Once I created the document I then pasted my template guides back into the final data merged master page for production.
    Request to ADOBE: Fix this issue so we can design our layouts and position our data merge elements without having to backtrack.

    If you insist in multi-record data merge, you can have static/variable graphic and text components work. But, create a 3.5 x 2 frame (3.75 x 2.25 card w/bleed) around all of these components, and make sure nothing extends beyond this bounding frame. If the composition prevents you from enclosing all components, then make a PDF of content that is imported in as one graphic.
    Another suggestion: don't combine the functions of variable data merge with imposition.
    Create a 1up layout of business card to data merge the variable info.
    From this file, export to PDF.
    Then impose the individual cards with: an imposition app, PDF plug-in, Indesign script, or even manual placement into another document.

  • Tip for Data Merge with Multiple Records (labels, etc.)

    I have seen many InDesign Data Merge questions about how to create sheets of mailing labels, especially the problem of getting only one label per page, when you need 30 or more.
    Adobe's instructions are poor and incomplete in that InDesign doesn't step out the records from a data source - it steps out the FRAMES that contain the data field placeholders.
    That is why you only need to place a text or image frame once on a single page - during the datamerge, InDesign will create the additional FRAMES for each record, and it will create the pages required to hold them.

    If you create the frame on a Master page, ID allows you to update the data source (when it changes) in the Data Merge tool panel.
    These are very nice and robust features, but the documentation for them is confusing to many people.

    For a multiple record merge you need one set of placeholders, then set the margins and spacing in the merge options so the positioning is correct.
    Warning: Using Preview in a multiple record merge will corrupt the file. If you press the preview button, Undo after looking at the preview, then merge without using preview.

  • How do I tailor a data merge to reverse the layout for facing pages?

    I have used multiple record data merge to create a product catalog. I would like to reverse the content on only one side (i.e., the left pages) so that facing pages are mirrored. I can do this easily one page at a time using Flip Horizontal (and Clear Transformations), but I have not found a way to apply this to half of the document in a more automated way.
    Any help would be much appreciated!!

    Data merge with multiple records doesn't work that way. All the pages will be identical after the merge, no matter how you set up the template (and the template itself can have only one page).

  • Data Merge shifts page content

    I am using Indesign CS6 (Creative Cloud) on a PC with XP as the operating system.  I have a finished size card of 4 X 6 and want to place a single field on the card.  When I select multiple copies per page, preview and in the merged document, the content shifts off the page to the left.  How do I stop this from shifting?

  • Scripting a file name change as a data merge element.

    My goal of the work being done with InDesign is to utilize the Data Merge functionality of InDesign and the, already available, ability to create a new document per record in your data source where the docuement name is changed based on data contained in the data source.
    A very simple example of this would be the following:
    EXAMPLE
    ======================
    Given the following data source in excel:
    First_Name
    Last_Name
    ResultingFileName
    George
    Smith
    c:\A45.pdf
    Mary
    Lopez
    c:\C99.pdf
    Steve
    Barns
    c:\tmp\XM96TR.pdf
    Along with a simple two text box InDesign documents, I would perform a standard data merge with First_Name linked to one text box and Last_Name linked to another.  By setting the “Record Limits Per Document” to 1, I would end up with three different documents.  By default, the documents would be named Untiltled-1, Untiltled-2 and Untitled-3. 
    Untitled-1 would contain George and Smith.  Untitled-2 would contain Mary and Lopez and Untitled-3 would contain Steve and Barns.
    At this point in time, I would run the new created script, which would do the following:
                Rename Untitled-1 to A45 and/or save Untitled-1 as C:\A45.pdf
                Rename Untitled-2 to C99 and/or save Untitled-2 as C:\C99.pdf
                Rename Untitled-3 to XM96TR and/or save Untitled-3 as c:\tmp\XM96TR.pdf
    I am open to modifying the manner in which the data merge source is created.  For example, separating the path and the file name into separate columns.  In addition, I am flexible in putting preset information and/or file save types into the data merge document.

    I think it’s better to use an XML-based approach for your task.
    I’ve never scripted Data Merge process, but I don’t see a straightforward way of doing it. May be you can create the 3rd textbox on pasteboard or a non-printing layer, which will contain the file path from ‘ResultingFileName’ field, and the contents from which can be used for naming & saving the current file and exporting it to pdf-file. But this approach is so clumsy.
    Instead, you’d better to keep your data in excel file, or even better Access or some other database program.
    Export the data from it in XML-format.
    Then import it to an InDesign file and process it by script. XML support is very powerful in InDesign: you can process your data by xml-rules. I once made a script for a newspaper, which processed data for classified ads. The script applied all formatting, changed colors for different headings and placed images.

  • How can I utilize text variable in my book which only uses data merge on the first chapter?

    Hey ladies and gents, I'm trying to automate a process here and running into trouble. I have the first chapter of a book with several data merge fields (legal documents etc), and want the later chapters to pick up from what I have already merged via text variables or SOMETHING. From what I've tried, the options available to me are limited and buggy.
    Using the running header with character styles almost worked, but it removes all visual tracking in text around it (I assume this is a bug) and it only works for the first/last instance of the style. I need something that will fill in all instances.
    Here is an example of what I'm doing. In the ch1 document of my book I data merge the Name, Age and Occupation of a person. In chapter two I want to have a variable that takes the name that was merged in ch1. Any ideas? Doesn't seem possible!

    I need some solution that references live text, specifically different fields that have been data merged. This solution needs to work between documents, so your cross-reference suggestion was in the right direction. If I data merge 'Plan Name' from a CSV file into my first document and mark it with something (character style, paragraph style, text anchor etc), I want to have places in my other documents that pull that exact text from the first.
    If document 1 says 'the plan is XXXX', document 2 will copy that name, i.e. 'According to plan XXXX'. Whatever solution this is it's what I'm looking for.
