Office 2010 mail merge with section breaks printing problem

Afternoon all,
We have an issue and I was wondering if anyelse has come across this and has a solution
Our office staff do many mail merges and once the merge is complete they then can print the whole document with no problems or select one page and do print current page. The problem occurs when trying to print a range i.e. pages 5-7. Once you click print nothing happens, no errors and nothing comes out the printer.
What I have found is that the mail merge is putting in section breaks between each page to seperate them but if I change these to page breaks in the document then I can select pages 5-7 and it prints with no problems.
So the only solution I have found so far is to do a find/replace and find all ^b (section break) and replace with ^m (page break). This is obvioulsy takes more time and is a pain if we have to do this for every mail merge.
I can't find any setting in the mail merge to tell it to use page breaks instead of sections breaks
Has anyone else come across this probem, is it a office bug ???

Replying to your posts works just fine. You can choose to reply to either of the other posts & address both in your comments just as you did. I see quite a few threads where the OP (original poster) posts a reply to each & every one who has replied. I think it makes it very difficult to find the actual answers.

  • E-mail merge with Word and Outlook problem

    I'm trying to do an e-mail merge with Office 2011: Word, Excel, and Outlook.
    Before you start typing, I've already searched the web, searched the Apple forums, and posted to the Microsoft forum, with no success.
    Anyway: I have outlook configured to send and receive mail from a single Gmail account.
    Outlook works otherwise to send and receive mail.
    Outlook is set, in both Mail and Outlook, to be the default e-mail program.
    Everything seems to work fine until the final step, clicking the generate e-mail merge button that should send the mail merge to Outlook. The mail merge emails are supposed to appear in Outlook, but they don't.
    If you have figured out how to do this, please let me know.
    I would prefer to do this with Mail and Numbers, or Excel and Mail, but that functionality does not exist. I'm sure it would probably work if it did.
    I have a standalone mail merge app (MaxBulk Mailer) but I'd prefer to use the database I already have, which is in Excel, rather than have to create two databases, one in Excel, and another in MaxBulk. MaxBulk has some other problems as well and is not a great solution.

    Not sure if this is entirely the same issue but.... we just saw a very similar issue resolved here by my recommending that one of our mail merge-using faculty run the Outlook 2011 database rebuild utility (holding down option while starting Outlook 2011 for OSX).  Mail Merging from Excel 2011 mailing lists to Outlook 2011 starting working like a charm after that.
    The differences with our setup were that we were sending a mail merge via an Exchange Server, not GMail, and that this issue started after upgrading from 10.6 to 10.9 via the App Store.  Mail Merging had been working fine in 10.6.
    Worth a try?  Guard your backups and good luck!

    I am a windows 7 users. I have a single microsoft word document which contain 1500 pages. These 1500 pages are seperated by sections breaks in the microsoft word. I am trying to convert this word document to multiple pdf files seperated by the section breaks in the Microsoft word. How can I convert the single microsoft word document with section breaks to multiple seperate pdf files?

    Acrobat (Adobe PDF Printer and PDFMaker ) doesn't recognize the Section breaks.  It never has as far as I am aware.  The easiest thing to do is to manually break up a copy of the MS Word Document into the Sections you need and then create the PDFs from those MS Word documents.

    Nope. Version 5 is a fashion accessory: it looks like software, but it doesn;t actually do anything. Sort of like a sports car with a lawn-mower engine. Looks snzzy. Doesn't really work. (And given how buggy it is, I should further specifiy that the lawn-mower engine comes with a blade: it chews up your old templates, produces files that cannot be sent as email attahcments [yes, really], and—this just in—doesn;t play well with the new SMB facility of Mavericks. In short, as one reviewer put it, "un unmitigated disaster."

    I dont think they want me to be a loyal customer anymore.
    They changed Final Cut Pro, so now I use Premier Pro
    Aperture 3 has been left behind so now I moved to Lightroom 4.
    And now Pages 5 does not have a vital component, so back to Word.

  • Does anyone know the best way to create a form that you can do a mail merge with?

    I have been asked to create a form that can be used to do a mail merge. At first I thought I could create it in indesign and then pdf the file and do form fields right in the pdf, but I'm not sure if you can do a mail merge with data in an excel file and a pdf file containing form fields.
    The other option I know I could use is a Word file and excel, but I don't think the functionality is as good as in a pdf (like addition of percentages, or error messages, radio buttons, etc.). And I do need to be able to do a mail merge. Anybody have any suggestions?

    There is not built-in feature for this, but it can be done with scripting. The problem is it can be a bit complicated, and it more complicated to decribe in much detail in a forum posting. It involves creating the base form and making the pages templates. You can export from Excel to a tab delimited text file. You can then either programmatically create a template-based FDF that when loaded into Acrobat populates the PDF form, creating as many individual forms as needed, or using JavaScript in Acrobat to read the data file and generate as many individual forms as needed. Both approaches involve a similar amount of programming, but they're quite different.

  • I guess I have to buy MS Office now mail merge is gone in Pages?

    Apple messed up Pages by removing mail merge.  I used it a lot to import excel address spreadsheets and print labels and envelopes.  I hate that I have to buy MSOffice to get the job done with all I have invested in Apple.  Any ideas before I give MS $99?

    If Pages won't do it and if you don't want to buy MS Office, you might want to try LibreOffice. It's free and I think it has mail merge but don't know for sure. http://www.libreoffice.org

    Hi All gurus
    Using apex 4.1.1 , linux , 11gr2
    Basically I have requirement to generate a Word doc (letter to a Word mail merge) from a button/navigation link pressed on Apex page which will gather data from the report and fill in values in appropriate place in Word doc.
    Is this even possible with Apex with/o BI Publisher
    I have Fop installed and tested , PDF works great but excel and RTF is not reading the encoding on attachment download.
    Any help gratefully appreciated as always !
    PS I am aware of new PDF feature in 4.2.2 but upgrade is just not the scope right now.

    I am working with Hunk09 on this problem. I checked the demos of this PL/SQL lib, it looks powerful, yet we need a short time solution considering our schedule, as our request is just to insert some values into a static RTF document so user can print letters in batch by clicking link and downloading RTF file. I noticed our legacy system is using owa_util.mime_header following with htp.p to produce file, does APEx support this still? Also you have any hint about providing download link in APEX?

  • How to do a mail merg with numbers?

    I've made a mailing list in numbers and now want to turn it into lables for mailing.  How do I make this happen?

    The instructions for doing a Mail Merge are in Chapter 11 of the Pages User Guide. The basic requirements are:
    o Your Numbers document must have a merge table with one Header Row. The titles in the header row will be used to establish the links to your Pages document.
    o You will get one Pages Document Section for each Row in your Merge table in Numbers.
    o Your Numbers Document must be Saved. Only Saved data will be merged.

  • Word 2010 Mail Merge Missing Data

    I have a large Excel data file:
    1725 records, 31 columns, 1.74MB total size.
    Other data:
    Windows 7 (64 bit)
    Word/Excel 2010 Version: 14.0.7116.5000 (32-bit)
    I am running a standard mail merge on a filtered subset of the data (112 records). At least one of the merge fields is RANDOMLY missing from the merge document. This is clearly evident because this is a field that is populated for EVERY record. I don't believe
    that I have every seen this behavior before.
    Can someone please direct me to the cause of this or a work-around?

    There are numerous possible reasons. The most likely is that the column concerned has missed data types (e.g. numbers plus text and/or dates). Some explanation:
    By default, Word (2002 & later) uses the OLE DB provider to get merge data from an Excel workbook. The basic problem with using the OLE DB provider is that it's designed to return data in a way that is compatible with Access and other relational database
    packages. Access requires a specific data type for each field, and every value in that field must have only that data type. In Excel, however, cells in a column (field) can have different data types. When the OLE DB provider gets data from an Excel column
    with mixed data types, it has to determine the data type for each column. The first 8 records are used for that (the 8 can be changed in the Windows Registry, but it’s not advisable to do so). Records that don’t conform to the determined data type are liable
    to not be handled correctly. To complicate matters, for historical reasons, there are two text data types: "text" (up to 255 characters) and "memo" (can be longer than that).
    Some common mailmerge issues arising out of this include:
    • Numbers but not text or dates being output for some records; and
    • Text data being truncated at 255 characters.
    Ideally, one would ensure each field has only one data type. That way, the problem wouldn't arise.
    Workarounds include:
    • Inserting a dummy first record containing data in the format that is not being output correctly; or
    • Reordering the data so the first record has content in the format that is not otherwise being output correctly.
    Thus, if numbers appear but text and/or dates don’t, ensure the first record for that field has text or a date. Similarly, if text over 255 characters is being truncated, ensure the first record for that field contains more than 255 characters.

  • AppleScript for mail merge with Excel data?

    Is there any approach for an AppleScript that lets you use Excel data as source for some kind of mail merge operations? If not, would anyone here be interested if someone (I?) would take a closer look at some kind of a (AppleScript Studio) solution for this?

    I'm not sure I get the question.
    If it is "could you use AppleScript to create mail merge for Pages with Excel?", the answer is, Yes. Both Pages and Excel are scriptable.
    If the question is "has anyone done it yet?", I don't know, but it could be a fun exercise.
    If the question is "would there be a market, if someone (you?) wrote and released such a script?", I cannot tell, but personally I would probably write a hack that worked only for my own needs - if I had them. The overhead with usability, testing, different address formats, languages, different Excel sheet formats, and so on, makes me guess that the investment wouldn't pay off for a generic solution. Especially considering both Pages and MS Office already have their own mail merge functions.

    I have a mail merge template that I created in Microsoft Word 2010 that I use to send out multiple price quotes to customers who are bidding jobs.  When I merge to Adobe PDF everything works properly (everyone receives their unique PDF, etc.), but every time I do this Adobe requires that I select a destination folder for it to send the PDF's it generates that get attatched to the emails. 
    When I save a Word Doc as a PDF it automatically saves it in the same folder at the word document it was created from.  Is there a way I can set up my 'Merge to Adobe PDF' feature to do the same thing when it generates the merged PDF files?  It's just a hastle to map the entire file path of the desination folder every time I send out a quote.

  • Large Word document imported into Pages with "Section Break Problems"

    Hi there,
    I am importing a large Word document with many photos (>250 pages) into Pages. Now, the problem is that when using the "page thumbnail" window to the left it marks all my windows with a yellow border.
    This means that I can't duplicate single pages - it will duplicate the whole stuff. Same thing for delete.
    I can go to the last character of each page and insert a "section break". This creates single pages. But it seems a bit odd to me, and with >250 pages, this is quite some work too.
    Any idea what I can do to solve quickly the issue?

    Sections are what they say they are natural breaks in the document.
    Each section usually having headers footers and other basic content in common.
    Effectively just like chapters in a book or specifically designed pages in a magazine or report.
    If your text naturally flows from one page to the next then they should stick together.
    If on the other hand you are treating them all like single leaves of paper to be shuffled around, then you need a section break at the end of each page.
    3 ways you can quickly do this:
    1. There is a unique start to each page such as a return followed by a particular word. You can search on this combination replacing it with a section break followed by the word.
    2. You can make a short cut to do this from the keyboard
    3. You can copy a section break and paste it at the end of each preceding page.
    4. You can transfer by copying and pasting the content into a Layout mode document where every page is its own section.
    As with most work, planning, organisation and thinking before you leap, pays off in the long run.

    I have found that solution two days ago, and I am now using it, however I still have some problems with the OLE 'Save' method, I am using 'SaveAs' as an alternative solution.
    My objective is:
    1. Open an existing Excel document to make some changes on the main sheet;
    2. Copy the main sheet to two new sheets;
    3. Work on the two new sheets;
    4. Insert a final sheet;
    5. Save the document.
    What I could do so far:
    1. Open an existing Excel document (Xls1), with DOI, and change the main sheet;
    1.1 Save the document with another name (Xls2), using DOI 'Save_As' method, followed by 'close_document' and 'release_document';
    2. Open this last  document again (Xls2) with OLE, and copy the main sheet to two new sheets;
    2.1 Save the document with another name (Xls3), using OLE 'SaveAs';    ('Save' does not save the document!)
    3. Open this last document (Xls3) with DOI, and work on the two new sheets;
    4. Insert a final sheet;
    5. Save the document (Xls3) with DOI method 'Save_document_to_url' and exit.
    In the end I have one more file than I needed, but it's the possible solution for now.
    Do you have any idea why the OLE 'Save' does not work after closing a document with DOI?

  • Pages v.5, trouble with section break placement

    I have a document in which the first two pages should have no pagination, the Introduction is page 1, with the number placed bottom center, and the following pages should be numbered from 2, placed at upper right.
    I thought I knew how to do this. The first pages now lack page numbers. At the end of the material of the second page I do a section break. Then for the next page, which is an Introduction, I insert a page number in the center of the footer. Next I should do another section break. This I do. A blue runs from the last word to the right column. In the footer of this page I insert page number 1.
    Unfortunately, this "1" becomes a permanent property of the footer of all subsequent pages as if I had simply typed "1". I click on the header of the following page, go the menu, Insert->Page Number
    so that the next number, 2, appears in the header.
    If I place the mouse pointer at the end of the text of the Introduction and do a section break,

    Can you try rewriting that please?
    I am finding it extraordinarily difficult to follow.
