Paste and Line Spacing

How do I change the line spacing inside a new email? Sometimes I copy some text (Single spaced) from Word or other applications into a new blank email and my text is double spaced. How can I change some text back to single spacing?

No Problem.
Once you have copied the needed text, simply place your curser where you want it to begin and go to Edit>Paste and Match Style. That should make the pasted text conform to what you already have typed - no matter what spacing/font it is.

  • Word doc import/export and line spacing differences with Pages '09

    When I save or open a Word .doc, the default line spacing differences messes up the document formatting, the document ends up being more pages in Pages than when I open in Word:Mac.
    One work around I learned about on this forum is to set the line spacing to "exact" in Pages. This is okay, except many Word documents have subtle line spacing before or after paragraphs and/or different size fonts in the document that affects line spacing. Setting Pages line spacing to exact makes a mess of these documents.
    Why can't Apple build a proper line spacing function into Pages so it is more compatible with Word? If they are touting compatibility, they need to make a disclaimer in their advertising as only simple documents seem to work without issues.
    Is there a better work around available?

    It seems that there is incompatibility in the before and after spacing (Ctrl + 0 in Word for Windows adds 12 points, if I remember correctly).
    Since you mention a .doc file, it makes me think you have a Word 2003 or earlier format. I have a couple of suggestions:
    1. If you have access to Word 2007 or Word 2008 for Mac, try saving in .docx. Basically, a .docx is compliant with Office Open XML, the ECMA standard that is the basis for the document formats in Microsoft Office 2007 and Microsoft Office 2008 for Mac.
    [Note: The Office Open XML ECMA standard, or OOXML is a source of polemic since it was donated by Microsoft and competes with Open Document Format, or ODF. You can find more here:

    and Microsoft has stated they'll support the newer standard and retrofit Office 2007. Let's hope they do the same for Office 2008 for Mac and that Apple picks up as well with an upgrade for Pages '09 or in Pages '10]
    2. If the above does not work, I would suggest reporting this to Apple. This would indicate a compatibility problem in Office Open XML compliance, which should be independent of Word itself. A way to support this claim would be to test it in another word processor that adds space before and after a paragraph and that supports OOXML, which I think would be too much I would not bother reporting it for a Word 2003 format because it is proprietary.

  • Footnotes and line spacing

    Hi,
    Does anyone know why, when I create a footnote, the line following is placed in an improbable and non-correctible space below - perhaps as much as a whole line? If anyone does know, do they also know how to correct this globally throughout the document? I ask because if you look in Footnote Reference style it shows no before or after paragraph space, so you can't correct it there. It looks most unsightly!

    I’m glad you got it sorted out. What you describe explains it.
    I agree that styles are very confusing at first. Do persevere with them though as they help you get very consistent formatting and make subsequent edits faster and simpler. Ironically they are of most benefit in long documents but that is the last place to learn how to use them because changes can seem so catastrophic.
    I got really frustrated on a long document once and started to conclude that styles were more of a hindrance than help. I resorted to making a short two page document based on a blank template, inserted four paragraphs with two different styles and started to experiment with changes to styles. The short document helped me fully appreciate the effect of the changes I made to each style. As I grew more confident, I made the formatting more complex by introducing default styles like headings, lists etc and experimented with changes to them. Once I understood what was going on, I was able to effectively manage my long document. I couldn’t imagine creating documents without styles now.

  • PDF Letterhead Text LINE SPACING PROBLEM

    I recently upgraded from Pro 8 to X Pro on my Windows XP desktop. With Pro * I used the typewriter fucntion to place text onto my pdf letterhead. I have my letterhead in pdf format on my hardrive. I saved this texted letterhead without a problem, i.e., with the font, paragraphs, and line spacing eaxtly as it was when I creared it. With X Pro, after having placed text in my letterhead using the Typewriter function, my attempt to save the texted in letter head results in a pdf document which does not respect the line spacing I used w=hen creating it. Why am I have this line spacing problem?

  • Copy and paste from MS Word to Apple Mail - line spacing

    When I copy and paste single-spaced text from MS Word into the body of an email message in Apple Mail, it pastes in as double spaced text. Does anyone know of a fix for this? I can't seem to find how to change line spacing in Apple Mail. Thanks.

    hi, had the same issue
    went into the word doc, removed all tabs (even if not using tabs there were some hidden) and paragraph formatting and it pasted in fine... my doc was a single paragraph...
    BUT having fixed that I found another doc which underlines the text when pasting it into mail!!!! havn;t solved that!

  • I have "upgraded" from Pages 2.0.2 to Pages 5.5.3 and can no longer customize my line spacing. Does anyone know if there are more than 4 options for line spacing?

    Is it possible to customize line spacing in Pages 5.5.3? My previous Pages 2.0.2 allowed me to choose spacing in 0.1 increments, but as far as I can tell Pages 5.5.3 only offers four options. Very limiting for creative documents.

    It is a layout problem that seems to be affecting most users.
    There, but overlooked.
    Hope the Apple programmers are paying attention.
    I am really curious why they seem to be doing no independent testing and checking. At least none that shows.

    Have you ever created a user dictionary? You have to manually create one, AppleWorks won't do for you. The user dictionary & any other dictionaries belong in the AppleWorks Essentials folder which belongs in the AppleWorks 6 folder in Applications.
    Deleting & reinstalling AppleWorks from the original disk will not delete your files unless you have saved them in the application folder. The Mac OS creates a separate Documents folder for your files & that is where the documents you created should be.
    Unless all of your documents are AppleWorks 6 word processing documents, Pages alone is not sufficient. The iWork applications - Keynote, Pages & Numbers - can only open AppleWorks 6 presentation, word processing & spreadsheet documents, respectively. They will not open any other type of AppleWorks 6 files or any AppleWorks 5 or any version of ClarisWorks files.

    Very basic here: in print layout view (only one I am using) the single spacing and double spacing seem so far apart. Single spacing is way too far apart. Is anyone else seeing this?

    That is the issue. I am hitting enter and getting a big space. I see a similar thing in Pages. All I know is tht in 2004 version, I start all my papers with 4 lines in top corner (name-enter/date-enter/assignment/class#-enter) I do these with single space just by default on Word.
    THen I go to format-paragraph-double space, and do my writing--double spaced.
    This is weird to me. I like word 2008, looks nice, notebook is cool. But I don't like having to re-learn that stuff. Is this how everybody does this? Everyone out of the box can not just type and choose single/double space? We have to edit some paragraph spacing? HUH?

  • Default "paste and match style" + message list line separator

    I'm loving Apples mail app ... nothing is perfect, though. Here are a couple minor annoyances, am I missing something?
    - Is it possible to make "paste and match style" the default, so I don't have to use menu bar or a four fingered short cut?
    - is it possible to separate the lines in the message list view by a thin line or, even better, alternating background shading, like it is done in the list view in Finder?
    Not a big deal, but both of these features would be nice.

    I imagine there is an elegant way using the command line, however you can easily accomplish your first request via the System Preferences, Keyboard and Mouse Pane, Keyboard Shortcuts tab. See, http://www.macworld.com/article/50828/2006/05/cmdnrevert.html
    For your second request, I imagine that this can be accomplished with Stationary in Mail.app 3.4, but I have never tried.

  • Line Spacing In Mail and iChat

    I recently downloaded and installed the 10.6.3 Combo upgrade. As a result, the line spacing in both Mail and iChat have gone crazy! The font size is correct, but the spacing is huge. So, it both reading and writing emails nearly impossible.
    I am not sure if it is something in the Upgrade, or something in my system. I have tried everything I know: Emptying All Caches, Deleting plist files, Repairing Permissions.Nothing seems to help. Which leads me to believe that something was altered in the 10.6.3 Upgrade to cause this problem.
    Anyone have the same problem? Anyone have a solution?

    Have you added, removed, or otherwise altered any fonts?

    I need to paste a double spaced novel into the body of the email. I can't send the document via attachment or any other way. When I paste it returns to single spaced even if I paste and match style. Can someone help?

    I don't see any such option to set spacing. I think your only choice would be reformatting the document such that you have to enter two linefeeds instead of setting spacing because  Mail will not honor the normal RTF spacing.

    I have always had a very hard time with line spacing in InDesign. I always end up with inconsistent line spacing/leading throughout my paragraph. The text blocks act as if I have set hard and soft returns when I haven't. It always seem to be the last word in a paragraph. It's always done this and I've heard other people complain about the same thing. The copy has been cut and pasted into InDesign from a pdf.
    I welcome any suggestions.

    Check out this screen snap from my Preferences. Note that I have it left disabled, as I am totally confident in my ID formatting / styling skills
    There is a reason Adobe leaves it unchecked by default; enable at your own risk.
    (The reason, obviously, is that any larger-than-usual font size anywhere in your paragraph (including its return at the end) will influence the entire paragraph. I can't help thinking that would be a feature that drives Quark users nuts all around the world.)
