Pop-up menu in cell format is missing categories

In one column I have been using a pop-up menu. It has been working fine until now. When data is added to a new row the pop-up has no catagories. If I copy and paste the appropriate catagory from another row it works fine.
Tried to copy into the whole column without success.
Don't know how to fix it.
OS 10.8.4
Number '09 version 2.3

As far as I know, and I've had Numbers 09 since the day it was released, nothing has changed in this regard.
I wonder if previously you were meeting the autofill requirements, without knowing what they were, and then changed something in your layout.
I'd be happy to take a look at your layout and suggest changes to fix this for you.

    Hi all, I was wondering if it is possible to switch tables in a cell through a pop-up menu. To be more specific I have a pop-up menu in cell B9 and a table in E9 that works with the B9 pop-up. The table in E9 is A1-B30. I would like to make another pop-up that has 3 items in it that would switch out the table in E9 to reflect what has been chosen in the new pop-up. The info in B9 can stay the same. From playing around I have learned that you can not have the same cells in a table referenced if you have 2 pop-ups on the same sheet, you have to alter your table slightly to make it work. Any chance on this?

    I'm getting lost on the switching out part. You need to explain in more detail what you expect to happen. Switching out means nothing in a spreadsheet (at least in standard terminology).
    What specifically happens when you change the new pull down?
    You wrote "The table in E9 is A1-B30. " Huh? That looks like an equation, not a table. Plus you cannot store a tabel in a cell.
    If you intend that the cell E9 has something like =My Table:: a1- My Table ::b30
    And you want the MYTable part to change to a different table name, then you can use the address and Index functions to do this. Have address build the cell reference into a string referenceing your pull downs and the index takes that string and uses it like a standard equation.
    Something like this:
    =index(address(1,1,,,B10))-index(address(2,30,,b10))
    This would takt the cell A1 on whatever sheet was selected in B10 drop down and subtract cell B30 from that same sheet.

  • Pop-up menu with defined values

    I am working on creating an invoice in Numbers and am wanting to create values that are tied to my pop-up menu on a cell. For example, if 'Travel day' is selected on my pop-up menu in cell A2, then I would like $300 to come up in cell C2 automatically. Or, if 'Work day' is selected in cell A2, then I would like to have $450 come up in cell C2. Is this possible? Help please

    You pop-up will need three values: a 'blank' (actually a single space character), Work day, and Travel day.
    For C2, you could use a pair of nested IF statements:
    =IF(A="Work day",450,IF(A="Travel day",300,"")
    For a menu with more possibilities, you might want to take a look at LOOKUP or VLOOKUP in the iWork Formulas and Functions User Guide.
    The guide can be downloaded via the Help menu in Numbers. The search function in the guide will take you quite quickly to a description of either of these functions, with examples of how each may be used.

  • Reference pop-up menu

    Hello,
    I'm trying to create an auto generating invoice with NUMBERS. I've a list of services (virus removal, diagnostic, tuneup..etc) and a list of prices for those service. On the Invoice sheet under A1, I want to be able to choose from a pop-up menu one of these services AND automatically generate the price under B1.
    I'm guessing I would need two separate sheets: one to pull info from, and one to design the invoice on and generate the data.
    I just don't know how to: build sheet1 to make prices correspond to their services since they are on different lists
    or how to build sheet2 in a way to pull the data from sheet1 using pop-up menu to be displayed in A including the prices to be displayed in B automatically.

    Two Tables. Price List (with made-up prices) and Invoice. Pop-up menu is Cell A2 of Invoice.
    Formula in Cell A2 (oops, B2) of Invoice table is:
    =VLOOKUP(A2,Price List :: A:B,2)
    Now you can make the Invoice table look pretty.
    In Numbers, click on the Function Button in the Toolbar to see details of functions.
    The Number'09 User Guide is a good read. Available from the Help Menu in Numbers.

    I guessed Option-Return would be the shortcut from this, as it typically lets you edit a cells contents, but no. Read the keyboard Shortcuts list in Numbers>Help but didn't see anything.

    Thanks for drawing my attention to this! Let's add some missing detail…
    While "you just press spacebar" to open the pop-up menu, that won't select a menu item.
    After you've opened the menu, 'you could press the first letter' of an entry, ( 'like every other pop-up list on Earth,') or you could press the down arrow to step down the list (and the up arrow to step up, if you went beyond the item you wanted to choose).
    And you can change your mind; the menu will stay open until you confirm your choice (by pressing the space bar again, OR by pressing return OR by pressing enter).
    Note that pressing the first letter will select the 'smallest' item name beginning with that letter. To move to another item name starting with that letter, you'll need to use the up or down arrow key (or the mouse).

    I have a pop-up menu in the first cell of every row with three choices (and I may add more at a later date).  I want the fill color of the row to change depending on which thing is selected.  Is this hard to do?

    In essence the same as Wayne's answer, but with a slight modification to fit  to duplicate your 'color the whole row' specification. The final result, with Table 2 slid behind Table 1, is shown.
    Table 2 is a single column table with the same number of rows as Table 1. The table is resized to match the full width of Table 1.
    In A2, use the formula =Table 1::A2 to copy the value from that cell in Table 2. Fill the formula down through the rest of the column.
    Select all the cells in Table 2 (except the header row), and apply conditional formatting rules such as those below.
    Note that the Conditional Format rules are set to apply the same colour to text and fill in the cell, so that the text disappears.
    When Table 2 is ready, select it, then go Arrange > Send to Back.
    Before sliding Table 2 behind Table 1, Select Table 1 and use the Table Inspector to set the Cell Background to None (see red arrow in illustration). If This table has a Header column, you need to select the header cells independently and again set the Cell Background to None.
    Now select Table 2 and drag it to a position partially under Table 1. When you see the blue alignment guides on both sides, or at the top and bottom, of Table 1, release the mouse button and use the arrow keys to nudge Table 2 into its final position.

  • Pop-up menu values from table cells rather than hard-coded?

    Hello,
    I'd like to have a pop-up menu that allows the user to select a category from the list. However, I want that list of categories to be dynamic. I have a table with all of my categories, and I want a pop-up menu that allows me to select one of the values in that table. I change "foo" to "bar" in the table containing the pop-up menu options, and I want the user only to be able to select "bar" in the pop-up menu (bonus points if all past instances of "foo" in the user-entered table are automatically changed to "bar" as well).
    While I'm at it, is there any way to have conditional formatting based on my dynamic categories? I.E. ROYGBIV color order for my categories corresponding to alphabetical order of categories, even though the category labels my change over time or some may be added or deleted.
    BTW, I have already downloaded the Numbers reference guide and formula guide.

  • What function would you use instead of "IF" when referencing durations from a pop-up menu. Ie; if c4 equals 1h enter 280, if c4 equals 30m enter 160, etc. IF works fine if c4 is formatted as text but returns 0 when formatted as pop-up.

    What function similar to IF would one use when the reference cell is a pop-up menu of items in duration format?
    Example: if C4 equals 1h enter 280, if C4 equals 30m enter 160, etc
    i can get it to work fine if I format the cell to text but I not only need it pop-up, I also need it to be written in duration format because it's used as duration in other functions.

    A screenshot is always helpful.
    C4 is your popup? You want to chose a duration there and have 280 or 160 show up somewhere else? Are they the results of a mathmatical formula or do you want a lookup table to show them?
    I suspect something else is going on in your table. I have no trouble having a popup recognized as a duration:
    The formula in C2  =DUR2MINUTES(B2) displaying "60" as expected. Note that "60" is not a duration. If I want C2 to be a duration I need the formula to read:
    =DUR2MINUTES(B2)&"m".
    I hope this helps, if not, post a screenshot including relevant formulas.

    You could use an IF statement in the second cell.
    Popup in column B, two items: "This", That" (without the quotes)
    Formula in same row of column C
    Format the cell in column C as currency.
    If there are more than two items in the popup menu, it's better to use a lookup table containing the same list as the popup in column A, with the corresponding values in column B:
    C5: =LOOKUP(B,List :: $A,List :: $B)

  • Using COUNTIF formula using controlled data in cell pop-up menu

    I'm making a spread sheet that involves adding up the number of times a certain item occurs in a log. A pop-up menu is used in the cell to control the inputs of the log. I'm not sure how to go about using the COUNTIF function to count the number of times each item occurs. The "workout tracker" template in Numbers '09 does what I need to do when counting the "number of days exercised", but I don't understand how it was done. Can anyone explain this to me?
    My log table is: (Dashes denote spacing)

    01/03/09---Item 1-------9:00am
    02/03/09---Item 2-------12:15pm
    03/03/09---Item 3-------9:10am
    (you can only chose Item 1, 2 or 3 from a drop down list, you can't manually input anything else)
    I want to use a countif command for a table that is:
    -----------No. of Occurances
    Item 1-------1
    Item 2-------1
    Item 3-------1

    I'm guessing you are curious about the way they did COUNTIF and what "Indicator" is. If you unhide all columns in the Workouts table, you'll see a column D with the header "indicator". The reference to "Indicator" in the COUNTIF functions refers to the entire column. There is a fairly long formula in the cells of that column but, basically, it just populates it with 1-3 depending on what you pick in the Activity popup.

    Yvan Koenig wrote an Applescript to create an popup menu with a true blank menu item. You can find it in Yvan's Box Account public area. Click on for_iWork'09, then for-numbers'09, then look for and download popup_with_nil.zip. Unzip the file, then open it with ScriptEditor.
    Yvan's scripts include instructions (in French and English) on how and where to save the script and how to use it. I haven't read this one recently, so I can't give you any further details on it.

    In table 1 I have 4 sets of options under the heading "CATEGORY" which will make up a pop up menu in the first cell. "Slat fencing", "standard pool fencing", "Non standard pool and garden fencing" and "Louvres" if I choose one of these 4 categories from a pop-up menu I need the next column to indicate another set of pop up menu's that change according to the first cell that I chose. I.E. I have 2 cells in a table. If I choose "Standard pool fencing" from a pop up menu in the first cell I need the pop up menu in the second cell to show the options Flat top Black, Flat top other colour, Semi frameless glass, Frameless glass.
    Any help would be greatly appreciated.

    Let me try to explain using a similar but different method:
    All the lines are shown for information flow and would not normally be included.
    The table in the top left is a working table where you interact with the information:
    You first select a category using a slider.  As you slide left and right the "value" (shown as 2 in column B) will change.  As the value changes the Category changes because the information is looked up from the category table (highlighted with a blue shaded background in the first picture.
    The subcategory will also change as you modify the slider in column "B" because you are changing the category, which selects which table is used for the sub-category (sub-category tables are highlighted in light green).  Once you select the category you can then slide through the possible selections for the subcategory (column "D").
    There are only two formulas and they are in the "Work" table:
    A2=IFERROR(VLOOKUP(B2,Category :: A:C, 2, FALSE), "<Not Found>")
    C2=IFERROR(VLOOKUP(D2, INDIRECT(A2),2,FALSE), "<NOT FOUND>")
    For A2=IFERROR(VLOOKUP(B2,Category :: A:C, 2, FALSE), "<Not Found>").... this means in cell A2 enter the text "=IFERROR(VLOOKUP(B2,Category :: A:C, 2, FALSE), "<Not Found>")" omit the first and last double quote
    This whole scheme requires the tables be named the same as the categories in the "Category" table

  • Changing Text format within a Pop Up Menu

    I'm trying to apply the characters "1/1" in a Pop Up Menu, but it is coming up as the date January 1, 2009. Anyone know how to change the characters to "text" from the default "date"?

    Fractions just don't work correctly, they come up as dates or decimal equivalents. So using a lower case "L" won't solve the more general problem.
    However, I noticed that if you type "1/3" as "1 / 3" you'll get "0.33333333" instead of a date. And it gets more interesting. When you pick it from the pop up list, the list shows it as "0.3333333" but it will display in the cell as 1/3. If you had typed 0.333333333 in the list, it will display in the cell as 0.33333333. Strange.
    If it isn't too obtrusive and this is a text entry, not a number, you could type your fractions with a single quote on both sides: '1/3'

    Is there a way to update all of the pop-up menu cells simultaneously without changing what any given cell has already selected?
    I have a long list of items that includes a popup menu in one of the rows. The menu is the same for all of the items.
    Here is the problem:
    Periodically I have to update the pop-up menu. Every time I do this I have to manually update the pop-up menu cell for every item. As the list gets longer this takes more and more time.
    Since each item has a different selection in this popup menu I can't simply drag the updated cell or copy and paste since this will then change the selection already made and then I have to manually change anyway i.e. instead of less work, it ends up being more.

    I have wondered about this for a while. I was trying something tonight and it seemed to do what you need. I suggest you save your document before trying it.
    Select one of your popups.
    Copy Style
    Select all the popups
    Paste Style
    With all selected, go to the Inspector and add another item to the list.
    All popups should now have the new item. The selected values should not have changed. Copy/paste style is required to make this work.
    Please let me know if this works for you. I've tried it a few times and it seems to do the trick.
