Hi All,
Can we restrict all our users from punching post dated entries in all of the documents of SAP ?
If So, how ?
Please tell us.

Hi All,
I logged on again and I found it working.
But system is accepting sales Related documents with earlier posting date.
When I tried punching purchase related document the system did not accept it.
I want to block all the documents except accounts with earlier posting date.
Or do I need to handle this through back end ?

    Upto my awareness, the post dated cheque option is currently not available in Indian Localisation.
    Recomended: Do check with your India LPE for latest information.
    In case of post dated cheque you can post outgoing payment (base document may be a Downpayment Request/Invoice/ AP Invoice/ JE whichever as per your business process) with future posting date, the journal entry will be posted in the future posting date thus not effecting the current account balance as on current date.
    Note: This is a workaround and please check the validity and acceptability of this transaction with your company accountant.

  • Print post-dated checks given to vendors

    Hello experts,
    I have this issue. My client pays many of his vendors with post dated checks. They use f-43 to post this payment by using posting key 39 and special GL W. They want while posting the payment after saving to be able to print the receipt and the check without changing the GL accounts, posting keys, GL indicator. How do I configure that? I know about FBZP  and F-58 but it doesn't work the way I want. For example I use f-58 for pay an invoice. When I display the document that has been created for the payment I get posting key 50, bank account and 25 vendor. I want the posting key 39 with gl indicator W because it is a check which is goin to be cleared in the future. Another problem that comes is that when using f-58 where do I post the cheque's expiration date?
    Can someone enlight me? I ve never had that scenario before and I would appreciate any help.

    Hi,
    For posting through F-58 using Sp. GL. Ind. W, if you treat this as down payment because Entries will be as
    Vendor     Dr  (W)
    Bank        Cr
    too achieve this, you dont need to select or activate any invoice, just go to overview screen, there you can give SP. GL. Ind W and Posting Key 29.

  • Posting the Post dated Cheque

    Dear Experts,
    Pl explain whether  following procedure for posting Post Dated Cheque (PDC) is correct
    1)Post vendor invoice( Vendor A/c Cr and Expense A/c Dr)
    2) Post PDC in F-40 with separate Spl GL Indicator created for PDC and clear the invoice line item created in step (1).Here, entry is created as follows:
    Cr Vendor X with PK 39 Spl GL Ind Y
    Dr Vendor X with PK 25
    Further, Cr line item of 39Y will stand open.
    My query is, is there any transaction that needs to be posted after above two?
    and how can we clear Cr line item of 39Y?
    And how do we give credit to bank a/c
    Hope I hv put it forth clearly.

    Hi,
    On the date of the payment (when the date on the PDC has approached) you make an entry debiting the Vendor 39Y account and crediting the Bank. This is as if we had issued the check on that day. And when it is actually presented by vendor in the bank however, it comes under Reconciliation as usually.

  • Cash journal Back dated entry it' s allowed to 300.00 only.

    Dear Experts,
    When i try to post cash journal Back dated entry it' s allowed to 300.00 only. for example I want to post one expenses in 6th month 1200.00. But 6th month closing balance is 16675.00. then also it's shown error Payment amount is larger than cash on hand. Change amount. and i try to post 300.00 it's accepted.
    this problem is not even 6th month all Backdated entry
    Please suggest me..

    The error message mentioned by you i.e. Payment amount is larger than cash on hand which is message number F5A055 is to make sure the balance for cash jounal is always positive.
    There is no restriction of 300.00 etc..Ofcouse there is a restriction to ensure that CJ balance is positive.
    The system behaviour is explained in detail in note 430397. So as explained in the note, the system checks the new daily closing balance resulting from the reversal transaction for all days following the posting date up to the current system date.
    It is not therefore sufficient to have a sufficiently large closing balance at the posting date, but the balance must be sufficient for this payment or reversal of the receipt on all following days.
    Therefore, you must check the closing balance on all days following the posting date up to the current system date and take existing cash receipts into account if required.
    In the cases like, when a document is saved, the actual document is generated and stored in the cash journal tables TCJ_DOCUMENTS and TCJ_POSITIONS. So the BALANCE of the cash journal is updated.
    Therefore even a document which is not posted but saved is also considered in the balance of cash journal.
    I will try to explain you what does the note refer to with an example
    Imagine you have the following situation:
       Initial Cash Journal Amount 01.01.2011   100,00 USD
       Customer payment              02.01.2011  +200,00 USD
       Balance at                           02.01.2011   300,00 USD  ok
       Vendor payment                 03.01.2011  -150,00 USD
       Balance at                           03.01.2011   150,00 USD  ok
       Incoming payment               04.01.2011  +500,00 USD
       Balance at                           04.01.2011   650,00 USD  ok
    This is ok, but if for example, the user needs to reverse the customer payment made on 02.01.2009. As you can see, the balance at 02.01.2011 is 300,00 USD so from the user point of view, the document can be reversed without any problem. However, system will give you the error message F5A212. Why? Because if you reverse the document on 02.01.2011 the final balance at 03.01.2011 will return -50,00 USD and this is not correct.
    This is explained:
    "Check the closing balance on all days following the posting date up to the current system date and take existing check receipts into account if required."
    Hope this example helps you to understand the system behaviour.
    After implementing the note 1051847, if the system generates error message, it now specifies the date on which the negative balance would arise which would help you to take necessary actions based on that.

    I am using SAP B1 2005B version PL40.In this version i am unable to found Post dated check Deposit entry.But i found the same in the Help Files.
    First Tell me is there Post dated check deposit Entry option  available in SAP B1 2005B.If its there means how to enable it.

    If you are refering to the option:
    Option 1: Open post dated checks window in General Settings->Services (or)
    Option 2: Post Dated Deposits functionality in GL report expanded option

    What is the standard procedure in SAP to deal with Post dated checks in SAP. What necessary configuration is required? Out of hundred PDCs received from customer daily 20 gets bounced. How this can be catered in SAP . Please guide.

    The basic configurations required would be creation of special gl indicator and new payment method.
    Also you can check the status of the same in the below menu
    Accounting > Financial Accounting >  Accounts Receivable >  Information System >  Account >  Bill of Exchange List
    or the bounced cheques you can either post another entry to debit a/r open item and credit the bounced cheque or you can reverse all the documents.

    I think post dated check can be handled through Special purpose Gl indicator like we handle guarantees which statistical posting to SAP.

    1.  Define account in Tcode OBXY input details like account type , special GL indicator , special GL account
    2. Maintain settings in OBXT provide clearing account.
    Then from the point of enduser
    1. FB21 is used for entering statistical posting
    Dr. Customer account
    Cr. clearing account
    It will post a debit to  the special G/L account automatically.
    The system makes the offsetting entry to the clearing account.
    2.  Reversal of statistical posting Tcode FB22
    The system posts the guarantee amount to the customer and to the special G/L account as a credit entry in each case.
    The offsetting entry is made to the clearing account.
    I understand that the post dated check can be handled in similar fashion like guarantees.

  • Post Dated Cheques

    Scenario:
    Post dated cheques (say cheque issued on 1st jaunary 2009) is issued. Cheque date is 31st january 2009. At that time (i.e. on 1st January), they do not post any accounting entry. Recording is done in excel.
    When cheque date (31st Jan 2009) arrives, payment entry is posted in the books of accounts.
    Entry passed on 31st January:
    Vendor A/c Dr .... XXX
       To Bank A/c
    How to map In SAP:
    Now in SAP, i 1st created check lot from Tcode FCHI
    Then i entered TCode for cheque issue. But it is asking me payment document number. But till now i have not passed payment document entry. As per client policy, i will have to pass the entry on cheque date (i.e. 31st January) & not on 1st January...
    So tell me, is possible to create check manually before passing payment document.

    Post dated cheques are noted items.
    Create one alternative recon acc for the PDCs
    First create a special GL indicator for PDC in Tcode OBYR, there specify your original vendor recon acc and alternative recon account in the account determinations.
    Then go to Tcode F-57 (Vendor noted item)
    there enter header data, and change the posting key from 39 to 29.
    enter enter the other required fields.
    When you post this document, system will generates only one single line itsm, as it was a noted item.
    According to SAP, noted items were statistical entries, since these transaction will not update transaction figures in the correspondant ledgers.
    with F-57 entry line item is      PDC recon acc DR (PK 29 and your spl GL indicator)
    When the due date comes you need to reverse this F-57 entry and pass your payment entry.
    after passing this payment entry only, you can issue check manually through FCHI.

  • Print post-dated cheque

    Hi,
    I added a few post-dated invoices through 'A/P invoice' module for rental payment. For example, an invoice dated Jan 1 2011 was added.
    Then I tried to print the chque for the payment of this invoice. I went to Banking -> Outgoing Payment -> Checks for Payment),and I enter a future posting date (Jan 1 2011), the following error message is displayed: Posting date later than system date, and it is not possible to add this Check.
    The Allow Future Posting Date check box is already checked (Administration -> System Initialization -> Document Settings -> General tab).
    Then I tried another way. I went to Banking -> Outgoing Payment -> Outgoing Payment, chose the vendor I need and enter posting date Jan 1 2011 in the right up corner, and click the checkbox in front of the invoice which will be shown up, and click the cashbag in the top menu bar. the following error message is displayed: No matching records found 'G/L account' (OACT) (ODBC-2028) [message 131-183]

    You can have the solution over this is When you give PDC to your Vendor then you can save such Check Payment as draft whose Due Date or Posting date is Later than system Date. When the cheque gets matured for clearing then you can have an Alert where Cheque equal to System Date and you can punch your entry by making sure that cheque is cleared.
    in order to avoid mistakes you can apply some validations also........
    In order to get the post dated cheque print, you can get it from Payment Draft report in banking reports....

  • Error in Posting Service Entry Sheet - FI 311 No Commitment Item in Item 1

    Dear All,
    We need a suggestion/solution for the following problem :-
    Our customer had raised purchase orders for services in may 2010. The following critical entries were made in the purchase order.
    Account Assignment Category was P-Project
    The WBS element was entered as the Accounts Assigment Category was P.
    The user was entering uncoded services. Hence the material group for that service which had G/L a/c tagged to it was entered. But the G/l code was not populated in the purchase order by the system at that time of creation of purchase order and subsequently the user was able to save and release purchase order.
    The user was able to post Service Entry Sheet and generate accounting entries in june 2010.
    Additional service entry sheets are required to be posted for the remaining quantites. The client has urcated the SES process into two parts.
    1. Through T-code ZML81N the end user is able to create and save the SES.
    2. Through T-code ML81N the Head of Department is able to approve and post the SES which results in generating of accounting entries.
    Presently the user is able to create SES with tcode ZML81N. But when the HOD tries to approve and post the ses we get the error.
    FI 311 - No commitement item maintained in Item 0001 in P220 (company code).
    Fund Management is active in this company code and all settings related to Funds Management and FI have been checked by respective consultants.
    The end user is not having any problems in processing SES for current Pos. But he is not able to create SES for the POs created in May, 2010 for which the user has already created and posted more than one SES against the same POs.
    We have already escalated it to SAP.

    Use T.code:FS00 and check G/L account 280000 is there in your company code or not.
    If yes, check its nature(type/description,control data , cretae bank/intererst tabs)of G/L
    NOTE: Also check and compare the field selection between Movement type 101 & your G/L account 280000 in SE38 t.code with  Program RM07CUFA

    Refer to my screen, Company 1010 and 1060 is for Head Office while 1210 is for our Malaysia Company. How to restrict my Malaysia Company user to open and close only for 1210 and cannot perform any change to other Company.

    Please could you go in Administartion > Set Up > Fixed assets > GL
    Account Detemination and check the settings of  'Clearing Acc. Asset
    Acquisition' account, which is used when creating Journal Entry for
    'Acquisition without vendor'.
    Could you check if there is a 'Default VAT Code' assigned to this
    account. In this case could you to clear the Default VAT Code assigned
    to this account and try to do 'Acquisition without vendor' again?
    Also,please try to check below option to see if that could help:
    1)Check asset Class Land
    2)Check GL accounts settings
    3)Check the checkbox "Permit Other VAT Group"

  • Error in Posting  the Entry,  Parked through F-02

    In our company we are using dual concept of Parking and Posting.
    When We are parking a document in F-02 and Posting it through FBV0 (OR) FV60  error message coming.
    I tried in F-43 also
    We are trying to park and post for a Vendor to Vendor Transfer.  We have used the P.Keys 25 and 38 for this.
    ERROR MESSAGE IS : FIELD BSEG-SKFBT does not exist in the screen SAPMF05A0302
    But if directly post the same transaction (i.e. without parking) posting is happening.  No error message.
    I cannot able to understand this.  I referred the same to some of my friends in other companies.  But they are saying that - in their systems they can able to park and post the entries.
    Can any body help me in the matter.  I will be grateful to them.

    Yes It is possible.  After entering all the line items you need to select the Document - Park.  With this It can be parked. 
    To post the same you have to use FBV0.  There you can select the document and post.
    In my case system allowed direct postings in F-02.  It is also allowing when  I am parking the same line items.  But when I want to post it through FBV0 it is throughing an error.  This is because the mismatch of Filed Status Group of Vendor Recon Account and the Posting Keys(i.e. 27 & 38).  I made them correct and now I can able to solve the problem.
