Archiving documents in SAP Records Management
Hello experts,
Does anybody know how to archive documents in SAP Records Management? By default, they are stored somewhere in SAP database. However, based on the SAP documentation, they can be stored also to archive by using ArchiveLink. Where is this configuration done and how? Or do we need some coding here?
I'm interested in two different solutions:
1) Document will be stored on an archive server right from the start. By doing this, I no longer need to move the document content myself.
2) Moving existing Records Management documents to archive. I know there is a program SRM_KPRO_CONTENT_RELOCATION for this purpose, but it doesn't seem to be working without some archiving/RM configuration before somewhere else.
We are using Records Management as part of Digital Personnel Files and the documents to be archived are completed Adobe forms.
Best Regards,
JVHi JV,
You need to define the repository in OAC0 transaction. As per my analysis now your document are stored in sap database.
If you are using separate serever then confuigure as follows in OAC0:
Document area : SAP Records Management
Storgae type : RFC Archive
define IP address and port. Then goto CSADMIN and activate the certificate for the same.
or if using SAP Database then make the changes in above areas.
Then these archived documents will get saved in content server instead of sap database.
Hope this will help.

Returns pricing procedure for sales document RE !!
Hi, friends !
I have doubt in the logic that while doing sales flow from order to billing it picks one pricing procedure. And for returns i want another pricing procedure should be picked.
As we are giving reference fo Invoice for Returns document it normally picks the old pricing procedure but not the new pricing procedure.
Please let me know how to configure to pick the new pricing procedure for RE document type.
Thanks & Regards,
Sreedhar.
Email ID: [email protected]Hiii Sredhar How are you !!!! where are u !!!
Go through this steps
--> First you define the New pricing procedure in the transaction V/08.
>You define the new document pricing procedure in the IMG path>SPRO>Sales and distribution>Basic functions>Pricing>Price control>Define and assign pricing procedures>Define Document pricing procedure.
-->Now you assign this Document pricing procedure to the Return order type in the detail screen.
-->Now you determine the pricing procedure through OVKK transaction with new defined document pricing procedure and pricing procedue.
-->Maintain the condition records for that condition types.
-->Now you create the Return order it will pick the new pricing
Still if it not picks check the Copy control settings In the VTAF transaction
Go to item details there you eneter "B" carry out new pricing in the Pricing type field
I hope it will help you

How to start approval procedure for a Document/Draft using DI API
Hi!
My code imports purchase orders from one non-B1 system to SAP B1 using DI API. The problem is that in B1 system there is an approval process configured and I need the newly created purchase order to enter this approval process.
Currently this is not done because approval procedure isn't triggered when creating documents using DI API.
I had an idea to create a draft of PO instead of the PO and then push this draft into approval process somehow. But I can't find a way how to tell DI API to start approval procedure for my draft/document.
Thank you for your replies!
JanUnfortunately there is no way to trigger the approval process for any object added through the DI API.
Your workaround of adding the documents as drafts is as close as you can really come but maybe you could extend it slightly - it will involve a UI API addon:
Make the addon mandatory, and add a UDF to the user table, for example "U_Approver" and a UDF to PO document, like "U_Approval"
- Set this U_Approval to yes when adding through DI and add as draft
- When user opens draft document in the application, check are they an approver (U_Approver = "Y")
- If they are not, and try to view/add a draft which is flagged as needing approval, block them from adding.
You could further expand your DI project to send a mail to the approver whenever a draft PO is added. -
Procedure for Archive the data
Hello Experts,
I need to write a procedure for clean up the data base. Below is my rek.
User should be provided with options of entering the table name and also should be given option to select whether he wants to delete all the data or archive the table.
--> Program should provide the list of tables that are related to the table name that was given by the user. (This is not required if the table is stagging table, as they don't have constraints associated with them)
--> If user wants to archive then the data in the tables and its related table should be archived (exported) into a flat file and then delete the data from each table in a sequence. Else, we need to delete the data without archiving.
Can you Please let me know the procedure for the above rek and also I am not sure about the archiving the data. If you don't know the table name and the columns. so How can you define a cursor record to handle the record.
Can you please send me the complete code for the above rek to [email protected]
I appreciate help in this regard.
Thanks & Regards,
Sree. Can you please send me the complete code for the
above rek to [email protected]
I appreciate help in this regard. The goal of this forum is not to make your job, but to assist you with guidelines, references, and concepts, on specific issues. If you want someone to code for you, then you should hire a programmer instead.

Different pricing procedure for order document and billing document
In which scenerio order and billing has diffrent pricing procedure?
Hi,
intercompany billing is one of the scenario.
Business case: -
Customer orders goods to company code/Sales organization A (Eg.4211/4211).Sales org 4211 will accept and punch the order in the system with sold to party as end customer code in the system. Company code/sales org B (Eg.4436) will deliver the goods to end customer and raise an intercom any billing on 4211 with reference to delivery. This can happen only after 4211 raises invoice to his end customer to whom the material has been delivered by 4436.
SPRO Customization required:-
1. Assign plant of delivering company code (Eg.SI81) to sales org/distribution channel combination of ordering company code (Eg.4211/RT)
2. Maintain intercom any billing type as IV for sales document type OR
3. Assign Organizational Units By Plant (Eg.SI81/4211/RT/11)
4.Define Internal Customer Number By Sales Organization (Eg.4436 will create customer master for 4211 company code and that number will be maintained in this relationship:-4211/231)
5. Automatic posting to vendor account (Optional)
6. Maintain pricing procedure determination for 4211/RT/A/1/RVAA01-For customer sales and billing
Maintain pricing procedure determination for 4436/RT/A/1/ICAA01-For intercompony billing
Master data to be maintained:-
1. Create end customer master in company code/sales org 4211/RT/11
2. Create customer master for 4211 company code/sales org in 4436/RT/11
3. Maintain PR00 as price for end customer-Active in RVAA01
4. Maintain PI01 as price which has to be paid to 4436-Statistical in RVAA01
5. Maintain IV01 as inter-company Price-Active in ICAA01
Process:-
1. Create OR with sold to party as end customer.
2. Plant to be selected is delivering plant belonging to different company code. With this selection system will treat this order as intercomany sales.
3. Pricing procedure is RVAA01
4. With reference to this order delivery will be created from the delivering plant and post the goods issue for this delivery.
5. Ordering sales org will create billing document F2 with reference to delivery for end customer.
6. Delivering sales org will create intercompany billing IV with reference to delivery document.
I hope this helps you.Reward points if solution is useful.

Customisation steps for archiving document mgmt. system
Hi,
Please suggest the customisation required for the document management system. The object name for the doc is CV_DVS.
What are the steps necessary to archive this document.
Thanks & best regards,
Goraksh Dhikale.hi,
To call the archiving functions for document info records from the standard R/3 menu, choose
Logistics _ Central functions _ Document management _ Environment _ Archiving.
You can set a deletion flag for document info records that you no longer require for managing
documents and their original application files. Archiving object CV_DVS enables you to archive
these document info records. After the archiving run, you can delete the archived document info
records.
The document info records that you archive and delete with archiving object CV_DVS are
identified by the following data:
Document,Document type,Document part, Version
When you use archiving object CV_DVS, you archive data from the following tables:
Table Description
DRAD Link between document and object
DRAO Originals for document
DRAOZ Additional files for original for document
DRAP Document log file
DRAT Document descriptions
DRAW Document info record
DRAZ Table for additional files for original
The following table shows the functions that you can use for archiving object CV_DVS.

sandipHello,
isn't it possible to use some UDFs that one of them is set to be mandatory value ? for example UDF name is approved that has Y or N. The 2nd is QC with option good or rejected, and there must be FMS defined in the UDFs. I am not so sure abot it but you must explain detail workflow if possible.

Searching for archived documents / data retrieval
Hi,
In a clients system, salesdocuments for a given period has been archived. Unfortunately we now need this info (combination of salesdocument / material). Anybody know if that info is easily retrievable (if possible to accessible in tables i was thinking of retrieving these writing a small report).
I have tried the following approach.

SRM-MDM - procedure for archiving/unarchiving a repository
Can anyone point me to a system admin guide for SRM-MDM? I'm getting the error: "Error: 0xffaa0202, Invalid password during stopmdm" when I try to stop the system and I cant find an admin guide.
Here are the details of my problem:
We are running SRM-MDM 5.5 in Oracle and HP/UX in our landscape. I've archived our production repository and copied it over to the development system where I unarchived it. I set the password in the console so I can now connect and load the new repository in development. However when I try to stop the system by running the stop script, I get the error "Error: 0xffaa0202, Invalid password during stopmdm"
SAP support tells me I have to set the password in the "m000", "z000" (and similar) and A2i_Xcat_dbs schemas, but where is this password set? I cant find any reference to a password setting in the DB schemas.
Thanks in advance.Dear Joseph,

You can refer that.

Hi folks ,
I am new to FI module, can anybody tell me the step by step procedure for posting document using tocde fb01 and general posting f-02. thanks in advance.
regards
vishalHi,
Note that this steps are the standard steps. Variant can be exist depending on whether the system has been added with some substitution/ validation rule. Posting to P/L account may required profit centre/ cost centre field to be filled in.
When you're in SAP screen, please read the field from left to right, and top to down according to the following steps.
One more thing, not all fields are required to be filled. Only those which has sign "tick" or with "question mark" must be filled in.
See the following steps:
DOCUMENT HEADER:
1. Enter the document date.
2. Enter document type. You can select the document type by clicking the possible entries. You can use, for example using doc. type SA for GL posting.
3. Enter company code.
4. Enter posting date.
5. Enter period. if for example the posting date is 30.12.2005, then the period is 12.
6. Fill the document currency in the currency field.
7. Fill in reference and text fields. These 2 fields are text free field.
LINE ITEM.
Line item of accounting documents consist of minimum 2 line item.
1. Select posting key. For GL posting use 40 for debit posting and 50 for credit. Says we use 40 (debit).
2. In the account field, you enter the GL account number. Use the possible entries to check the available GL account. FOr this example, try to use Balance sheet GL account first in order to avoid filling too many fields.
3. Enter. System will bring you to the next screen.
4. Enter the amount/value field.
5. Enter the text field.
6. Enter the second line item, fill in the posting key. For example, using 50 (credit).
7. Enter the GL account number.
8. Enter the value.
9. Enter the text.
10.Then click the button "document overview". It will bring you to a screen, viewing the document.
11. Post the document, using "post" button on the toolbar.
12. System will issue document number. You can write down the number so you can, for example, displaying it after that, or use it as a reference document when doing a posting next time.

Calculation of due date based on Business Days for FICA documents
Hi All,
I am working on project where SD - FICA integration is in picture. We post some charges through SD and FICA document gets posted on relevant Contract Account.
Normally we create Sales Order using transaction VA01 and then we do Billing for this Sales Order through VF01. After billng is done, FICA document automatically gets generated.
We have following requirement to be fulfilled.
For the SD bills posted as above, I want to calculate due date of these bills based on Business Days for FICA document generated (SAP Standard calculate due date based on Calander days). We can use factory calander for calculating business days in relevant function module.
I have checked in the system and it seems that event 1330 ( FM - ISU_DUE_DATE_DETERMINE) is not working in this scenario. Is there any other FM which I can use?
Can anyone help me on this?
Regards,
PradeepHello Praeva ,
The event 1330 has a sample FM FKK_SAMPLE_1330. It doesnt even have a Standard Function Module.
You need to create a Installation-Specific FM and put your code to determine the Due Date based on the logic.
Rgds
Ram Kumar.
