Re-Organizing an A3 Library

Hey all,
I had been (up until this past week) organizing my Aperture projects by subject/location. I.e. projects named like:
"Portland, OR"
"Hillsboro, OR"
"Coast"
"Ocean" etc.
As my library has grown (closing in on 10,000 images) I'm finding this method more and more complex. Another hobbyist photographer friend of mine suggested switching to date projects, which I've done for the last two weeks or so, and must say I like this method better:
"20100814"
"20100812" etc.
I want to convert my existing projects to this format, but not sure the best method. I essentially want to take my existing versions (Aperture managed files) and split them into the above format, getting rid of the existing projects.
Could I do this by simply sorting by date, copying the versions to a new project with that date, then delete the "original" project (but keeping masters)?

One reaction: Arrrgh! Why would you do all of this work? The power, let me say that again, the POWER of Aperture is to put all of your images in one huge bucket which you can view in any number of ways.
May I suggest some quality time with the manual or with Rob Boyer's ebook? This is really easy.
I try to KISS. Two concepts to consider:
-- Project - this is the only thing that actually contains the image. Think of it like a shoe box of negatives or the box of slides back from the lab. A project should have less than 10,000 images, but certainly more than one. I make a new project for each unload of a camera - like a roll of film. I use an embedded date, but, as Rob points out, there is really no reason do do this. So the images I shot/unloaded today are found in: 20100816 - Chimp (because I shot pictures of a chimpanzee)
-- Folders - Powerful organizing tool. I keep most, but no all, of my images organized by continent, so the folders are Africa>Central African Republic>Projects
-- Albums - Powerful cross cutting tools, which can be loaded by drag and drop or, in the case of Smart Albums, keywords. So, after import, I drag people to: "People" and critters to "Animals." (If I were a little more energetic/disciplined, I would use keywords.)
The only limit is your imagination, and, you NEVER have to move your computer files.
Think of the "Inspector" pane as a sort of query or request with the results appearing in the browser window. Aperture gives you "Photos", "Projects", "Faces", "Places, and a few date ranges. To this I have added every year in which I have taken photos - instant date display without bothering to rename either image files or projects.

    It would be nice if you told others the steps you've tried and/or how you used to have your setup.
    Anyway have you tried tapping MORE this will then bring you to
    the selection-list of Audiobooks, Genres, Compilations & Composers.
    Selecting Genres gives you a list of all your music split into genres which was set within the Music downloaded via iTunes or uploaded from CD or which you may have set yourself.
    Then you just select the Genre you want:
    If certent songs are not correctly gategorised you may need to go into iTunes and reselect via Get-info
    >Info>Genre and change it there. That way you should end up with all songs of Jazz or other in 1 place.

  • Organizing a chaotic library with some duplicates

    Over the past few years, due to glitches and clumsiness on my part, I have multiple folders that have my music, and some of these folders have overlapping music (i.e: Folder A has songs 1-500, Folder B has songs 300-700, Folder C may have some new songs but also songs from some of A/B). Note most of this is in the computer, is my own CD's burned in album format.
    When I add these folders to the Library, I get some duplicate songs (some of which are "not locateable") and also I now see a pretty nicely organized "itunes" folder in my computer.
    Is there a way to simplify/consolidate/organize once and for all so that I can get everything into one master folder?
    Looking at past posts, it would appear that Robert Johnson's programs can be of some assistance, but maybe I also need to do more.
    For example, could I add all the large folders to my library (which would then have many duplicates), then remove duplicates? or is there a better way that people know about? Has been a huge problem and nightmare for me, would love to fix it once and for all? Thanks so much in advance..

    Here's one way to do it:
    Make sure the drive is formatted Mac OS Extended (Journaled)
    1. Quit iPhoto
    2. Copy the iPhoto Library from your Pictures Folder to the External Disk.
    Now you have two full versions of the Library.
    3. On the Internal library, trash the Events you don't want there
    Now you have a full copy of the Library on the External and a smaller subset on the Internal
    Some Notes:
    As a general rule: when deleting photos do them in batches of about 100 at a time. iPhoto can baulk at trashing large numbers at one go.
    You can choose which Library to open: Hold down the option (or alt) key key and launch iPhoto. From the resulting menu select 'Choose Library'
    You can keep the Library on the external updated with new imports using iPhoto Library Manager

  • Will all my playlists and songs be ok after I organized and consolidated library that was already on external hard drive

    I am organizing and consolidating my library in the hopes of keeping all my playlists and libraries intact on myWestern Digital external hard drive.  My current computer, an HP Dv6 Pavillion running Windows 7 is going in for repair for the 2nd time.  When it came back to me to the first time, ITunes was still there unscathed.   I just don't want to take a chance.  If anyone has any ideas to help.

    When this happens (used to happen to me a LOT), iTunes will have a backup .itl file in the iTunes folder.  Delete the newly created .itl file, rename the backup to iTunes Library.it, and point iTunes to this existing library.  Everything should be back.
    I'd guess you have a large library.  Mine started doing this when I got over 50k or so songs, and would happen as I was doing massive updates to the library.

    Hello, Jim - I am a brand-new discussion member, was sent here after 2 one-to-one sessions where the tutors couldn't tell me how to organize my iTunes music library. When I typed a "Search" for this, your comments to others indicated you're very knowledgeable about this, so I hope you see this.
    I bought a terrabyte HD to which I have moved my iTunes. I wanted to begin moving the massive music library over there (all uncompressed, ergo the TB) and have begun this with a great deal of hassle. I have tried to organize the library the way my real-life library is organized on my shelves: artist (last name, for those of us who have an IQ above room temperature!), and then separately, the compilations/boxed sets that have various artists sometimes - concerts, operas, original cast and soundtrack recordings, things like this. The Apple Store kids told me I couldn't do this, :-O - find that hard to fathom! It isn't even the Dewey decimal system! Do you have any suggestions to help me that doesn't have me making ridiculous playlists I will never use? In addition to having stuff disorganized all over my library, I also find that cuts/tracks WITHIN a recording get imported all out of order.
    Many thanks in advance for whatever you can suggest - apologies for being so long-winded, but it was a long ridiculous road getting here, and it's been extremely frustrating paying for these one-hour sessions with people who may not even have commercial recordings of their own!

    As I said earlier, it's best to start your own thread rather than "Threadjack" on another's. It makes it difficult for the original poster to sort through answers to his own question.     You can find out a lot about iTunes by using the iTunes help menu. When the help window opens, there is a "Index" link at the far right. Looking at sorting you'll find:
    Information about the items in your library, such as artist and other song information, is stored in the item's Info window (select an item and choose File > Get Info). You can use this information to sort the items in your library or create playlists. You can even change the information to suit your needs. For example, you might want to:
    ◼Group individual movements on a classical CD into one work by indicating the movement (for example, “Piano concerto in A Minor, Op. 54”) in the Grouping field.
    ◼Group songs that are part of a compilation together in your library by selecting the “Part of a compilation” checkbox. Then choose iTunes > Preferences, click Advanced, and then select “Group compilations when browsing.”
    ◼Identify the individual artists on a tribute album in the Artist field, and then type “various” in the Album Artist field.
    ◼Create your own genre category by choosing Custom from the Genre pop-up menu.
    ◼Change the order in which tracks on a CD play by changing the numbers in the Track Number fields.
    ◼Create a Smart Playlist that includes only songs that are just the right speed for your workout by adding the number of beats per minute to the BPM field.
    ◼Identify a movie as a music video (click the Video tab and then choose Music Video from the Video Kind pop-up menu).
    ◼Click the Sorting tab and enter custom text to sort by.

  • I need help organizing my Loop Library

    I've been researching this online but just cannot find the answer.
    I have GB11' (ver 6.0.4) operating on OS X Lion (ver 10.7.2).
    I've learned how to add custom loops by using drag-and-drop and Apple Loop Utility
    But I am still having troubles so I'd like to ask a few questions
    How do I add an entire folder of loops?
    I've tried drag-and-drop, GB seems to respond to it and would begin to load data, but I cannot seem to find it anywhere in the library.
    I could, however, add them individually and it works without a problem.
    I've tried Loop Utility too, but after saving the files it still would not appear in my GB library.
    (the files are in correct format .WAV and .AIFF)
    Where are the physical files of the custom loops located?
    So GB won't let me add an entire folder of loops, fine. I've managed to add a few individually, BUT! Where are the physical files?
    One discussion I found from here said that different versions of GB save the files in different locations.
    According to the article, I should be able to find them in /Library/Audio/Apple Loops/User Loops
    But on my Mac there is no "User Loops" folder. (They are not in "/Apple Loops for GB" either.)
    The bizzare thing is, these loops still work in GB!!!
    The reason I'm asking this is because I'd like to get rid of some undesired loops I added while testing.
    Also, I want to rename them so I can easily locate them.
    But this seem impossible because I cannot find the actual files..
    So the last question is
    How do I delete or rename the loops?
    If I can't rename it, at least let me delete it so I can reupload!!!
    The "Loop Index" does not contain any information about the loops I added either.
    Any help will be appreciated!!

  • Organizing pictures in library

    Somehow I have jumbled my pictures in the library so they are not in any order. I wish to return them to a chronological order. How can that be done?

    Thanks, that was easy enough. Unfortunately, I seem to have a different problem than what I thought. If I click on a photo a different photo from my library shows up. This all began when I was trying to delete a large amount of pictures from the library. I used the apple key to highlite the pictures that I had wanted to delete. By using the apple key I thought I was simply picking random pictures rather than have to pick them one at a time, or use the shift key to pick a row of pictures. While I was doing this I noticed that rows of pictures were changing their order. (the top of the library were the pictures that were earliest in my picture taking).
    Help if you can.

  • Organizing for stock library. Projects, folders or albums?

    This may have been talked about to death, but I cannot find a thread that fits my question.
    I have a growing library of images in Aperture. I am also a stock photographer by living. My library in Aperture is somewhat haphazard and I'm trying to organize it so that I can have it make sense. I do not sell my photos as stock myself (I submit to several agencies) so I'm not sure that I need to file my images so that I can get to them if a client needs a shot. That's what the agencies are for.
    My work flow is something like this:
    1 - shoot pix
    2 - import and edit (read: delete) images in Aperture
    3 - prepare and submit images to agencies
    4 - next....
    I do find myself taking pix of many of the same subjects, so I do want to organize them in Aperture.
    My main question is, what is the best, or most efficient, way to organize major subjects in the library, with Projects, Folders, or Albums?
    For instance, I shoot a production with models. That could be a project titled " August 14 production." When the submission is done, i could archive the entire project to save space. But, suppose I want to keep some around to submit to a different agency. Is a project the best way to store this?
    Also, I find myself shooting a lot of NYC landmarks. Should each landmark be in its own project, or have it be an album in a project called NYC, or should it be a project in a folder called NYC?
    I'm really not sure what the most efficient filing method is for my business.
    Any discussion and/or advice is GREATLY APPRECIATED!

    I hope you are referring to doing the relocation from within iPhoto and not in the Finder and the library package. Any moving, renaming of files and/or folder inside the iPhoto Library Package while in the Finder is tantamount to the cardinal sin of iPhoto, Don't tamper with files in the iPhoto Library folder from the Finder. That will mess up your library to where you may have to start over with a new library.
    Can you describe where these folders and albums were located when you were moving them?

    TIP: For insurance against the iPhoto database corruption that many users have experienced I recommend making a backup copy of the Library6.iPhoto database file and keep it current. If problems crop up where iPhoto suddenly can't see any photos or thinks there are no photos in the library, replacing the working Library6.iPhoto file with the backup will often get the library back. By keeping it current I mean backup after each import and/or any serious editing or work on books, slideshows, calendars, cards, etc. That insures that if a problem pops up and you do need to replace the database file, you'll retain all those efforts. It doesn't take long to make the backup and it's good insurance.
    I've created an Automator workflow application (requires Tiger), iPhoto dB File Backup, that will copy the selected Library6.iPhoto file from your iPhoto Library folder to the Pictures folder, replacing any previous version of it. It's compatible with iPhoto 08 libraries and Leopard. iPhoto does not have to be closed to run the application, just idle. You can download it at Toad's Cellar. Be sure to read the Read Me pdf file.

    All Photographs are one place you can see the photos. I guess I wouldn't use the phrase "goes to", as All Photographs is simply displaying things, it doesn't "contain" photos.
    Also I noticed Every time I Import Images It also goes to the Smart Collections. am I Correct ?
    If your smart collections are set up a certain way, then yes, newly imported photos can appear in certain smart collections. But they don't have to appear in smart collections on Import. I guess I wouldn't use the phrase "goes to", as smart collections are simply displaying things, they don't "contain" photos.
    In other words If you have 100 Images Inside the All Photographs, you also going to have 100 Images Inside the Smart collections Is that Correct ?
    As I said, it doesn't have to work this way, but it can work this way. Or maybe some of the 100 will appear in certain smart collections, but not all.
    What Happens If you Delete the Smart collections ?
    Then the smart collection doesn't exist any more.
    Also why When you Import for example One Image It dose not stay either in the order like In Top or the bottom, It gets mixed up In the middle of Images ?
    There are different sort orders. Perhaps you need to change the sort order, via the Lightroom command View->Sort

  • Organizing projects in library inspector (left panel)

    Within the library inspector or left panel of aperture, I have what seems like 70 plus projects which makes less user friendly when navigating to find a certain core of folders and albums.  Can I place all these projects into a folder that I name something like "Container for all other Projects" that way I do not have to scroll through all those projects when I am looking for my core albums and folders?  Will placing these projects into a folder have any effect on other folders, albums, or projects in general?  Is there a negative to this type of library inspector organization?

  • Organizing footage tape library automatically??? Program or Shareware???

    I have shot 200-300 mini-DV tapes full of footage over the years. I built a wall rack to hold all of my tapes. I want to go through all of them and organize the tapes and footage notes. Is there a program I can download or buy that would allow me to pop tape number 001 in the deck conected to my Mac and say take a frame grab every 30 or 60 seconds from beginning to end and then organize into a printable proof sheet so I can see at a glance what is on every one of my tapes. Maybe put all of the sheets into a thick notebook on my edit desk. Maybe have a time code stamp next to each thumbnail pic. I have went though some of the tapes and just watched the tapes and logged by hand some of the highlights of each tape along with time code notes, date shot, time shot, location etc. I feel that having a proof sheet with sample frames of video would be more user friendly for me. Any one have any info on programs or shareware for this. Please tell me how "you" organize your tape library.

    Please let us know how you make out on this project. I'm curious because, even in a corporate environment, we can't make any video database function worth diddle because of the incredible time/effort requirements. Assuming not all 300 tapes are full, that's still about 200 hours worth of material. Just viewing it and attempting to log it will take 5, 40-hour weeks of doing nothing but sitting in front of your monitors, loading tapes and keystroking. And that just gets the logs built. it doesn't pull in the video.
    I can tell you one thing for certain. The single most important part about digital asset management is designing the catalog before you start trying to fill it up. And I can also tell that, in dozens of case studies I've seen, this step is rarely done. It is only performed by experienced database suers and those who have been trained in library arts.
    Digital asset management is a huge hole into which you can pour time and money and end up with nothing of value.

  • Organizing Photo Library Page Hints

    I do not run a business, but rather enjoy my computer for home use... so my hints for organizing an iPhoto Library Page relate to personal/home use. I have iPhoto 6.0.5 (316) on my computer.
    Regarding the "View" of the Library Page, I do keep my "Film Rolls" labeled and in order. Others in this forum have discussed managing the "Film Rolls" in depth so I will not go into that here.
    I believe that what has helped me the most with organizing my photos, and I do have 3074 photos entered right now in iPhoto and have only had this computer since the end of July 2006, is the use of FOLDERS & ALBUMS under the Source list on the left side of the iPhoto Library Page.
    I have one FOLDER for each month labeled such as: 2006/07, 2006/08, 2006/09. That way the folders will stay in numerical order in the source list. And at the end of each month I do make a DVD, using iDVD. At the end of the year, I will consolidate those monthly folders for 2006 into ONE folder labeled with an asterisk and the year's date like *2006.
    Inside each monthly FOLDER, I have three more FOLDERS separately labeled Family, Friends, General. This helps me to categorize my photos a bit more.
    Inside each of these three Family, Friends, General folders, I make ALBUMS of particular happenings like a birthday, Labor Day, or family gathering, and stash the album into the appropriate folder. I will label these albums similar to the folders dates, only I will include the entire date & event such as: 08/02/06 Nellie's Birthday, 08/14/06 Family Reunion, 08/16/06 Day At The Beach. That way those albums will stay in numerical order too within the individual folders. I do keep these photos individually labeled too within the albums. No excuses on labeling photos when you can at least make one broad category name on several photos at once with "Batch Change" and let the Batch Change label & number each of the several photos at one time. That way the "search" feature at the bottom of the iPhoto Library Page can be easily used to locate a photo, or a group of photos.
    At the end of every month, I do burn a CD of that month’s still photos for a back-up. I also make a DVD that has fun presentations to share with others, rather than just clicking through still shots on a CD to share the photos. For instance, at the end of the month, with the photos already organized into folders for particular happenings, it only takes a few minutes to put together a slideshow, or to add the photos to a video movie that I had taken during the month, or to make a Quicktime Movie, or even to put together a book in iPhoto, but rather than having the book printed, just make the book into a slideshow that has flipping pages and also has music. Because the photos are already in order in the ALBUMS, getting them into the mode of presentation that you choose takes hardly any time to burn them on to a DVD.
    I follow through with the same type of organization [as shared above] when I make the monthly DVD, by using the iDVD theme menu that has the shelves with the THREE photo frames. I title the DVD menu page on top for the month, like September 20006 TOTAL COLLECTION. I label each of those picture frames... yes, you guessed it: Family, Friends, General. In the sub menus for each of those frames, I then place the album presentations for that month, whether it is a slideshow or movie. The labels on the fronts of the actual DVDs also have the same THREE breakdowns with Family, Friends, General, and the names of the movie, or slideshow that was in the album in that category. I also pick out one photo to represent each of the three categories and print that on the label as well.

    If they are folder titles then you can drag each folder into the open iPhoto application window to create a new roll with the same name as the folder.
    You can also select specific photos in the main library window and use the File->Create Film Roll menu option to create a new roll containing just those photos. (You must be in the main library for that menu option to be active).
    Terence's recommendation of Smart Albums is a good way of grouping photos with similar attributes, keywords, date or date range, file name or partial file name, title or partial title, etc.
    You can use multiple keywords on one file like John, Joan, jane, etc. then you can find all photo associated with one or all of those keywords keywords by clicking or option-clicking on more than one of those keywords in the Keyword pane.
    You can create a test library, import couple of folders into it and then test out the various ways to organize your photos before applying them to your primary library.
