Referencing cells in a closed numbers documnet

I am trying to find a way to link cells from multiple numbers documents, even if they are closed.
I do not want to combine the documents. I know this can be done in excel.
I create a schedule with numbers and I want to keep daily, weekly, monthly and yearly tallies for some of the results. Can Numbers reference closed documents?

Open or closed, Numbers can't link cells from multiple documents.
The only way to mimic that is to use a dedicated AppleScript.

    I'm trying to copy a row of cells to paste into a Pages doc. The row of cells are referenced to other cells in the Numbers sheet that are not being copied to the Pages doc. Once copied to the pages doc I get errors for the referenced cells.

    I'm not sure that I understood well.
    Are you asking about formulas referencing cells in a single table or cells in a different table ?
    If you want to show the formulas, select the group of cells, apply the format text, copy then paste in the Pages document.
    If you want to paste the values, duplicate the source table copy the cells to transfer
    paste values in th duplicate table
    select agai
    copy then paste in Pages.
    For this task, I asked Apple for a slight change.
    At this time, in Numbers we have
    three menu items linked to the task:
    copy
    paste
    paste values.
    I wish that they would be replaced by
    copy
    copy values
    paste.
    Which this new set, there will be no true change in the way we would use Numbers itself but it would became easy to paste values in an other application like Pages or Keynote.

    Hi there, I'm creating a CSV file via Numbers and would like to set a limit to the number of characters a cell will hold in numbers. This way, when I copy text from my source, and paste it into the numbers cell, the text will be cut off at the character limit I've placed for that cell.
    Specifically, I would like my character limit per cell in a column on a new spreadsheet to be 100 characters. I have text to copy & paste into roughly 10 different cells and I'd like it to all be 100 characters.
    I am using Numbers version 9 of iWork and 10.7.5 OS.
    Any help is appreciated.

    I don't quite understand what your suggestion was and before I try to figure it out and play around with numbers, I thought I should clarify further. When i wrote I want to paste the content into the cell and have it limited to 100 characters I was mis-spoken. I actually have all the content already in the columns in a spreadsheet and would now like to just limit some of the columns to hold only 100 characters in a cell so that when its a CSV file it will be accepted to the program I'm trying to upload it to.
    SO does that change the way you can answer my question?
    Is there a way to just limit the content currently in a spreadsheet to 100 characters per cell?

    How can I preserve row and column addresses on multiple cells at once in Numbers 3.2.2? I do a lot of rearranging and sorting and want to reference cells in other sheets. After entering the formulas (example: '=Sheet1::Table 1::H126') I will sort the table and the formulas will not move with the sort.  I think I can fix this by going cell by cell checking the 'preserve row' and 'preserve column' boxes when editing the formula.  I want to avoid having to go one by one.  I know that checking the boxes creates a formula like this: '=Sheet1::Table 1::$H$126'  I have also tried entering this manually and filling down but it doesn't include the preservations (the $$) in the autofill.  If there is another way to remedy my sorting problem that would also be welcomed!

    Can "Preserve Row" an / or "Preserve Column" be set on multiple cells at the same time.
    In both cases it is not asked if multiple cells can be set to....
    That is a given.
    Step back a second...  It is like selecting multiple cells and setting the text color of the currently selected cells to red. This can be done. More than one cell at a time modified because they are currently selected.
    Whats is being asked is:  if more than one cell is selected at the same time can the settings "Preserve Row" an / or "Preserve Column" be applied. No table I put up will help with that question.

  • Referencing cells in other numbers spreadsheet files

    A couple of questions:
    1)I have two sheets (Sheet A and Sheet b) in the same file. Both sheets have a single table named Table 1 in them. I can double tap on a cell in Sheet A Table 1, tap on the equal sign in the entry box. I can then go to Sheet B Table 1 and double tap on a cell. Numbers inserts a reference of Sheet B::Table 1::Col Row. I can now change the value in Sheet B and Sheet A updates automatically. My question is can I type in the reference to the cell in Sheet B and not do all the finger tapping?
    2)Can I type in a reference to another cell in a table on a sheet in another Numbers file located on my iPad. If not is there a way to tap to the reference?

    I have had no luck typing in any formulas in iPad numbers directly. I can do it using the desktop version, but not the iPad. I found I had to do all the finger tapping the op mentions. Even to type simple formulas that I know how to do by heart, I had to search the function list and select the item from the list.
    If I use the keyboard that comes up within the equation editor it places everything in quotes and sees it as text. Which doesn't invert to the actual equation. If I use the text input and type an equal sign with the equation it still sees it only as text.
    If you know how to do the typing thing, please give us more in depth instructions on how to do this in numbers for iPad as that would be beneficial to a degree you annotate fathom.
    Referencing the other file thing doesn't work in desktop at all, so thi is only reefing to how to get to type in my formuas by hand in. Single file, referring to a single file in iPad numbers.

  • Referencing Cells

    How do you reference the last cell in a column in which data is consistently added into another table so that when a the new data is added on the first sheet the second sheet updates itself with the new information.
    In my case I have a table that lists the stocks I own with their closing costs on every Friday. I then have another table which lists the total market value of my shares of a particular stock (number of shares x closing cost). The most recent closing price is the last value of each column, so how can I link these two tables so that when I update table #1 with the new closing price of a stock table #2 updates the total market value of stocks owned.

    I would probably use the offset command.
    For example:
    I have a column in B (every cell has data in it) and i want to grab the bottom most cell. I can place in, i dont know, C1 maybe the function to get that last number. I would put this equation in C1...
    =offset(b1,counta(b:b),0,1,1)
    If its on another table then it would look something like this:
    Offset(Table1::B1,counta(Table1::B),0,1,1)
    It would start at B1, move down however many cells there are in column b, and bring back a 1x1 reference. (in numbers you will see Counta(B) instead of B:B maybe.)
    This does require that at least one column in your table has data in every cell, otherwise it wont now how far down to go. But teh counting column does NOT have to be the column your puling from, just one that has the right number of items in it, maybe date. The offset base is whats important.

  • Accessing sheets and cells under others in Numbers 3.1

    Hi,
    I have a rather elaborate Numbers spreadsheet that represents pages of a wall calendar.  For each month, each day cell has other tables overlaying it; one to show the text for holiday names, some in the upper left and lower right areas to display small versions of the previous and next month's days, and one to overlay and hide day cells that shouldn't be shown (such as day 30 in February).  The entire calendar (except for the placement of the holiday names) is driven by the year value on the first page.  This has worked well for me for the past two years, when I was using a version of Numbers from one of the iWork suites, but during the past year, I upgraded to what is now Numbers 3.1.  I need to make some adjustments to cells and sheets that are normally not the topmost cells, and in the past, I seem to recall that I could access the appropriate sheet by clicking the appropriate value of a hierarchical listing of sheets that ran down the left side of the display.  I don't see this in Numbers 3.1, and though I can bring cells and sheets to the top for editing by selecting the cells / sheets that currently are above the one I want to edit and moving them either "Backward" or "Back", I'm getting lost because I have no visual way to determine what the current layering is.  Is there any way to activate the left-side hierarchical display that existed in the previous version of Numbers, or at least to display the named sheets in my speadsheet so I can select specific ones by name?

    You say you "upgraded". Does that mean iWork '09 was on the computer before? If so, then it is still there. Upgrading to Numbers 3.1 does not remove Numbers 2.3. I guess they knew people might want to still use the old version.

    If you didn't have iWork '09 on the computer before, but still have the disk, try installing it again. I don't know where my disk is so I can't give it a try, but I can't think of a reason not to try. If it screws something up, you can always just uninstall everything and download 3.1 from the store again.

  • Comments in cells not good in Numbers 3.0

    I have spreadsheets. Obviously with figures in different cells. Prior to this upgrade, I have several cells that have comments entered into them. Specifically the cell would contain a total dollar figure. The comment would contain the invoices that made up the total. And I would leave the comment open with the window dragged to the edge of the sheet. Very conventient, as the Comment Window could be sized to diplay whatever was desired. And I could enlarge the box enough to see its entire contents.
    Now all that remain visible is the Comment Indicator. Put the cursor over the indicator and the comment displays directly above the cell. No way to move the comment box and to keep it open. Also the size is small enough that it will only display 5 lines. No way to resize the box. In order to see the entire contents, the Comment Box must be scrolled so that anything entered on the top, scrolls out of site. The scoll bar disappears almost immediately. So to scroll, I have to click somewhere in the text of the Comment, and use the up and down arrows to scroll.
    Very unfriendly modification to what used to work perfectly.
    There are also left and right arrows in the comment box. Is it really necessary to have scroll arrows to jump to the next or prior cell with a comment?

    Numbers is good. It there is a small learning curve to be expected. And I do not expect it to be the same as Excel, which I used extensively creating some very elaborate database spreadsheets for controlling a precious metals inventory.
    If I wanted the exact Excel, then why not just use Excel. Once I gave Numbers a chance, it got better and proved itself useful. I was not ready to give up on Apple's venture into Excel's territory. I am so old that I remember using VisiCalc on the Apple II+. Wow, I am old.
    But to see Apple totally ignore some functions is unacceptable. This comment box thing. Why in the world would they change is from before? Were people complaining because they could move the box? or were they complaining that they could resize the box? There are things they have seemingly changed just for the sake of changing. Not because there is an improvment.
    And there are quite a few people whom ask about the  'select print area' function, familiar to Excel users. It is so simple to use, why not include a similar Numbers function like this? I know they cannot call it the same thing without some sort of reprecussions from M/S. But why do they plant there feet in the sand and refuse to bend. It is like the programers are litttle kids throwing a tantrum.

    I'd like to have two columns that are NULL, unless the other column has a value entered into it.
    This seems to create an infinite lookup loop of self referencing.
    Can anyone suggest a work around?

    If for instance you have
    cell B2 = IF(C2="","","Not Null")
    and
    cell C2 = IF(B2="","", "Not Null")
    then, yes, you have a circular reference
    It sounds like what you want is if you enter (by hand, overwriting the formula that is there) a value in B2 then the formula in C2 will result in a value (not null). If you, instead, enter a value in C2 then the formula in B2 will result in a value.
    Try this addition to the formula:
    B2=IFERROR(IF(C2="","","not null"),"")
    C2=IFERROR(IF(B2="","","not null"),"")
    In other words, wrap it all up in an IFERROR

    There is a workaround, although I agree that you might just be better off with Excel.
    I have a similar setup here. I have setup a friend's business in Numbers.  The original plan was to set up all of his clients with a separate sheet in a single Numbers file.  That became unworkable.  Each client needed his own workbook.  So to create daily and monthly totals, I use Applescript to read the appropriate data from each client's file (all the clients are in a single folder), and fill in a spreadsheet for me in the middle of the night.  Next morning, he's got a fresh, updated totals sheet.
    It's not exactly real-time data, but it is updated nightly.  There are plenty of gurus here who know Applescript far better than I do (although I can work my way through a script) and will be able to help you along.
    An advantage of Applescript is that there's no parallel to it that I'm aware of in Windows.  Applescript can speak with mulitple programs and make them all work together for a task.  I've got one that talks to my friend's calandar app, address book, and email app to send confirmations to his clients.

Is there a way to reference the last row of another table if I don't know how long that table is? I tried ROWS, but got an error with the form

    On this point I disagree. I didn't asked Numbers to +update the value of all strings in all formulas just because they happened to match a table name that+ I renamed.
    The given string IS the 5th operand in this formula and Numbers IS aware of the meaning of this operand.
    =INDIRECT(ADDRESS(ROWS(2008_1 :: G),COLUMN(G),,,"2008_1"))
    operand 1 is ROWS(2008_1 :: G)
    operand 2 is COLUMN(G
    operand 3 is empty
    operand 4 is empty
    operand 5 is "2008_1"
    To be more explicit, this operand is not a simple string, it IS a table identifier.
    If it contains "::" it IS a tableof_asheet identifier.
    This may perfectly be parsed without clobbering other occurences of the same strings which don't have the same meaning.
    The problem would be the same if, in formulas using a cell address defined by a concatenation (if I remember well you posted some of them) , editing a table name would not be reflected in the formula. I did not tested but I will do.

    I do it by typing "=" then use the mouse to navigate to the correct sheet & cell. You could type it your self but you have to know how many spaces separate the Sheet Name, etc...
