Routing approval workflow based on employee

We use a calendar in our department to handle time off and whatnot. We currently use the built-in Approval workflow to route all events to the director of the department. We now have a need to route some members of the department to a different manager while
keeping others directed to the original manager. How would we go about implementing a workflow to accomplish this?
Everyone is split into two AD groups based on who they should be routed to, so that's taken care of. I attempted to create my own workflow using the "Set Approval process" command, but the approval process never began (I used "If created by
a specific user" and "If modified by a specific user" as my conditions with the necessary groups). Any thoughts?

According to your description, my understanding that you want the different members to assign tasks to different managers.
As a workaround, you can create a column for the event type to distinguish the manager, then assign tasks based on the value of the column.
You do as the followings:
1. Create a choice type column with the different departments(different values) in the Calendar.
2. Create a workflow like below(if the department choice column has a lot of value, you may need to have judge for each department value):
3. Publish the workflow.

    I have a sharepoint 2010 approval workflow based on an info path form list
    The form has about 20 checkboxes for different areas of for which a supervisor could request access for. A supervisor could check 1 checkbox, or all 20.
    The checkbox on the actual form being filled out will have the title of access being requested such as but not the name of the approver. we dont want to show that on the form as to who the approver is.
    Each checkbox corresponds to a different person, so if 5 checkboxes are selected, I need the workflow to automatically assign the tasks to 5 specific people based upon which checkbox is marked. So if check box A, B, F, G, Q are all checked it should send
    an email to the people that are associated with those checkboxes only.
    How can I dynamically assign the tasks to people based on which checkbox is selected?
    I am using sharepoint 2013 but 2010 workflow in designer

    Hi,
    You will promote those checkboxes so you can access from workflow.
    in the workflow you will create logic of conditions
    for example
    if checbox a selected then assign variable checkbox1=true and so on for each checkbox a corresponding variable and other 5 variables carrying the approvers names
    then based if those values are true you will create a task for those approvers

  • PO approval Workflow based on the Release Stratergy.

    Hi ,
    i am creating PO workflow based on the release Stratergy, in which release group = aa , release stratergy = a1 , a2 ,a3 .
    If the PO is created according to a1 then it should goto 1 level approval, if a2 then to 2 level approval and if a3 then 3 level approval.
    i have taken BO as BUS2012 and using singlesteprelease as event for triggering the workflow. i am checking the multicondition say if taking bus2012.releasestratergy = a1 then 1 approval if a2 then 2 approval if a3 then 3 approval.
    my problem is the workflow is getting triggered but it is not accepting the values from multiple condition box and going to other part and getting struck or getting no where.
    please suggest.

    I Guess the approach your doing is different from the standard one (WS20000075) No need to go for any multiple conditions.
    1. Copy the standard workflow.
    2. Create a Rule (Refer Rule 168) with container elements as POnumber, Release strategy and Release Code (Depending on your requirement).
    3. Write an FM which will have 2 table parameter fields ACTOR_TAB and AC_CONTAINER and fill ACTOR_TAB with approver name.
    4. Use this rule in Release of PO step and correct binding and everything will work fine.

  • Pre trip approval workflow

    Hi Experts ,
    I am working on Pre trip approval workflow.
    Functionality : Employee signs in the portal and send the request for trip plan . Manager has 3 options
    1. approve 2. reject 3. send back for correction .
    Issue :
    approve and reject is working fine . but when the manager sends back for correction it is not going to employees inbox.
    it goes back to managers inbox
    2. if we check the workitem in manager inbox , he has three options 1. change 2. delete
    neither delete nor chnage is working .

    I am using BUS2089 for the workflow .
    The issue is when manager clicks on send back option the manager and employee both recieve the workitem .
    But i guess only employee should be able to recieve the workitem.

  • SP2007 Edit approval workflow e-mail

    Hello,
    One of the sites I a managing in Share Point 2007 has an approval workflow (based on the standard approval workflow) to approve calender items. The e-mail that is send to the approver contains a link to the
    calender item, however I would like it to contain a link to the task item, so that the approver does not have to search for the task to approve. 
    I am new to SharePoint 2007, having only worked with 2010 or 2013. Can anyone tell if and where I can change the body of approval workflow e-mails
    in SharePoint 2007.

    The first thing to check is whether you can open the site and workflow within Designer. As you're working with a version of SharePoint that's a bit devolved from what you're used to, knowing some differences might be handy: -
    All workflow instances are list level only
    There are no re-usable workflow templates

  • Approval workflow - can I consolidate many employees to a single manager?

    Hello,
    I need to design a workflow to check that users are still authorised to access a system, on a periodic basis.
    I will supply a list of users and their managers, as a list onto the SharePoint.
    The workflow will email each manager asking if they approve or reject their employee's access to the system. In each email, there is a link back to the SharePoint to allow them make their decision.
    The issue I have is that some manager's are responsible for 30 or 40 employees.  I do not want that manager to get 30 or 40 separate emails. 
    I'd like that manager to get a single email, with a link back to the SharePoint, where they could see their 30/40 employees with two checkboxs against each entry - approve/reject, or some other method to consolidate the manager's action.
    I've been advised by my developer that it's not possible, but perhaps people here know of workarounds?

    In theory you should be able to accomplish this by:
    Part 1
    1. Adding a new column to the task list called employee.
    2. Then in your workflow create a task for each employee and set the employee column for each task.
    3. Once all the employees have tasks. send an email to each Manager with a link to the task list
    Part 2
    Setup a view on the task list. To do this:
      a. Go to the task list
      b. Click on the "list" tab at the top of the page
      c. Click on Modify View
      d. display only the columns you want the manager to see in their approval list
      e. Under the Filter section, filter by "Assigned To" and set it equal to [Me]
    This way the managers will only see tasks assigned to themselves.
    Make sure the view is setup as the default public view.

  • Completion and approval workflows in line item based SC approval scenario

    Hi SRM experts,
    We are on SRM 7 ECS , support pack SAPKIBKV08
    We are designing line item based SC approval workflow. We also have completion workflow. i.e after requester creates a shopping cart, it goes to buyer as per completion workflow( if the SC does not have price , vendor or has a free text)  , and then after the completion workflow, it goes to main SC approval workflow.
    My questions are :
    1. If a requester creates 2 line items in SC , and 1 line item does not have price/vendor/or material , whereas 2nd line item has price/vendor/ and material , can we send onlt the 1st line item  to completion workflow and not send the 2nd line item in the completion workflow but directly to SC approval workflow  ?  OR we have to send the entire cart to the completion workflow ?
    2. After the completion and the approval workflow , if line item 1 is approved, can it create a PO , whereas the 2nd line be still in approval . i.e  do all the cart items need to be approved before creating POs or as and when individual line items get approved , they can create thier own POs

    Which workflow are you using - application or process contrlled workflow?
    Assuming you are using process-controlled workflow - I will answer following questions -
    1. Can offline approval be used for item based shopping cart approval workflow?
    - Yes, it can be used !
    2. Can different line items be sent by mail to different mail boxes?
    Yes
    3. Will 1 manager see all the 10 line items OR only the 1 line item for which he is responsible?
    1 manager can 'see' all the items but he can only approve or reject the item that he is suppose to act on. All other item will be grayed out. However, this behaviour is configuarable !
    4. If he will get only line for which he is responsible , and once he clicks on approve , will this approval apply to his line item only , OR it will apply to all the 10 line items ?

    Hello Priyanka,
    While using N-step item level SC WF, you have to use BBP_WFL_APPROV_BADI for agent determination. This badi gets called everytime when shopper changes SC or approver takes action on it. So after every change done to SC, approvers are determined.
    Follow the listed steps:
    1) As per your logic, for each item first determine the approvers at each level & assign them approval index. Arrange them in ascending order of their approval index at item level.
    2) Now its possible that you have multiple approvers, multiple item at each level. For sending SC for approval, you will have to generate Approval_object_guid for each approver.  For this you have to find out a criteria for generating Approval guid.
    Eg:
    SC has 3 items then, if for any 2 items product category is similar then approvers will be similar at a particular level. Similarly for different Product Category, different approvers are determined. So you can consider 'Product Category' & 'Approval index' as a criteria to club approvers at each level.
    3) Use function module ''BBP_WFL_DIN_APP_OBJ_GET' to generate approval guid based on criteria & to update badi parameter 'item_approval_obj'.
    4) Update badi parameters 'Approval_table' and 'Item_approval_table'.
    5) Once SC is approved by all, set 'no_further_approval_needed' flag.

  • Approval Workflows with Browser-Based InfoPath Forms Not Opening In Browser

    Hello,
    I have an InfoPath forms document library with browser-based forms.  Once a user submits a form, I have them utilize the built-in Approval workflow.  The approval workflow emails the approver and provides a link to the document.  When they click the link in the email, it trys to download the InfoPath XML form instead of opening in the browser.
    How do I get it to open the form in the browser when I user clicks the link to it from the email or the approval task in the tasks list?

  • Column based on Approval Workflow completion date

    Would anyone know of a way to create a column that will display the completion date of an approval workflow than ran on a specific file in another library?

    It could be a simple single line of column
    The workflow on other file must update this column, then only it can hold data
    In SharePoint designer workflow, it can be done easily with "Create a list item" action.

  • OOB Approval Workflow Not Working as Expected

    I am using the OOB Approval Workflow with an InfoPath (Browser Based) form that is published to a form library. The form contains multiple options for approvers that route serially.  I open the form, fill it out, and submit it to the library. The
    approval workflow is set to automatically start when an item is created. When the first Item is created the it works correctly. The workflow's task status is "In Progress" and the workflow assigns a task to the person selected in the person/group
    picker on the Infopath form. 
    The issue is when I submit a second form to the library. The workflow automatically sets the the "Outcome" to "Rejected" and never assigns a task to the person selected in the person/group picker on the Infopath form. See below:

  • SOD Detour in Role Approval Workflow possible?

    Hello GRC Experts,
    we have implemented an Access Request Approval Workflow with a Detour Rule (GRAC_MSMP_DETOUR_SODVIOL).
    The second workflow we are working at is the Role Approval Workflow. Is it possible to use the SOD Detour Rule also in Role Approval Workflow? I didnt find the SOD Detour Rule in the MSMP Role Approval Workflow.
    We would like to implement a following Scenario:
    if the role contains an SOD the request should take Path 1 and if not Path 2.
    Is it in MSMP Standard possible or should we use BRF+ for creating a Detour Rule?

    Hi Sabrina,
    For Access Request workflow, we generally use GRAC_MSMP_DETOUR_SODVIOL to implement routing rule(based on detour condition - risk found). Purpose of same (if I am not mistaken) is to through the request to another level of approver wherein mitigation monitor agent reviews the mitigation performed by role owner stage and approve/reject the request.
    But, when we create a role same is not the condition as we do not mitigate role level risk thus no need to go for mitigation monitor stage. May be you have some business scenario, if you can let us know will be gr8.
    For the rule ID, did you try adding the rule ID ?(you may already know, still would like to cross check with you).
    GRAC_MSMP_DETOUR_SODVIOL under list of rules for "
    Role Approval Workflow" In the screenshot you have shown, just click on ADD feed -
    Rule ID -GRAC_MSMP_DETOUR_SODVIOL.
    Rule description - same as Access request.
    Rule type - Function module based
    rule kind - routing rule.
    Add this and check if it works and let us know the result too.

  • Workflow notifications in invoice approval workflow

    Hi All,
    We have a requirement in invoice approval workflow while it sends notifications.
    The current workflow is sending notifications to an approver when he has a record both in HR and FND and linked to each other.
    But the requirement is WF has to send notification to the approver who will have an employee record only.
    If anyone has worked on this requirement earlier please let us know how to achieve this.

    WF Notifications are based on roles, you have to modify the role selection portion to handle the case you mention. Likely this is oracle standard code so you might be careful and look for a workaround i.e. duplicate the activity and customize that one.

  • OIM 11g - Approval workflows for disabled user accounts

    Hi,
    We have a scenario wherein a user will be created in OIM with a future start date resulting in a Disabled Untill Start Date user status. Once the user is created, we should let anyone submit a New Hire form for the user and the submitted form needs to be approved by the Manager. Once the Manager approves the form, the target accounts should get created with disabled status. These accounts should get enabled on the start date.
    As submission of New Hire Form is not a straightforward process, we came up with the following design.
    A dummy resource object corresponding to the New Hire Form will be created and can be requested for a newly hired person by anyone who has OIM access. An approval workflow will be configured for the New Hire Form Resource object and provisioning of target accounts will be based on Manager's approval for this resource object.
    However the challenge that we see with this design is, it wasn't possible to place a request for New Hire Form dummy resource object for a disabled user. But the requirement is to complete the New Hire Form submission process befor the user becomes active.
    How can these workflows be invoked for a disbaled user? Is there any other way to implement this requirement?
    Any kind of help/guidance is greatly appreciated.

    You can have dynamic task assignment in BPEL; where you defne a variable in the task assignment and update the variable with the approver group name before triggering the task assignment task. Check BPEL docs for same.
    If every group needs a different approver, and there are 5000 groups, can I make 5000 resources and use the built-in routing of approvals? Or, use the dummy resource approach and handle the management of the approvals in some other way.Just make one resource with one field attached to it which takes in the group name and handle approval in SOA by reading a lookup which has AD group to Approval Group mapping.

    Dear Microsoft Support,
    I am still relatively new to Sharepoint-Infopath and would need help with setting up workflows for a requisition form I am creating. I have designed and created a form using Infopath 2013 and have successfully created the link
    to have the data uploaded into my Sharepoint Server 2013 library. This form's purpose is to have our users make supply requisitions from the Warehouse department. We are a school, therefore, there are numerous different departments with different approvers.
    My goal now is to setup the approval workflows using Sharepoint Designer 2013. The complication now is that only certain people need to approve the requests, depending on the department selected. For example, I am in the IT department, if I put a field's value
    as "IT" the form will be sent to the IT department manager prior to going to the Warehouse department for processing. If the user chose "English", the form will be routed to the English department head for approval. What are the steps that
    I would take to have that kind of customization? How do I setup approval workflows in Sharepoint Designer 2013 to meet that?
    I have tried searching for solutions over the web, but all of them are too generalized and would not be related to my case in terms of different approvers depending on the different departments in our school. Your assistance would be greatly appreciated.

    I would create a second SharePoint list that is set up with two columns. The first column is Title (which is a default column) and the second column is 'Person or Group' column and name it 'Approver'. Then enter the department in the title field and select
    the person who needs to approve that department's forms in the 'Approver' field. Use this list and pull in this information in the InfoPath form by creating a data connection to the newly created list and set up the filter to only pull
    back the information where 'Title' = 'Department'. After this information is pulled into your form, store the approver information in a hidden field in the InfoPath form and use that field throughout the workflow.
