Running Total - How to summarize a formula field?

I'm sorry if this comes over as stupid but I have got myself quite messed up and am not 100% au fait with Crystal Reporting.
The aim of my report is to calculate the costs of selected tests and to calculate a grand total of all tests at the end.
I have created a group of  jobtests.TestTypeName
Details
1. testTypeName - to show Test Name that is being calcutaed - Database field
2. Count ({jobTests.testTypeName}, {jobTests.testTypeName}) - to show number of tests of that type - this is a formula field
3. Analysis1 - to show the cost of that test type - Database field
4. {@CountTests/TestType} * {jobTests.AnalysisN1} - to show the number of tests per test type mulitplied by the cost of that test type - this is a formula field
Report footer
Count ({jobTests.testTypeName}) - to count the total number of tests
MY PROBLEM - I need to see the sum of 4, this would be my grand total
Trying to run the Running Total I can't get it to Summarize the field 4 because it is a formula field.
What can I do?

You can't do a SUM on a formula that uses another aggregate function.  However, for both 4 and your grand total, you just need to SUM() (with ",{jobTests.testTypeName}" for the #4 calc), as the database field will be the cost for each test in each record.

    Hi,
    If your formula name is @Sales you click the @Sales formula then Click Insert from Menu bar and click Summary.
    Then click Grand Total.

  • Cumulative Key Figure (Running Total) - how to use in formula?

    We have a scenario where I need to use the cumulative value of a Key Figure in a subsequent formula. The “Cumulated” property setting at the Key Figure level in the query is a “Displayed Data Only” setting, however, so the cumulated values are not available for use in a formula  The individual values are used by BW as opposed to the cumulative values that are displayed in the column.
    I’ve tried using the “Cumulated” property at the characteristic level. I am then able to use the displayed cumulative values in a formula. However, I also need to display the individual (not cumulated) Key Figure values in a column. These individual values are no longer available for display if the “Cumulated” property is set at the Characteristic level.
    I thought that the “Define Cells” functionality could possible be used, but there is only one Structure in the query, so the “Define Cells” functionality is unavailable. I could not think of a way to use a second structure in the rows, as the rows need to be dynamic (two characteristics, populated based on user input variables).
    It may be possible to accomplish this requirement by adding a column using VBA in the SAPBEXonRefresh sub, but use of VBA is not a preferred option, as the query may be run in either the Excel Analyzer or the Web Analyzer.
    The infoprovider does not contain a Key Figure field for Cumulative Volumes.
    The scenario details:
    Rows (Characteristics):
    A: Plant (values based on user input variable)
    B: Calendar day (values based on user input date variables for start & end dates)
    So there is one row for each day within each plant.
    Columns (Key Figures):
    A: Cumulative Volume at Start of Period (uses user input date variable for start date, and “Constant Value” property. Hidden column.)
    B: Daily Volume (for each day in the period defined by the user input variables for start and end dates)
    C: Cumulative Volume at End of Each Day (formula, meant to be equal to the sum of the Cumulative Volume at start of period plus the total so far of the Daily volumes. In other words, equal to the sum of Column A plus the running total of Column B).
    Does anyone out there have any more ideas on how to accomplish the required Cumulative Volume computation?

    I've created a Global Calculated Key Figure (CKF), and have looked at and tried a number of settings in the Properties of this new CKF.
    I have not yet been able to make this work for me.
    The "Cumulated" property for a Global CKF is also a display-only property. The displayed running total is not used in any formula containing this CKF, only the individual values are used in the formula.
    If I select the 'Enhance' option, where exception aggregation can be done as I think you suggested, I do not see a 'cumulated' option. If I select the 'Summation' option for 'Exception Aggregation', then the 'Reference Characteristic' pull-down is not available.
    Is there a different 'Exception Aggregation' option I should be using for running totals at the calendar day level?
    Or am I unclear on the concept of your suggestion?
    Perhaps you're on a later version of BW that has more Exception Aggregation options? (We're on BW3.5)

  • Working with 3 Reports -- How to Display Summary/Formula field in Each Repo

    I have 3 Report that represent three Company.
    Each Company/Report has their report Details and field totals at the bottom.
    Now what I am trying to accomplish is that I need to add all three companies grand total and sum it up and display at the bottom of each reports.
    FYI, I have created matrix report and i pass user parameter where user can choose which company's report him/her would like to run so for example: if user run Company_1 then at the bottom i want to display all the companies Grand Total.Each reports have 6 columns and all the columns are same in each report except the data change by company. and with the same thing with Company_2, and Company_3
    Now, I tried to use create a separate query and tried to use DATA LINK but it didn't work due to very awkward report design.
    Is there a way where i can create a formula field and write PL/SQL and display at the bottom of my report.
    Please let me know if its possible I will very appreciated.

    Actually, I would done that before taking Company's parameter off but i have to send out this report to all three companies thats resoan why I put companies paramters.
    Also, I have solved that problem by creating new query that will give me total off each company so in my Data Model. I have Q_1 (main query), Q_2 (Company 1 query which give me total for each field), Q_3 (Company 2 query....), Q_4
    and call those all fields and RESET AT REPORT level.
    so, no mather which company i choose in my parameter field it will give me final total at the bottom of my report for all the departments.

    Hi,
    I assume that your formula column is at a higher level than your repeating frame (in other case it's not clear which value you want to display). Bring the filed representing the formula column behind the repeating frame, then it's diplayed only once.

  • How to create a Formula Field that does a SQL "WHERE" statement

    Hi all,
    I have a field (let's call it "altuser") in a report I'm creating that pulls in a key value from the users table, which is the same table that I'm reporting on. So when I'm reporting on the users in the users table, I'm pulling in the value of altuser for each user.
    What I'd like to do is have a formula field that would pull in the name stored in the table instead of the key value for altuser. So what I envision the formula I need would be like:
    SELECT fullname FROM userlist
    WHERE userkey = altuser;
    Which would make it pull in the name of the user instead of the key value for the "altuser" field.
    I cannot figure out how to do this in the context of either a Formula Field, or a SQL Expression field. Can anyone show me how this would be done?

    So right now, the SQL generated by Crystal Reports is like:
    SELECT "userlist"."username", "userlist"."lname", "userlist"."fname", "userlist"."altuser"
    FROM   "db"."dbo"."userlist" "userlist"
    My report now looks like this:
    FULLNAME          LOGIN          ALT. USER
    Jones, Sam        SJONES         2002
    Smith, Barney     BSMITH         2068
    (etc.)
    I have a Formula Field that concat's the <lname>", "<fname> for the first col, then uses the username value for that user for the second col, then the altuser value for that user for the third col. The thing I'm trying to do is resolve the ALT. USER data (which is a key value for the userlist file) into the LOGIN value for that user, so the report would end up looking like:
    FULLNAME          LOGIN          ALT. USER
    Jones, Sam        SJONES        KBROWN
    Smith, Barney     BSMITH        FROGERS
    (etc.)
    where the record with key "2002" has the username value "KBROWN", etc. (they are other user records in the same userlist file.)

    According to your description, you want to get the total number on each row. Right?
    In Reporting Service, we can use RunningValue function to do aggregation calculating for each row. Put expression: =RunningValue(Fields!Sales.Value,sum,”Group2”) into the last column (Group2 between “” is the parent group of detail rows).

  • How make seletion from formula field

    Hi experts,
    I have a formula: "SUMGT Bid Price", for example, and this Bid Price is a seletion: "0FISCPER" with variable exit and Key Figure Bid Price. So, my formula will show for all lines of the query the sum of values for Bid Price for period in 0FISCPER.
    Then, i want to show this information (the formula) only one line (the first one). But, it's impossible to make a seletion from formula field and it's impossible to make a calculate key figure with "SUMGT" too.
    Any tips?

               if you need any kind calculcation on number or any any kind of operaion on String you can use formula..
              Right click on it and select "NEW" -->Enter the name of formula
              -->Enter the formula
              Quantity * prize for Total
                  or
              {VEN_CUS_01_csv.Material}+ "-" + {VEN_CUS_01_csv.Matl type} for concatenating two String

    First, I create a new Running Total Fields

    Second, I create a formula as following

    Instead of running total use can try this formula.
    Place this formula in the details section.
    whileprintingrecords;
    numbervar jpsum;
    if =111 then
    jpsum:=jpsum +
    else 0;
    You can modify this formula as per your requirement.

    In order to create a running total you need to have absolute clarity on the following:
    (i)Whether the running total be set on change of field/record/group.
    (ii)Whether the running total be set on change of record/group OR never.
    Make the appropriate choice.
    Apply this to the field to summarize and type of summary in Running Total Pane.

  • Crystal reports - charting a variable to simulate a running total

    I have 2 sets of data as below :
    units
    costs
    What I am trying to do is generate a chart that for each month, reports the result of the formula
    sum of costs to date / sum of units to date
    Ideally, I would create 2 running totals
    RT costs
    RT units
    then a formula avg. cost to date = RT costs/ RT units
    and then for each month (x axis of the chart) plot avg/ cost to date
    BUT - crystal won't plot a data set based on running totals.
    So, I created a field with a psudo running total
    i.e.
    whileprintingrecords;
    numbervar unitsum;
    unitsum:=unitsum+units
    and similar for the costs.  Variable called costsum.
    Then a variable field
    whileprintingrecords;
    numbervar results;
    results:=costsum/unitsum
    So I though I could then plot the field with the variable results in it in the chart.  But no, I cannot see the field name in the data select list.
    Please advise how I can create my chart.

    With the best will in the world, I realise that charting does not like running totals,  What I am looking for is a workaround, or clever way of circumventing the problem.
    Before posting I did extensively search the forum and saw the link that DebiHerbert has suggested, and it is of no help at all.

    I have created a field (called "Shortage") that is the result of subtracting two running totals and have inserted all three fields into the group footer.  I only want to select those records that have a negative value as a result, but the field is not shown in the Select Expert.  None of my formula fields show up in the Select Expert for some reason (normally they do).  Does anyone know why and how can I select these records only?  Thanks.

    Running Totals are only available once the records are being read and processed.  You are calculating the difference between two Running Totals and then want to use that to select records?  I don't think that is possible.  One way of accomplishing the display of groups which have a negative value is to use sum functions instead of the running totals and then in group selection criteria, display only those groups which have a negative value as a result of subtracting the two sums.

    Whoops I guess I should have mentioned that I've already tried using Sum and Round(Running Total, 2) and haven't had any luck.
    I also should have mentioned that Groupings 1 and 2 are sums, and that Running Total is a running total that changes on every change of the grouping.  There are 4 groupings.
    Grouping 1 (Employee Name)
    Grouping 1.1 (Shift)
    Grouping 1.2.1 (Payroll Department Code)
    Grouping 1.2.1.1 (Description)
    Below these 4 groupings is where the running total is.  The issue is that in the footer of grouping 1 is a field that sums the elapsed hours for the particular employee by each payroll department code, these are then summed using the running total.  The issue is as stated in the earler post that I can round these individual sums on the groupings, but I get the number on my running total to round differently as you can see by the earlier post's example.

  • Problems with running totals

    I'm having some trouble getting the correct number when a drive has multiple incentives associated with the drive.  And to explain as fully as I can, every drive has a projecture procedure count and when complete, a performed procedure count associated with the drive.  And when a drive has an incentive assigned to it, I would like to count the drive's projected and performed procedure count to the incentive count.  In the screen shot, there are five drives with four each having one incentive to the drive. The incentive count in which only one incentive is assigned to one drive is correct, but the Fandango pre-drive and post-drive counts are off because it is not counting the 12 and 15 that were collected on the bottom drive.
    For my running total, I am summing the ProceduresPerformed field, evaluating on the change of field of DriveID (each drive) and reseting on the change of field for EquipmentID (each incentive has its own unique ID).
    What would be the best way to handle drives with multiple incentives to get the correct count?

    Let me see if I can explain more clearly to help you understand.
    I think the most important thing is that each drive is unique and will have one projected procedure number and one performed procedure number.  But each drive may have multiple incentives assigned to each drive. Where I run into trouble is when I have more than one incentive on a drive.
    I'll try to illustrate below:

    So if an incentive is assigned to a drive, I would like to have all of the projected and performed numbers summarized that the particular incentive appears on.  Hopefully this makes sense.
    And one last screen shot here of a query I ran against the database to illustrate how a drive can have multiple incentives on the drive.

    I haven't tested this but is should look something like this(VB.NET code)
    Dim mainreport As CrystalDecisions.CrystalReports.Engine.ReportDocument
    Dim subreport As CrystalDecisions.CrystalReports.Engine.ReportDocument
    Dim formulaField as FormulaFieldDefinition
    subreport = mainreport.Subreports(SUBREPORTNAME) ' Or index
    formulaField = subreport.DataDefinition.FormulaFields(INDEX OR Formula Field name)
