Script to merge data from Numbers into Pages document, export as PDF and send via email

Hi,
I am wondering if it would be possible to achieve the following with an applescript:
1. Merge Names from Numbers into a multi-page Pages document.
2. Export each page of the resulting document as a PDF
3. Attach each of these PDFs to an email with specific text in the body of the email, setting the subject, the 'from' email address, as well as the 'to' email address from a field in the Numbers document.
4. Optionally send the emails automatically.
I would be glad to know if this is possible before I embark on trying to write such a script, and for any advice/script that would help me on my way.

Thanks Bernard.  Sorry if my original post wasn't that clear.  I think you've pretty much got it in your paragraph starting "So, I think you're asking for", but will explain more in the hope that it will be clearer:
I have a Numbers table with 2 columns: Name and Email.  I have say 50 people in this table and I need to email each person a version of a one page Pages document which would be identical except for their name.
The Name field is the only field that needs to be merged into the Pages document (one time only).
Once the merging has taken place the versions of the one page Pages document need to be exported as a PDF and attached to emails, one email from each person in the table in the Numbers document, with each email going to the email address corresponding to the name in the Numbers document.
The text in the email would be identical except for the name again.  The text for the email body, subject as well as the 'from' field would be contained in the script (i.e. generated by the script).
It would also be good to have the option of sending the emails automatically or manually, so that I could check that the emails that are generated are correct before sending.
I hope that's clearer!

    Which email provider are you using? There are different solutions possible for different providers. Yahoo is having trouble with attachments, outside of any Firefox issue. I've seen a Google user fix this by manually adding the mail URL to their ad block program- which mistakenly perceived the webmail page as an advertisement.

    You are talking about Mail Merge.
    Pages '09 did this with data from Numbers and from Address Book/Contents.
    Apple removed this from Pages along with over 100 other features, but in Pages 5.5.1 it has now become possible to work around the limitation with some AppleScripting. So Apple has done what Apple does best these days, it takes something that was relatively simple and worked and turns into something complicated if not impossible, usually undocumented, and says they have simplified it.
    Frankly it is not worth the time it takes trying to fix everything that is broken, there is just too much and it is constantly being reshuffled by Apple. Just stick with what you know or use LibreOffice [free] which has all this built in.

    Probably because it is a smart object connected back to the Numbers document.
    If you want it purely as a graphic, try copying the chart in Numbers switching to Preview.app and going command n which will make it a pdf file, then copy that and paste that into Pages. But it will no longer be a live chart.

    I've come across a strange problem, and I'm sure I'm missing some simple trick.
    I have created a chart in Numbers, it looks nice, and crisper than the equivalent Excel diagram. However, when I paste it into Pages, I can't resize it! It seems to preserve the fonts that I specified in Numbers, and so it doesn't become smaller. And I can't see any way of reducing the font size in this chart. And it doesn't resize nicely when I drag the box corner in Numbers.
    The thing is, it's really quite straightforward to create a chart in Excel, and then copy it into Pages, and it resizes and everything with no problems.
    Can anyone give me some pointers as to what I should be doing, please? I'm using the 09 versions.

    I suggest you experiment.
    It sounds as if you will be satisfied with a simple graphic version of the chart, however I tested my recommendation and there are bugs in what gets saved, some of the text of the labels is lost and the legend gets rearranged.
    It may be necessary to print the entire Numbers sheet to .pdf and crop that down to the graph.
    The 2nd method of copying over the actual chart to Pages works quite well and the data appears in the linked data in Pages. Just make sure to create the linkage from Numbers to first save the Numbers document before copying and pasting the chart into Pages.
    A black tag will appear on the chart when you select it. The circled arrows in the tag allow you to update the chart from updated (and saved) data in the original Numbers chart. There is also an option in the tag to unlink the chart and make it solely a Pages chart.
    As to text not resizing in Pages, this is generally so in grouped objects. Pages will resize all the graphical parts of a grouped set of objects but keep the fonts at the same point size. This can either be a good or bad thing depending on your viewpoint. Personally my view is that everything should scale as expected.
    In a live chart you can click on each part including the fonts and change their appearance and formatting directly, using the usual methods.

    I am trying to insert a picture from a file into Pages using Applescript, i.e. I am trying to do via script the same thing as the Menu command " Insert" followed by "Choose...".
    I have tried the following Applescript and variants of it but it does not work:

    I am using Pages, 5.2.2., on a MacBook Air, system 10.9.5., and I have a formatting question. I am making a small brochure, and it seems like in some places for reasons unknown, when I have a return, there's a small black-filled rectangle, about the size of one letter, with a small white circle inside of it appearing. I want to get rid of that little symbol. I keep trying to press delete, but then I lose my return/spacing. (Can you tell I'm a brute beginner?) Help! And thanks!

    It sounds like you are using a Chinese font.
    Use something else eg Times or Helvetica or any European font.
    If the character disappears, its the font.

  • How can I import diagramms and tables from numbers to pages?

    I'm writing an essay, where I need diagramms and tables in it. I created some cool stuff in numbers and wanted to transfer it to pages. I thought it would be easier, but I don't have a clue how to just import the numbers stuff to my essay in pages. So I tried to copy it, but it looks not that way it looked in numbers. Another problem is: I can't layout the diagramms and tables the way I want (centered) and I need to write a description under it. I tried it with Textbox, but then I just can't group the textbox with the Table.
    Somebody with an idea?

    To get your data from Numbers into Pages is just a simple matter of copying and pasting. Select the cells you want to place in Pages, copy, and then past into Pages. There are a couple caveats. 1) the table you paste into Pages will be pasted inline. You'll probably want to use the wrap Inspector and change it to floating. 2) if the table is too wide you'll have to get creative about how you arrange the data and 3) Numbers lets you insert check boxes, sliders, steppers, and popup menus and these won't show but the data in the cells will.
    The charts will also copy and paste - again, you'll probably want to use the wrap inspector to switch them to floating objects. Having made the chart object(s) floating objects, you should have no trouble inserting your text box description, arranging them the way you want, and then grouping.
    Just to make sure it worked the way I remembered, I just threw together a quick table and chart in Numbers and then copy/pasted it all into Pages.

  • Merging data from 2 schemas with same object structure into one schema

    I want to merge data from 2 schemas in different environments ( say test1 and test 2) into 1 schema ( say Test_final) for testing. Both these schemas are having same structure, the data can be same or different.
    What I did is that I took an export of schema on Test1 and then import it into Test_final. Now I need to merge/append data from Test2 into Test_final.
    I can not merge the data with import due to primary key constraints and also import doesnt support this feature, so I tried SQL*Loader to "append" the data by using sequence to generate Primary key.
    But my worries are that since new primary keys are generated so foreign keys will become invalidated and the data will not be consistent.
    Is there any other way to do this task..

    /...assuming duplicate primary keys mean duplicate records. If that assumption is not the case then you have a more complex data migration exercise on your hands and you need to figure out some rules to determine which version of the data takes precedence.

    I am attempting to create a technical manual which includes both 8.5x11 pages (portrait orientation) and larger B and C sized PDF drawings (landscape orientation). My current process is exporting a finished Pages document to a PDF, and then manually dragging in the other drawing PDFs to create the final version. However, as both drawings and text regularly change, there is a great deal of effort to manually assemble a final doc. Plus, the TOC and other auto-updating fields in the Pages document change as new text is added, so page numbering the final PDF is a nightmare - it is presently done in Acrobat Pro.
    Any suggestions on how to make the complete manual do the following:
    1) remain in an easily editable Pages format conducive to regular updates?
    2) allow for automatic updating of pages, fields, TOC, etc. as new text and/or drawings are added?
    3) keep PDF drawings in vector format so they can be zoomed on-screen without becoming pixelated?

    In the past, Apple has system level support for portrait and landscape in one pagination. This system level support was in the graphics model, and was implemented e.g. in WordPerfect for Mac.
    Presently, the situation is as you describe, first, the main pagination is output to PDF and, second, supplementary pages are inserted manually into the main pagination.
    Off the cuff, I do not know if similar system level support is available in Mac OS X which is based on a somewhat different graphics model.
    As I understand it, what you want is possible at application level in Microsoft Word, although I don't have experience with that application.
    I would not know how to do what you want in QuarkXPress or InDesign in the versions I have. These applications using internal graphics implementations and bypass system level services on Mac OS X and Windows.

    Microsoft Word was introduced for Macintosh in 1984. The file format of Microsoft Word is application-dependent, that is, both the author and the audience must acquire the selfsame application in order to see shared files. This is true also of Aldus PageMaker (introduced 1985), QuarkXPress (introduced 1987) and any of a very, very long list of file formats specific to one and only one application.
    It became clear to all concerned in 1989-1990 that problems would be produced by interchange of digital documents, if there were no conversion from application-dependent archival file formats into application-independent archival file formats. It also became clear to all concerned that there would be two kinds of application-independent archival file formats.
    When laser imaging was introduced, developers of laser imaging systems for photographic preparation of the printing surface introduced preparatory-phase page markup languages which are content-oriented and production-phase page description languages which are appearance-oriented. Initially, both were tied to the make and model of laser imaging system.
    Page markup languages for a make and model of laser imaging system (essentially the command syntax for the laser imagesetter) meant that if you coded/tagged for one make and model of laser imagesetter, you could not repurpose what you had coded/tagged for another make and model of laser imagesetter. Clearly, this was uneconomical.
    This realisation led to SGML Standard Generalised Markup Language under the governance of the International Standards Organisation. SGML is not perfect, among other things it can let you have what are essentially private characters and if porous memory serves it can let you have several coded character sets simultaneously which is undesirable in a content-oriented format.
    The same sort of problem was posed by page description languages the first of which was the command syntax for the raster image processor that ran the Monotype Lasercomp introduced in 1976. Page description languages introduce an x-y coordinate design space that is mapped onto an x-y coordinate user space which is the address space of the raster image processor.
    Page descriptions that depended on the command syntax for a make and model of laser imagesetter posed problems for portability and page description languages under corporate governance clustered around the companies in the United States that targetted the market for graphic information processing commonly called desktop publishing.
    Hewlett-Packard Printer Command Language was introduced into this market in May 1984 when the Hewlett-Packard LaserJet made it to market, driving a wedge between the IBM Personal Computer and the IBM line of non-impact printers. Xerox Interpress made it from the laboratory into the market with the initial documentation of the model in 1985.
    Adobe PostScript and Xerox Interpress are along almost all dimensions the same model, developed by some of the same people. Adobe PostScript made it to market through a contract entered into in late 1984 between CEO Steven Jobs of Apple Computer, CEO Dr Wolfgang K u m m e r of Linotype, and CEO Dr John Warnock of Adobe Systems.
    Adobe PostScript and Xerox Interpress both support multiple coded character sets simultaneously, although Xerox Interpress favours XCCS Xerox Coded Character Set which is the conceptual precursor of Unicode. Xerox Interpress in addition has a default metric coordinate system and strict page-independent structure that Adobe PostScript does not have.
    At the Seybold Conference on Computer Publishing in September 1989, Dr John Warnock stated that the aim was to be able to send a page description around the world. In order to do this, first, the page-dependent structuring of Adobe PostScript had to be converted into a page-indendent structuring principle suited for drawing pages in any order on the digital graphic display.
    But neither Adobe PostScript nor Xerox Interpress, being appearance-oriented page descriptions, had a strong concept of a standard coded character set that structured the imaging process. Adobe PostScript is in fact a strategy to overcome drawing on a digital device with small coded character sets containing incompatible constituencies of character codes.
    The Adobe PostScript rasteriser deals with glyph names and not with character codes and some sort of solution had to be sought so that source character information could be synthesised in converting page-dependent PostScript into the page-independent page description model of what in June 1993 was introduced as Portable Document Format version 1.0.
    This solution is to try to use font-independent glyph identifiers as glyph names so that the conversion from Adobe PostScript to Adobe Portable Document Format carries forward a clue about the source character information. There is no concept in PDF of page text, as if the source character information were contained in the page description.
    This is the core of the commercial conflict between Adobe Systems which is trying to preserve its market share for the Adobe Portable Document Format, and to introduce Adobe PDFXML as a more serviceable and more sustainable solution for computerised full phrase cataloguing, and on the other hand Microsoft XPS XML Paper Specification which does indeed have a concept of page text for computerised full phrase cataloguing.

  • Can I have data from Numbers automated to embed to Pages template?

    I am creating both a database and a document resource for a large archival project. I would like to know if there is a means to enter the data into a spread sheet in Numbers and them import each of the cells into a separate window in Pages.
    For example, I would have cells for contact info. Could I automate a Pages template to import that data into a window?
    The Pages documents would be a newsletter design to present the data of each person as a visually accessible version of the data.
    Some of the data would be:
    Current contact info.
    years at a location
    yes/no answers to some basic questions.
    etc.
    Other items in the Pages document would be imported directly - ie photos, etc.

    That is called a merge.
    Pages can merge data from both Numbers' tables and from AddressBook.
    Of the two AddressBook is usually less difficult, but obviously has less ability to create custom fields.
    You create the merge fields inside Pages with Menu > Insert > Merge Field > select which data and then use the Link Inspector to tell it which Application, document and what fields to merge from.
    You can not merge images and Pages merges will not do multiple merges per page eg if you have a set of data for Tom Jones and another for John Smith Pages will generate separate pages for each.
    You can have multiple references to Tom Jones on the same page, but not to both Tom Jones and John Smith. There are ways around this but it is a bit clumsy.
