Sharepoint 2013 - Group task assignment from a workflow

I have designed a workflow, that can be started manually on a folder in SharePoint documents on a team site.
I would like the workflow to start, assign a task to a SharePoint group, and then have that task show up in the members of that groups Outlook.
I am able to assign tasks to a single user and have the task show up in an outlook task list.
However, when assigning to a SharePoint group, the tasks do not seem to show up in the outlook task lists.
Is this an impossibility, or is there a way to make this work?
Thanks,
Products in Use:
SharePoint Designer 2013
Visio 2013
(If needed I have visual studio, but would rather avoid it if possible. I am a programmer, but new to visual studio)

Hi Brandon,
If you are using “Start a task process” in workflow, please make sure that the “ExpandGroup” is Set to yes. Then the task will be generated for every member in the group. Please check if the task has been generated with members.
Here are some settings you should ensure:
All members have mailbox enabled in Exchange side.
The setting for “task show up in an Outlook task list” is the same for all members.
If it still doesn’t work, try it on SharePoint 2010 workflow. And also provide more information about your workflow and settings.

  • Some users getting 2 task notifications from SPD workflow

    Hi,
I have created a SPDesigner Workflow in SharePoint 2013 Ent, using the SP2010 workflow engine as it is a fairly simple process.
The odd thing is that for one particular user, when a Task is assigned, she gets 2 notification emails:
    email1:
"Task Assigned by xxx on 19/02/2014"
You do not have the required permission to view this Task
    1. Request Access
    2. Review you task for specific details about this request
    3. Perform the specific activities required for this Task
    4. Use the Open this task button to mark the task as completed.
    email2:
"Task Assigned by xxx on 19/02/2014"
    To complete this Task
    1. Review Kxxx.pdf
    2. Perform the specific activities required for this Task
    3. Use the Open this task button to mark the task as completed. (If you cannot update this task, you might not have access to it. Click here to request access).
    Why 2 emails??
(the permissions issue I will tackle, it is a secured site).
    Ruth, UK

Thanks for your suggestion regarding the security Ramakrishnaraja.
The ongoing site re-organisation is now complete and we have resolved the security issue.
(All users need to have Read access at the site level, as there are a number of hidden lists involved in a SharePoint Designer Workflow, such as a hidden Workflows list where the .xsn workflow forms re stored).
Sadly however, it looks like the problem in the original question I posted is still happening.
ie. some users are getting 2 emails when a task is assigned.
If anyone knows why duplicate emails might be sent (only to some users!), do let me know.
    Many Thanks

  • SharePoint 2013 Server OS upgrade from Windows 2008 R2 to Windows 2012 R2

Is it possible to have SharePoint 2013 farm to have mixed version of OS (Windows 2008 R2 and Windows 2012 R2).
We have a request to upgrade our farm servers from WIN 2008 R2 to Win 2012 R2. We have 5 servers in farm -
2 App servers - running with Central Admin, Service Applications, User Profile
3 Web Front End Servers- running web application, search and workflow manager
the database layer is separate on sql 2012 R2
We want to upgrade OS from windows 2008 R2 to windows 2012 R2 and SQL to SQL 2014.
What will be right approach to do OS upgrade in above scenario to minimize the impact of downtime.
May be add windows 2012 based servers in farm one by one and replace the windows 2008 R2 based servers from server.
    Regards,
    Kunal Abrol

Its possible, but I wouldn't recommend it.  The problem is that you can only install SharePoint 20103 on Windows Server 2012 r2 using the slipstreamed SP1 version.  I assume that you used the regular version to install on you Server 2008 r2 versions.
Even if you upgrade those servers to SP1 there are some minor differences in the builds between slipstreamed SP1 and upgraded SP1.  So although it will work it isn't recommended.
Also, you should be aware the upgrade of inplace SharePoint servers running Windows 2008 r2 to Windows 2012 r2 is not supported.
To upgrade to server 2012 you'll need to add 2012 servers to your environment using the slipstreamed version os SharePoint and then remove the old server 2008 r2 servers as soon as possible.  For the period of the upgrade you should be able to get away
with running the farm in a mixed state.

  • SharePoint 2013 - consuming service applications from a 2010 farm?

    Hi all,
This question relates to both SharePoint 2010 and SharePoint 2013. Does anyone know whether it is possible/supported for a SharePoint 2013 farm to consume service applications from a 2010 farm (search/UPS etc. via SA publishing)?
There’s obviously plenty of documentation explaining how this would work the other way around (2010 farm consuming SA’s from a 2013 farm). Unfortunately, I haven’t found that much info on the scenario I’ve described above.
    Many thanks
    Matt

I don't know that it won't work, but in the article dealing with upgrades MS specifically recommends upgrading Services Farms first when upgrading mixed installs.  So you should be able to share a 2013 service with a 2010 farm, but not the other way
around.  You can read about it here:

  • Using SharePoint (2013) groups in SSRS

We had a report deployed in SharePoint 2007 that identified which SharePoint Group the user was in and used this in a parameter in the report. This used the method suggested in this question: http://social.technet.microsoft.com/Forums/sqlserver/en-US/c6ce0af7-2467-4ed8-8833-9bad438a28ad/how-to-get-sharepoint-group-in-ssrs?forum=sqlreportingservices
Following an upgrade to SharePoint 2013, this no longer functions. The error refers to the specific dataset using the query suggested and returns a 'Soap Fault: The remote server returned an error: (500) Internal Server Error'.
I would guess that I need to direct the <SoapAction> to look in another location, but I can't see any obvious location to look in.
Suggestions for the correct location, or other solution, would be helpful.
    Thanks

    Hi,
According to your post, my understanding is that you wanted to use SharePoint 2013 hosted in Office 365 to power Portal Authentication-type experience.
Per my knowleadge, configuring SSO helps you to enforce your organization's password policies and account restrictions in both your on-premises directory and your Office 365 directory.

  • Formatting issues in sharepoint 2013 when copy/paste from word document

    Hi,
When we copy/paste content(rich text, tables, styles) from a word document to SharePoint site whole formatting is messed up.
is this the limitation of SharePoint 2013?
    Thanks,
    Shiva.

    Hi Shiva,
Some styles for font of rich text aren't be kept when I copy the content from Word 2013 and paste into a wiki page from SharePoint 2010/2013(even SharePoint 2007 like this
post) site as same as yours, it looks like a limitation.
As a workaround, we can publish the Word content as a Blog article in SharePoint site, then copy the content from the blog page to the needed SharePoint page, it will keep the rich text content format, you can have a try.

    Hi,
For your issue, you can customize the layout for the discussion board new form with content editor web part.
For more information, you can refer to the blog:

Actually in my opinion, the new file upload behavior in SharePoint 2013 is great. As we can click in the body and upload files via the ribbon INSERT tab.The
new 2013 discussion board allow attachments to be stored in any document libraries besides the default Site Asset library.

i couldn't make any of the solutions work to fix my task sync errors.
any one help me with some insight into this? and ideally the original error i was getting
    many thanks
    BPDZenith

The error message you are getting would suggest that you don't have Exchange 2013.  The default task sync only works with Exchange 2013.  But there is a farm level feature that can be turned off to go back to syncing tasks the way it worked with
Exchange 2010.  Then you can go to a particular task list and use the "Connect to Outlook" button in the ribbon to sync that list with Outlook.

  • 2013 - Getting Task assignment emails to work SOLUTION

The option for having SP send emails when a task is assign keeps being removed and added back by Microsoft - currently its gone.
You can get it back by iterating through the site and enabling the
    EnableAssignToEmail
This used to work but not anymore:
    $web = Get-SPWeb "https://Your Site.com/"
    $list = $web.Lists.TryGetList("Tasks")
    $list.EnableAssignToEmail = $true
    $list.Update()
You have to do this after each Task List you create
It only took me 3 months to figure this out...

  • How to create a bc model for sharepoint 2013 that consume data from two Sql tables?

    Hi everyone!!!
I have created several external contents using SQL Server databases as datasource. The thing is every time I created one, only consume one table and define operations for that table. I would need to create an external content that can contain the
information of two tables. I tried to export the bdc model and type the query using left joins but nothing happens...I did it in that way for sharepoint 2007 and works!!!
I know if a create a view in the database I can have the data that I want and I can create the external content using the view. But the thing is I don't have access to the database for creating anything, just read it.
can anybody can help me, please?
    Thanks.

Please follow this article to write SSRS reports with data source as SharePoint list/calendars etc. All document libraries, list and calendars are derived from base list class so you can use any of this type as a data source
    http://www.mssqltips.com/sqlservertip/2068/using-a-sharepoint-list-as-a-data-source-in-sql-server-reporting-services-2008-r2/
Once your SSRS report is developed, you have multiple ways to show it in SharePoint
    - upload to SSRS server and show in sharepoint in a page viewer web part or simply open it as a link in new window
    - configure SharePoint environment with integration to SSRS and upload report to SharePoint library. Display report in a web part page using SSRS web part.

Is there a mechanism/ guide /best practice approach for this?
Any help/guide would be greatly appreciated.
    Many Thanks & regards
    Vinay

    Hi Vinay,
    Thanks for posting your issue, Moving stuff from environment to environment will depending on your stuff;
Content, like list items and documents, can't be easily moved. They can be moved with 3rd party solutions, or custom code. You can do it with a C# solution or even using PowerShell.
Stuff like lists, libraries, master pages, CSS, etc. should be packaged in a solution file, either sand box or farm solution. This solution file can contain all of the assets you require, and then it can be deployed into a new environment, which then provisions
all the stuff you need (it could also load up test/sample data if needed)
Another nice solution, if you're working with a brand new site, is to back it up and restore it into another environment. That helps get the bulk of the stuff copied over, and then you can use one of the above methods for continuing updates.
Also, check out below mentioned URL to move content from on environment to another environment

  • Send Email to SharePoint 2013 Group

    Hi,
When we shared a file in a Document Library to a single user or Active directory list , the user receives the notification email successfully, but when we did the same for a SharePoint Group none of the users receive the notification.
Does SharePoint supports this option, if not, any workaround is available?
Please advice on this. Thank you!!!

    Yes, there is
special configuration for the OU. For one, depending on the
approval setting you have for DLs in Central Administration, you may need to approve it there. Secondly, your Timer Service account must have the ability to create Active Directory Groups in the specified OU.
