Smart mailboxes containing sent messages?

is there a way to enable a smart mailbox to contain sent and received messages? i would like to organize email conversations by viewing both ends of the dialog in the same mailbox. i've see it work this way in other applications like FirstClass.

There is a very easy way to do this, it is all about how you create the mailbox.
There should be a checkbox for "Include messages from Sent", if you check this it will include message from the sent mailbox.
You are also able to make multiple "rules" so you can have one be if I sent a message to 'Bob' or something similar.

  • How to reveal/open mailbox containing selected message in search results?

    A user is trying to find a message. She searches for the sender's email address and she sees the message in the search results and it is listed as being in a mailbox named "Prism". She browses through her list of mailboxes (local and on the server) and see no such mailbox. She opens Get Info and sees that mailbox is listed as containing 53 messages, yet selecting it and clicking on the Show Messages buttons generates an empty window and the error "No Mailbox Selected".
    I had her rebuild her In mailbox on the chance that the missing folder was a child of the In box (I've seen her do that before). I have on more than one occasion watched someone delete mailboxes that are the child of the In box and when they deleted the second-to-last one the last mailbox also disappears. In those cases the disappearing mailbox has always been empty so it wasn't a big issue. I'm wondering if this is how the "Prism" mailbox disappeared.
    I seem to recall that there is a keyboard shortcut that would open the parent mailbox of a selected email in a search results listing but I can't seem to find that shortcut. Anyone know if there is such a thing? And anyone have any other ideas how to find the missing mailbox?

    if the search was done from within Mail, looking into "all folders" and you see the message, open that message in the Find results window and top right you will see a link to open the email in its original mailbox.
    Now if you do that, the left column should show where the mailbox is.

  • Smart mailbox for Unread messages doesn't update automatically.

    Hello everyone.
    I've set up a smart mailbox in Mail to show only my unread messages.  But, it doesn't update automatically in that when I read a message, that message remains visible in the list until I leave and then return to the "Unread Messages" smart mailbox.
    Any thoughts as to how I can get it to update automatically?

    Thanks for the note, Jeffrey and trust me when I say I'm a die-hard Apple believer.  But, at work I support Windows machines and Outlook has views to show only unread messages.  As soon as a messages is read and we move on to the next messages, the read message drops out of the list.  This is what I'm look for so that I can apply it to the few Macs I also support at work.
    What Apple's Mail gives us is good, but what we were hoping was to have the smart mailbox work the same way that Outlook's feature does.  However, I still much prefer working with Mail rather than with Outlook.  So, we will adjust.

  • Smart mailbox sometimes showing messages that don't belong there

    Occasionally my Smart mailbox will contain a couple of mails that don't match the rules, along with everything else that should be there. If I select another mailbox and then reselect the Smart mailbox in question it then shows the correct mails.
    Usually this seems to happen when my laptop is awoken from sleep or mail is first loaded, but it has happened from just selecting the mailbox. The misplaced e-mails almost always seem to be unread mails from another mailbox which throws my unread count on this smart mailbox.
    I have tried rebuilding my mail index and this hasn't helped.
    Any ideas/solutions gratefully appreciated?

  • Smart Mailbox Does Not Update Sent Items Automatically?

    i use mail to send out proposals to clients that always have the word 'proposal' in the subject and always contain an attachment (pdf).
    i set up a smart mailbox called 'sent proposals' so that i can easily view a list of proposals that i have sent out.
    the criteria for the smart mailbox is:
    -match all of the following conditions
    -subject contains 'proposal'
    -contains attachments
    -from contains my@emailaddress (i have multiple accounts...)
    -include messages from sent
    the problem i am having is that the messages are not automaticlly displayed after i send them. for instance, i sent a proposal out yesterday and it still not displayed in the smart mailbox as of today even though i have opened and quit mail 10 times and have restarted my computer.
    the only way i can get it to show up is by going into the sent folder and opening the original message. if i do that, the smart mailbox suddenly gets updated and then displays the message from that point forward. unfortunately, this defeats the purpose of the smart mailbox.....
    any ideas?

    an interesing development...
    i created a new smart folder called 'sent proposals 2' and set the criteria to:
    match all conditions
    subject contains 'proposal'
    include messages from sent
    then i sent another test message with an attachment with the subject 'test proposal'.
    the email shows up in the newly created 'sent proposals 2' smart mailbox but not in the original 'sent proposals'...
    i then edited the 'sent proposals 2' smart mailbox to include the 'contains attachments' and the test proposal email disappeared from the list.
    i then edited it so that the only criteria was 'contains attachments' and the test proposal email is still not showing up, although it seems like all my previous messages that contain attachments did show up.
    i guess that means that the problem is in the indexing of the emails with attachments. for some reason or another, mail.app will not index the criteria of having an attachment of sent messages unless they are opened (or displayed in the preview pane) after they are sent.
    can anyone duplicate this on their machine?
    just set up a smart mailbox with the criteria:
    contains attachments
    include sent
    send a message with an attachment to an external account (i used my gmail address) and see if it shows up in the smart mailbox. if it doesnt show up, go into the sent items and open the email, then look to see if it shows up in the smart mailbox.

  • Number of messages in Smart Mailbox

    A question & some relavent thoughts:
    In Mail, the number of Unread messages is shown the right of each mailbox.  But what are the total number messages?   Alternatively, how many Read messages are there?
    I have many folders.  I am trying to create separate mailboxes for each important (to me) Sender.  Then it would be possible to find out how many messages were in 1 Smart Mailbox not contained in any other Smart Mail Box by
    1. having a Smart Mailbox containing all mail, and
    2. specifying conditions: From ...  Does not contain ...   Sender
    3. for each Sender
    This would be very tedious if one receives mail from many senders.  However, if
    1. all senders belong to at least 1 Group,
    this might be onerous but at least feasible.
    If however,there were a Smart Mailbox condition:
    2. Group ...  Does not contain ...   Sender,
    then this would feasible witnout being too onerous.
    If anyone has any answers and/or suggestions,  I would be very happy to receive same!

    I have had the same problem as well and could not find any way of fixing it! Also when I changed the name of the folder the message count disappeared for a while and then seemed to come back later... very bizarre.
    Anyway, I may have found a solution after spending all afternoon searching the internet on macosxhints. [Link goes to the specific hint].
    I would advise making a complete back-up of your ~/Library/Mail folder before trying this, though. When I did this it seemed to re-import some messages and mark them as unread for some unknown reason. However, I went through and marked them all as 'read', and I have the same number of messages in each mailbox as I did before I tried this, so I can only assume that things are the same as before.
    One thing has changed, however! I no longer have a false number on the 'Flagged' messages smart mailbox! (Although if you have lots of messages marked as 'flagged' it may clear the flag - not sure).

  • Sent messages disappeared when I rebuild mailbox

    15 minutes ago, my SENT email box in MAIL contained sent messages from May 11, 2011 to date, but searches run on that box only would pull up emails from early December.
    I rebuilt the mailbox and now only sent emails from early December to-date appear.  Where did the other ones go?  How can I recover them?

    This has been covered before, but I can't find a post with the solution.
    Your Mail is stored in a folder called "Mail" inside your username/Library/ folder.
    First, make a copy of your username/Library/Preferences/com.apple.mail.plist and your usernam/Library/Mail folder. You can just put them on the desktop for now.

    If you delete your com.apple.mail.plist file, you will have to set up all of your accounts from scratch. Once that is done, it should see the folders inside of Mail.
    If that doesn't work,
    Go to your user/Library/ folder and drag the Mail folder out of that location to somewhere else.
    Start Mail and quit. It will create a new Mail folder. Copy the contents of your old mail folder into the new Mail folder.
    If all is fixed, you can delete the backup copies you made.

  • What is Behavior for Smart Mailbox message retention/deletion?

    When (how long) do Smart Mailboxes delete their mail? Mine seem to last only a day or a week. It's impossible to tell. I don't see anywhere that I can set the preference.

    Smart Mailboxes don't do anything to messages except list them. The messages must reside somewhere else. If the message is deleted from wherever it lives, or if it no longer satisfies the search criteria that define the Smart Mailbox, it will no longer appear. For example, suppose the Smart Mailbox specifies "unread" messages. Once the message has been read, it will not appear in that Smart Mailbox the next time it is opened.

  • How do I include sub-folders in a Smart Mailbox?

    I've set up a Smart Mailbox using the following rules (ALL) :
    1. Message is in Mailbox XXXX
    2. Subject contains YYYY
    3. Contains attachments
    But only 3 messages were found! I then realised that although I carefully selected a high-level mailbox (XXXX), it hasn't looked in the large and very complex set of sub-folders.
    Obviously, I don't want a smart mailbox for every sub-folder below XXXX. How do I force a Mail Smart Mailbox to look not only in a selected mailbox, but all its sub-folders too?

    Never mind. I worked it out for myself.
    Step 1. I created a new Smart Mailbox for any messages in mailbox XXXX, and all its lower level sub-folders, using the Match ANY rule.
    Message is in Mailbox XXXX
    Message is in Mailbox XXXX-AA
    Message is in Mailbox XXXX-BB
    Message is in Mailbox XXXX-BB-1
    (etc)
    Step 2. I then recreated the original Smart Mailbox (OP), but this time I stipulated
    1. Message is in Mailbox (new Smart Mailbox). Rules 2 and 3 were unchanged.
    It meant I had to create two Smart Mailboxes instead of one, and cost me ten minutes extra work, but it works. That's the main thing.

    hi folks!. i'm having this problem: Mail doesn't show any of the sent messages i wrote. The sent messages file is there in user/library/mail/pop acount/sent messages and contains a copy of every mail i've written. anybody knows what's wrong? I'll appreciate your help here. Cheers. Luciano

    Hi Luciano.
    The problem is probably that the mailbox has lost the .mbox suffix in the filesystem. Did you at some point try to manually remove that mailbox from the mailbox list?
    Please, report more accurately what you observe. Is the name of the mailbox really “sent messages” or is it “Sent Messages.mbox”? If the suffix is missing, quit Mail and rename the folder to Sent Messages.mbox. That should fix the problem.

    Are you using Mac Mail or internet based like Yahoo or GMail?
    If it's Mac Mail, with the Mail application open, from the Menu Bar click Mail/Preferences/Accounts/Mailbox Behaviors. You will see Drafts, Sent, Junk and Trash. Where it says Sent, do you have the button selected where it says: Store sent messages on the server. ???
    This from the Mac Mail Help Viewer:
    I can't find email messages stored on the mail server
    If you have an IMAP email account and you set the account preferences to store copies of messages (draft, sent, junk, or trash) on the IMAP mail server, you might experience situations in which your messages are not stored where you expected.
    When Mail attempts to store messages on the server, it looks for specific mailboxes, by name, in which to put the messages. If Mail doesn't find those mailboxes on the server, it tries to create them. If Mail can't create them on the server, it can't store the messages. For example, Mail looks on the server for a mailbox called Sent Messages in which to put the sent messages. If Mail can't find a Sent Messages mailbox on the server, it tries to create one. If it cannot, it doesn't save copies of messages you send. You might be able to address this issue if there is another mailbox on the IMAP server (for example, Sent Items) that contains the messages you're looking for. You can have Mail use that mailbox to store its sent messages. To do so, select that mailbox (listed under the account's name and icon) in the Mail viewer window, choose Mailbox > Use This Mailbox For and then choose Drafts, Junk, Sent, or Trash, as applicable. You can select any mailbox on your IMAP server to use to store draft, sent, junk, or deleted messages.
    If you change the account preferences to no longer store copies of messages on the mail server, you'll see that messages aren't where they used to be. To use sent messages as an example: If you were saving sent messages on the server and then change your settings to save those messages on your computer, the Sent mailbox will change to contain only messages stored on your computer; messages that were stored on the server will no longer appear in that mailbox. Instead, you'll see those messages are now located under the account's name and icon at the bottom of the list of mailboxes, in a mailbox called Sent Messages. Similarly, if you change from saving sent messages on your computer to saving them on the server, the Sent Messages mailbox will change to contain only messages stored on the server. You'll now see the messages that were saved on your computer in a mailbox called Sent Messages, followed by the account name in parentheses, such as Sent Messages (.Mac Account).

  • Mail.app : smart Mailbox misbehaves with condition "any"

    Weird problem I found out today.
    I created a Smart Mailbox to help me filtering messages to a certain company (for example : Apple)
    the condition in the Smart Mailbox is "entire message contains Apple"
    It works fine.
    I want to add a second criteria to group messages about a second company (for example : Mac)
    the conditions now look like : "contains messages that match ANY of the following conditions"
    entire message contains "Apple"
    entire message contains "Mac"
    It doesn't show any result at all !!!!
    Trying to do the filtering by changing "ANY" to "ALL" works correctly.
    What's wrong here ? Do I have a wrong perception of what "ANY" means ?

  • Smart Mailbox items to Folder

    Hi All,
    I have a smart mailbox that contains my Flagged Messages. I'd like to set up a rule where those messages are moved (or ideally copied) to a folder on the MobileMe servers. Is this possible? I don't really understand the whole backend thing. My goal is to be able to access my flagged messages on the go - iPhone, iPad - because those flagged emails don't show up as flagged.

    Jon,
    A Smart Mailbox contains nothing -- it is the resultant of a search list for messages of a certain criteria that are located in actual mailboxes. Where are the flagged messages in reality -- the Inbox, or otherwise. If they are already flagged as received, then use a Rule or two.

  • Mavericks Mail: Cannot exclude meeting.ics attachments from Smart Mailbox

    I'm trying to set up a smart mailbox in Mail (Mavericks 10.9.2) that searches for all email containing attachments, but excludes all meeting invitations (attachments with name = meeting.ics). Sounds simple, but I cannot figure out how to do it.
    I've got two filters in the smart mailbox:
    Contains Attachments
    Any attachment name > does not contain > meeting.ics
    Any ideas as to what I'm doing wrong and how to fix this?

    Tried all the fixes described.
    Mac User for >23 years.
    More than 30 Macs all types purchased
    Never had such a problem as with mail in mavericks.
    What a disaster!
    First time I have complained about an apple product.
    Fix this ASAP.

  • Smart Mailbox based on To-Do's

    I'm having a problem using the Smart Mailbox feature to automatically house all of my messages that I've turned into To-Do's. Here's what I've done . . .
    I set up a Smart Mailbox based on "Message has To-Do's". As emails come in that I need to turn into To-Do's, I set up the To-Do, but the message doesn't automatically move into the new Smart Folder for me, like I thought I would. Is this now how Smart Folders were intended to work? Does anyone know how to accomplish what I'm trying to do? Thanks! BJS

    Ahh. Wierd. I would say someone slipped up in the design process - at the very least you would expect them to have the same behaviour, even if it was not the behaviour you want. I would use OS X Feedback to tell Apple about it.
