Offline approval for line item based Shopping carts
Hi ,
We are planning to use offline approval and line item based approval (item based approval workflow) for shopping carts.
For e.g. 10 line items in a cart can have 10 different cost centres, and a line each need to go to respective cost centre managers for approval.
have few clarifications:
1. Can offline approval be used for item based shopping cart approval workflow?
2. Can different line items be sent by mail to different mail boxes?
3. Will 1 manager see all the 10 line items OR only the 1 line item for which he is responsible?
4. If he will get only line for which he is responsible , and once he clicks on approve , will this approval apply to his line item only , OR it will apply to all the 10 line items ?
Rgds
SumendraHi Sumedra,
Which workflow are you using - application or process contrlled workflow?
Assuming you are using process-controlled workflow - I will answer following questions -
1. Can offline approval be used for item based shopping cart approval workflow?
- Yes, it can be used !
2. Can different line items be sent by mail to different mail boxes?
Yes
3. Will 1 manager see all the 10 line items OR only the 1 line item for which he is responsible?
1 manager can 'see' all the items but he can only approve or reject the item that he is suppose to act on. All other item will be grayed out. However, this behaviour is configuarable !
4. If he will get only line for which he is responsible , and once he clicks on approve , will this approval apply to his line item only , OR it will apply to all the 10 line items ?
- see above

Hi,
We have a requirement to update a column value once the item has been approved.
Following settings have been made in the publishing articles list:
Require content approval for submitted items : yes
Create major and minor (draft) versions
Who should see draft items in this document library? :Only users who can edit items
Require documents to be checked out before they can be edited? : yes
I have createdatu a Sharepoint 2013 workflow to check if Approval sts of current item = 0 i.e. Approved , then check out and update the item and finally checkin the item. Everything works fine till this point except that the minor version of the item is
checked in. Due to this the updated columns are not published to others.
Also, I created a Sharepoint 2010 workflow to SET CONTENT APPROVAL = APPROVED and started this workflow from my list workflow above, but the item does not get checked-in and always shows "In Progress" status with comment "The item is currently
locked for editing. Waiting for item to be checked in or for the lock to be released.".
Please let me know where I am missing out so that once the item is approved, column value gets updated and current item is still in Approved status.
ThanksHi,
According to your post, my understanding is that you want to update Column value after current item is Approved and then publish major version using Sharepoint 2013 designer workflow.
You will get into this kind of Catch-22 situation trying to set the Content Approval Status in SharePoint Designer workflow:
- You must check out the document before you can change the Content Approval Status
- You can't change the Content Approval Status once the document in checked out
Since you set the Require documents to be checked out before they can be edited=Yes, you will need to check out the document when run the workflow on the item. But you cannot approve a document when it is checked
out. So the logic in workflow conflicts.
As a workaround, you can use the Start Another Workflow action to start the normal Approval workflow on the document. The built-in Approval workflow can work with a document that’s not checked out.
The designer approval workflow also can work with a document that’s not checked out.
You can create two workflow using SharePoint Designer 2013.
First, create a SharePoint 2010 platform workflow.
Then, create a SharePoint 2013 platform workflow.
Then when the SharePoint 2013 platform workflow start, it will start the SharePoint 2010 platform workflow to set content approval status, then the SharePoint 2013 platform workflow will update current item value.

Use Sharepint Approval Workflow to update column in list item
Good afternoon all,
I am working in SP / SPD 2007.
I have set up a standard SP Approval workflow for a new list I am working with.
The workflow assigns tasks to the approvers serially and works fine so far. It sends to the first approver. upon approval it sends to the second approver. Upon approval the workflow marks the workflow column in the "All Items" view as "Approved"
All is well to this point.
My question is this. Can I append an action to this workflow? I have a separate "Status" column. All new items are initially marked "Pending Approval".
I would like that column to be changed to "Approved" upon completion of the approval workflow. I need this separate column for audit purposes as it includes several other important statuses that we track thoughout a request lifecycle. I just want
to automate the updating of this column via the approval workflow.
Any thoughts?
Steve
Steve ConnellyHi Steve,
We can archive this simply in SharePoint 2010, but for SharePoint 2007, we can to create custom approval workflow.
Here are 2 workarounds for you.
Create a custom approval workflow with Visual Studio.

Use an InfoPath Form instead.

Which TCODE could be used to check the log of workflow
Hi
currently i used TCODE SWWL to check the log of workflow. is there any better ways?
ths.
BR.To check the log of a workflow; you can use transaction codes SWI1 (from the list - switch to log) andsee also other SWI* transactions for the other functionalities.
You can even switch to the workflow log from the respective application transactions provided there are already workflows executed for that...using business object services...
SWWL is to delete thr work items data but not for checking the logs.

Problem with approving standard workflows.
We are testing workflows in Content DB prior to initiating a larger project. We have defined a serial approval workflow for uploading a file to a folder. When a file is uploaded, the approver can see the request but is not given the possibility to approve or reject the request.
The approver has been granted "approval" role with standard permissions "Set Attributes, Set Metadata, Discover, Lock, Get Metadata, Get Content, Set Content, Copy".
What can be missing in our setup that blocks for approving in workflows?A few things to check:
1) That a message appears (briefly) on the outbound advanced queue (IFS_OUT) when the workflow is triggered. You can perform a "select * from ifs_out_table;" You need to be quick though.
However, if there is a build up of messages on the queue, but none are being removed, it would appear the Oracle Workflow process is not running.
2) If the message appears on the queue (briefly), then disappears, workflow is correctly dequeing the message.
In order for the approve/reject buttons to become visible in the Content DB Web UI, Oracle Workflow must repond on the inbound queue (IFS_IN) with seperate "notification" messages for each of the applicable responders.
If "orcladmin" was a responder for the worflow, a queue message may look like :-
IFS Queue Message Details:
Message Type: IFS_ECM_WORKFLOW_NID
IFS Queue Message Parameters:
IFS_ECM_WORKFLOW_PROCESSID=48799 (STRING)
IFS_ECM_WORKFLOW_RESPONDER=ORCLADMIN (STRING)
IFS_ECM_WORKFLOW_NID=3 (STRING)
You will thus need to monitor the inbound queue table (IFS_IN_TABLE) - and see if Worflow is responding to the request with these responder notifications.
If workflow is not returning notifications for each responder of the original request, then the Workflow process has failed / or is not running. You will need to check with the Oracle Workflow guys on how to debug workflow further.
If however, the notification messages are on the IFS_IN queue, but are not being removed, it means the Content DB agent responsible for processing inbound queue messages is not running.
The agent responsible for this is the InboundQueueListenerAgent. Check the Content DB node log file and search for entries relating to oracle.ifs.management.servers.InboundQueueListenerAgent
You will notice a table in the Content DB schema named odm_responder
SQL> desc odm_responder;
Name Null? Type
ID NOT NULL NUMBER(20)
REQUEST NUMBER(20)
RESPONDERUSER NUMBER(20)
RESPONSE NUMBER(1)
RESPONSEDATE NUMBER(20)
NOTIFICATIONID NUMBER(20)
For a particular responder to see approve/reject buttons for a particular request, I believe the notificationid value has to be non-null.
BTW - the message on the IFS_OUT queue will look something like :-
Q_NAME MSGID
CORRID
PRIORITY STATE
DELAY
EXPIRATION
TIME_MANAGER_INFO
LOCAL_ORDER_NO CHAIN_NO CSCN DSCN
ENQ_TIME
ENQ_UID ENQ_TID

IFSQUEUEMESSAGEPARAMETER('IFS_ECM_WORKFLOW_MINNOVOTES', '1', 'STRING'),
IFSQUEUEMESSAGEPARAMETER('IFS_ECM_WORKFLOW_PROCESSID', '43446', 'STRING')))
Workflow must return a notification id message for each person listed in the IFS_ECM_WORKFLOW_RESPONDERS queue parameter.
in the case above, the requesters are "ASLAM, CONTENTADMIN, ORCLADMIN"
Using the request id from above ..
SQL> select responderuser from content.odmv_responder where request = 43436;
RESPONDERUSER
38503
...etc
select name from odmv_publicobject where id = 38503
NAME
orcladmin
select notificationid from content.odmv_responder where request = 43591;
NOTIFICATIONID
notice the notificationid is NULL - meaning approve/reject buttons would not be visible

Hello All,
We are using FI Payment release workflow.
In Business workplace diffrent workitem create for diffrent release document.
Is it possible to Release all workitem at one strock?
Thanks
AmishaHello,
I came across your comments as I'm investigating use SAP workflow for one level of approval and both individual and mass approval need to be available with denial at an individual level only.
When you say "There is no (standard) solution to apply one approval result (e.g. "approved") to all workitems waiting"; can you advise if this is possible with customizing and how much customization would be involved?
Also we are still using SAP R/3 Release 4.6.C, is the multiple exectution feature possible in this release? Thanks in advance

R12 Sourcing Award Approval (PONAWAPR) Workflow Issue
Hi,
We are implementing R12.1.3 Financial and Procurement currently at client site.
We modified Sourcing Award Approval workflow to remove "Forward" button. Tested in various Instance, its working fine.
But recently we created another instance which is close to production architecture where we have database on 2 nodes with RAC architecture.
After migrating this workflow, notification on the application still shows the "Forward button" as per standard workflow definition.
When I checked from the Workflow Builder, it shows the modified workflow definition where there is no "Forward" attribute in the notification.
Below is the command used to upload the workflow:
WFLOAD apps/apps 0 Y FORCE SourcingAwardApproval_SIT_Modfd-4.wft
After migrating modified workflow definition, we bounced the DB server & Application server both but still Notification is not correct.
Please advice what could be the issue here.

Two level approval in workflows
Dear All,
I am making a workflow which trigger when the Maintenance Order get RELEASED, the functionality of the workflow is as follows :-
1. A recipient should get workflow in his/her SAP inbox for Approval or Rejection of maint. Order. release.
2. When he approves then the maint. Order should go to Second Recipient for firther Approval.
3. After the second approval the workflow Initiator get the main that his request has been approved.
4. At any point if the approver rejects his Request the application should get back to Workflow Initiator.
Now my first problem is that how can i make the logic for the two level approval.
What i have done is that i have taken one decision Step with the Outcomes
Approve
Reject
On the approve outcome i have added another Decision Step for second approval but htis is not working.
My Second Problem is how can i know that the request has been approved or not. Is there any status Field from where i can know that the request has been approved or not so that i can use condition step.
Please help as i m struck beacause of these two problems.
Thanks!!!!> On the approve outcome i have added another Decision Step for second approval but htis is not working.
>
Up until this point I was very happy with your explanation, it was thorough, and included the functional need. However, it is quite important to know <u>how</u> 'it is not working'. Are you getting an error when you try to activate the workflow? Is the workflow going to ERROR status during runtime after the first approver has approved? Is there perhaps an error message? Someone might recognize that error message and say 'yes, I had this problem once, and here's how you fix it'. -
Workflow - split approved and rejected items for next step
Hi! I have just started building a simple approval workflow for any price variation of the catalog items. I have a question in regards to the handling of rejection and approval of items. Say I run the workflow which does the validation and it spits out 4 items with huge price variation which requires approval by the manager (using the Approve stencil). The manager logs in, review the items and mark 3 items for approval and reject one. It seems that using this Approve function, I can only proceed to the next step if ALL of the items are approved. Is there a way to be able to release the approved items leaving the rejected one behind? This is so that we can release the approved item first (which also means to check in the items) and leave the rejected item in check-out mode.
Appreciate your comments on the above.
Thanks!
SFHi SF,
Yes there is a workaround for dealing with the Approved and Disapproved Records by using the Process step instead of the Approve step.
Kindly follow the Elearning session below which will explain you how to go about this:

SC in Awating Approval satus but No workflow item found
Hi Experts.
We are using SRM 5.0 and have found this strange problem where a SC is awaiting approval status but there is no workflow item generated when we check for the sc in bbp_pd.
We tried to check in swi1 for workflow item id for that particular but are not able to see this SC.
What could be the reason where the workflow is not started since in our case once the sc is created workflow gets started automtically in this case that has not happend.
we ran the clean_req_req_up job and bbp_get_status_2 for this sc but no help
Any help in this regards will be highly appreciated
Regards
VidyaHi Ricardo,
Thanks for your response As suggested we did check for the SC in SWI6 but we get a messge " there are No workflows that have already worked with this object type"
Since our SC have approvals in line will restart of workflow trigger the approval or will t get auto=approved, since in a few cases when we retriggered the workflow teh approvals were never called and the SC were auto-approved.
There are more than 10sc which have stuck in thsi kind of situtation
we also had a SP patch upgradtion, cld this have been caused because of SP upgradation?

Remove the last task of the stand approval process workflow in SharePoint Designer
Hello,
I am building a workflow in SharePoint Designer. I have added the standard approval process that comes stock in SharePoint. I also have the approval set up to handle change requests. This is where my issue is. A user can eather approve
a document or request changes(according to some limitations i have in place on the InfoPath form). If they approve, the workflow is complete. If they request a change, a request change task gets assigned to another user. This other user then
completes their review and submits their response. this then kicks off the approval process again to the original user to approve.
1. User A recieves approval form - requests a change
2. User B recieves Form - submits that changes have been made
3. User A recieves another approval form - then can approve
I am looking for a way to eliminate step number 3. I want User B to be able to complete the approval when he submits the changes. I tried copying and pasting the approve button from the default infopath view onto the view that UserB
sees, which has a data submit action when the button is clicked. This did not work.
Any ideas would helpHi,
According to your post, my understanding is that you wanted to add a “request a change” button in the Task Form.
If you can cutomize the task form, I recommend to add button directly and then add conditions and rules to the button.
After you add the “request a change” button, the workflow is similar to the
Multiple Approval Workflow.

Hi all,
I am supposed to make an EP workflow for 2 level approval for absences or leaves. I am using a copy of workflow WS12300111. I am able to get the single level of approval, but not the second level. When the request goes to the second approver ( which is the supervisor of first approvar), it shows the leave requests of the first approvar and when I check the workplace of the employee who applied for the leave, his leave has the status 'approved'.
In other words, when the first supervisor or approvar approves the request, it gets approved and second approvar has no option to approve it again. Please suggest what to do?
In my tasks for approval, I am using the class - CL_PT_REQ_WF_ATTRIBS and the method APPROVE. Is that correct???
Is there any other standard workflow which I can refer to?

SWWL - being used to clear Inbox for Workflow Item in error
Hello,
We are currently using SWWL for clearing Workflow Iitems from the Inbox if they have errored out directly in production. I have tried to review this in the forum and generally have come to the conculsion that SWWL should not be directly used in the production environment. Is there any standard SAP Note where SAP recoomends not to use SWWL ? If so , alternatively what is the other way to do this ? Do we have to use RSWWWIDE , which needs to run regulary to clean up the Work-Items which have errored out ?
I am a functional consultant abd would like to propse the correct methods of deleting these workflow's. if there ar any other ways of doing this, please let me know.
Thanks for your help in advance.
JagrutiHi Jagruti,
Regarding your quest for an official note from SAP you need look no further than the [online help|http://help.sap.com/saphelp_nw70ehp2/helpdata/en/f4/843239cb0211d1950d0000e82dec10/frameset.htm]. Aside from consistency issues it may even have audit implications if you use workflow for any auditable businessfunctions (e.g. approving purchases). If this report is found to have been run in production, there is no way of telling if it was used as an electronic shredder to destroy an audit trail.
To get rid of errored work items you should cancel the workflows. They would then be archived if you use archiving. Edit -> change -> delete logically. Otherwise SWPR can delete them en masse, but you may need to apply a note.
HOWEVER, all the above aside, this should not be necessary in first place. The scenario you describe is a business case that should be part of the workflow if it happens regularly. This is what workflow is for! It should be designed to recognize the deletion of a delivery and complete when it happens, removing itself from the user's inbox. Workflows in error should be rare and caused by (usually technical) exceptions that are either unexpected or very rare. If you have regular errors, it's a business scenario that needs to be modeled. Even if it's by putting a deadline onto the workflow to cancel after some obsolete timeperiod.
Cheers,
Mike -
Approval History (Workflow History) for a particular version of the PO
Hello Everyone,
We are using SRM 5.0 with ECS.
We need the Approval History (Workflow History) for a particular version of the Purchase Order.
Is there a way to get that?
Any FM or table which can give the Approval History for a PO?

Khushbu.LOGIKNR is assigned to only currently installed devices (see entries in EGERH, you will understand). So if you are looking at a record in EGERH and if the field BIS is in future, that is the record that will have the LOGIKNR. All the older records will not have that link. A device is always an equipment and LOGIKNR is always assigned to only installed devices. All other devices do not get that number. Only when you install a device, you will have information like device install date, device location etc. So it is relevant in the other case where device location was also needed.
