To map Visa expense type to SAP Transaction key, what needs to be mapped??

I'm requesting a list of expense types from Visa, to map with SAP expense types.
What do they have to provide me? is it merchant code?

Yes they will provide the list of Merchant codes, which you have to map to your expense types and keep in a Ztable, this information you have to use in your credit card transaction upload program.

    When we copy the company paid expense keys provided by credit card company to our custom expense keys(say, MEALS.... to MEALS1..., MEALS2... & MEALS3....) in (V_T702B-Assignment of expense key from Credit card company to expense type in SAP) and assign say ZBreakfast, ZLunch and ZDinner expense types respectively, how will the credit card company assign a 'card swipe' that was done in a restaurant to appropriate expense type ZBreakfast , ZLunch or ZDinner using MEALS1, 2 and 3 keys in their file feed to us?     Hi,
    I think what you are talking about here is to create custom expense keys in addition to the standard 8 expense keys that SAP provides. The standard keys are as below.
    CAR.RENTAL
    COMMUNICAT
    FLIGHT....
    HOTEL.....
    MEALS.....
    MILEAGE...
    OTHERS....
    TRAIN.....
    Now if you are adding MEALS1.... etc then these expense keys should also be coming in the credit card file from the bank and bank should know whento use which key in the file.
    I think it is not something which standard SAP supports, you need to make sure the modification/enhancement you are doing are aligned with bank and is working fine in SAP as well end to end.

  • Expense Types with Input Tax (GST) - mapping to GL Account for reporting

    We are in the process of implementing Expenses for countries like Australia & New Zealand, which have GST.
    Expense Types were created and different Tax Codes were defaulted to the expense types, as per the requirement. Some Expense Types have no GST while some do have a Tax Code to 10% Input Tax
    The issue is, I cannot find a config step to map the Expense Types to Tax GL accounts so that the Finance office in Australia / New Zealand can submit their claims end of the year by pulling up a report from this GL. I can do the regular mapping of Expense Types to specific GLs. I can even settle & post the expenses to FI and reimburse the employees but there is no way I can record the receipts which have taxes on them into the tax GLs for reporting purposes.
    Any inputs on how this can be mapped or addressed is much appreciated. We went live with a bunch of countries but, the GST quotient is holding us off from going ahead with AU and NZ.
    Here's an example - Expense Type is Dinner. This is mapped to GL 123456. When an employee submits an Expense with the Dinner, it is settled and posted to FI against the GL 123456. The reimbursement is done. But, the Dinner expense receipt has 10% GST which the Finance team wants to submit and claim the tax breaks end of the year. We want all the expenses with 10% tax be mapped to GL 800900. But this is only for reporting reasons. No postings done against the GL 800900.
    So, we are looking to map all the Expense Types with Input Tax 10% to GL 800900 and all Expense Types with Input Tax 15% to GL 700600
    Here's some of the Tax Config that was done ...
    1). SPRO -> Financial Accounting -> Travel Management -> Travel Expenses -> Master Data -> Control Parameters for Travel Expenses -> Define Global Settings ... Input Tax is set to "Input Tax per Travel Expense Type"
    2). SPRO -> Financial Accounting -> Travel Management -> Travel Expenses -> Master Data -> Control Parameters for Travel Expenses -> Travel Expense Types -> Create Travel Expense Types for Individual Receipts ... in the Expense Type, "Tax Code" field is set the either 0% or 10% Tax Codes

    Issue is resolved ... I misunderstood the logic. Tax Code is linked to a GL account. And when I run PRRW, I see the relevant Tax amount in against the trip

    We have some expense type which are paid by company for corperate credit card given to employee and rest expense type are cash for which employee need to be reimbursed.
    So, we want that in Create Expense Report in ESS only cash expense type should be displayed instead of the whole list of expense type.

    Enhancement Package 2 for ERP2005 which I think would be a better     
    solution for your released. Please see note 1045303.                                                                               
    Furthermore, please kindly see the documentation available in

    If you like you have the alternative to create an User Exit on which  
    will check the Expense Type if it is valid for this User or not before
    saving the trip data.

  • No expense types available in PR05, too many expense types in trx TRIP

    Dear Experts,
    I have done all the customizing in our system (concerning the travel expenses) and now I want to create a travel expense document.
    After creating the employee in the HR mini master I can start the creation of the Expense doc. in transaction PR05 (Travel Expense Manager).
    When I want to enter the Expense type in the form, no expense types are available.
    Do I need an additional activation or something like that to make the expense types available?
    Next problem that I have with the Expense types is when I want to create a Travel expense document with transaction TRIP (Travel Manager). I can start the creation of the document but when I want to select an expense type I see a large list of expense types with many doubled types and a lot of expense types we never created. The ones we created are missing.
    Does any of you have an idea how I could solve this??

    Hello - I am having a similar problem. All of our existing expense types are working fine. We just created a new one (16 variations going to different GL accounts) and they are not showing up in any of the perspective schemas.
    I do NOT have this checked:
    SPRO > Financial Accounting (New) > Travel Management > Integration of Travel Planning and Travel Expenses > Activate Integration: Travel Planning - Travel Expenses.
    Because we are not using Travel Planning, only Travel Expenses. So for my trip provision variant 10 for US, it is NOT checked.
    I DO, however have this
    SPRO > Financial Accounting (New) > Travel Management > Travel Expenses > Dialog and Travel Expenses Control > Dialog Control > Restrict Travel Expense Types for Trip Schemas setup correctly. The items are listed in 8 of our 10 schemas appropriately.
    But when trying to create TRIP, the expense types are not available.
    I can share my config steps with you if you need them. We are thinking we are missing a step as this is our first one to create after go-live in January.

      Thanks for your reply,  but with this we can see the for GBB which is the credit account and which account is use for debit entry,  like this for all transaction event key like WRX, BSX etc. we can see the G/L account use for Debit and credit,  but i want to know for particular selction of Plant, material , movement type,  my GBB account will have entry in debit account or credit account  How we can know this.

    Sorry to say but I am not aware of any customization which restrict an expenses type based on personal number..
    There is a setting which can restrict Travel Expense Types based on Employee Grouping. Please go through below path.
    Travel Management-> Travel Expenses-> Control Parameters for Travel Expenses-> Control Parameters from Travel Privileges-> Define Employee Grouping for Travel Expense Types

  • Single expense type

    Dear Experts,
    I have a requirement that in a tour employee has a expense type called Flight Fare. Company has booked the flight ticked for one way and in the return employee bought himself the ticket. In this case how the employee will place the "Flight Fare" expense type in the Expense report.
    For ex: To ticket           - 500 USD
                From Ticket     - 600 USD, Now the expense type is "Flight Fare". What is the best way to define this?

    paid by company is a setting which you can tick in each defined expense type.
    So if you like to see something like one expense type and the traveller should choose - there is not such an option.
    Or what is your intention here?

  • Changing Expense types in the SAP Portal for Credit Card Receipts

    We have a situation where we load a credit card file to SAP. The employee will then go review and subsequently send the expense claim to accounting. This is done via the SAP NetWeaver  Portal. Quite often the credit card company will send over details to an expense type called 'other' this was created to ensure that the credit card file loads.  It is the employee's responsibility to change the expense type from 'other' to the appropriate expense type.
    what is desired is to provide the user with an error message in the portal and PR05 that will enforce the user to change the expense type from 'other' to a more appropriate expense type.
    How can this be accomplished?

    You can use a User Exit for this.
    In Web Portal, you can use the BADI TRIP_WEB_CHECK on which you can use the method USER_CHECK_LINE_OF_RECEIPTS.
    In PR05, you can use the Enhancement name: FITR0003: User Exit: Save Trip (PR01, PR04, PR05, TRIP) - before assigning trip number. It is the User Exit EXIT_SAPMP56T_002.
    This will check your receipt before saving.

    In sap standart , price difference is occured when you post a movement with differences in a standart price controled material master. If there is not a configuration in OBYC (automatic account assignment) , sap gives an error message which consists of like a PRD account not determinated for Valuation class XXXX ...

  • Changing Expense Type of CC Import

    We are setting up Employee Groupings for Expense Types. If a credit card receipt is imported and the assigned expense type is not permissible for the Employee Grouping, the employee is unable to change the expense type in ESS. The expense type can be change in transaction TRIP. Are we missing a setting to allow the employee to change the expense type to a permissiable one in ESS?

    I guess maybe I was not detailed enough in my original post. We have set up the groupings and they work as expected in the SAP GUI.
    Further info on the scenario that is causing problems. We have MCC codes mapped to 30 VISA Expense keys. All expense keys are set to be freely changeable. We have 3 Employee Expense Groups, Marketing, Facilities and everyone else. We have made specific expense types permissible to only Marketing or only Facilites. The rest are permissible to everyone.
    The problem is: an employee who is not, for instance, in the Facilities group, uses his credit card at Home Depot, for something other than a Facilities expense. The MCC code on the credit card charge from Home Depot is mapped to an expense type restricted to the Facilites group. The employee who made the charge cannot process the CC receipt in ESS because he is not in the Facilites group. In SAP Gui, the expense type can be changed to one that is permissible to the employee, but this is not possible in ESS.
    Hoping someone can point us in the direction to allow the expense type to be changed in ESS to a permissible expense type. Again, as I mentioned above all expense type are set to be freely changeable.

  • SAP transaction iView not executing the transaction directly

    Hello guys,
    having a little problem with SAP transaction iView I created - specified system, where the transaction is delpoyed. When I click on the page containing the iView, R/3 logon page comes up instead of the transaction itself being executed. The user and password are the same for the portal and R/3. Do I have to do the mapping then? I so, it would mean I would have to crate mapping for every single portal user. Isn't it possible to make the portal to automatically use the user id/password of the logged-in user?

    I am a bit confused now to be honest. If you mean 'SAP GUI Type' property, at the moment it is set to 'Select' value - it means that no value is selected. I already tried to use 'WinGui' but I couldn't get through to R/3 transaction either.
    We are using standalone ITS.
