Updating a PDF form document

If I create a new PDF document with a series of form fields and then need to update, e.g. the word document is changed to include or change fields, can I update the existing PDF without having to re-do all the fields

Yes you can change the word document, then make a new PDF then replace the form with the fields with the new PDF.
If you are careful and do not change the position of the fields then it will fit right in.
If you change or add fields then with Acrobat you will have to rearrange the fields to match.

    I thought so, what i was asking is how best to merge the data,i'm guessing i would need to make the changes create a new form and copy the data into the new form responces area to sync them together. 
    then use the new form from there on in.

  • Updating a PDF form and keeping it accessible... is there an easier way?

    So I have some InDesign files that were converted to PDF files then brought into Acrobat X where they were turned into accessible forms. 
    Now edits need to be made to the content.  I've been trying to figure out what the best approach with the least amount of steps to update these accessible PDF forms.
    So I export the PDF from InDesign, then..
    Option 1:
    Open the newly created PDF and the old version of the accessible form and Copy+paste form fields from old file to new file.
    The good: Tags, Structure, hyperlinks and reading order transfers over from Indesign.
    The bad: Time consuming. Tabbing order for the fields usually needs a lot of manual adjustment. Manually have to add language, title, subject, keywords
    Option 2:
    Open old PDF form and replace the page with the new PDF file.
    The good: Fast! Form tabbing order set. Language, title, subject, keywords all good set.
    The bad: Tags, Structure, hyperlinks and reading order are gone! Manually touchup reading order, add form fields to tags (which sometimes deletes fields and crashes)
    Option 3:
    Open old PDF and use edit document text to fix little issues.
    The good: It works for small issues.
    The bad: Not an option for anything besides a typo. Can't change layout. Have to do the edit again in Indesign, or have out-of-date files.
    Anyone have a better way of doing it?
    BTW I'm using InDesign CS5.5 and Acrobat X on Mac

  • Use of text Boxes to programmatically update a PDF form

    Hello all;
    I am a very experienced programmer but I do not have much experience with
    PDFs , Acrobat, etc.
    I have come up with what I believe is my best solution based on what
    I have learned about PDFs and Acrobat.
    I am trying to do what seems , to me, like a very simple thing.
    Basic Programming Logic ....
    Develop a C# program that runs on a local client.
    Reads in an existing PDF file - which has been authored using Acrobat 9.0 Professional to have Text boxes that have meaningful names ... ie - recognizable names.
    Read some huge data file in EDI - or XML format - from some source or another.
    Update the "template" PDF file using this information by locating the appropriate text boxes named in the PDF file itself and print out as many pages of the PDF form as needed with the electronically received data.
    Basic Algorithm Logic
    I create a linked list in memory of all the internal segments of the PDF - carefully preserving all the necessary information and using the recognizable names of the text boxes - I re-write only the information that will appear in the text box and create a newly created and updated version of the PDF file and print it out. Repeating this for as many times as needed.
    This is my expected approach .
    Is there any reason why this should not be done or used ?

    I would like to update as many PDF forms as possible based on
    the users initial log-in information so that they are not
    constantly , and repetitively entering basic information.
    Can this be done using Javascript and does it require the SDK
    to perfom?

    I am using Web Client with the DownLoadFile() option to download files from a site.  If too many requests come in too fast it will banned that address for 24 hours.  (A DDOS security measure) I need to have the program wait until the file
    is downloaded before making the next request but be running in the background so not to freeze the application.  A progress form will allow the user to know the status of the downloads. 
    I see something about asynchronous downloads but do not seem to understand how I would make use of it or if it is the method I want to use.
    If someone could point to or give a good example of what I need to do, it would be most welcome.

    There are two ways which come to mind here, both using the WebClient:
    The first is that in a BackgroundWorker, you use the synchronous download method. The synchronous method is a blocking call so obviously it can only get one at a time, and when that one is completed, the loop then starts the next.
    The second way - also in a BackgroundWorker - is to use the asynchronous method. The reason for this is because only the asynch method provides events to monitor progress and know when the file has completed. This gets a bit more involved because you're
    still processing them in a loop, but it's definitely something that can be done - I've done it several times.
    You haven't really given many details, so beyond this general conceptual description there's not a lot more that can I can explain, but your goal definitely can be achieved using a WebClient.

    - Choose File > Properties
    - In the Document Properties dialog box, click on the Initial View tab at the top. Then set the options for Layout and Magnification as desired.
    - Click OK and save the file.

  • How do I fill out a PDF (form) document online?

    I have downloaded a PDF to fill out, some of the PDF's are greyed out in the spaces that need to be filled out, other forms don't have the greyed out bit, is there some way I can get it to grey out so I can fill it out online without having to print it and do it with ink?

    If the fields are greyed out then that is how the author of the form intended it to be. It may be a form that can only be filled in by printing and using ink.
    If the author intended it to be interactive then you would be able to type in this fields.

    a) the completed PDF doc is saved on the server (and renamed)
    b) a printable , completed PDF (looks just like the one they
    filled out,
    with all their values saved in the input boxes) is emailed to
    specific
    address
    c) the raw user data is saved to database (maybe a list of
    fields in one
    column of a db table, and a matching list of values in
    another? this
    would just be for backup in case the completed PDF did not
    save
    correctly to the server, or for later reference)
    We've looked at the standard Acrobat 'submit via email' and
    that won't
    cut it... that method appears to simply trigger a 'mailto'
    popup, with
    the pdf as an attachment. Our system needs to be automated
    via CFmail.
    None of these would handle any 'sensitive' information, the
    main
    concern, from their part, is people being able to submit the
    form and
    have both the city office and the recipient get a copy that
    prints just
    as if they had hit 'print' when filling out the actual PDF.
    Is all of this possible ??

  • PDF Forms Workflow

    I'm not really sure if this is the right place for this question, but here is what I'm trying to accomplish for a project I'm currently working on.
    Workflow:
    Customer uploads a PDF document to the website
    What should happen is PDF document should be converted to image format (PNG / JPEG is fine), customer can review the images of the uploaded document and rotate the images accordingly so that they are right side up
    The images created from the uploaded PDF documents are combined together to create a new PDF
    I have a PDF Forms document that has a lot of fields that need to be populated with data from the database
    Finally, the images PDF and the PDF Forms pdf are combined to create a complete PDF document
    All this has to be totally automated. I'm working on a Windows Web Server 2008 with Microsoft SQL Server 2008 and programming is currently being done in C# on the .NET 3.5 Framework
    Issues currently I'm having:
    The auto-creation of images from the uploaded PDFs, creation of new PDF with all the images of the uploaded PDF documents. How can I automated the creation of the images and how to create a new PDF document with these images?
    What is the best possible way to populate the PDF forms document with the data from the database. I'm really new to working with PDF Forms, so I have absolutely no idea how to update the form fields with the dynamic data. As I mentioned before I'm programming in C#.
    Firstly what i'm trying to accomplish, is it actually possible.Second what kind of tools would you recommend for the proposed solution. I have looked into the Adobe Live Cycle solutions, but I'm not really sure how I would use that.

    The reason I need to convert it to png/jpg and back to pdf is that I need to header and footer info onto the documents uploaded and that changes from client to client.
    As far as having them rotate the documents, I wish that were the case, but all the customers that we get are pretty much computer illiterate, getting them to upload and actually enter data on the website itself is a challenge. So I never really considered that possibility.
    I'm not necessarily looking to spend that much money on buying extra software as I already have too much money invested in this product. I'm definitely open for more suggestions as well as open source solutions.
    Any other ideas on how to accomplish the above?

  • Converting a pdf form to pdf doc so it can't be altered.

    I have a pdf form that I use to complete test reports for the city.  I then need to send that completed form to the customer and city but I want to send it as a pdf document so it can't be altered.  How can I do this?  I use to be able to print to Create PDF but now it's not available so I have tried this Create PDF online but still can not get it to save as just a pdf doc.

    If I understand you correctly you have a fillable PDF form that you fill with some report information, then you send that PDF form to customers via email, but you don’t want them to be able to altering it.
    You may use Adobe Acrobat to set/change restrictions for your PDF document – to specify what your customers could do with the document. For that just execute the following steps:
    1. Open your already filled PDF form document in Acrobat
    2. Chose File> Properties, select Security tab in Document Properties dialog.
    3. Choose Password Security in Security Method popup menu – it opens “Password Security – Settings” dialog. In Permissions area Select check-box “Restrict editing and printing of the document.
    4. In “Printing Allowed” drop down menu specify allowed printing options
    5. In “Changes Allowed” drop down menu specify “None” or otherwise whatever you want your customers be able to do with your PDF form.
    6. You need to provide password (for you to remember so that only you will be able to change that document again when needed),
    7. You need to Save that document for your new restricted permissions to take effect.  Then close and reopen the document – and verify permissions in Security tab of the Document Properties dialog. And if that’s what you intended – you could email that PDF document to your customers
    Now if you don’t have Adobe Acrobat yet but only free Reader, you would need to download a free trial version of Acrobat XI  Pro from here.

  • Creating pdf forms from a Word doc that will need to be edited in the future

    Ok, I searched everywhere for an answer to this situation... and I want to know if there is a work around.
    Basically, I have a word document. I will use this Word document to create a application form. So I will manually create fields where needed after I convert the document to pdf.
    Now here is the issue... at some point, the Word document will have to be changed... maybe a date or an address or something. This would mean I would have to change the original Word document, re-create the form (adding all the fields again) and re-publish it.
    Can I somehow edit the text in the pdf (with the fields already in place) without having to change the original word file and re-create the form?
    Has anyone had this problem? Am I doing something wrong? Or is there an assumption that the original Word document you use to create your form (pdf) will not be changed at a later date?

    Ok, sorry if I haven't quite figured this out.
    When I create a pdf form, AA can detect some fields and automatically creates them. This is great. For other fields, I have to create them. No problem.
    So here I have Document A (MS Word) and my new pdf form (Document B).
    I edit Document A and change the date in the header let's say. I re-create my pdf form (Document C).
    How will Document C remember to re-associate the fields I created in Document B? Won't I have to start all over again?
    This is my question. If the answer is no, then I just have to hope that when I create the new form, AA can figure out as many fields as possible (and selection choices such as bullet, check marks, etc).

  • PDF form storing old data

    Hello, I am new to the forum and was hoping someone here would be able to help me with an issue I have run into or help me find someone who could.
    I was recently working on a security assessment of a website and I found a PDF document for an employement application that appears to store old data within the code of the document. To explain further:
    - I found the PDF form document on the website. When downloaded and opened with Reader it appears blank. The document is avaiable to download and then you are directed to email it to HR, so there is no online submission on the website.
    - When opened in a text editor it displays mostly encoded text and numbers but there is portion of the document with lines that correspond to the fields in the document and contain information from previous instances of the document that has been filled out.
    Has anyone encountered this before? If yes are there any remediations for a PDF form storing unwanted data within the code of the document?

    Filling in online forms should never allow the form to be saved back to the website.  Usually such a form (or any online document) would go to the user's browser's temp folder, and be saved in there.  I don't know how it was possible that user data got back onto the web server form (unless it was originally uploaded like that).
    What I would do if I encountered such a situation
    upload the clean, empty form
    make sure the file is read-only
    test it by filling in the form online
    see if the original form has been altered in any way

  • Submitting a Signed PDF form in Workflow

    Is there anyone experienced submitting signed PDF form in workflow?
    We have tried to use a PDF form designed using AFD 5.0 along with AWS 6.2 to automate the approval process. But when the initiator signs the document, using the signature object, and then submit it, the next participant will get the form with empty signature filed.
    Additionally, when you sign the form, you get the green check mark, then when you submit the form, it seems that the submit will change the data in the form and the green check mark will convert into gray question mark.
    You help is highly appreciated.
    PS: anyone there used Biometric Signature tools (such as CyberSIGN, CIC, or SoftPro) to digitally authenticate signers/signatures in PDF forms/document and used it in a workflow or web applications?

    If you have access to Acrobat, it would be possible to set up the form so that an automatically generated unique identifier is include in a (hidden) field so you could identify multiple submissions from a particular instance of a form. You could remove all but the most recent record from the response table to keep the summary reports current. If you'd like more info, post again.

    I'm afraid that's not possible as form fields in a PDF file have no equivalent either in a Word format (.docx/.doc) or within the Rich Text Format (.rtf).  That data is simply stripped during the conversion as there's no equivalent available.

    You can use the resetForm JavaScript method, either in the initial page's Page Open event or in a document-level JavaScript whic will execute when the document is opened.
