Vacation message in Mail

Hello all,
Recently I used rules as recommended in Mail's help center to send an automated reply while I was out of town. Within minutes the $#!@ program sent hundreds of this message to the mail senders already in my mail box and it did it to the same people dozens of times! It was HORRIBLE. I am going out of town again and need to set a vacation message but cannot have a repeat of that disaster. Is there another way to do this? Or can someone clearly explain the proper way to do it? I have my own mail server that I channel through mail (not a .mac account) but there doesn't seem to be a way to do it there either. Help!
thank you!
karen

Hello Karen - you will get a quicker answer if yiu post to the Mail and Address book forum - http://discussions.apple.com/forum.jspa?forumID=753.

  • Vacation messages / server side mail rules

With WebMail depreciated in OS X Server, is there a recommended (incorporated) way for users to configure vacation messages and other server side rules?

The seive rules are referenced by the imap server on OS X and it is responsible for the mail sort. The old webmail (SquirrelMail) and the newer webmail on Lion (Roundcube) were only writing the rules that the sieve engine of the server were reading.  In other words, the webmail doesn't handle the sorting of the incoming messages, its built in filter settings write the rules that the server uses to sort them.
In Roundcube, that is the managesieve plugin. By default, the rules get saved in /Library/Server/Mail/Data/rules/[user UniqueID]/dovecot.sieve with the new Roundcube and older rules are default.sieve. Dovecot seems to look for one or the other and uses it.
So, and I still have to read (and if anyone can answer!) since I've not looked at this since 10.8 server has first come out:  They moved the mailstor moved in ML, but does Dovecot still have sieve rules ENABLED or does that require a .conf change?
    To answer your configuration question:
if you're comfortable with editing a text file, Roundrube is VERY simple to configure in my opinion. Everything is well commented in the settings files. Almost all of the settings are having it connect to your IMAP and SMTP server, same as an email client's settings.  And that's it, you don't need to compile anything to use it.
You will need to setup MySQL or ProtegeSQL with it, but they have scripts that setup the tables for you, again, pretty simple.  PERSONALLY, I chose to install MySQL (they have a Mac .pkg install and a System Preference Pane for it).  I did not want to use the ProtegeSQL Apple supplies with OS X because we've all learned this lesson: who knows when they'll abandon THAT and leave us all scrambling for a solution again.
This way, my SQL install is indepenent, ready for the next OS upgrade without wondering if Apple will take it away, or even transportable to another platform.

  • Out of office autoreply (vacation message) with OS X Mail Server?

    Hello everybody,
I'm using OS X SL with Mail Services active.
Clients (LAN) are using iMacs (7 users) and Mail.app.
The users now want to be able to activate their "vacation messages", and what I found is this:
    https://discussions.apple.com/message/10687725
I followed that thread but the only missing part is: when I log in with a user, I cannot click "mail" in the upper menu bar (it's greyed out). Where should I look for that to be enabled?
    Thanks in advance,
    F.

Sounds to me like you're using SSL for your Mail server? That's what we do. So when you log in to the web interface you have to log in w/ httpS://. Then the link should be active.

  • Setting mail vacation message on Ipad

Is it correct that there's no way of setting an 'away on vacation' message on the iPad in Mail or ICloud
I know how to do it on the Mac but if I forget to do it before I go away, I haven't found a way of setting it on iPad itself
I did see something in the discussions about downloading Photon Browser App but that didn't seem suitable and wasn't free as posted
    Any other creative ideas?

I see why I've confused you.
Your original reply had this . http://www.iphonelife.com/blog/5/how-create-automated-out-office-reply
When one follows the link the first part deals with setting up 'on vacation' in Rules on a desk top then there's follow 'this tip' down the page for setting up on an IPhone or iPad where the reference to a Yahoo account appears
The article is written by Jim Kippen
Sorry I confused you with him

An error occurred while updating mail preferences
This function works before, older user still be able to set vacation message with no problem.
    Please help.
    Thanks

Are you able to update the vacation message for the problem user using the Messenger Express interface instead - this will help to isolate the potential cause?
    -Can't access messenger express interface
Do you see an errors in the webserver error logs when you attempt to save the preference, or if you have UWC logging enabled, in the uwc.log file?
-There is no error messages in webserver error log, in uwc.log there are some messages but I do not think it helps.

  • Vacation Messages Don't Work After Changing Password

I have a Snow Leopard Server (10.6.2) setup and the vacation message feature works fine as long as the user hasn't changed their password. Once they have changed their password then the feature doesn't work. You can set it up but it doesn't work, when you send an email to the user with the message set the email sends but you don't get the vacation message.
I have also noticed that when you try and load the server side mail rules for a user that has changed their password you get an error (from memory it's something about can't get info from server).
Does anyone know why this might happen.
    Thanks

There is a one-response-per-day limit imposed by mailsieve and dovecot. Once a vacation response has been sent to any address, it'll throttle any future responses for 24 hours to the same address.
Once you change the password, are you either using the same address to send e-mail as before? Have you tried triggering the vacation notice from a different sender address?

  • Vacation message breaks sieve filter

    Hi,
Sun Java(tm) System Messaging Server 6.2-4.03 (built Sep 22 2005)
    libimta.so 6.2-4.03 (built 04:37:42, Sep 22 2005)
    SunOS mta1 5.10 Generic_118822-11 sun4u sparc SUNW,Sun-Fire-V240
User have created several sieve filters via UWC and they work ok. When user turns on vacation message sieve filters stop working. Log file indicates no errors but regular mail processing. Is this an expected behavior?
    Thanks,
    d.

Vacation message on should simply create a new sieve "vacation" action. There have indeed been bugs in this area, that have been fixed. Your server is about a year old, likely that's been fixed.

  • Vacation Message using old/incorrect data

I have a mail server that refuses to accept a new vacation message. The problem is worse than that because it is sending out a vacation message from over a year ago that had been disabled, even though it shows as disabled in the web interface.
Here is what I tried to do to clear things up.
    * Turn off email and web server.
    * Remove all scripts from /var/spool/imap/dovecot/sieve-scripts/
    * Remove all scripts and vacationIndex.db from /Library/Emailrules/
    * Turn on email and web server.
When I return to the user's vacationnotice wiki page it shows the old outgoing email rule. I cannot find where this old rule is stored. When I apply the new rule when a user sends a message to the account they initially receive two vacation replys, the correct one and the 'old' incorrect one as well. Subsequent test messages get a reply of the 'old' message repeatedly, while the new one is properly 'muted' until the following day.
Does anyone know what I'm missing and how to find this zombie message?
    Thanks in advance.

    Nothing?
These forums used to be pretty active with a few experts chiming in, but it seems like the enthusiastic pros have left the scene.
Outside of Apple's mailing lists what forums are active for pro OS X Server admins? Seems like afp548 is dead, too.

  • Avelsieve Vacation Message per 1 Day

I have avelsieve vacation response set to reply each 1 day. I get a response with first email but it seems to default to a minimum of like each 4 (or 7?) days rather than 1.
Tried two servers and neither will send an auto-response on second or third day (still testing).
I cannot find any bug reports on it nor anyone else reporting it in forums... is it just me?
    Avelsieve 1.9.6 on OS X 10.5.7 server.
The user's phpscript.script seems well formed...
    true
vacation :days 1 :addresses ["[email protected]"] text:
This is an automated reply; I am away and will not be able to reply to you immediately.I will get back to you as soon as I return.
Anyone getting replies once per day?
Reading the RFC memos, they seem to suggest that there is a built-in minimum number of days which kicks in if no user-specified one exists. Any idea where this might be set?
    Ta
    -david

So far I've got a minimum of "every 4 days".
I've had a look through the source code and it does set the original default to 7 days. However, I cannot find any code which would change an explicit input to 4.
The news.doc for version 1.9.6 does refer to a bugfix...
    1.9.6 - Devel Branch
    * Bugfix: Allow 1 day length between vacation messages, instead of >1. (Simon Matter)
I'm reticent to opening a bug ticket about this but I cannot find any mailing list for avelsieve - anyone aware of one?
Alex, I know what you mean about sending these too often - but heh, clients, what can you do?
Regarding replies to mailing lists, etc, the RFC refers to implementations restricting replies to such messages and suggests ways to implement this...
    http://tools.ietf.org/html/rfc5230#page-8
I should probably do some tests with Avelsieve to see how well this is implemented.

  • Vacation message (auto responder) struggle

I want to set up a vacation (auto responder) message using Thunderbird to let clients who email me during the next week know I'll be out of the office. My problem is: one section of Thunderbird Help suggests it can do this (http://www.makeuseof.com/tag/set-mozilla-thunderbird-autoresponses-scheduled-emails/ - Note: the friend who suggested this link says using this process will require someone "turning Thunderbird on" - I don't understand what she means - will someone have to come into my office and constantly turn my machine on/off?); another section of Thunderbird Help says it has no good way to set up vacation messages and I should eg use Google or Yahoo etc (not option for me at moment) (https://support.mozilla.org/en-US/kb/vacation-response).
    Thanks!

Please check with your mail provider first; if they offer this feature then it's by far the most sensible option. They are geared up for 24/7 operation and have fallbacks and contingency plans for power outages and equipment failures, etc.
If you are going to delegate this task to Thunderbird, you must leave Thunderbird running. So you must leave your computer running, and your internet connection running. Since you may receive messages at ''any'' time, you must leave it running and connected ''all'' the time,
Why bother to send someone in to switch it off and on? (And login as you! Not safe!)
Of course, none of this necessarily avoids messages accumulating in your mailbox and filling your account, though if Thunderbird is left running, it will collect and download messages in a POP-connected account. The main benefit is that correspondents will understand that they should not expect an immediate reply from you.

  • How can I remove header in vacation message?

Vacation message includes header and text in message body. I need that vacation message doesn't include header in message body. How can I setup it?
    Thanks.

    From the admin guide:
    http://docs.sun.com/source/817-6266/users.html
scroll down to the autoreply part:
    To Configure Auto-Reply Settings
The auto-reply feature of Messaging Server lets you specify an automatic response to incoming mail for a user. You can specify two different auto-reply modes: vacation mode and auto-reply mode.
The Delegated Administrator for Messaging also provides an end-user HTML interface through which users can themselves enable and configure auto-reply settings. The Console interface and the Delegated Administrator interface both manipulate the same directory attributes; when opened, each shows the current settings, whether they were set by the administrator or by the user.
    Note
The Delegated Administrator for Messaging only supports Sun Java System LDAP Schema v. 1, not v.2
To enable an auto-reply service for a user:
    1. In Console, access the Create User or Edit Entry window, as described in To Access Mail Users.
    2. Click the Mail tab.
    3. Click the Auto-Reply tab.
    4. Select one of the auto-reply modes:
Off: Disables auto-reply for this user.
Vacation: The first message received by this user from a given sender generates an automatic response; subsequent messages from that sender do not generate a response until the automatic reply time-out is reached. When the time-out is reached, a new message is sent, once, until the next time-out is reached, and so on. If you select this mode, you use the Vacation start/end date options and enter a reply message in the Reply text field.
    5. If you selected vacation mode, supply dates and times to determine when the auto-reply message should start and end:
    * Check the Vacation start/end date checkbox.
    * Click the Edit buttons for Start and End then use the calendar that displays to specify a date and time.
    6. Specify an automatic reply time-out value in hours or days.
    7. If you selected vacation mode, type an auto-reply subject line, then type a reply message to be returned to the sender.
You can type a reply message for internal senders and a reply message for external senders. If you type a reply only for internal senders, only senders within your domain will receive an automatic reply.
You can create one message in each of several available languages that you select with the drop-down list located above the message text area.
    8. Click OK at the bottom of the Edit Entry window if you have finished making changes to this users mail information. Otherwise, click other tabs to continue making changes.

  • Strange vacation message/group email problem

I have setup a vacation message for [email protected] to forward mail to [email protected] which is then filtered into a folder, all works fine.
If a message is sent to user and cc'd to user2 the message only appears in the folder setup for user2, not in user's inbox. This is also true if an internal group mail is sent and both user and user2 are included.
User2 was receiving group mails and message/cc combinations before the vacation rule was setup. Emailing user2 direct is also fine.
    Anyone have any ideas?
