Very urgent, vendor down payment clearing - ka doc type

hello gurus,
while clearing vendor down payment, some down payment entries are posted as ka doc type. now i have to clear the invoice down payment with the ka doc type. how to do this.
for retention account we booked in special G now that retention money also paid but that doc is not showing as cleared. still it showing in red colour. but balance is nill.  what to do for this..

Hi once you do the Down payment clearing only 1 & 3 line items will be cleared.
but 2&4 line items will show as open items .
This line items you have to clear  .Clear this in F-44.

    Hi,
    I am clearing Vendor Down Payment using BDC for T-code F-54. I have Invoice no and Down Payment Document No, which needs to be clear against that Invoice.
    But, how to determine the position of that DP Document number in the next screen when i am using BDC? T-Code F-54 selects Down Payment Docs from table BSIK. So, in which sequence DP Document will be displayed in table control in the next screen? (e.g. {based on document no, Posting date} =>(ASC/DSC)).
    e.g: Invoice no: 7100000001 DP document: 5240000004
    after entering Header data on F-54 you will get below data,
    DP Document:
    1.       5240000001
    2.       5240000004
    3.       6600000003
    4.       6600000004
    So, how to determine my DP Document is @Position no: 2.??

    BDC is unable to select document in sort postition. This is a manual input and SHDB recording can't choose DP documents like that.
    I would recommend you clear downpayment by F-51 or change document FB03 for invoice reference field. It's same effect of F-54 however depends field status of of your installation screen.

  • Vendor Down Payment Clearing: F-54 or F-44

    Hi
    I have made a down payment (with Spl. GL indicator) to a vendor, using F-48. Then I book an invoice using FB60. I kept the two amounts same and ignored WT to keep things simple.
    Now i want to clear the down payment against the invoice. I use F-54. The clearing transaction is getting posted. However, the Invoice is lying open (credit entry) along with the Clearing document (debit entry). On the other hand the down payment document (debit) is getting cleared with the Clearing document (credit entry). This means I have two open line items and two cleared line items. I can clear the two open items again using F-44.
    I have two questions:
    1. What is the use of F-54 here since I have to use F-44 eventually?
    2. While doing F-54, Posting Key for the debit line item is 26 : Payment Difference. This is could not understand.
    Can anyone please help me out on this?

    I will explain you with following example.

    Advance to Vendor----

    1. Advance to Vendor (spl gl -A)(F-48)
    Vendor a/c    (SPL-A)( GL- 4005000)        DR   1000

    2. Invoice posting
    Expenditure a/c ( GL-7575100) Dr      1000
         To  Vendor Account(GL-3000000)     1000
    3. Clear Vendor Down Payment (F-54)

    It means  Credited spl GL-A has converted from advance to Normal open item. Amount has been transferred from Advance to Vendor GL to Normal Recon account.By this way Advance account shows Nil  Balance with debit(F-48) and Credit (F-54)
    The remaining 2 line items i.e., Credit (F-43) and Debit (F-54) shows as open items. In the next step we need to knock off those line items by manual clearing or automatic clearing.
    4. Normal Clearing (F-44)
    It will be posted without line items.

  • Vendor down payment clearing without VAT posting.

    Hello SAP Gurus,
    I have following issue:
    Currently our Vendor down payments produce VAT postings when clearing with final invoice, which is correct.
    But we have some old vendor down payments which does not include VAT and needs to be cleared without any impact to VAT postings.
    User is using F-44 transaction and can not define any tax code for postings, system calculates it automatically.
    It is not possible to make VAT posting happen and then make reversal postings fot VAT accounts as well.I tried to check flag 'Posting without tax allowed' and uncheck 'Post automatically only' in account master data. And then make manual posting using that account via FB01 but system still requires tax code to be entered because Tax category in account master data is set to '<' I'nput Tax Account'. It is impossible to change Tax category let's say to ' * ' because account have balances on it.
    Could anyone advice how can I clear these downpayments without VAT posting?

    I have tried to enter 0% input tax code, but still I'm not able to post document because of error msg:
    Tax entry not possible in this item
    Message no. FF724
    Diagnosis
    You can not enter a tax amount in this item since, due to the posting amount entered and the tax code, a total tax amount of zero has been calculated.
    This could either be due to the fact that the tax code has been defined with a value of 0%, or because the posting amount entered (that is, the tax base) is too small.
    Example:
    With a tax rate of 15%, a tax amount greater than zero will only be achieved with a base amount greater than 0.04. With values of 0.03 and less, it is therefore not possible to enter a tax amount.
    Procedure
    Only enter tax amounts in conjunction with tax codes for which a percentage rate not equal to zero has been defined. Make sure that in documents with several G/L account items you enter the total tax amount in an item with a sufficiently high posting amount.

  • BAPI/Function Module for Vendor Down Payment Clearing(F-54)

    My requirement is to clear Vendor Down Payment Document(F-54). One way is to use BDC but I am looking for other options.
    Is there any other way(BAPI/FM) possible except BDC recording to achieve above requirement?

  • Withholding Tax Calculation Error for Vendor Down Payment Clearing:Oct '09

    Hi,
    We are trying to incorporate the new Withholding Tax Structure w.e.f. 01-Oct-09.
    There were 3 scenarios possible:
    a. Invoice = Down Payment
    b. Invoice < Down Payment
    c. Invoice > Down Payment
    While 1 & 2 were taken care of effectively, the third scenario did not work as expected. The scenario is as follows:
    1. Down Payment (Date : 30/09/09)
    Amt : Rs. 40000/-;
    Withholding Tax @ 15% : Rs. 6000/- (40000 * 15%)
    Surcharge @ 10% : Rs. 600/- (6000 * 10%)
    Edu Cess @ 2% : Rs. 132 (Rs. 6600*2%)
    Higher Edu Cess @ 1% : Rs. 66 (Rs. 6600*2%)
    2. Invoice (Date : 02/09/09) - As per new TDS Rates
    Amt : Rs. 50000/-
    Withholding Tax @ 10% : Rs. 5000/- (50000 * 10%)
    Surcharge : NIL
    Edu Cess : NIL
    Higher Edu Cess : NIL
    3. DPC (Date : 02/09/09) - Reversal of TDS calculated in Down Payment (Step 1) above.
    Issue:
    While making J1INCHLN, amount is adjusted as Rs. -1000/- (hence zero) not payable.
    Also, the Surcharge, Edu Cess & Higher Edu Cess are also getting reversed in DPC.
    As suggested by SAP Note No. 1372734 - Handling of downpayment clearing scenarios after budget '09, the scenario does not seem to work.
    Actual payable should be worked out as under:
    Invoice : Rs. 50,000/-
    DP : Rs. 40,000/-
    Bal : Rs. 10,000/-
    TDS @ 10% : Rs. 1,000/-
    All TDS Challans, Certificates & Returns must reflect Rs. 1000/- in the Challan.
    Require assistance.

    Hi Kapil,
    The following needs to be taken care of  -
    The message controls settings as the note suggests must be set as W.
    When entering the details the logic is Vendor Debit amount is Tax amount + 1
    The Vendor credit line, the tax code has to be assigned with the advance amount (amount for which the challan has been created) as the tax base amount and the tax amount will be the extra liability that needs to be created.
    In your example -
    The tax amount will be - 2000 ( the debit at the time of downpayment clearing should have been 4000 instead of 6000)
    Tax base amount -  40000 (Challan for this amount has already been made at the time of downpayment made)
    The vendor Debit - 2001 (2000 + 1)
    The vendor credit - 1
    Note - Tax amount and base amount has to be made manually in the withholding Tax tab for the credit entry.
    Please revert for any clarification.

  • Withholding tax in vendor down payments

    Hi Friends,
    While testing a scenario of withholding tax and vendor down payment
    When Vendor down payment recorded with WHT;
    For down payment document Vendor line item report (FBL1N) shows withholding tax amount in withholding tax amount column, withholding tax report S_P00_07000134 is showing the down payment document with correct tax amount.
    When the above Vendor down payment cleared;
    For the cleared document Vendor line item report shows zero in withholding tax amount column, and the withholding tax report S_P00_07000134 is also showing neither the cleared document nor the down payment document.
    If the cleared down payment is reversed;
    Vendor line item report shows withholding tax amount in withholding tax amount column, withholding tax report S_P00_07000134 is showing the down payment document but with zero tax amount.
    Also the WHT amount in vendor line item report in column withholding tax is being displayed without a minus(-) sign indicating a debit amount, but this amount is in fact not a debit amount, when this column is sum up it gives incorrect total.
    Please share your experience on such scenario.

    Thanks for refering the SAP note, but this note speaks of inconsistency of displaying WHT info with lot of withholding tax information, this note is applicable upto Release 470. We are on ECC 6.

  • TDS is not getting reversed in T.Code:  F-54 -Clear Vendor down payment

    Hi,
    Please help on the below issue:-
    1. We passed one entry relating to down payment for fixed asset.  We deducted TDS also (50% down payment).
    2. We passed MIRO also.  There we deducted TDS on full value of invoice amount.
    3. While making T.Code:  F-54-clear vendor down payment, TDS is not getting reversed.

    Hi,
    Please check  whether the Challan has been done for both downpayment & invoice before downpayment clearing was done.may be That is why the system doesn't consider reversal of wht at the time of downpayment clearing as tax has already been remitted.Please refer with_item table. The int challan number & dateare for the downpaynment & for the invoice.

  • Clear Vendor Down Payment F-54, Number range

    Hi Experts
                    I tried to clear the vendor down payment using the T-Code; F-54, It is displaying a error message as "Number Range 17 is Missing for the year 2010"
    Message no. F5150
    Diagnosis
    The document type you specified has been allocated to a number range in fiscal year "2010" that has not been created.
    - Should we need to create a New Number range for this document type.
    -  Is this a New requirement in ECC 6.0?
    - Is this linked to the New GL feature?
    Please share your views.

    Hi,
    The document type you are using is referring to number range maintained with the id 17. You need to go to FBN1 transaction code and maintain a number range for id 17 for the year 2010.
    Normally the accounting document number ranges are maintained year specific so that every new fiscal year will restart at 1 and not continue from last year.
    As corrected by Ramnuja, you need to maintain number ranges for entry view and general ledger view (new GL feature).
    For you the number range 17 has not been maintianed for 2010 and you need to maintain it.

    Looks we don't have any dedicated BAPI for F-54..You can check 'BAPI_ACC_INVOICE_RECEIPT_POST' for your requirement...
    User-Exit you need to search for F-54.

  • Down Payment Clearing pushbutton in MIRO (SAP ECC6 EP4)

    Dear Experts,
    As i am trying to do the same process in my organisation to post the DP in PO at header or item level and after that following the ME2DP process for posting DP and then i do MIGO.
    After GR as i do MIRO process and select the PO there is no DOWN PAYMENT Push button on header level on MIRO Screen.
    I already re-started the Business Function "LOG_MMFI_P2P" after that also it is not showing the push button.
    Please kindly help in this to get that DOWN PAYMENT clearing button?

    Hi,
    I just re activated that module function and process this practise in the similar way SAP has guided in its library which i can tell you in the brief. I suppose that way will work for you.
    Posting of Down Payment Clearings and Down Payments in Purchase order
    1. Create a purchase order with one or more items. To do this, on the SAP Easy Access screen choose Logistics -> Materials Management -> Purchasing -> Purchase Order -> Create ->Vendor/Supplying Plant Known (ME21N).
    a) In the item details, choose the Invoice tab page. In the Down Payment Category field, choose the Mandatory Down Payment or Voluntary Down Payment setting.
    Confirm your entry.
    b) Enter an amount in the Down Payment Amount field, or a percentage in the Down Payment % field.
    c) Enter a due date in the DP Date field.
    d) Save your entries.
    2. On the SAP Easy Access screen choose Logistics -> Materials Management -> Purchasing -> Purchase Order -> Reporting ->Down-Payment Monitoring for PO.
    3. In the Purch.Doc. field, enter the purchase order number of the purchase order you just created, and enter the appropriate due date interval.
    Choose Execute.
    4. Select the purchase order you created in the list and choose Create Down Payment Request.
    The Down Payment Based on Purchase Orders screen appears.
    5. In the group box Execution, choose either Down Payment or Down Payment Request and then choose Continue.
    Depending, either the Down Payment Request screen or the Down Payment screen appears.
    6. Change the proposed amount to be paid in the Down Payment Amount field and choose Continue.
    7. on the subsequent screens (similar to F-47 / F-48), enter the required data and post the document.
    Posting of Down Payment Clearings in Logistics Invoice Verification
    Preparation for this process:
    1. Create a purchase order with one or more items. To do this, on the SAP Easy Access screen choose Logistics -> Materials Management -> Purchasing -> Purchase Order -> Create -> Vendor/Supplying Plant Known (ME21N).
    2. Use the Financial Accounting transactions (such as F-48) to create down payments for this purchase order.
    3. Post a goods receipt with reference to the purchase order you created. To do this, on the SAP Easy Access screen choose Logistics -> Materials Management -> Inventory Management -> Goods Movement -> Goods Movement (MIGO).
    Step to follow for Execution
    1. Post an invoice with reference to the purchase order you created. To do this, on the SAP Easy Access screen choose Logistics --> Materials Management --> Logistics Invoice Verification --> Document Entry --> Enter Invoice (MIRO).
    2. Check the invoice items and correct them if necessary.
    3. Choose the Down Payment Clearing pushbutton.
    4. In the Amount Entered column, enter all the amounts you want to use to clear the displayed down payments.
    Save your entries.
    5. Post the invoice.
    6. Display the invoice document. To do this, on the SAP Easy Access screen choose Logistics --> Materials Management --> Logistics Invoice Verification --> Further Processing --> Display Invoice Document (MIR4).
    i Think the way all the process mention here will help to process your requirement becuase this worked for me and i follow the same way. One think which i like to share with you is i assigned the advance payment at document header level.

  • Making vendor down payment at PO header level and not item level

    I am making downpayment to vendor. I am using new functionality in EHP 4 for making downpayment through purchase order. When I run ME2DP for making downpayment, it asks for PO item number also.
    But my requirement is to pay downpayment at PO header level and not PO item level.
    Please let me know how can I do payment at PO header level.

    I am also facing the same problem. Though Advance is maintained in PO Header Level when we are trying to create  DP Request / DP system is asking line item mandatory. Suppose i have 2 line items  and maintain all the DP amount in first line item. I am making service entry for 2nd line item and bill for the second line item. Then in this case, the Down Payment clearing tab doesn't appear in MIRO. That means I am unable to adjust the advance for the line item though I have to adjust it.
    Problem is that there are more than 300 lines items in PO/WO. Hence it becomes difficult to maintain advance for each line or the user is forced to maintain certain amount in line item..
    Please help ..Its urgent

    is it possible to pay vendor down payment with F-58 (not F-48) after dowing a request by F-47 ?
    what is the consequences of that, and what is the procedure that i must follow  ?

    <b>I will explain with one example:</b>
    1 You have made a down payment of USD 10000 through F-48.
    2 You have received first invoice for USD 3000. First u have to match (clear) against your down payment using F-54. The balance will become now USD 7000.
    3 You are again posting another invoice for USD 5000.
    4 Carry out the step in 2 and the balance will be now USD 2000.
    5 Now you are posting another invoice for USD 5000.
    6 After clearing thorugh F-54 u will have a balance amount payable to the vendor will USD 3000.
    7 Now you can pay this amount either theorugh automatic payment program or thorugh F-58 to pay this amount. Hope this is clear to you now.

  • F-48 & F-47 Vendor Down payment

    We are in need to add purchase order in vendor down payment requests and in vendor down payment. Purchase order field needs to add as mandatory field.
    Please advise how to add PO field as mandatory in  vendor down payment requests and in vendor down payment.

    Hi Kuldeep,
    There are below three ways out of which you have to take decision which one best suits for you...
    1. Make field madatory for Field Status Group in GL Account.
    For this you must have FSG assigned to GL which is very unique then only it will serve purpose otherwise PO field will be madatory for all the GL accounts to which this FSG is attached.
    2. Make field madatory for the posting key 29.
    This will make PO field mandatory for other special Gl transactions also for vendors. For example if you give travel advance to your employee where no PO is required but system will madate you.
    3. Set up Validation in GGB0.
    This might be the best available option since it can be specific to Transaction Codes only.
    Analyse your system and impact of implementing any of the above and take a decision.

  • Withholding tax calculation at down payment clearing F-54

    Can any one reply the solution
    When I am posting down payment to vendor, Basic TDS, Surcharge, Ecess on TDS and Ecess on Surcharge calculated.
    Invoice is half of the down payment and TDS and Ecess on TDS calculated properly.
    but when i am trying to clearing the down payment against invoice thru F-54, TDS and Ecess on TDS reversed and surcharge and Ecess on Surcharge is also reversed on proportionate basis.
    It should not be reversed and client wants which is TDS is raised at Invoice it should be reversed.  but we are getting more than that.
