Wait workflow till the item field is changed. Approved or rejected

Hello guys.
i have to make a sharepoint list where the people can put their leave requests and then the manager approves or rejects it.
In my workflow on sharepoint designer, I have put a wait condition. [Wait for Approval Status to equal 0;#Approved]
This way i can send an email to the person who requested when the approval status is changed to accepted. But how can I do the same when the request is rejected?

Hi Irfan,
Create a calculated field "StatusChange" , if status is equal to "Approve" or "Reject" set it to 1 else set it to 0.
In workflow wait till StatusChange is changed to 1 n then put If conditions and send mails accordingly.

Do you what should I do when the item is receiving the first-transation and it is an inventory entry coming from DTW ? Because when I test this conditions, the field "price" is ignored and when I check the inventory entry sent using dtw the recorded cost is "cero".

    You have the accessibility VoiceOver feature turned on.
    Triple click the home button and try going to Settings>General>Accessibility and turn VoiceOver off. You may have to use three fingers to scroll the screen to get there. If problems see the following for how to turn off via iTunes:

    I have created a workflow for purchase requisition release strategy .  Apporver's will login into ME54N transcation from the attachment in email and provide Release/Reject on PR . At that when any approver login to ME54N the item detials are in change mode so that user can able change quantity or other fields in the ME54N Transaction . So how to restrict the Approvers for not changing any quantity fields on the PR when it is being released .

    I do agree with all other comments.
    Also discuss with you functional consultant, say if any of the field which determines release strategy is changed by the approver,  then end the current workflow instance and start the new workflow instance based on new release strategy (obviously new set of approevrs)
    This is possible as SAP will trigger the corresponding event, if any of the field which determines release strategy is changed, (if release stratgey is configured properly).
    You need to build the workflow in such a way, that if this event occurs, then end the current workflow instance and start the new workflow instance.

    We are trying to design an approval procedure whenever an item code appears in a certain UDT.
    For example, we have many items in OITM.
    We have 50 of those items also in @BIN.
    The approval procedure should be triggered only when the document lists one of the items that appear in @BIN.
    I am using the following query:
    SELECT 'TRUE'   where $ [$38.1.0]  IN (Select code from [@BIN] )
    The problem is that the query would only search on the first row and wouldnu2019t continue to the next rows.
    Do you have any idea how to bypass this limitation?

    Hi Revital,
    One way to implement this functionality would be to use a UI API that verifies the values while filling the items in the Matrix. For this you would need a little programming knowledge but no extra license.
    There is a lot of information including Code Samples in the SDK Package delievered with every patch of Business One.

  • What determines who you will get in the dropdown when you change approver?

    When you create a shopping cart, you can replace the default approver. However, when you use the "find" button, I get more or less all users in the system, independent of if they have authoriztion to approve my cart or not. This is not very user friendly I think.
    How can I controll what result I get when I use the "find" button?

    As per the config guide,when you try to assign the User,using the FIND button,you will get to see all the users with the role "SAP_BBP_STAL_MANAGER" who can approve.
    Else you can filter the possible selection with the BADI BBP_CHNG_AGNT_GET.

  • SharePoint Designer workflow - update list item field without creating new version?

    I have a list that uses versioning.
    I have a workflow, designed in SharePoint Designer, that will track changes in some columns, and if there is a change it will send out an email.
    To track the changes eg in the Status column, I have a hidden "OldStatus" column so I can compare the current value with the previous value.
    If it's different it means it has been changed, and I send out an email, then update the OldStatus with the current value so they're in sync again.
    Problem I have now is that when I update the OldStatus column in my workflow it will create a new version of the listitem. I don't want that. This is a system value change and has no value at all to the end user.
    In C# I can do a systemupdate to avoid this, but how can I do this in SharePoint Designer?
    Please don't tell me I should write the entire workflow in code, only to get access to the systemupdate command....

    I fought this for a while but was able to get it to work. You need to use the following syntax:
    ([<OwnerId>] = 'RowIDThatYouWantToTriggerOffOf')
    In order for you to test the workflow you need to log out of CRMOD and re-login. This is key because if you skip this step it appears that your change did not work.

  • Why is the "From:" field being changed in Mac Mail.  I have multiple gmail accounts setup and it seems to change the "FROM" field even though I've selected which account to use to send the email.

    So
    I've got multiple gmail accounts setup in Mac Mail.
    Somtimes when I send or forward emails, it uses the wrong FROM field even though I'm declaring
    specifically which account to use.
    This becomes apparent when the person replies to my message and it goes to the wrong account

    Check you accounts in Mail and make sure each account has the correct outgoing server address. Check the box to use only that server.
    Second, go to the gmail website and in settings under the account tab, make sure you have the correct settings for replying to messages.

  • How to hold save operation till the workflow approvals are completed ?

    Hello,
    The requirement is that on change of certain fields in customer master , an approval workflow should trigger and only after the chain of approvals is completed the change in customer master should be saved.
    If standard provides the field eg in SWEC then its fine but otherwise is the following approach correct ?
    1. Find a suitable user exit on save action
    2. Determine whether the required field is changed or not using the std change history tables
    3. if yes, trigger a custom event for the business object which wud be already linked to workflow.
    that way the workflow will be triggered
    4. now trigger another custom event in the workflow after all the approvals are completed
    5. induce a wait for event for this approval-completed event in the user exit. so that till the time this event is generated, user exit processing is not completed (find if there is function module for wait event OR keep infinite loop)
    Is this approach correct because its complete 'home-made' design and doesnt look very good to keep the user exit waiting for entire workflow which mite extend to even several days.
    what should be the solution for this ?

    Hi:
    1. Find a suitable exit or BAdI on save action (even Enhancement point)
    2. Check whether the required fields are changed or not, if yes- then display an information message saying, "Approval WF process started for the customer: XXXXX". Then after displaying the information message, system needs to behave like as an error mesaage was showned.
    I mean, you need to come out of the current standard screen and the whole std. program (little bit tricky but it is possible to do), so we are not saving the data to database table.
    3. Then after all approvals in WF, use std. FM or BAPI to update database tables for the changed data.

  • Workflow not triggered when i have changed the PO

    We have custom fields (Price) in PO Header as well as in item. when we update in header the price should get distributed to items.
    we have custom workflow evernt (changed) to update the items if user change in header. But the issue is if user changes the items and save the po, it is not updating immediatly. after we come back to Purcahse Order and save the purcahse order again then it updates the table.
    Is there any reason why the event is not triggered when the PO was changed initially.

    If you update a price in the header, how/why would that be distributed to the items? Is this a total price of the whole PO? Why not just have it in the header?

    OK. Strange, but OK.

    I thought it was supposed to happen when the users changed the header, not the items.
    If you really have a workflow to update the items when the header is changed, then maybe it's not succeeding if the PO items are locked, eg by having them on your screen. Did the worklow actually start? Any error messages?

    As per our current system set up, whenever the order created in CRM once replicated to ERP should not change the item category in CRM .If the item category is changed( allows the system) and saved, it gives an error as u201CItem category should not be changedu201D. We have been encountering  this type of issue since long back
    To avoid this type of issue, an error should through while saving the order when the user changes the item category in CRM.
    Can someone help me to achieve this.

  • In an approval workflow, how do I wait for either Approval or Reject to proceed?

    I have a field that will get set to Approved or reject in the form.  In the workflow I inserted the action "Wait for a field to change in current item".  The program is it reads:
    WAiT FOR "SOMEFIELD" TO EQUAL "VALUE"
    the value could be "Approved" or "Reject".  How can I set the wait till the value is changed to proceed to next action in the workflow?

    According to your post, my understanding is that you wanted to create a workflow to wait for the filed changed and then proceed to next action.
    As Matt
    Milsark's Blog said,
    in the SharePoint Designer 2013, the value of the action has to be equal to.
    However, we cannot use parallel blocks to wait for the item to change.
    When the column’s value of the List is “Approved” at the first and not changed, the workflow also will start and perform the next action.
    The reason is that if we create an item which set the column value to “Approved”, the workflow will proceed to the Approved Step without any changes and then wait for the filed changed to Rejected.
    As a workaround, we can use the “Stage” and the “Wait for Filed Change in Current Item” action.
    You can follow the steps as below to implement it.
     Create a Custom List > Create a Column with the type of “choose” > Set the Column’s value is “Approved” or “Rejected.
       Open the SharePoint Designer 2013 > Create a Workflow for this List > Add some conditions and actions
    as below:
       3. Click “Save” to save the workflow.
       4. Go to the “Navigation” and click the “Workflows” > Open the new workflow > Go to “Start Options” > Check “Start workflow automatically when an item is created”.
       5. Click “Publish” to publish the workflow.
    In addition, we can use the “Wait for Event in List Item” action to achieve what you want.  Please create workflow as below:
    Then if the “Approved” Column’s value of the current item is changed to “Approved”, the workflow will log “Approved Column changed to Approved”.
    If the “Approved” Column’s value of the current item is changed to “Reject”, the workflow will log “Approved Column changed to Rejected”.

  • Workflow - marking work items as obsolete

    I'm working on a workflow that allows cost center managers to approve or reject purchase requisitions.  I'm trying to create some logic that will trigger the workflow when the purchase req is significantly changed, in addition to just being created.  When it gets changed, I want to be sure that it's not deleted.  If it was deleted rather than being changed some other way, I want to mark all active work items for that particular req as obsolete so they're no longer out there for approval.  I put in a "set obsolete" step for each piece of the workflow that creates a work item prior to terminating the workflow.  When I try to test this, however, the workflow DOES recognize that the req was deleted, but it doesn't even show the "set obsolete" steps in the log, it just terminates.  The "set obsolete" step doesn't seem to have much to it, but is it possible that I'm just doing something wrong?

    You shouldn't use "set obsolete" for this.
    Depending on your version, you can either use a fork and a wait for the event "Deleted" in one of the branches or simply, in the new version, define a terminating event on the header level.
    Check this thread, it explains how, the example is based on restart, but you can use the methodology to cancel you workflow instances as well.
