Where Should a Linked Document Reside?

I have a multi-chapter document that I can't link to its home
web site because it is in multiple zipped files. I don't want my
end users to have to unzip, etc. I also don't want to store the
files, zipped or unzipped, in my project (a policies and procedures
manual).
A little information:
I plan to save them in .pdf format.
They open as Word docs.
Project is Webhelp.
Accessed by the corporate Intranet
My options are to store them on a network drive, e.g., my
personal drive , or in a folder on the Robohelp server. It is a
dedicated server used only for Robohelp projects.
Is there a reason why saving them in a folder on the Robohelp
server and hyperlinking from the appropriate topics to the
individual chapters would be inefficient or problematic in some
other way?

Multiple issues lurk here.
My preference is to import the targets as baggage files in
RH. This makes it much easier to manage links.
You may run into some security roadblocks when your help
topic links to a document (rather than an URL) on a different
server. It is best to keep WebHelp and any of its resources on the
same drive.
In a network setting (not built as an Intranet) you can link
to an external file. The "Link to ... File" dialog requires you to
have the target file in place and stores the path when you select
the file. This can get tricky. RH may store a relative path if the
target is on the same drive as the RH project. When you publish the
WebHelp on another drive, the target has to be in the same relative
path, or you will have to manually adjust the link.
RH won't let you type a "fake" file directory path into the
hyperlink dialog.
(By the way, the "Link to ... File" dialog asks whether you
want to import it into your project. My advice would be to say
Yes.)
For a true Intranet, you can use the "Link to ... Web
Address" dialog and complete the http tag manually. You do not have
to import the target file as baggage.
How does a .pdf document open as a Word doc? A Web browser
usually looks for a pdf reader first.
You say the RoboHelp server "is a dedicated server used only
for Robohelp projects." It should be a server dedicated (but I'm
not sure why it's necessary) to WebHelp output packages, not RH
projects. The RH source project must be on the hard drive where the
RH application is running, which must be your local disk. The
output can be on a network drive.

    We have Enterprise portal and use TREX for collaboration rooms and document indexing. EP is a java only Netweaver stack on AIX and TREX is on a window box. What I wanted to know is where do the actual documents, which TREX indexes reside?
    Does Trex retain a copy of the indexed document? For a particular index where is the mapping of the actual document? Where can I look at all this data?

    documents original location is transparent on KM, whether it is on a external repository or not doesn't matter,
    for KM and TREX it is part of repository manager (configured at System Administration > System Configuration >
    Knowledge Management > Content Managenement > Repository Managers).
    Once a repository manager is activeted, there are several services running on top of it, eg.: subscription, rating,
    etc. and other global services which affects every repository. Crawler service and Index Management are the
    global services which will do indexing work
    In fact TREX doesn't look for documents, the crawler is the component that retrieves the documents and
    deliver for TREX. Have in mind that the crawler is part of KM, not TREX. It is active for every repository,
    you can check on the monitor at System Administration > Monitoring

    once documents are retrieved by the crawler and is at TREX hands, it will index normally, it uses
    a file system based architecture, if you browse through TREX server you can find the indexes you have
    created as folders and documents information inside. Be careful when checking at file system level, data
    there is designed for TREX work only, it doesn't serve as backup and can't be considered for any
    other functioning.

    I need help in linking documents which are available in DRAW , DRAD tables to Purchase order while creating a PO in ME21N.
    By passing material number to object key in drad table I can get the document number , version etc...
    How should I pass the material number during PO creation .

    When I checked EKKN table by entering PO there is no asset no. in anln1 field.
    Also I would like to add that, In me23n for a PO, account assignment category we are entering 'F' for internal order settlement.
    Where can i find the link between asset and po no(ebeln) and po item(ebelp)?

  • Linked Documents to BOM: Current version/All versions

    Hi,
    I am talking about the screen that is obtained in ECC6 after executing CS03 , Go to Header Level and select the tab Doc.assignment.This shows Linked Documents ( Current version and All versions)
    I have linked three released versions of a Document Info Record ( AA,AB and AC) with change number to the BOM by navigating to the screen listed above and saved the BOM.But I dont see any Linked documents, if I click on "Current version" in the same screen.However "All versions" shows all the three versions of this DIR.The DIR also shows the linked BOM in Cv03n for all three versions.
    I have tried linking these three versions to the material, and the "current version" in the additional data tab ( basic data view) - document data tab rightly shows the latest version AC and All versions shows all three AA,AB and AC.
    1.Is there any activation to be done for current version in BOM as mentioned in above screen?
    2.The version is released with change number and is valid on todays date , what might be other possible reasons current version doesnt show up any DIRS for the BOM?

    Hi Christoph.
    The SAP system we are using already has corrections of note 974270 as it is on higher version.
    I have checked the documentation in the links you have sent and made sure that the settings for screens are fine.
    I tried to execute couple of scenarios to check the logic for "Current version".
    Scenario:1 : Two DIRS with out change number and not released
    I see that there are no versions displayed in "Current version" tab( in CS03 tcode)  for a simple test case where i created two DIRS with out change numbers, both of them not released.As per documentation in link, it should display the latest version in such scenario,
    Scenario 2: Three released versions with valid change number.
    For another test case , though three versions are released( AA, AB And AC) and change numbers are still valid, the current version still shows older version of "AA".( in CS03 tcode)
    Please help if there is something else that I can check to proceed further.

    I am new to SD and I am a technical person not a business person. But now I have to find out how to link a billing document of type Credit Memo (tcode VF03) with the invoice that originated it. I can see in the document flow of the credit memo (button Display Document flow) all the documents related but... where are those link in the data dictionary? I need the technical part that lays behind this. How can i follow the track of the former documents knowing only one of them?

    VBFA table is for Document Flow for which you can see all the preceeding Documents.For Example VBRK ( Billing Table) --> LIKP ( Delivery Tabel ) and VBAK ( Order Tabel).Here for Billing Document the Preceeding Document is Delivery and for Delivery Doucment the Preceeding Document is Order.

  • Linking document info record and purchase order

    Hi all,
    I hope that someone can help me because I'm having a problem with creating links between document info records and purchase orders.
    By default in SAP I can create links between document info record and purchase order ITEMS! When I create that link, I can see it in document info record under Object links tab, but when I double click on the number of purchase order nothing happens (I expected that this purchase order will open).
    Why is that so?
    Why can't I access purchase order from document info record even though the link exists?
    The other question is about creating object links to purchase orders, not purchase order items! Is it possible to link document info record with purchase order?
    I would appreciate quick answer because we're in the middle of a project and we're stuck with that problem.

    Hi Karlo,
             As you mentioned, object links could be linked to Purchase order items. In customisation you maintain these entries under the node SPRO > Cross Application Components> Document Management--> Control Data --> Define Document Types --> Define Object Links.
    There are many links in the standard system (possible entries).
    The system automatically determines the screen number (dialog box) where the key data for the object is maintained for document maintenance.
    You can check the screens when the screen entry is missing or contains errors by doing the following:
    Start the Object Navigator and display the objects for the development class  CV.
    Expand the function group 130. The structure nodescreens lista all screens that can be used for object links.
    You can make an object link to SAP objects that are not shown in the possible entries list. To do this, proceed as follows:
    In the standard system, there are already two special screens for the module pools SAPLCV130 and SAPLCV140 for the linked SAP object.
    You must create two new screens with the same number for the module pools SAPLCV130 and SAPLCV140 .
    The processing logic must follow that of screen 1204 in program SAPLVC130.
    Create function module OBJECT_CHECK_XXXX (XXXX = object name)
    If the object can be classified, this function module already exists .
    Otherwise copy the function module for linking equipment DOCUMENT_CHECK_EQUI and change it as required for the new object.

  • Archive Link Documents

    Hi Experts ,
    I am currently working on the Web UI component GS_CM . The requirement is to display the name , description and the  created by fields entered by the user during the upload process correctly on the web UI. The user would click the advanced button and then click the attachment button in the advanced assignment block to upload documents. These documents are added as archive link documents.  In the current state only the extension name ( E.g. xls ) is displayed. The data entered by the user is being populated correctly but I am not able to figure out where the attributes are being set and where wrong information is being picked up . Could anyone with experience in attachments and who has worked with the component GS_CM please help me out? Could this be a standard issue? Any reference to SAP notes would be really helpful.
    Also is there an API that would fetch the information directly from the database?

    P.S: These attached documents are added within a single folder within the Archive link folder. Hence the view for the advanced assignment block has a context node with a tree structure. It is this mode which holds the name , description and the user name.

    First you must have Services for Objects enabled. Then you will need further enhancement to "Store Business Documents" if yo are truly using "archivelink" documents. If you use create attachment you will just be writting to the SOFFCONT1 table in SAP.

    With the music player, remember to update the music library: Music > Options > Music library > Options > Update Music library

    We have BOE XI 3.1 in our server.
    We configured trusted authentication in CMC of our server machine, and created a trustedprincipal.conf in D:\Program Files\Business Objects\BusinessObjects Enterprise 12.0\win32_x86 of my client machine. I created a jsp file to access bo reports.
    I can not approach http://bfphp:8080/OpenDocument/opendoc/openDocument.jsp, just get alert after running the jsp file.
    However, we put trustedprincipal.conf in our server machine and remove the file from my client machine, I can approach openDocument.jsp after accessing the jsp file.
    Official document says trustedprincipal.conf should be put in client, but we tried it, logon fails. When I put it in server, logon succeeds.
    My question is, if trustedprincipal.conf is put in server, can anyone who knows a user of BO system access to bo system via the jsp file. So how can I control authentication of client who access to BO system, and where should I put trustedprincipal.conf in?

    Hello Queenoid,
    It does not matter where you save the widget although you probably want to save it into something  like your "My Documents" or "Downloads" folder for easy access. When you save the Lightbox widget, 1 file (LightBox Gallery Widget_default.html) & 3 folders (css, images, scripts) are saved in the location you specified. If you want to use your own pictures, go into the images folder & replace the images there with your own.
    When done, upload the file & folders to your site & everything should work.
