Why is a workflow "stale"?

I'm writing a workflow to send an email each time an user is created and I'm calling this workflow from a POJO. Everything looks good, no errors, in debug mode in my POJO I see that the workflow starts, there are no messages in my inbox. This is what my log says:

My model only includes a workflow process step to send the email. Here comes the problem... it's not sending the email, I'm debuging the workflow and is not passing through the step that I wrote. In the workflow console the workflow the instance says "STALE". What causes the workflow going to stale state?

Hi Rudy,
It would be hard to tell from the info you have given, but I am assuming you chose the "Send Emnail" Process step and have it correctly configured [0].   You could enable DEBUG level logging for the Workflow packages [1] and see if there is any extra information output from their, also maybe the Mail Service packages.   I would also make sure you have configured the Mail service correctly [2] and that you have rights to send the email using the 'from' through the mail server you have configured.

  • Why are my workflows failing?

    I have a workflow that should create or update a record in 1 list when the record in another list is updated.
    if a new record is created in List A and criteria is met, a record will be created in List B. When the record in List A is updated, the record in List B should also be updated.  However, often when the record is created in List A and the workflow kicks
    off, it doesn't create the associated record in List B. So when someone updates the record in List A, the workflow fails because it can't find the record in List B.  One of the steps in the workflow is to populate the record's ID# from List B back into
    the record in List A.  The record in List A will show the ID# from List B, but a record with that ID is not found in List B!
    When i test the workflow, it works fine.  When the workflow fails, I get the Error Occurred status so I manually stop the workflow and kick it off again, and it works fine.  So why is it failing in daily use? Could it be a timing issue? could the
    workflow take too long to run so it times out? if so, is there a way to speed it up or give it more time to run?
    I am not a programmer - I just create workflows using Sharepoint Designer 2010 - using Set Field Actions, or if then conditions and a couple of calculations.

  • Cannot manually select Automator workflows in iCal

    I know That the Way, Apple intends that we create an Automator workflow as an iCal alarm is to create a new iCal alarm in Automator, and once you save it it automatically creates a new event in iCal. Unfortunately, that's not the way I want to work… I already have dozens of iCal alarms configured, and I'm trying to prep them for Mountain Lion: the currently open AppleScript's but all of my Apple scripts need to be converted to Automator workflows for Mountain Lion. So I was hoping to quickly duplicate previous iCal workflows, then reselect them from within existing events in iCal. Sadly, all of my iCal Automator workflows appear as greyed out in my File Open dialog when attempting to select a new file to run within my iCal alert.
    I don't want to have to delete all of my iCal alarms and start over creating them anew. Perhaps I am missing something simple?

    according to the first link I can save the applecript as an application. It doesn't answer why my automator workflows are greyed out when I try to select them, but maybe I'll just try saving as applications... sounds simpler.

  • Why are MP3's so difficult on a Mac

    I do not understand why it is so hard to make an MP3 on a Mac using Apple software. Why should my workflow have 5 steps just to make an audio file that everyone can read. Apple shows this as the proper workflow:

    It's not usually that hard. If you just need to convert one or a few tracks rather than a daily batch process and the tracks are AIFF, AAC or WAV, just drag the track(s) into iTunes, set the iTunes Importing preference for "MP3", and use the "Convert" menu command.
    Alternatively, there are a number of utilities, some freeware and some shareware, that can covert a track from another format to MP3. Search MacUpdate and you should find something that would work for you.

    This is the case for many "legacy" workflows launching SAP(Web)GUI transactions or BSPs.
    It works like this: if the UWL cannot find a corresponding task type for an arriving work item from Business Workflow in its XML configuration, it assigns the task type "uwl.webflow.default". In the standard uwl xml file you can see that tasks of this type are launched using the SAPTransactionLauncher (not specifying the TransactionCode parameter).
    As you can see in the documentation (https://help.sap.com/javadocs/NW04S/SPS09/uw/com/sap/netweaver/bc/uwl/config/doc-files/ActionHandlers.html), if the TransactionCode is empty, the action handler defaults to the Business Workflow transaction "SWK1". This transaction (the UWL is now out of the picture) just redirects to the target transactions defined in the workflow itself.
    Any matching entry in the UWL XML configuration will however override this default behavior.
    Good question though. Hope this clarifies it to some extend...

    Why use SAP Workflow?
    SAP Workflow ensures " the right work is brought in the right sequence at the right time to the right people". It is a tool designed to facilitate and automate business processes that require tasks to be performed by people. Ideal for casual or non-SAP users, since all the work items can be performed outside of SAP by simply responding to an email, SAP workflow can be linked to Microsoft Outlook or Lotus Notes. Each step of a business transaction can be easily monitored and processes are completed from the beginning to the end. Workflow allows process owners to keep an eye on deadlines, provides statistics on the length of time to complete work processes, determine the workload with regard to individual employees and save processing time.
    Since Workflow delivers work items to employees automatically via email, they do not have to wait or inquire about the status of a particular transaction. SAP Business Workflow can also be used to respond to errors and exceptions - it can start when predefined events occur. For example, an event can be triggered if particular errors are found during an automatic check of the data SAP workflow is particularly useful when there is a business process involving more than one person, when an automatic notification can replace a manual communication and when there is a defined set of individuals and/or documents implicated. It organizes one's work, alerts users and directs traffic by sending work items - once the user executes the work item, then another one can be sent to another user. For example, a Manager could use workflow to approve a vacation request from an employee. The workflow application would ensure that each person involved uses the correct online form and successfully completes their step before the planned leave was entered into SAP - either by an Administrator or automatically. By the same token, if someone registers for a training class, Workflow can act as an alert tool by notifying the supervisor in question or reminding the individual of an upcoming class.
    Before implementing SAP Business Workflow, organizations should start by asking a series of questions, such as: - Which HR processes do we want to automate? - To what extent can we change current procedures and pass them over to electronic control? - What steps are these procedures made up of? - Who are the individuals involved and what are their roles? - How do we get the Workitem to go to the right people?
    Even though Workflow can be implemented via user-defined tables without the Organizational Management component in place, having a pre-defined organizational structure adds tremendous value and saves time. A clear reporting structure made up of positions and position holders that is maintained by the HR department, ensures the ongoing ease-of-maintenance effort. The ability of HR personnel to add and delete users from positions as people come and go, without affecting your core workflows, is a tremendous long-term benefit. If you have Personnel Administration in place, employee's email addresses can also be maintained by the HR department in addition to employee's respective Time/HR and Payroll administrators who might be involved in the Workflow.
    There are basically three options for connecting workflow to external email: Microsoft Outlook/Exchange, Lotus Notes or SAP Connect and Internet Mail. A key factor in SAP R/3 4.6 implementations and upgrades will be the use of a Web browser as the main workflow interface.
    Benefits of SAP Workflow
    Although the advantages gained by using workflow are not of financial nature, the time saved by optimizing processes could easily be translated into money. - The quality of your processes will be assured by sending relevant information directly to the user. Managers don't have the time to search for information. For example if an employee obtains a qualification as a result of hard work or training, their Managers can be notified immediately. - Cycle time is reduced by providing all the necessary information needed: people can check their list of pending tasks and determine which tasks can be completed the next day without any negative impact. I.e. A Payroll Administrator might be notified immediately of an employee address change via ESS that might implicate taxes. - Workflow allows to monitor deadlines.
    It could be used to remind employees of upcoming performance reviews or training or to send payroll year-end tasks items to the relevant Payroll Administrators. Deadline handing ensures that users perform the tasks within the time planned. Escalation measures ensure that the failure to meet a deadline can be corrected by other means. - Users can see at a glance how the process works and who will be selected to perform the different tasks, which creates a transparent work environment. - SAP contains Workflow templates, which can be used as a reference providing more than 200 Workflow samples. - Implementing Workflow will save costs. Ask yourself how much time is spent gathering information, getting hold of people, logging into different systems and trying to understand who to give a task to? How often does this current process fail and how labor intensive is it to fix it? Workflow reduces time and effort spent and the savings in days can be considerable.
    How does it work?
    There are several components of a workflow: Workflow Definition, Work Items, Triggering Events and at the Receiving end the Organizational Structure. The workflow definition is created in the Workflow builder and is made up of the various steps. Each step of the workflow definition can be a task pointing to a SAP transaction or a decision. A decision might contain specifications about agents and deadline monitoring for a step. The workflow is started either manually or by the system at runtime. For the system to start a workflow, the workflow definition must contain a triggering event (for example the event "Address update by the employee"). When the event occurs, the relevant workflow is started automatically. Tasks or Work items describe the activities involved and can refer to automatically executable methods (i.e. send an email to a supervisor) or they might need a user to execute them (i.e. supervisor has to go and click on a button in his workplace to approve something). Tasks refer to business objects, which are ABAP coding. Events are activities that trigger the workflow - one or several workflows at the time. Once the workflow is triggered, the definition flowchart determines when and in what order work happens. Work items are then received and executed in MS Outlook, Lotus Notes, mySAP Workflow MiniApp or the SAP integrated inbox. Alternatively, the workflow system can transmit e-mail notifications directly to any mail system, informing the user of the need to log in to the SAP system to execute the task. A work item is always assigned to one or more users. Once the task is executed, the work item vanishes from the other users' inboxes.
    Integration to Email systems
    Usually executable work items are received in the Workflow inbox. But casual SAP users, especially Managers might forget to check their inbox at a regular basis and so it makes sense to set up reminder emails, informing people via a batch job that they have work items in their inbox. Alternatively, an email can be sent directly to their Lotus Notes / Outlook account with a hotlink to the Workflow inbox. All emails, whether they exists in the form of Workflow notifications, Workflow Workitems, or just a standard SAP Office memo, are sent out of SAP through SAPConnect. This provides the all in one gateway between SAP and the mail server. The transport of workflow items between SAPConnect and the mail server (whether that's Lotus Notes or Microsoft Outlook) has been facilitated by SAP provided add-ons that are fully optimized for the different protocols required for each server. Lotus Notes, for example, uses a 'pipe' called the MTA, or Message Transfer Agent. This was designed jointly between SAP and Lotus to provide full integration between the two systems.
    It should be noted that the type of transport medium used is dependent on the mail server and not the mail client. In other words, if the employee uses Outlook on their computer but the mail server is a Lotus Domino server, the MTA would be the mail gateway used. Each workflow background user must have an email address stored in their user profile. It is note worthy that no approval or reply notification will be allowed from an external mail system - in other words external email systems cannot respond back to SAP for security reasons.
    Looking ahead…
    Workflow is becoming more and more web-oriented which allows external business partners to receive notifications. Companies can adopt Workflow together with "Webflow" where workflows can be initiated via Internet transactions and where different external business partners can receive notifications sent by the workflow. The Web inbox offers access to partner companies logging on to your Web portal and it refreshes itself automatically. Any type of work item can be executed directly from a centralized list of work items, no matter what graphical user interface is needed to run it. Webflow is particularly useful when a company deals with outside partners using different software platforms.
    Workflows can make an ERP system more efficient by automating situations in which work processes have to be run through repeatedly, or situations in which the business process requires the involvement of a large number of agents in a specific sequence. It is essential that the Workflow consultant is an expert in ABAP development or has access to ABAP programmers since a good deal of the work is technical. You will also need someone familiar with Lotus Notes / Outlook concepts and development in order to create the interfaces between the systems. The Workflow consultant should also have experience in installing and integrating efficient electronic archive systems.

  • AD Sync failover workflow not firing?

    Hi Everyone,
    We have a sitaution where it doesn't look like the AD Sync failover workflow is firing. We are syncing changes from an AD resource using IDM 7.1.1.14 and have configured the AD Sync Failover as documented in the docs. Everything seems to work fine on normal situations where the gateway would "jump" DC's due to some error. However, it seems that every day at a certain time in the morning (we are still looking at a possible network issue but that is beyond the scope of this), we are getting an error, however the failover workflow is not firing off as this time. Below is the error we are getting.

This is kind of a dasterdly situation because the sync still fires off but all of the user's information from that AD resource is null, so it tries to push null values around for the user. This is especially bad because we have authoritative roles that push groups to a user if they do not have them. This causes the users groups in AD to be overwritten with the groups we have defined in the roles. We have the role definitions set to merge, but obviously a merge with a null, is the same as an overwrite. Any ideas???

  • Add user as the apporver in workflow

        I have created workflow for Project. I would like to add a user as a approver by using the following code.

    When the document is moved to the phase the document is locked by workflow engine, but there is nothing happen.  i also found the error in the log.

        The issue has been resolved by uising the XPDL template from SAP. I have some question about changing the phase. I have 3 phases as the following :
    1. Draft
    2. Approval -> Workflow is here . Prev phase is Draft and Next Phase is Approved.
    3. Approved
    I added script to change phase in post script on the block activity as following

    It seem like the document is automatically changed the phase  to 'Approved' and make the script error, and the document is locked on the Approved phase. I would like to ask you some more questions.
    1. Why does the workflow change the phase automatically? On my understanding the phase should be handled in PostScript by the script
    2. On my understanding the workflow engine will lock the document during the workflow. Why this workflow did not release the lock when the document was changed the phase to 'Approved'.

    Hello,
    for my diploma i'm evaluating the different workflow technologies within the sap environment. Therefor i set up a list with the different technologies and want to know if i'm missing something.
    1) ALE
    2) MDM Workflow
    3) Business Workflow aka Adhoc Workflow
        (CRM Workflow, SCM Workflow are synonym to the Business Workflow)
    4) SAP Webflow aka SAP Workflow
        (kind of a successor of Business Workflow)
    5) Guided Procedures
    6) Business Process Engine aka ccBPM
    Are these the most used Workflows within the SAP environment or is something missing?
    And what is the difference between <i>SAP Business Workflow</i> and <i>SAP Webflow</i>? Some source say these two are nearly the same, except the "web-capability" of Webflow...
    btw: Sorry for posting this question in the Coffee Corner but its a farreaching area and i dont know which other forum it would fit better...

    Please be assured that there was no irony or sarcasm intended - if you can complete the evaluation task that you have set for yourself, it will not only be a wonderful achievement but also something that I'm sure many here would want to read and comment on.
    The one thing to keep in mind - perhaps the most important thing - is that technological alternatives are never pursued rationally.  Rather, they are generally pursued for the worst of reasons - someone's opinion of where "the market" is going at any given point in time.
    So unless you can get an SAP "insider" to explain to you why SAP's workflow alternatives developed the way they did, you will not really have a complete picture.
    Of course, it's also true that sometimes good things can happen for the worst of reasons, so perhaps the "inside" history of workflow at SAP is irrelevant.
    The reason I'm going on about this is because I still don't think "the powers that be" at Walldorf have realized yet that the way to get pre-NW clients to NW200nx (NWDS, WDA, WDJ, GP, VC) is to get them to use regular old workflow first.
    There is <i><b>nothing</b></i> in NWDS, WDA, WDJ, GP, and VC that can't be done in a pre-NW environment using a combination of user exits, BAdI's, BAPI's, and workflows.
    And if SAP customers were to start using these older techniques to implement "integrated" and "process-driven" applications, then they would get into a "state-of-mind" that would make them much more confident of their ability to handle NW techniques, and much more aware of the benefits resuling therefrom.
    As the old saying goes -
    <i><b>you've got to take folks from what they know to what they don't</b></i>
    i.e. you can't simply "shock and awe" customers into what you want them to start using.

    I looked in the log workflow(img) and it said : "You have archived the deadline on 21/10/2011 12:09:22 CET VI. the system
    has executed the following model action."
    Why will the workflow sent two hours later?

    I think you would have a much better general eperience (new features, bug fixes) if you download the latest SQL Dev and use that.
    Just drop the existing repository and load the new one from SQL Dev 3.2.2,
    Given you are just starting it is better to start with the freshest repository version you can.
    As for the workflows not running, that is tied to the Oracle Scheduler administrative settings.
    The function you used DM_START_MONITOR is for the older Data Miner 10.2/11.1 product, also referred to as Data Miner Classic.
    Here are some Oracle Scheduler operations that should get you going.

    The following query confirms that the job is scheduled:
    select * from DBA_SCHEDULER_JOBS;
    Then turn it back on:
    ALTER SYSTEM SET JOB_QUEUE_PROCESSES = 100;
    To see what the current setting is run the following as sys:
    select * from v$parameter where name='job_queue_processes';
    If the value is set to 1, then only one workflow would be able to run at a time.

    Is it possible to run prcoessflows without using workflow, i don't want to depend on workflow to run it on schedules, we will use another schedular technology to run processflows.
    But, is this possible and is there any package created in OWF_MGR database by workflow for each processflow to use it in running ???

    if you are going to use another scheduler then why not create a workflow within the scheduler for eg, if you using control M scheduler, then
    all you go to do is prepare a workflow on ctrol M using the mappings from OWB and run it on control M. Either you create everything in owb and run in owb or just create the mapping in owb and run everything out of OWB why create a workflow in owb and run it on other scheduler. If you create a workflow in some other scheduler then you got better control over the processes running otherwise if will be difficult to handle errors and exceptions.
    If you know what is process flow should look like then its much easier to create it on a scheduler if the software you are using is capable of doing it. I know for sure Control M and autosys are capable of doing it.

  • Unable to send emails on APPRV - AP Invoice Approval workflow. r12

    Hi,
    This is on r12.1.3. The Invoice approval workflow is not sending notification emails. We have tried all we could but email notifications are simply not going out.
    Steps executed.
    1. Make sure email addresses are valid
    2. Make sure all email preferences are set to receive emails
    3. WF_NOTIFICATION_OUT was cleared and rebuilt two times
    4. Ran WFSTAT.sql for complete diagnostics but shows nothing.
    5. Workflow log file shows nothing suspicious.Despite of all this we are not able to receive emails. We need to send notification emails when an Invoice in AP is in "Initiated Approval" state. The strange thing is that this issue is only with payable invoice approval workflow. All other workflows are receiving emails just fine.
    Please advise.
