Workbook refresh

Hi Gurus,
I have a workbook in which there are 11 work sheets. I do not want to refresh the entire work book, When the user opens the work book only the first sheet must be refreshed and when the user navigate to another work sheet, only that work sheet must be refreshed. Is it posible to do this?

Hi,
Refresh Workbook on Open--->If this indicator is selected, when you open a workbook from the server, the workbook is automatically refreshed with values from the server. If this indicator is not selected, you have to manually update the workbook after you open it to retrieve the most current results.On the Exits tab page, you can choose whether a macro can be called during the refresh. You can choose any macro name. Note that the macro is only called when the workbook is opened if the Refresh Workbook on Open indicator is set on the General tab page.

  • Multiple Queries in Workbook - Refresh Screen Shows Up for Every Query

    We have multiple queries in a workbook.  All of these queries have the exact same selections for the variable selection screen.  When all the queries are refreshed once, the selection screen used to show up once and all the queries are refreshed with the same selections.  
    We were on BI 7.0 and SP10.  We recently moved to SP12.  Since the SP12 installation, the multiple query refresh pops-up the selection screen for every query.  It is nothing like "multiple query refresh" at once since the user has to click "execute" button for every single query.  It is interesting to note that the selection screen only contains hierarchy variables and hierarchy node variables.  The other variables of selection screen do not show up.  I couldn't find any OSS note on this topic.  Please let me know if anyone has any comments on this issue.  I will assign points to useful posts.

  • Workbook refresh displays key instead of text

    Hi,
    We are on NW2004S rampup. Our support pack level for Quality environment is 7. When we execute the workbook in management cockpit in transaction UMM_PRES, the calendar month is displayed as text. When we refresh workbooks, the calendar month changes from text to key., like from Jan 2006 - May 2006 to 01/2006 - 05/2006. This happens for every refresh. On the other hand when we log back and display, text is shown and with every subsequent refresh key is displayed. This does not happen in Quality system under 3.0b version. My search on OSS notes does not get any relevant  one. Anyone having similar experience?

    I am able to get the result as text only after each refresh. This is made possible as follows:
    In RSD1, I changed the following under BEX tab.
    Display  changed to Text
    Text type changed to medium type
    The Text type is  new one in 2004S as compared to 3.x.

    Hi.
    Has anyone ever set up a solution for scheduling the refresh of Excel workbooks containing BW queries that sit on local or network drives?
    e.g. either within the workbooks themselves using VB or in combination with a script in Windows running through directories and refreshing that way?

  • Date on workbook refresh

    I created an workbook and inserted an query into the workbook, but upon refreshing the query in workbook it is not asking for a date to refresh,do you know the setting to ask for a date when i click refresh.

    This will only work if you have a variable in the query that is related to a date.
    Lets say this query is on sales data, you would to restrict the query on a date (lets say created on date or maybe a fiscal period) and use a variable in this restriction. This variable needs to be set to manual input and you can chose to have it mandatory or not. You could even use one of SAP delivered variables. When you done this and you refresh the workbook the selection screen will pop up asking to input a value for the variable you used.

    You should click the 'refresh variable values' button.
    Also switch on the 'process variables on refresh' in the workbook properties.

  • Bex Analyzer Workbook Refresh - How to prevent take over of desktop

    Hi there,
    I believe the answer to this queston will be use bex broadcaster but I will try and see if someone has any other experience.
    One of our upper mgmt directors is frustrated because when he refreshes the bex analyzer workbooks, the refresh takes over his desktop.
    He will kick off the refresh and then wants to go to another task - Like checking something on AS400 screen - or going to check his email - or working in word.
    The refresh of the workbook is long running and has several queries to refresh so it monopolizes his desktop.
    He will go to the other screens but bex refresh keeps popping up and taking over.
    I do not know any other way to have it run in the background unless bex broadcaster is used.  Unfortunately, we are in the process of getting that upgraded and it is not available at this time.
    Does anyone have any experience with having the excel refresh run in the background?

    reporting agent will be helpful in caching the report...this article will explain you on the steps to do so

    reporting agent has been replaced by information broadcasting in BI 7.0, you can try this out by going to rsa1old and caching the report.

    Hello Gurus.
    I want to protect some cells in the sheet from the user, in order not to modified it, i'm using BEx 3.5 and the excel function of blocking cells and sheet protection, but when I save the workbook and then try to refresh it, it's saying me that this function is not available with excel protection, so I wonder of another way of protect my cells from user and also be able to refresh data in query.

    there is a possibility to use the SAP Workbook protection.
    Menu Business Explorer->Tools->SAP Protection. This prevents people from changing anything outside query area.

    Hi All,
    Does anyone have a way to automatically refresh a workbook and save it to a file folder? We have a workbook that is highly formatted and has multiple queries on one worksheet so the reporting agent as I understand it won't help me, but let me know if I am wrong. Any ideas will be appreciated.

    I saw your original posting with this question.  I did not respond to that posting because this is really not something that can be done in VB.
    With VBA in Excel, you can schedule a routine to run (the command is Application.OnTime, then give the time for the subroutine to run and the name of the subroutine).  But, this has 2 problems for your application:
    1.  this allows only "time", not "date + time"
    2.  the schedule stays in Excel memory; which means it gets lost if Excel is closed.
    I would think that using scheduling within BW is the right way to do this.  But, I am not an expert on that subject.
    If the workbook is stored on a local or LAN drive vs. on the BW server, then the only other option that comes to mind is Windows scheduling (and set up the workbook so that your macro will kick off automatically when the workbook opens).

  • External Data Refresh Failed. We cannot locate a server to load the workbook Data Model. ThisWorkBookDataModel

    Hi All,
    I have been trying to fix this for days now. I have tried solutions in many articles but to no avail. So while the error message is something you may have seen may times, I just can't find a solution in my case.
    This is the error:
    And in text just in case the image isn't viewable:
    "External Data Refresh Failed. We cannot locate a server to load the workbook Data Model. We were unable to refresh one or more data connections in this workbook. The following connections failed to refresh: ThisWorkBookDataModel."
    What is worse is I have checked the ULS (SharePoint Trace Logs), the Event Viewer Logs and the OWA Logs and I cannot find a specific error that would help pin point the problem.
    Excel Workbook
    So what am I doing? I have an Excel 2013 workbook and I create an "SQL Server" connection to the AdventureWorksDW database, add a pivot table and a pivot chart, test in in Excel and all works fine.
    I save the Excel workbook to SharePoint 2013 and then select "Data" then "Refresh All Connections" and then I get the error in the picture above.
    Even more puzzling is I have another Excel workbook that also has pivot tables and pivot charts in the AdventureWorksDW2012Multidimensional cube database in "SQL Analysis Services" and this works fine. Hmmm.
    My Environment
    My environment is Windows 2008 R2 Server, SharePoint 2013 with the April Service Pack1 and a separate server with OWA2013 SP1. It has an SQL Server 2008 R2 database which has been upgraded to SQL Server 2012.
    Data Model Settings
    In Excel Services this is set to my server name which is "server-name". As I do not have instances all I can enter is the server name. As this works everywhere else including the workbook outside of SharePoint I do not think this is the problem.
    But I could be wrong.
    Unattended Account
    I have set this up for the PowerPivot Services App and Excel Services App.
    ODC Connections in Excel
    I have tried all 3 authentication modes, Windows, Secure Store ID and "None" which is the unattended account. I have not tried the other connection types, should I?
    Not in WOPI
    I am not in WOPI mode.
    AD Accounts
    I have added permissions in the SharePoint Services and SQL Server, and as they work in Excel outside of SharePoint, I do not think it is a permissions issue. I could be wrong of course, but the problem is in one of SharePoint, OWA, AD,
    SQL Server, Excel, and Windows Server.
    Isolate the Error
    Below is a list of errors I think are relevant but they do not tell me much. The SharePoint logs are not really giving me an error that tells me what to do and where to do it, or even why it cannot refresh, (perhaps not noticeable by the untrained eye).
    Problem with SQL Server Not Analysis Services
    So my cube database in analysis services works fine in SharePoint/OWA but not the databases in sql server. This is my best clue but I have no idea what it means. Why would it work with an Analysis Services connection but not an "SQL Server" connection?
    It Works Outside of SharePoint
    If I run the excel worksheet outside of SharePoint all works fine. When inside OWA this is where the refresh error occurs.
    Errors from Event Viewer on SharePoint Server using ULS Viewer
    "Failed to create an external connection or execute a query. Provider message: There are no servers available or actively being initialized., ConnectionName: , Workbook:"
    "Refresh failed for 'ThisWorkbookDataModel' in the workbook 'http://server...'. [Session: 1.V22.26itT0lx8piNFeqtuGVhN214.5.en-US5.en-US36.98c0e158-9113-46e9-850e-edda81d9ed1c1.A1.N User: 0#.w|ad\testuser1]"
    And an error in the ULS under the "Data Model" category:
    "--> Check Deployment Mode (server-name): Fail (Expected: SharePoint, Actual: Multidimensional)."
    This last error, as it turned out, defined the problem concisely, although I was yet to work out what it meant in some detail.

    I finally solved this myself (or should I say with the help of several key articles).
    The refresh did not work because the database was not in "SharePoint Mode". Yes, SQL Server has modes, 3 of them in fact.
    If you installed SharePoint to the default SQL instance which would be called <servername> then you cannot use this default instance for Excel 2013 workbooks in OWA 2013 because the refresh only works if the database is in SharePoint mode.
    So what are these 3 modes? The Deployment Mode property in the msmdsrv.ini file has them as:
    0 = Multidimensional mode (the default whenever you install SQL Server normally)
    1 = PowerPivot for SharePoint mode
    2 = Tabular mode mode
    How do you know what mode you are in? That's easy, open SQL Studio Manager and connect to all your SQL database engine instances (ignore Analysis Services or SSRS as they are not database engines). If you only have the default instance then that is almost
    definately in Multidimensional mode which is the default and what SharePoint installs its databases to.
    You must have an instance called <servername>\POWERPIVOT. This instance is the "sharepoint mode" needed, and the default instance name when you install an SQL instance in this mode.
    If you don't see <servername>\POWERPIVOT in SQL server then you are not in "sharepoint mode". It is more accurate to say, you do not have an instance that is in sharepoint mode. This is because you cannot simply switch modes on an SQL server.
    You have to install a new instance in the required mode, thats the only way.
    That's easy enough. Load up the SQL Server setup CD and run setup. Install a brand new instance and select "SQL Server PowerPivot for SharePoint" when you get there in the wizard.
    Now you will have the default instance that stores all the SharePoint databases and that is in mode 0, and a new instance called <servername>\POWERPIVOT that is in mode 1. The "<servername>\POWERPIVOT" instance connection is what you
    will use for Excel 2013 when rendering in OWA 2013.
    You also need to ensure OWA 2013 is not in WOPI mode for Excel worksheets. See the last link below for more information about WOPI.
    Next you should go to the Excel Service App in CA and click Data Model Settings and add the <servername>\POWERPIVOT instance.
    Then you have to either turn off the firewall on the SQL server machine, or create an inbound rule on the Windows firewall to open the TCP port for the <servername>\POWERPIVOT instance:
    1. Start Task Manager and then click Services to get the PID of the MSOLAP$InstanceName.
    2. Run netstat –ao –p TCP from the command line to view the TCP port information for that PID.
    Finally, you can now create Excel 2013 workbooks that run in OWA without refresh errors, as long as you are connecting to the <servername>\POWERPIVOT instance. Hooray.

  • Variable Refreshment Problem in Workbook

    Hi Experts,
    We have a workbook for Price Definition Planning (Using SAP IP).
    There is one Navigational Attribute called u2018Category Segmentu2019 (for Planning Product) as a dropdown item which populates new records in workbook.
    If we run the workbook for first time after giving the required variable input value for category segment suppose u2018Chocolateu2019, it works as intended.
    But the problem is that , if next time we change the variable value for the same to different one suppose u2018Cookiesu2019, its not showing me the records of that u2018Cookiesu2019 segment in the analysis item. Itu2019s still showing the previous records i.e. for u2018Chocolateu2019 only rather than Cookies.
    We checked the option for variable refreshment as well as workbook refreshment. But the problem still persists.
    If anyone has any idea about this, please do share it.

    hi.
    check if your user has personalized the variables, because they won't show up if he refreshes. you have to call up the variable screen explicitly by using the option from the menu and then you can change the personalization setting.

  • Workbook is not filtering based on Exit Variable during refresh

    Hi,
    I have a workbook with a query embedded in it. While opening the workbook it is not refreshing the variable using the value from the user exit.  While I am executing the query it is working properly.
    In workbook "Refresh Workbook on Open" is selected.
    Query is working with following exit code (both step 1 & 2)
      WHEN 'ZEXTICK_DT_YD'.                    "Yesterday based on system date
        IF i_step = 1.
          l_date = sy-datum - 1.
          l_s_range-low       = l_date.
          l_s_range-sign      = 'I'.
          l_s_range-opt       = 'EQ'.
          APPEND l_s_range TO e_t_range.
        ENDIF.
    We are in BI 7 and Support pack 15.

    I having a similar kind of issue with the exit, that doesnt work with a refresh but works perfectly as such. Did you figure out a way to make it work with refresh? If so, would appreciate if you share with us the solution.

  • Error when opening a workbook with mandatory variables

    BEx analyzer displays an error message window in the same time as the variable popup window.
    The worbook is linked to 1 query that uses 2 mandatory variables (month ?, year ?), and was defined in the test system.
    I assume that values are thus saved within the workbbok.
    The developper had 0bi_all autorisation.
    When a reporting user is opening it (also in the test system), the error message is displayed.
    This happens only the 1st time when Analyzer is started, and by clicking on the OK button, we are able to run the query.
    The next workbook refresh runs without the error message display.
    Question =  does anybody know the reason of this, and how to avoid the error message ?

    error message E019(R9E) appears for each variable (thus, 2 time with a query with 2 variables):
    Help type 5 is not valid for the platform NONE
    Exception 5 occured while calling IWB_HTML_HELP_URL_GET
    the details of this error message is:

    i checked the query and authorisation with RSRV, but this didn't help, furthermore, a lot a functions are not implemented in the system, sorry.
    i also changed the query and workbook, and i think that it depends on the workbook release 3.x or 7.
    imagine following situations: same query 7.0, same workbook 7.0
    with BI7
    1) opening the query with variables doesn't display the error message
    2) refreshing the workbook with the query with variables displays the error message (only for a non mandatory variable - as soon as there is a variable, the error message is displayed)
    3) refreshing the workbook with the query without variables doesn't display the error message
    with BW 3.x
    4) refreshing a new workbook 3.x with the query with variables doesn't display the error message
    i also investigate in the function modules for workbooks (RS...), but nothing helped.
    i still think that it is linked to authorisations, because with sap_all, the message isn't displayed.
    how can i continue ?

  • Precalculation and save workbook

    Hi,
    Can i Precalculate a workbook and save it to the server.
    For example i have workbook, and i don't "refresh query when opening workbook."
    I will precalculate Workbooks and save the last results to the server, so users can see the last results every time they open the workbook without waiting.
    I can do this with VBA. With VBA i open the workbook, refresh query and save the workbook, Can i do the same with precalculation ?

    SAP's solution would be to publish the wotkbook to the Portal.
    OLAP cache (assuming it is activated - check in RSRT - Cache Monitor, or use tran RSRCACHE) will save the results of an OLAP query in dedicated memory on the Appl server, or can also be cached to disk.  When the next user comes along and runs the same query with the same values, assuming there has been no new data loaded to the underlying Infoprovider(s), the query results are retrieved from the OLAP cache, eliminating the need to to actually run  the query against the DB.
