Workflows and Actions....

Hi all,
         Can anyone please tell me the difference between workflows and actions .
The requirement is that a mail must be sent on the click of a button.
I want to know whether to go for Workfloes or Actions.
Kindly reply immediately as this is bit urgent.

Hi,
I am not sure about Actions but you can send the ifrmation through mails by maitaing  the mail ids in the distribution lists.
Create a Distribution list using SO23 and add Users whom to recieve messages.
Modify your Inbound function module to handle if idoc failed to post by calling the function module: SO_NEW_DOCUMENT_SEND_API1

  • Reading user input from a form within a workflow and perform actions in workflow based on the input

    Sharepoint 2013
    Need to get input from a user based on some condition within a workflow and based on the input received continue with the workflow. It can be a form with a text box and button to which i can redirect and when user enters a value and clicks on the button
    ,I should come back to the workflow and perform other processing. I should also be able to manually start this workflow from VS.
    Tried different approaches like initiation forms ,user input action of SP2010 etc all of these approaches either add some tasks to task list or force me to click on the workflow link to get input from a user.
    Any suggestions on this?

    I was looking for something like this:
    <form action="myjsp.jsp" method="post">
    ...so after submitting the result will go to the myjsp.jsp file and in the myjsp.jsp file
    <jsp:useBean id="value" class"myBean">
    <jsp:setpropertiy name"value" ....>so everytime I click the add button the values will go the mysjp.jsp file and that will set them in the javabean file. this method uses two files but I was looking for doing this in the same jsp file and not sending it to another file.

    Hi SMTP,
    First of all, as I mentioned action is nothing but an executable work item which is designed in the workflow itself. In other words, Workflow is like your OOPS class. At run time, workflow instances are created just like objects of classes. Now, the steps designed in the workflow are called TASKS and the instances of tasks are called WORKITEMS. Now, the work items where any user action is required are called executable work items. ANd the work items where no user action is required (for example, sending an email in background) are called non-executable work items.
    Whether to go with development of workflow or not depends upon your business scenario. If your requirement is only to send an email and you find any BAdi or exit where in you can write your logic then there is no need of creating a workflow. If there is a defined business process with defined users and time lines, then you can go with the development of workflows.

  • By publishing this workflow, conditions and actions inside Impersonation steps will run using your credentials

    In a SharePoint 2010 workflow that accesses a custom list, I am getting the following warning message before I publish the workflow to the SharePoint test server:
    "By publishing this workflow, conditions, and actions inside impersonation steps will run with your credentials".
    The only step in this SharePoint 2010 workflow is the impersonate step.
    Thus would you tell me what I can do to have the workflow run under different credentials?

    Hi,
    As the warning says, any actions within Impersonation step would be carried out under your credentials if you published the workflow. If you intended to just add a Step in the workflow, then use different icon that says Step (with down arrow). Impersonation
    step is used to modify the permissions on the item.
    Once you have this, the workflow will be executing under the credentials of whoever starts it. Hope it helps.

  • Workflow and WD integration

    Hi,
    We are implementing Workflow and Webdynpro ABAP integration.Employee submits competences from portal, this triggers an approval task to the manager .Manager will approve the task from worklist and when he clicks on task, Web dynpro application opens up where he has to approve or reject accordingly.
    We have approve and reject buttons in Web dynpro and we have used User Decision Step type in Workflow to open the Web dynpro application.User decision step decisions are mapped to Web Dynpro approve/reject actions.
    So we are able to successfully launch the Web dynpro and perform the actions.But problem is the rest of Wrokflow after User Decision step is not getting executed. Workflow is getting stopped at this point.
    We have tried using FM's SAPI_WAPI_DECISION_COMPLETE and SAP_WAPI_WORKITEM_COMPLETE.
    Both these FM.s complete the User Decision step but does not execute rest of Workflow.
    Please help me if you have come across this scenario.

             After user decision step, you have maintained the step that updates database as immediate step.
             Have you tested this step separately ? If it have yielded successful results, check the binding for the immediate step after user decision.
             Also, check the workflow log whether the containers for the step that updates the database are populated with required values.
             Is the method that updates the database is custom method ?

  • Error from Cisco Agent Desktop - The agent- or workflow-initiated action request failed.

    We have roughly 20 agents using Cisco Agent Desktop version 85.1.417 and I have one that when she clicks the phone button to answer a call she gets the error: "The agent-  or workflow-initiated action request failed."
    I reinstalled the program, but she still receives the same error.  What could be causing this problem?

    This is what I found in the log:

    and select object type and enter your object and create.
    save and active w/f.

  • Integration of SAP Business Workflow and Webdynpro

    Hello colleague,
    Could you pls. provide any pointers in configuring the following scenario:
    There is a SAP workflow configured in R/3. When one of the steps of the workflow is executed I have to trigger a Web Dynpro (for ABAP) screen.
    Say its an approval workflow and when the manager clicks on the workitem in the inbox a webdynpro screen will pop up indicating the requisite information. The manager can approve or reject the based on information on the screen. The user action will be taken and the workflow will proceed based on that.
    Any pointers in this will be of great help.

  • Time based workflow:wait action not working

    I need to build a workflow for sending mail to manager if for an opportunity sales stage "requirement" remains for more than 30 days,I have given the workflow condition as:
    ([<SalesStage>] = "01 - Requirements")
    & then 2 actions 1st "Wait" & then "Send mail" somehow its not working.Please guide where i am getting wrong..

    Let me understand your business case: You need to send ONE email to the manager of the opportunity owner, if the Sales Stage = '01 - Requirements' for more that 30 days.
    You need two workflows and a unused/custom field (a boolean field is preferred). Both workflows are similar. The first workflow is based on the event - When new record saved. This workflow will be invoked as soon as a new opportunity is created. The second workflow is invoked whenever the opportunity is modified using the event - When modified record saved. Any user who has edit rights to the opportunity could modify the opportunity but not change the sales stage. This results in an unpleasant situation where the manager could be flooded with emails. That's where we use the boolean field to protect against multiple updates and ensure a single email is sent after 30 days if the sales stage is still '01 - Requirements'
    Workflow 1
    Record Type: Opportunity
    Event: When new record saved
    Condition:[<SalesStageId>] = "12ASA-XCD34" AND ([<IndexedBoolean0>] IS NULL OR [<IndexedBoolean0>] = "N")
    Note:
    1. IndexedBoolean0 is the field named Indexed Checkbox in the list of fields
    2. I have used the sales stage id. You have to find out the sales stage id for '01 - Requirements' and use it here.
    Workflow 1 - Actions (remember to activate all actions and workflows)
    1. Action = Wait
    Period= 30 days
    Reevaluate Rule Conditions After Wait = Y
    2. Action = Field Update After Wait
    Field Name = Indexed Checkbox
    Value = "Y"
    Overwrite Existing Values = Y
    3. Action = Email
    From > Specific Email Address> "[email protected]"
    To > Relative User On Record > Opportunity Owner's Manager
    Repeat this workflow configuration for Workflow 2, where the only difference is the event which should be When modified record saved
    Exposing the Indexed Checkbox on the opportunity detail page layout for all users is optional (not recommended). It might be a good idea to expose this checkbox on the opportunity detail page for the administrator role only... so that he/she can take corrective action if an email is not sent after 30 days.

  • CRM Workflow and ERP Workflow integration

    Hi,
    I need to get workflow to work across several modules. One example is that I have some actions that needs to be completed in CRM, and when that has finished I need to trigger a workflow in ERP to continue the processing. How can I send information from the CRM workflow to the ERP workflow, and status message back to CRM? I have been looking at Wf-XML options, but that seems to be across http communication only.. these systems can be on the same server. Can anyone give me some tips on how this can be done? Help is greatly appreciated!

    My suggestion is to trigger the events with a RFC of a Function module.
    Program the Function module in the ERP system and enable it as RCF function. In this module program the trigger for the prefered object.
    In the CRM workflow call a background method of the corresponding object which triggers the Function Module in the ERP system.
    Another solution could be that the action which was taken in CRM leads to a replication in the ERP which already triggers a standard event.
    Hopefully above guides you to a solution.

  • Change or Restart Workflow and Skip to Workflow

    You have the option in server settings to "Restart current workflow for the selected projects", with the choices of skipping to current workflow stage or to a particular workflow stage. Using a new 2013 project server workflow neither of these
    choices work. The project in each case is returned to the very first workflow stage.
    Is this a bug or badly designed workflow?
    Is this also the case with legacy 2010 workflows?

    Thanks to John on the Product Team, I think I can explain what is going on.
    I am going to assume you have a workflow similar to the one below? Some simple logic, a wait event and a transition or some type.
    As the workflow progresses in the above case, it will log a message out, then wait for the submit button to be pressed before transitioning.  If you try to use the Change / Restart workflow function and choose Restart  > Skip to Stage 3, what
    you will see is the workflow restart, log Stage 1 to the history list, and then wait for input. There is no skipping through as the workflow is waiting for the event.
    The new workflows, whilst allowing looping etc, are essentially still sequential in nature, so to skip though the various stages, they need to start at the beginning and then progress through the stages depending on the logic in the stage transitions.
    Just like in 2010, to get something to progress, you need to introduce some special 'Skip to Stage' logic (for want of a better phrase), with this logic, you can tell the workflow 'If the workflow is being run normally, or restarts the workflow and includes
    this stage' execute the actions within. This is achieved by using the 'Include Stage' condition I mentioned in a post above.  In the example below, I have wrapped the logging and the Wait for submitted event in an 'Include Stage' action (and added
    some extra logging)
    Now when this workflow runs normally, it will go through and execute everything, including the bits inside the 'Include Stage' action because the workflow was started normally (as in the name). 
    However, if I choose to restart > Skip to Stage 3 for instance, the workflow will realise it is in 'Skip to Stage' mode and not execute anything in the 'Include Stage' action as the workflow is not being run normally, nor is that stage included (we
    are skipping to Stage 3). As the Wait for Submit is not executed, the workflow will not wait for the submit button to be pressed and progress without issue to the desired stage. From a logging perspective, you should see something like 'Stage 1 > Leaving
    Stage 1 > Stage 2 > Leaving Stage 2 > Stage 3 > Included Stage 3.
    It took some time, but I hope that explains what your seeing. If it doesn't, well it does give a good overview of how to use Skip to Stage logic in 2013 workflows.

  • Help on Approval Workflow and content types

    So here is my question hope you guys can help!
    So i was setting up a workflow for a leave request form. Everything was fine and I had the Approve/Reject buttons at the bottom of the task EditForm. Now I copied the content types to a new one and changed the Optional settings (lets says title hidden %
    completed hidden etc) and then I changed the Task content type too so as to allow for that new content type to take place. Then i relaunced the workflow everything worked nicely the form look the way I wanted it but then on the EditForm I didnt have the ebuttons
    any more so I found it odd so I reset the content type to the original checked that everything was back in place (the hidden back to optional etc) and even on the original Workflow Task (Sharepoint2013) content type the buttons disapear now I have to manually
    add to the completed column and change the drop down menu of the Task Outcome to approved or rejected to make the workflow spit out the results.
    I was wondering what happened I do not understand it. I even deleted all the Task List and Lists associated witht the workflow re wrote the workflow and nothing... So i m a bit out of my depth.'
    When I click on the Cutomized List Default Edit Form... I do get the form with the button but its not the same one I get with the Email Link or the Link and the actual List
    Any pointers?

    According to your description, my understanding is that the outcome buttons disappear after you change the Optional type column in Workflow Task(SharePoint 2013)  content type.
    For your issue , please make sure the Task Status and Task Outcome type columns are existing in the content type in order for the custom outcome buttons to appear.
